Introduction As you will be aware, the Minister for Education announced on Tuesday 7 April, that on the advice of the Victorian Chief Health Officer, all Victorian government schools will transition to remote and flexible learning arrangements for Term 2. The College will be implementing the processes outlined in our ‘Remote & Flexible Learning Information Booklet’ from Wednesday 15 April, which is the first day of Term 2 for students. The first week of Term 2 (Wednesday 15/4 to Friday 17/4) will be used to support every student to reconnect and become fully ready to commence their online learning program, which will commence on Monday 20 April. Acknowledging the pressure that households will continue to be under at this unprecedented and unpredictable period of time, we will be implementing a learning program that will best support students and staff, one which provides flexibility while maintaining structure, routine and order. Student timetable outlines are explained further in this booklet. To maximise learning during this time, strong partnerships between students, families and classroom teachers will be essential. Family assistance in safeguarding students’ engagement in their learning, wherever possible, is strongly encouraged. Our ultimate goal over this upcoming period is to make sure everyone stays safe while we continue working together to support our students’ learning and wellbeing. Information and tips for Parents/Guardians on how they can play a supportive role are included in this booklet.

Communication Methods Communication from the College will be via normal COMPASS emails and if the need arises, via direct telephone communication. We have migrated to a new phone system which provides a direct extension line to every staff member, where a message can be left and the staff member is alerted to the message via email. A full staff list is at the front of this booklet. A reminder that your normal systems of support will be in place via your regular Assistant Principal and Year Level Coordinators, along with the SHAAC staff team. Please refer to the staff contact details list for these details.

Learning from home Parent/Guardian information This section outlines information and advice for families from the Department of Education and Training website. We hope that you find these tips helpful in supporting your child during the transition to remote and flexible learning.

Victorian Department of Education The coronavirus (COVID-19) pandemic presents a unique and challenging situation for all Victorians. It means we have to do things differently, including adapting the valuable work undertaken by teachers and schools in providing education for Victoria’s children and young people. As we act to slow the spread of coronavirus (COVID-19), the message to students at government schools and their Parents/Guardians, is clear: all children who can learn at home must learn from home.

In the limited circumstances where a student may continue to attend school on-site, the remote learning program delivered on-site will be the same as the learning program delivered to students learning from home.

About learning from home in a school setting When you start to think about helping your child to learn from home, remember that no one expects you to be a subject-matter expert or teacher. The most important thing you can do is to continue to provide comfort, support and encouragement to your child. You can help your child to learn from home by working with their school and supporting your child as they undertake the activities provided.

How the school will support your child Your child’s school will: communicate with you and your child about teacher responsibilities and what you and your child

need to do; communicate with you and provide learning activities for your child to do at home; use their normal communication tools such as their website, newsletters, emails and other online

tools; and provide technical support with devices, as needed.

Access to computer devices and internet Your child's schools will contact you in the first week of Term 2 to determine if your child needs access to the internet, or if they need to borrow a laptop or tablet. This will include children from disadvantaged and vulnerable backgrounds, and those who attend schools in bushfire-affected areas – these children will be given priority. (Please note correspondence via Compass from the Principal, Lynita Taylor, last week asking for those in need of assistance to make contact ASAP.) The Department has partnered with Telstra to provide 1000 4G dongle devices with 4G internet access, and 4000 SIM cards that provide 4G internet access, for families who do not have access to the internet at home. These will be free of charge, and will be provided for the next six months. Devices will be distributed in the first two weeks of Term 2.

You do not need to understand how to use or laptops. Most children have been using them at school and are familiar with how to use them. If you do not have internet access at home, for example, if you live in an area without 4G reception, talk to your school about how your child may receive materials that do not require online access. These can be mailed to your child, or you could collect them. Completed tasks can be returned in the same way. The materials are aligned to the Victorian Curriculum F-10.

How you can support your child You can support your child by: having a routine and setting expectations; making sure your child has a space to work in; providing a level of supervision suitable to your child’s stage of development ; monitoring communications from teachers; checking in with your child often to help them manage and pace their work; and monitoring how much time your child is spending online.

Your child's responsibilities during remote learning You should change these responsibilities according to the age and stage of your child. Your child's responsibilities include: regularly monitoring digital platforms for announcements and feedback from their teachers; doing their best work by completing tasks with integrity and academic honesty; doing their best to meet timelines and due dates; communicating openly with their teachers and telling them if they have any concerns or issues; collaborating with and supporting their classmates; and continuing to abide by their school’s behaviour guidelines.

Setting up a learning environment Every home is different but it’s important to provide a quiet and comfortable space in which to learn. Where possible, extended learning should take place in a space your family shares. For example, a lounge room or dining room. These spaces are preferable over a bedroom, where your child can feel isolated and supervision can be more challenging. It should be a place: that can be quiet at times; that has a strong internet signal, if possible; and where you or another adult is present as you would normally be when your child is online,

dependent on age.

Establishing routines and expectations Start and end each day with a check-in to help your child: clarify and understand the instructions they receive from their teachers; and help them organise themselves and set priorities for their learning at home.

A healthy daily routine is great for mental and physical health, as well as concentration and learning. Encourage regular exercise breaks. This might mean going for a walk, using exercise DVDs and apps, dancing, floor exercises or using home exercise equipment. Encourage healthy eating habits and make sure they drink enough water.

Communicating with your child We encourage you to start and finish each day with a simple check-in. These check-ins can be a regular part of each day: Morning check-ins In the morning, ask: What are you learning today? What are your learning targets or goals? How will you be spending your time? What resources do you need? What support do you need?

Afternoon check-ins In the afternoon, ask: What did you learn today? What was challenging? You could come up with a way to deal with the same problem if it comes

up again. Consider three things that went well today. Why were they good? Are you ok? Do you need to ask your teacher for something? Do you need help with something to

make tomorrow more successful? These questions allow your child to: process the instructions they get from their teachers; and help them organise themselves and set priorities.

Managing screen time and online safety It’s important you keep a balanced approach to home learning. Time spent using digital devices for learning should be broken up with physical exercise and offline learning tasks often. For students over six, hourly exercise breaks are suggested. It’s also important that during this period of remote learning we maintain safe and responsible use of information and communication technologies. This includes: the appropriate use of digital platforms, privacy and information protection; and respectful online communication.

What remote & flexible learning will look like at Mount Clear College

Microsoft Office 365 has been chosen as our digital learning communication hub for remote learning. It will provide an environment for conversations, content, assignments and apps in one place. Access to this and other subject based learning resources will be available via COMPASS (Star Menu). Over the first three weeks of Term 2, teachers will be creating ‘Teams’ for your classes, but in the meantime keep checking your MCC emails. We ask that we keep this motto in our thoughts as we transition to remote learning:

“Be kind, be patient, we are all working through this together”

There will no doubt be a few hiccups along the way. Students at Mount Clear College are familiar with the learning platforms used, which are outlined in the table below. At the end of this booklet, there are step-by-step guides to assist families to gain an understanding of these platforms to support their children. Appendix A: Compass Guide Appendix B: Quick Start Guide to Teams. Issues Accessing Remote Learning The Remote Learning Program assumes that all students have suitable access to the internet and a working laptop. Of course this may not always be the case. If you have not already notified us, Parents/Guardians are asked to contact the College if you do not have a device or reliable internet connection. Please telephone the College on 5330 1500 and press 2 to leave a message (please make sure you provide clear details of the student affected), or email the Principal or the appropriate Assistant Principal via their email contacts below. The Principal or Assistant Principal can discuss with you how we can support your child to engage with the Remote Learning Program. Student Timetables The College’s Remote Learning Program will basically follow the student’s normal weekly timetable. However, this will be modified slightly at the Year 7–10 levels to provide students with individual study sessions similar to that of senior students. Year 11 and 12 student timetables will not be altered. Students are required to login to the Office 365/Teams portal at 8.55am and follow their normal school timetable (with some modifications) for the day.

We ask that Parents/Guardians log into Compass, either Tuesday after 4.30pm or Wednesday morning, to see your child’s timetable which will detail when each student is expected to either be

engaged online or completing individual study.

* It is expected that every child is completing 45-60 minutes of Literacy and 30-45 minutes Numeracy each day, therefore Individual Study Sessions should be used to make up this time if needed. An example of a Year 7 timetable

Mental Health and Wellbeing Mental health support will be available through the normal College personnel and appropriate referrals for students can be made to external providers if necessary. There is a link on Compass and the College Web page to request a call from the SHAAC team, with a turnaround time of 1-2 business days. This is not to be used for emergencies - for any immediate concerns of a child’s health and wellbeing please call 000. If you are concerned about your child’s flu-like symptoms, please call the Department of Health & Human Services’ dedicated Coronavirus hotline on 1800 675 398 or alternatively, call the National Coronavirus Help Line on 1800 020 080.

Mentor Sessions Mentor sessions will remain on all student timetables. This will provide the opportunity for Mentor Teachers to make contact with their students on a weekly basis to check in on their wellbeing. This will also be the session through which valuable resources will be made available to students in regard to social and emotional health and resilience.

Class times This time is the lessons that are teacher-directed for teachers to deliver the curriculum and for students to work through it. Teachers may not be actively teaching the entire time. It may be more suitable for a teacher to communicate with the class on Teams or via COMPASS email in the first session of the week to set up the week of learning; and to then be available for students to ask questions, or to have conversations with groups and individuals as required, during the other classes. Therefore, scheduled lessons will be directed by the teacher who will be available at these times to either provide direct delivery of the lesson, or to assist any students who require help. Students are expected to be completing set classwork at these times.

Individual Study Sessions Students are to complete work that they have from any subject during their individual study sessions. Their teachers will not be available at this time as they may be teaching another class or correcting work and communicating feedback to their other students. Therefore, if a student needs assistance during these times, they are to email their query to their teacher, who will respond based around a 24-hour time frame. Staff will not be expected to respond after hours during a school week.

Physical Activity Individual study sessions may also be used to complete physical activities each day; we encourage all students to complete at least 30 minutes of physical activity each day. Therefore, it is appropriate for a student to use some of their ‘school day’ to carry out a physical home duty, such as walking the family dog. Students who have scheduled Health and Physical Education classes will also engage in a fitness program directed by their teacher during sessions.

Curriculum and Assessment The College will endeavour to coordinate the number of assessment tasks expected of students, as well as the timing of due dates over Term 2. Students will be expected to complete all tasks set by teachers - normal progress reports and COMPASS alerts about late work will be sent to Parents/Guardians.

VCE Assessment requirements and processes All VCE and VCAL subjects will continue as however, assessment schedules will be modified as per Victorian Curriculum and Assessment Authority (VCCA) advice. Regular information will be provided on VCCA updates, by Norah Moloney - Senior School Assistant Principal and VCE Coordinator, to whom any queries should be directed. All information provided will follow the (VCAA) guidelines and advice.

Attendance As a College we will be aiming to closely monitor and track the engagement of every student over the period of time that we are working together remotely. Therefore:

Parents/Guardians are still required to notify the College (via Compass or telephone) of any approved student absences (e.g. if a student is unwell). This is important as teachers need to be aware that your child will not be online for their class.

If the learning activities for a given period do not involve the teacher interacting with every student in the class, a student will be marked as present by the teacher as long as they complete the work set or can show that they have made a genuine effort to complete the work.

Attendance is assumed for Individual Study Sessions, which will be validated by the student’s submission of set learning tasks.

Relevant school staff will continue to monitor and follow-up student absences in accordance with school and DET policy.

Students who do not engage with Remote Learning We acknowledge that there may be some students who take a period of time to develop a routine that meets the self-discipline required to transition successfully to remote and flexible learning. Teachers will be recording details regarding students who do not seem to be engaging in online learning on Compass and will email the appropriate Year Level Coordinators. Year Level Co-ordinators and Assistant Principals will follow up accordingly with students and Parent/Guardians.

Accessing Student Emails

Microsoft Office 365 is a cloud-based system, which is an online version of the Microsoft Office

software (Outlook, Word, Excel, SharePoint, Teams etc.)

Students can access their email by going to https://mountclear.college/email or via the

shortcut under ‘School Favourites’ tab on Compass

Students will be presented with a login screen. They enter

Overview The Compass Parent Portal is an integrated, online portal where you can access information about your child’s progress and College information. Compass includes many different features, including the ability to:

Accessing Compass You can access compass via https://mtclearsc-vic.compass.education/ or via the link on the school website. Logging into Compass To log in you will require your unique family username and password. These details will be provided to you by the school. Upon first login, you will be required to change your password and confirm your email address and mobile phone number. These details may be used by the school for SMS, password recovery and email communication throughout the year. If you have lost your details or forgotten your password, you can recover your details by clicking the 'Can't access your account?' link on the front page. If you require further support, please contact the College. Homepage The home screen provides you with relevant alerts and news, as well as quick access to your child’s profile.

Main Menu Allows you to access other Compass and school resources. The options available here may vary based on your school's use of Compass, more information on these icons is provided in the next section.

Tools The Tools Menu (cog icon) allows you to update your contact details and change your password.

Alerts Custom notifications for items that require your action or attention. These may include excursion notifications, absence notifications, surveys and student reports availability.

Outstanding absences or late arrivals that require a note or approval Parent/Student/Teacher Conferences that are available for booking Semester Reports or Progress Reports that are available to download.

Your Child/ren This section provides you with a quick summary of available options, and highlights a summary of upcoming and overdue tasks. To access more information, click on the relevant quick link or select 'Profile' to access details information about your child. Options here may include:

Your child/ren's profile page Email functionality Attendance pages customised for your children, where notes/approvals can be entered Academic reports for your child Parent/Student/Teacher Conference bookings Any overdue Learning Tasks that your student has not yet submitted.

News This is where teachers will post learning information in the case of school closure or extended absence. This section also contains recent school news items and information relevant to Parents/Guardians. This may include newsletters and details of upcoming events. Students will also see any items posted to their class newsfeed.

Menus and Functions

Along the top of the screen there are various icons, and from these icons you can navigate through the Compass portal.

The Home icon will take you back to the Home page. The Calendar icon will take you to the school calendar, where you will be able to see the schedules of your students, as well as any school events or activities that have been entered to the calendar. The Pencil icon will bring up the Teaching and Learning menu, from which you can access Learning Tasks and School Resources.

The Grid icon will bring up the Organisation menu, from which you can access Events The Two People icon will bring up the Community menu, from which you can access Parent/Student/Teacher Conferences, & School Documentation. The Star icon will bring up the Favourites menu, where any websites that the school has added will be linked. To the right of the screen, your name will display, with the Cog icon, which will bring up the Tools menu, from which you can access your Payments, your Files, reset your password, update your contact details, and log out. Clicking on your name will take you to your profile page.

School Calendar From the School Calendar you can view details of upcoming events, your child's timetable, and other relevant school-wide activities your school has included on the calendar, such as School Council Meetings, School Community events, Exams, Student Leadership events/meetings and more.

Teaching and Learning Learning Tasks This is where you can view an up-to-date record of your child’s homework and upcoming assessment tasks. If you have more than one child at the school, this will be a consolidated list showing information for all children.

School Favourites This is where you can access links that the school has determined are useful for parents

Parent Profile Clicking on your own name at the top right of Compass will take you to your own profile. This page includes information such as the email address stored on Compass, links to your students’ profiles. Learning tasks, Insights, Payments and Conferences can also be accessed from the Parent Profile.

My Files - Allows you to store files.

Change My Password - Allows you to change your password.

Update My Details - Allows you to update the mobile phone number(s) and email address(es) associated with your account.

Adding a Note or Approval If your child has any unapproved absences or late arrivals, you will receive an alert on your Compass home page letting you know this and allowing you to add a Note or Approval.

Clicking on this notification will take you to the Unexplained tab for that child's attendance, where you can choose to add a Note or Approval for one or more absences. To add a note or approval, select one or more of the absences listed, then select the 'Explain with Note/Approval' button.

Please note that you cannot edit your notes or approvals after they've been created. If you do need to make any amendments please contact your school, as they can do this for you.

Adding a Note/Approval for a Future Absence You can also enter notes and approvals in advance, if you know that your child is going to be absent from school (e.g. scheduled family holiday). To do this from your homepage, click on the 'Add Attendance Note/Approval' link listed underneath the name of the relevant student.

This will take you to the Attendance screen, with a pop-up window to enter details of the note or approval. Here you can select the applicable date range - in the future if required.

Emailing Staff via Compass Within Compass, if your school has the function activated, you can email the teachers of your children at the school, as well as any other staff members. From your Compass homepage one of the links underneath your child's name will be an option to email their teachers.

Clicking this link will open the email pop-up window, with all the teachers for the student listed as recipients. You can select the red cross next to each recipient to remove them from the email or click the 'Add Recipients' button at the top to add any other staff members.
