Main purpose of the job:

This part-time post is part of the Parks Services Team based within the Park Office (Rangers Lodge) at Hyde Park. The main duties are to provide financial, project and administrative support to the Parks Services Team, including Head of Park Services, Head of Landscape, Horticultural Officer, Landscape Architect, Project Delivery Officers and Arboricultural Officers.

Main duties/responsibilities:

To support Park Services including administration of reports and plans. To input and maintain up -to -date data on finance budget spreadsheets

(ledger) for Park Services recording and generating purchase orders, invoices, grant claims and commitments including project programmes.

To raise purchase orders, grant claims and invoices on the Ebis system for the Parks Services Group and check that supporting documentation is filed appropriately. Act as credit control, chasing non-payment and missing invoices.

Provide support for financial end of year. Assist planning and forecasting for new financial year.

To assist with data gathered during surveys and inspections including handling records supplied by consultants, volunteers and students.

To act as a central point for liaison and enquiries for the Parks Service team and deal with these as appropriate.

To research a variety of subjects and initiatives and provide background material for reports, presentations and meetings.

Organise and provide on the day supervision of consultation activities throughout the Parks, such as bike week.

To establish and maintain the Trim electronic filing systems and carry out document tracking.

Draft and word process correspondence and proof read documents as required To arrange and attend meetings and take minutes, Park Services and Park

Manager’s meetings and on occasions other meetings Manage TRP fleet of bicycles, arrange maintenance and organise cycle training

for organisation. To help co-ordinate calendars such as the Park Services Car booking system, To provide administrative support to the Royal Parks planning of

Ceremonial/Major State occasions.

To handle visitor and telephone enquiries from members of the public, contractors and other enquirers

Monitor electricity, gas and water usage and obtaining meter readings across the Parks from Vinci on a monthly basis

Send Carbon usage returns to DCMS on a monthly basis. Assist with the preparation of carbon and sustainability monitoring data for

the Royal Parks Annual Report To cover reception duty as part of the lunch time rota. Undertake other related administrative duties that may be agreed with the line

manager from time to time. The post holder will maintain an awareness and observation of TRP Fire and

Health & Safety Policies, Procedures and H&S Regulations
