Roll Call: Cody Weger- President, Shannon Peacocke- VP Finance, Kelsea Gillespie- VP Internal, Madeline Ludlage- VP Marketing, Patrick McGinley- VP Student Life, Meagan Strachan- Executive Director. Barb Van Ingen, Dean of Students. 3. Approval of Agenda: 3.1. MOTION: To approve the November 2 h , 2015 Executive Council Meeting agenda. Moved by VP Student Life McGinley, seconded by VP Internal Gillespie. MOTION CARRIED. 4. Approval of Minutes: 4.1. Tabled 5. October 26th, 2015 Action Item Review: 6. Unfinished Business: 6.1. Mental Health Update: 6.1.1. The CSA will like to think about possible Suicide awareness events to be held on campus. Talking circles will be held for those recently affected on campus.

Executive Council Meeting MinutesNovember 2nd, 2015 @ 9:00 A.M.

1. Call to order: Called to order at 9:04 AM

2. Roll Call: Cody Weger- President, Shannon Peacocke- VP Finance, Kelsea Gillespie-

VP Internal, Madeline Ludlage- VP Marketing, Patrick McGinley- VP Student Life,

Meagan Strachan- Executive Director. Barb Van Ingen, Dean of Students.

3. Approval of Agenda:3.1. MOTION: To approve the November 2h, 2015 Executive Council

Meeting agenda. Moved by VP Student Life McGinley, seconded by VP Internal

Gillespie. MOTION CARRIED.

4. Approval of Minutes:4.1. Tabled

5. October 26th, 2015 Action Item Review:6. Unfinished Business:

6.1. Mental Health Update: 6.1.1. The CSA will like to think about possible Suicide

awareness events to be held on campus. Talking circles will be held for

those recently affected on campus.

6.2. CUCA Spooka Update6.2.1. a SWOT for CUCA Spooka will be completed later

this week. Approximately $4900 was collected through liquor sales and

approximately 310 tickets were sold for the event.

6.3.1. Posters & promotional material for Spring Break will

be distributed on campus today. The next food for thought will be

centered around the Spring Break Trip.

7. New Business:7.1. CSA Christmas Party:

7.1.1. Christmas party will be held Friday December 18th

at 5:00 pm. Must decide on activities and location for the party.

7.2. ASEC Conference7.2.1. ASEC will be held in Calgary. Will leave Friday at

1:00 pm, hotels are booked, must book rental vehicle for the trip.

7.3. Winter Retreat 7.3.1. Winter retreat will be held in the mountains. Either

Banff, Canmore or Jasper if possible.

7.4. CSA Olympics 7.4.1. Sign up for CSA Olympics will begin on Wednesday

the 4th, planning will occur over reading week & the sorting ceremony

should take place Monday November 16th.

7.5. Internal/Club Events Update7.5.1. Clubs are very active at the moment. VP Internal

will send out November Clubs schedule to all Executives.

7.6. Concordia/CSA Relationship7.6.1. MOTION: To move in camera at 9:55 am. Moved

by VP Student Life McGinley, seconded by VP Internal Gillespie.

MOTION CARRIED. 7.6.2. MOTION: To move out of camera at 10:25 am.

Moved by VP Finance Peacocke, seconded by VP Student Life McGinley.

MOTION CARRIED.

7.7. OER Policy for GFC

7.7.1. ASEC is currently lobbying to make OER’s

accessible to everyone. Concordia administration is also interested in

having OER’s on campus and would like to see the CSA draft an OER

policy. This drafted policy can then be discussed with staff and faculty at

GFC.

8. Information: 8.1. Executive Reports

8.1.1. To be submitted to President Weger by November

16th as a word document.

8.2. Timesheets8.2.1. Please send in timesheets and note if you’ve

missed any office hours.

9. Round Table:9.1. Barb Van Ingen: Cross country came in second place, women

soccer is going to nationals.

9.2. Kelsea Gillespie: asks to move General Council Meeting up by 1

hour.

9.3. Patrick McGinely: Thank you for all the help with CUCA Spooka.

9.4. Cody Weger: Please continue to think about succession planning.

10. Adjournment :10.1. MOTION: To adjourn the November 2nd, 2015 Executive Council

Meeting at 10:34 AM. Moved by VP Internal Gillespie, seconded by VP Student

Life McGinley. MOTION CARRIED. 11. Action Item Summary:

11.1. Executive Director: Email General Councillors about Christmas

party

11.2. Executive Director: Create SMART Goals Doodle poll

11.3. Executive Director: Inquire about paint and door name changes.

11.4. VP Internal: Send November Club schedule to Executives.

11.5. Executives: Complete reports and timesheets.

11.6. Executive Director: Book winter retreat.
