Welcome from the PresidentOn behalf of the PRISM International Board of Directors, I am excited and proud to personally invite you to attend the 2013 PRISM International Annual Conference. You are likely aware that PRISM International has seen many changes in the past year. You are looking at one of the most important aspects of this change. I fully believe that the 2013 PRISM International Annual Conference will be the most important event this year in the records and information management industry. Our annual conference task group has worked hard to significantly enhance our conference education program and modify the schedule of our premier event. This year’s lineup of sessions, in my opinion, is the biggest and best that we’ve ever had. This conference will truly provide you an opportunity to

Welcome from the Annual Conference Planning ChairAs the chairman of the 2013 PRISM International Annual Conference, I would like to present you with a conference program that has been prepared by the dedicated members of the annual conference task group. The conference schedule offers PRISM International members the opportunity to Connect, Learn, and Succeed.

This year’s conference will offer PRISM International members and corporate partners a unique opportunity for net-working and learning. The conference location offers all the amenities you have come to expect, with more empha-sis placed on providing an environment where members can connect with each other and learn what’s happening

in our industry to succeed.The 2013 annual conference task group has developed a terrific schedule, including educational and informative sessions in our in-

Your ability to sell document imaging solutions turns on how the invest-ment will drive efficiency and reduce costs associated with current paper-based process. Presenters will begin by reviewing the selling skills and techniques required for these high-er value, more complex sales. They will then move to an overview of some of the related technologies often used in such implementa-tions. 1–2:15 pmDisaster Planning: What Hurricane Sandy Has Taught Us (103) PRMMark Rocco, BMS CATHurricane Sandy taught the Northeastern region of the United States what hurricane and water damage can do in an area-wide disaster—a lesson that many people in the southern hurricane belt have learned the hard way over the years. Hurricane Irene was the eye-opener, and Hurricane Sandy was the beast that wreaked havoc and devastation on businesses and homes. Hurricane Sandy also revealed that many PRISM customers were unpre-pared and had documents stored in high-risk areas, such as base-ments in the financial district of New York City. Some things can’t be avoided, but in some cases spending time and money to take positive action ahead of time can reduce damages. There are still tens of thousands of boxes of documents waiting to be removed from various clients in the Northeast for document recovery.

The Future of Tape and Cloud (104) DPKevin McLaren, Virtual Cloud Solutions Something old, something new, something borrowed, something blue. This session discusses the marriage of an old technology with a new transport vehicle.

What You Need to Know Before Going Digital (105) IJustin Ullman, RhinoDox; Brian Bagen, RhinoDox; Mark Creglow, File BoundIf you are considering making the jump to digital and document scanning conversion services, eForms, workflow, and ECM, there are things you should know from this panel, who have already gone through the learning process. This panel will share how they have successfully transitioned to digital conversion services, along with the pitfalls and mistakes that have come with it. The panel will also discuss how their conversion services and ECM business have affected their physical box storage business, as well as how document conversion services lead to more box storage business.

Data Protection IT: A Tough Sell? (107) DPAndrew Ysasi, Kent Records Management Inc.Speaking to technology professionals is a challenge regardless of what the conversation is, especially if you come from the offsite records storage industry. Unless you are in IT, it may be difficult to find common ground. Ysasi will download his experiences as a sales person, IT director, and professor of technology as they per-tain to selling data protection. In addition, he will discuss the cur-rent challenges of IT professionals, how to sell to various IT roles, and a sales process outline specific to data protection software and services. This presentation will help non-IT professionals sell IT and provide some additional tips for IT professionals who sell IT services.

Best Practices in Insurance and Risk Management: A Report on the Industry Insurance Research Project (201) OPSJim Booth, Brightstone Insurance; Bryan Paulozzi, Brightstone InsuranceIn August 2012, Brightstone Insurance began an extensive survey of the insurance practices of the commercial information manage-ment industry. Analyses of policy samples, along with addition-al survey information, have created measurements of insurance practices common to the industry. These results, along with addi-tional information, are being captured in a revision of the PRISM International Insurance and Risk Transfer Guidelines publication, which Brightstone is revising. This session will examine the find-ings of the research and offer opportunities for questions and an-swers as results are revealed. The session will also explore areas in need of further study.

Physical Safeguards (202) DMichael Massaro, Iron MountainThis session will provide visual examples and discussion around best practices for facility safeguards and detailed information about safe-guarding media/records in transit. This session will cover facility physical safeguards, protecting assets in transit, and physical safe-guards for transportation, including driver training, alarms and ve-hicle specifications, and telematics and other GPS technology, and compliance with Federal Motor Carrier Programs.

It is a “must see” for any records center that handles HIPAA- protected health records. The liability that business associates now face and their responsibility in regard to breach notification will both be addressed. Find out what the new rule says about records storage companies, and learn how you and your company can be compliant.

This session will look at the four pillars (records storage and management, data protection, document and media destruction, and document imaging) using a break-even analysis to compare relative returns for a required startup investment. You will leave this session with an enhanced understanding of financial analysis as well as a sense of how quickly you can return 100% of your initial investment in each of these segments.

Deadbeat Debtors: What to Do When the Notice of Bankruptcy Arrives (301) OPSIra Bodenstein, Shaw Fishman Glantz & Towbin LLCThis presentation will provide attendees with a basic understand-ing of bankruptcy and how it impacts your ability to collect on an account and destroy stored records. During this session, attend-ees will learn the difference between chapter 7 and 11 bankrupt-cy; how to deal with chapter 7 trustees over destruction orders; when, how, and why to file a proof of claim; and whether post- filing charges are an administrative expense.

Hard Drive Media Destruction: How to Add to Your Service Offerings (302) DSpeaker TBDIt is no longer enough to format a hard drive to provide secure disposal. The only reliable way to dispose of disks and media that hold digital content is complete destruction. Nonetheless, most executives or managers with purchasing authority are un-aware of the potential fines they can face for improper disposal of this media. Come to this session to find out what you need to know before you jump into this potential new service area.

Monday, May 13 9 am Shotgun StartGolf Outing (OE1) Cost: $130 USD Join your PRISM colleagues for a shotgun/scramble tournament at the Raptor Bay Golf Club, ranked among the top 10 favorites by Gary Van Sickle, senior writer for Sports Illustrated. The shotgun start will begin at 9 am with scramble play.

The course was certified as the first resort Audubon Interna-tional Gold Signature Sanctuary. Working closely with Audubon International, Raptor Bay has made a commitment to environmen-tal stewardship and sustainable practices, creating a model for future golf course development.

Registration InformationFull Registration The full conference registration fee includes the following events that will take place May 13–16:

• Two general sessions• 21 concurrent educational sessions• Entrance into the exhibit hall• Opening and last call receptions in the exhibit hall• One continental breakfast • Annual business meeting lunch• Networking lunch• Conference dinner• Closing panel discussion lunch

Second RegistrationAdditional employees from the same company may register un-der the second registration rate after a full registration is paid. All items listed under “Full Registration” are included.

Spouse/Non-Industry Guest RegistrationGuests must accompany a registered attendee. Guest registration includes the following activities:

Exhibitor RepresentativeOne full, complimentary conference registration is included in the exhibit fee with each booth space contracted. Additional corpo-rate personnel may register as an exhibitor representative for only $275 per person.

Cancellation PolicyAll cancellations must be submitted in writing to the PRISM Inter-national Member Services Department. A $50 processing fee will be charged for all cancellations postmarked before April 29, 2013. No refunds will be made on cancellations post-marked after April 29, 2013.

General Conference InformationThe PRISM International Annual Conference is a nonsmoking event. Cell phones and other mobile devices must be turned off or on vibrate during educational sessions. Please be courteous of your fellow attendees. Dress is business casual.
