INTRODUCTION

What is S.A.M?

Is a digital asset management system created and developed by Saturn to serve the needs of its

clients in a variety of sectors. It consists of management tasks and decisions surrounding the

ingestion, annotation, cataloguing, storage, retrieval and distribution of digital assets.

1. Brand asset management systems, with a focus on facilitation of content re-use within

organisations, the content is largely marketing- or sales-related, for example, product imagery,

logos or marketing collateral to give a few examples.

2. Library asset management system, with a focus on storage and retrieval of large amounts of

infrequently changing media assets, for example in video or photo archiving.

3. Production asset management systems focus on managing assets as they are being created for a

digital media production (film, animation, visual-effects shots, etc.) They usually include work-

flow and project-management features coupled with the storage, organisation and revision

control of frequently changing digital assets.

What does SAM do?

SAM BASICS

Accessing SAM

SAM is an online asset management solution and, as a result, is accessible from any device with a

web browser and internet connectivity. As a web based asset management solution, SAM is also

available at any time of the day, allowing clients to preview and download assets.

To access the SAM system, simply use a web browser to navigate to http://www.saturndigital.com

to begin browsing and downloading digital assets, and to view your assets currently in development

and request any alterations.

Browsing SAM

Browsing digital assets using SAM is simple and intuitive, and SAM provides a number of methods to

quickly locate and preview the assets that you require. SAM provides the functionality to browse

assets by a containing category, and a powerful search function allowing you to find exactly what

you are looking for.

1. Browsing assets by the containing category can be accessed from the home page, upon

navigating to SAM in a browser (see figure 1).

2. Assets are available for download are grouped into four main categories, Food & Beverage,

Film & Cinema, Healthcare, and Retail. To browse any of these categories, simply click on

the corresponding tile on the home page.

3. Upon clicking a category tile (see figure 1) an overview of the assets grouped into that

category will be displayed (see figure 2). This overview will display a thumbnail image of the

asset, as well as the name of the asset.

4. From the SAM Asset Overview Page, to view a more detailed description of an individual

asset, simply click on the asset in question to view the Asset Details Page (see figure 3). The

asset detail page will display the format, resolution and size of an asset, as well as providing

a description and a larger preview of the asset.

5. To return to the SAM Home page at any point, click the home link on the SAM menu bar at

the top of the page (see Figure 4)

Searching SAM

In addition to browsing assets by a containing category in SAM, it is also possible to search for an

asset. SAM provides a powerful search function, allowing assets to be searched by name, category

or by meta-data associated with the asset.

1. The search function can be access on any page within the SAM system, simply by clicking the

magnifying glass icon in the SAM Menu Bar, at the top of the bar (see figure 5).

2. From the dropdown list enter the term that you want to search for and hit enter. This could

be the name of the asset, the category that it is grouped by or a term used to describe the

asset.

3. Upon entering a search term (see figure 5) an overview of the assets that contain the term

searched is displayed (see figure 6). This overview will display a thumbnail image of the

asset, as well as the name of the asset.

4. From the SAM Asset Overview Page, to view a more detailed description of an individual

asset, simply click on the asset in question to view the Asset Details Page (see figure 7). The

5. To return to the SAM Home page at any point, click the home link on the SAM menu bar at

the top of the page (see Figure 8)

Logging in to SAM

SAM provides the ability to browse publicly available digital assets in SAM, however, the ability to

download assets is reserved for registered, logged in users. Logging in to the system will provide

access to assets created specifically for your organisation, as well as the ability to download digital

assets from SAM.

1. To log in to the SAM Asset Management system, click on the ‘Log in’ link on the SAM Menu

Bar (see figure 9).

2. Upon clicking on the log in link, the log in screen is displayed (see figure 10). From the log in

screen enter the username and password provided to you by Saturn Visual and click on the

log in button.

ACQUIRING ASSETS

SAM provides the ability, to registered users, to preview and download digitally created assets. The

digital assets hosted by SAM can be downloaded as many times as needed, and can be transferred

to digital displays or used for marketing purposes. In addition, multiple digital assets can be added

to a single order, allowing multiple assets to be downloaded quickly and efficiently.

Adding Assets to the Cart

Adding assets to the shopping cart in SAM allows multiple assets to be included on a single order.

This functionality provides a simple and efficient way of acquiring multiple assets in a single session,

and downloading them as needed.

1. Log in to SAM (See Chapter 1 SAM Basics – Logging in to SAM)

2. Browse SAM and navigate to the SAM Asset Details page of the asset required (see Chapter 1

SAM Basics – Searching SAM)

3. To add an item to the cart, from the SAM Asset Details Page simply click on the ‘Add to Cart’

button at the top of the page.

4. To add additional items to the cart, simply repeat this process until all required assets have

been added to the cart.

Viewing the Cart

When adding multiple assets to the shopping cart, it may be necessary to view the contents before

proceeding, or to simply confirm which assets have been added to the cart thus far. There are two

methods of viewing the cart, both of which are easily accessible.

1. The cart can be accessed as soon as an asset is added to the cart (See Chapter 2 Acquiring

Assets – Adding Assets to the Cart). After clicking on the ‘Add to Cart’ button on the SAM

Asset Details page a banner will be displayed confirming the asset has been added to the

cart (see figure 1).

2. From the ‘SAM Asset Added to Cart Banner click on the ‘View Cart’ link to view the contents

of the shopping cart.

The method listed above may prove useful if only a single asset is required. However, if multiple

assets are required it may not be beneficial to view the cart after adding each asset. The cart can be

accessed at any time, from any page in SAM.

1. To access the shopping Cart in SAM, simply click on the ‘Cart’ link on the SAM Menu Bar (see

figure 2).

Both of the methods listed above will provide access to the shopping cart in SAM (see figure 3).

The shopping cart allows you to view items added to the cart, allowing orders to be viewed prior

to being committed. In addition, the shopping cart page provides the functionality to remove

assets prior to confirming an order, by simply clicking on the red ‘x’ next to the asset in question.

Completing your order

The cart provides a view of the assets selected prior to any order being made or committed. In

order to download the selected assets, the order process will need to be fully completed. The

order process in SAM is a three stage process, allowing the order to be fully reviewed before

being finalised and committed.

1. After adding all of the required assets to the cart (see Chapter 2 Acquiring Assets – Adding

assets to the Cart) navigate to the SAM cart page and review the assets listed (see Chapter 2

Acquiring Assets – Viewing the Cart).

2. From the SAM cart page click on the ‘Proceed to Checkout’ button, located below the full list

of assets that have been added to the cart, to proceed to the checkout page (see figure 4)

3. The SAM Checkout page provides a full list of assets to be ordered from SAM. This is your

final opportunity to review assets listed before committing the order. If everything is

satisfactory with the order, click on the ‘Place Order’ button.

4. Upon clicking the ‘Place Order’ button on the SAM Checkout Page (see figure 4) the SAM

Order Complete page will be displayed (see figure 5). The Order Complete page will list the

items ordered alongside a hyperlink which can be used to download the digital asset.

Viewing Previous Orders

SAM provides the functionality to allow users to fully review their activity on SAM, including order

activity. In SAM it is possible to fully review previous orders, detailing the date the order was placed

and the assets ordered. In addition, SAM provides the ability to easily re-download previously

ordered assets, without the need to reorder an asset.

1. To view all of your previously completed orders click on the ‘My SAM’ link from the SAM

menu Bar (See figure 6), accessible from the top of each page.

2. Upon clicking on the My SAM link in the SAM Menu Bar, the My SAM page is displayed. The

My SAM page allows you to change your details; password and e-mail (see Chapter 4 My

SAM). From the My SAM page (see figure 7) click on the link titled ‘Order History’ to

navigate to the Order History page.

3. From the order history page (see Figure 8) you can download previously ordered assets by

simply clicking the list of SAM assets displayed at the top of the page. To view a more

detailed breakdown of a previous order simply click on the ‘View Order’ button next to the

order in question

SAM WORKFLOW

The SAM workflow system facilitates the ongoing development, revision and approval of created

digital assets. SAM workflow allows customers to view assets currently in development, providing

the functionality to suggest changes and improvements, and approve creative assets developed by

Saturn. SAM workflow provides customers the ability to preview digital assets being developed,

view previous revisions of the digital assets, communicate alterations and amendments and, finally,

approve the digital assets developed by Saturn.

Viewing Assets in Development

The SAM Workflow module allows clients to view assets currently being developed. The SAM

Workflow module also provides the ability to view any requested amendments made to assets in

development, as well as viewing previous revisions of an asset. The viewing of Workflow assets

mirrors the viewing of regular assets, providing a consistent user experience.

1. To view assets currently being developed in Workflow log in to SAM (see Chapter 1 SAM

Basics – Logging in to SAM) click on the ‘Workflow’ link on the SAM Menu Bar (see figure

1), located at the top of every page.

2. Upon clicking the ‘Workflow’ link in the SAM Menu Bar, the SAM Workflow Assets page is

displayed (see figure 2). The SAM Workflow Asset page displays a list of all assets currently

being developed by Saturn that you are authorised to view.

3. From the SAM Workflow Asset Page, to view a more detailed description of an individual

asset, simply click on the asset in question to view the Workflow Asset Details Page (see

figure 3). The asset detail page will display a description of the asset, a larger preview, the

revision history and any previous revisions made to the asset.

4. To return to the SAM Home page at any point, click the home link on the SAM menu bar at

the top of the page (see Figure 4)

Commenting on Workflow Assets

The SAM Workflow Module provides a powerful commenting tool. This commenting functionality

provides the ability to request alterations and amendments to digital assets currently being

developed. In addition, it provides clients with feedback from Saturn and provides a full comment

history relating to a single workflow asset.

1. Log in to SAM (See Chapter 1 SAM Basics – Logging in to SAM)

2. Navigate to the Workflow Asset Details page of the asset that will be commented on (see

Chapter 3 SAM Workflow – Viewing Assets in Development).

3. At the bottom of the Workflow Asset Details page (see Figure 5) enter the comment that you

wish to make in the text box labelled ‘Add New Comment’ and, upon completing the

comment, click on the ‘Submit Comment’ button.

4. Upon successfully submitting a comment the comment will be added to the ‘Comment

History’ box, with the most recent comment being displayed at the top. SAM will also

automatically register the username of the user making the comment, and the date and

time that the comment was generated.

Approving Workflow Assets

In addition to providing the ability to comment on workflow items, SAM also allows a client to give

final approval on a workflow item. Approving a workflow asset allows a client to alert Saturn that

the asset fulfils the requirements of the client. In addition, approving an asset prevents further

comments from being made and removes the asset from the Workflow module.

1. Log in to SAM (See Chapter 1 SAM Basics – Logging in to SAM)

2. Navigate to the Workflow Asset Details page of the asset that will be approved (see Chapter

3 SAM Workflow – Viewing Assets in Development).

3. At the bottom of the Workflow Asset Details page (see Figure 5) click on the ‘Approve Job’

button.

4. After successfully approving an asset a comment will be automatically generated, detailing

that the asset was approved, the date it was approved and the SAM user that authorised the

approval. In addition, no further comments will be able to be added, and the asset will be

removed from the Workflow system.

Workflow Alerts

The SAM Workflow module provides a visual alert to clients if an asset requires further input. This

functionality provides a method to quickly identify any assets that are awaiting client input, or to

alert clients that amendments have been made to a workflow asset. This functionality is provided

automatically by SAM, and requires no additional input from the client.

1. Log in to SAM (See Chapter 1 SAM Basics – Logging in to SAM)

2. Navigate to the SAM Workflow Assets page (see Chapter 3 SAM Workflow – Viewing Assets

in Development).

3. From the SAM Workflow Assets page (See Figure 6), any workflow asset that requires an

input, or action, will be highlighted with the ‘Action Flag’.

4. Upon clicking on an asset that is displaying the ‘Action Flag’ the Workflow Assets Detail page

will be displayed, also showing the ‘Action Flag’ next to the image of the asset (see figure 7).

5. The ‘Action’ flag will remain alongside an asset until a comment is made against the

workflow asset (see Chapter 3 SAM Workflow – Commenting on Workflow Assets), or until

the workflow asset is ‘Approved’ (see Chapter 3 SAM Workflow –Approving Workflow

Assets). Upon clearing the ‘Action’ flag the creative contact at Saturn will be alerted and can

implement any changes suggested.

Viewing Approved Assets

The SAM Workflow module provides the ability to fully approve a digital asset, after suggesting any

amendments that may be required. SAM also provides the facility to view any workflow assets that

have been approved. Approved workflow assets cannot be commented on, although comment

history can be viewed.

1. To view approved assets, that you are authorised to view, log in to SAM (see Chapter 1 SAM

Basics – Logging In) and click on the ‘My SAM’ link on the SAM Menu Bar (see Figure 8),

located at the top of every page.

2. Upon clicking on the My SAM link in the SAM Menu Bar, the My SAM page is displayed. The

My SAM page allows you to change your details; password and e-mail (see Chapter 4 My

SAM). From the My SAM page (see figure 9) click on the link titled ‘Approved Assets’ to

navigate to the SAM Approved Assets page.

3. After clicking on the Approved Assets hyperlink, the SAM Approved Assets page will be

displayed (see figure 10). This page will contain workflow assets that have been approved,

that are accessible and that you are authorised to view.

4. After selecting an approved workflow asset from the SAM Approved Workflow Assets page,

the Approved Workflow Asset Details page will be displayed. The Approved Workflow Asset

Details page will display a preview of the asset, relating correspondence, and details of the

approval, including the name of user who approved the asset and the date of the approval.

MY SAM

Managing your account on SAM is simple and straightforward, allowing you to update your user

details and change your password in a few mouse clicks. The ‘My SAM’ section of the system

provides the ability to update your details, change your password, view order history, view current

workflow assets and approved workflow assets.

Changing your password

SAM provides the functionality to change your password at any time after logging in. It is

recommended that a password is changed when first logging in, to a secure password that is more

memorable to the user. It is also recommended that the password should be a combination of

uppercase letters, lowercase letters and numbers.

1. To change your password, log in to SAM (see Chapter 1 SAM Basics – Logging In) and click on

the ‘My SAM’ link on the SAM Menu Bar (see Figure 1), located at the top of every page.

2. Upon clicking on the My SAM link in the SAM Menu Bar, the My SAM page is displayed.

From the My SAM page (see figure 2) click on the link titled ‘My Account Settings’ to

navigate to the SAM Edit Account page.

3. The SAM Edit Account Page (see Figure 3) provides the ability to change a password, change

an email address or change the name of the user account holder (Note that this will not

change the username of the account).

4. To change the password, enter the new password in the text box labelled ‘Password (leave

blank to leave unchanged’ and confirm the new password by retyping it in the text box

labelled ‘Confirm New Password’. To complete the password change click on the ‘Save

Changes’ button.

Changing your email

SAM provides the functionality to change your email address at any time after logging in. The email

address stored in SAM will be used to automatically send order confirmations , with links to

downloadable digital assets, and to send alerts regarding changes being made to workflow assets.

1. To change your password, log in to SAM (see Chapter 1 SAM Basics – Logging In) and click on

the ‘My SAM’ link on the SAM Menu Bar (see Figure 1), located at the top of every page.

2. Upon clicking on the My SAM link in the SAM Menu Bar, the My SAM page is displayed.

From the My SAM page (see figure 2) click on the link titled ‘My Account Settings’ to

navigate to the SAM Edit Account page.

3. The SAM Edit Account Page (see Figure 3) provides the ability to change a password, change

an email address or change the name of the user account holder (Note that this will not

change the username of the account).

4. To change the email address assigned to the account, simply remove the email address in

the text box labelled ‘Email address’ and replace it with the new address. To complete the

email change click on the ‘Save Changes’ button.

View Your Order History
