Promoting LWMS in Circuits and Congregations

Foreword
Circuit officers and reporters use various forms of communication when sharing
LWMS with members and congregations. We urge you to infuse excitement about
missions into every form of media you create.
This guide is full of tips and samples to help you get your communication material
from the idea stage, to the drawing board, and out to your audience.
Become well informed about the mission endeavors of LWMS by using the
information in the LWMS Home and World Missions Projects booklet, LWMS
newsletters, mailings from the LWMS Central Office (CO), and the information on
the LWMS Web site (www.lwms.org). Mission information is also available on the
WELS Web site (www.wels.net).
Proverbs 2:6 tells us, "For the LORD gives wisdom, and from his mouth come
knowledge and understanding." Be a student of the Bible and devote time to
prayer. Read the personal devotions and prayers on the LWMS Web site. The Holy
Spirit will bless your efforts.

#2 ~ LWMS Home and World Missions Projects booklet
The projects booklet is published in January of even-numbered years, is in effect for two years, and is
mailed to circuit officers and reporters. It is also posted on the LWMS Web site. Mission projects are to
be selected from this booklet. Use the descriptions in the booklet for bulletin inserts, bulletin clips, or
displays.
#3 ~ LWMS Newsletters
The LWMS Newsletter is published, posted to the LWMS Web site, and mailed in January, April, and
August of each year. The Web site copy is in color. Copy the newsletter or send an e-mail link to share it
with the women who are active in LWMS, those interested in missions, or your entire congregation. Post
a bulletin board copy (print a colored copy from the Web site if possible) where it can be easily seen.
Share excerpts from the newsletter to include in the church bulletin or newsletter.
Spiritual Growth in Focus (SGiF) is published, posted to the LWMS Web site, and mailed in March and
September. These newsletters go to circuit spiritual growth women and reporters. They should copy the
newsletter and distribute at the spring and fall LWMS rallies. The Web copy is in color. Tip: On the
LWMS Web site this newsletter can be found under the News tab on the home page.
#4 ~ LWMS Central Office Mailings
In January and August circuit officers and reporters receive mailings from Central Office. Extract
information from these mailings, which are also posted on the LWMS Web site, to share with circuit and
congregation members.
#5 ~ LWMS Web site
The Web site is a major resource for information about LWMS and missions. No computer? Ask a friend
who has one or your church secretary to help you. The Web site address is www.lwms.org. The Web site
content and locations change occasionally so check it regularly.
At the very top of the home page are two gray pull down menu bars--Our Ministries
contains all the different handbooks and Contact Us is the LWMS Central Office contact
information.
Seven menu buttons are found across the top of the home page: Home, About Us,
Reporter Info, Circuits, Spiritual Growth, Projects, and News.

Right-hand Menu Options are: Annual Convention, Mission Updates, LWMS Videos,
and Blogs (prayers, devotions, mission updates, and evangelism link.)
Home Page Color Button Icons are: kids c.a.r.e., Annual Convention, Mission
Statement, President’s Message, LWMS News, E-mail Subscription Updates, and WELS
Daily Devotion
#6 ~ WELS Web site
Additional information about missions and missionaries can be found on the WELS Web site
www.wels.net. This Web site is another excellent source for devotions and Bible study material.
#7 ~ LWMS Prayer Calendar
The prayer calendar is available for purchase from CO. It lists home and world missionaries and their
family members. Each month a missionary/family is highlighted. Home and world missionary/family
birthdays and wedding anniversaries are listed as well as the national pastors in world missions. Use the
information contained in the calendar to write bulletin clips, make bulletin inserts, or wall displays. The
WELS World Missions Map is in the back of the calendar. Copy and post it. Highlight a missionary
whenever possible.
#8 ~ Writing and Formatting Tips
Newsletters, Bulletin Inserts, Bulletin Clips, Fliers, Brochures, and Posters
Create any of the tools listed above for communicating information about LWMS. Please read the
examples of standardized verbiage used by the LWMS Board of Directors found in the “Helpful Hints for
Web sites” document, Figure 1, in the Appendix. Use this guide when preparing written documents.
See newsletter template, Figure 2, and bulletin insert sample, Figure 3, in the Appendix.
Writing - Draw a reader’s eye by using a graphic or an attention getting heading. Few words are better
than more. Write with excitement and feeling using adjectives for color. See the sample letter, Figure 4,
in the Appendix.
Formatting – Make a focal point with a special font, graphic, or photo. Use a more open font, such as
Calibri, Garamond, Lucinda Sans, or Century for newsletters or any time a page is being covered with
type. Leave plenty of white space throughout any document; use 1.5 vertical spacing if necessary. A
tightly written document is difficult to read. When possible create material in color. Use the same
approach with posters, fliers, or bulletin inserts. Use more than one font style to draw attention to
locations around the document and plenty of white space!

#9 ~ Displays
Displays are excellent tools to draw attention. Use inexpensive tri-fold display boards available at many
office supply stores. Add color (brightly colored paper or simple construction paper will work), photos,
and documents with large, bold fonts. Small print is very difficult to read. Use the “less is more”
approach.
#10 ~ Maps
Use maps of states, countries, or the world to show where missions are located. Display a large world
map and mark all of the world missions. Use it to highlight a mission/missionary family each month or
quarter. Maps are available at map stores and office supply stores. The Internet is an excellent source
for maps. Tips: Search the Internet for “Geography Maps.” (A small copy of the WELS World Missions
map can be found in the back of the LWMS Home and World Missions Projects booklet and the LWMS
Prayer Calendar.
#11 ~ Mission Boxes and Mission Envelopes
Publicize the use of mission boxes and mission envelopes. Emphasize that all money donated goes to the
home and world missions projects selected by the circuit and the international organization overall. Tip:
Mission boxes and envelopes are available from CO. See Figure 5, in Appendix for a sample of the
mission box and offering envelope.
#12 ~ kids c.a.r.e.
The funding for these worthy projects can be enhanced by publicity. The current project is highlighted in
the LWMS Fall Newsletter. Copy information from the newsletter or obtain information from the kids
c.a.r.e. link on the LWMS Web site. Create and give a handout to Sunday school teachers, Lutheran
elementary school teachers, and the members of the congregation. Include a kids c.a.r.e. postcard and
mention the fact that kids c.a.r.e. donation boxes are available from CO, or provide them yourself.

#13 ~ Befriend A Mission Program (BAM)
Missions and missionaries is what LWMS is all about. In September of even years circuit vice presidents
receive the two-year long BAM assignments from the LWMS BAM coordinator. The vice president
contacts the missionaries and compiles their information. This information should be in the hands of
reporters by November (although if you can have it ready for the fall rally that is great!) Make a
permanent display about your assigned BAM mission including the mission location, a map, missionary
family birthdays, wedding anniversary, and address. Give everyone a BAM half-sheet flier (available
through CO) and encourage them to pray and to send cards, letters, and e-mails. Periodically produce
bulletin inserts or newsletter articles to keep the BAM mission and the missionary in the minds of

#14 ~ LWMS Flier
Write a letter to every member of the congregation (yes, men too!). Explain that all the women of the
congregation belong to LWMS and ask every member to actively support the organization, missions,
missionaries, and the kids c.a.r.e. program. Be sure to list reporter contact information. Include an
LWMS half-sheet flier and Mission box or Mission envelope (see samples in Figure 5, in the Appendix)
available from CO.
#15 ~ So You Have a Web Site, or Want One!
If your circuit or congregation has a Web site, or wants one, we invite you to review #16~Security Issues
and the “Helpful Hints for Web sites,” Figure 1, in the Appendix.
#16 ~ Security Issues
Security issues for Christians are critical in some areas of the world. Remember the following:
Never post on any Web site information relating to the following regions/issues: South
Asia, East Asia, Southeast Asia, certain areas of the Caribbean and South America, and
any Muslim information regardless of where it takes place.
Verify with any persons serving these areas whether or not it is safe to e-mail them.
When mailing letters or packages, never use titles like 'Rev.', 'Missionary', 'Friendly
Counselor', or 'Pastor.'

Never include on the outside of your letter or package any Christian symbols, pictures or
words like "Sunday School" "Lutheran School" or "Lutheran Church".
If you are unsure about a specific country or area of ministry, please contact WELS Missions Office,

#17 ~ Graphics and Logos
LWMS logos can be found on the LWMS Web site at

If your church has a subscription to a graphics service (such as Church Art Online, www.churchart.com)
graphics can be added to any of your documents. The Internet has Web sites offering free Christian
graphics, but make sure that the graphics are copyright free or that there are no restrictions on the use
of the graphics.

Web site Helpful Hints For Circuits and Congregations
The Internet is an integral part of life. Many people go to the Web for news and information. LWMS is increasingly using this valuable tool so that members around the world can keep up-to-date on our work for missions. The following helpful hints are offered to enhance LWMS Web sites created by circuits or LWMS groups in congregations. If possible, have the Web site created and maintained by someone who does it professionally or has had Web site training. Make it user friendly with easy links or menus. Keep the Web site up-to-date. A fresh Web site is very important and will help toward gaining readership.
Things to post on the Web site (use any or all): ♥ Only LWMS related information ♥ LWMS mission statement ♥ LWMS logo ♥ Calendar of LWMS events ♥ LWMS Bylaws and Circuit Bylaws ♥ Circuit activity; rally information, minutes, speaker and subject, request for
officer nominations, and the job description for each circuit officer ♥ Current circuit and international LWMS mission projects ♥ Befriend A Mission (BAM): home and world missions currently being supported
by the circuit ♥ Link to the LWMS Web site, www.lwms.org so that it isn’t necessary to create
information that is already available. ♥ Bible studies or readings (www.lwms.org has Bible studies and devotions). ♥ Link to the synod: www.wels.net
Take great care about posting the following to the Web site:
♥ Circuit officers: always get permission before posting names, addresses, phone numbers and e-mail addresses. Circuit officers can create an e-mail address such as: [email protected], or [email protected]. Yahoo and Hotmail provide free e-mail with very generous mailbox storage.
♥ World missionaries: due to security reasons do not list the names of missionaries or their families. Our missionaries are at risk in many countries. Be sensitive to their safety.

Standardized verbiage is used by the LWMS Board of Directors. You are encouraged to use the following:
♥ Since we are now an international group we no longer use the word national. Use LWMS Board of Directors (instead of national board). The LWMS convention it is now referred to as annual convention or annual
LWMS convention. Capitalize only the official name of the convention, i.e., 46th Annual LWMS Convention.
Use international when referring to the whole organization instead of national.
♥ Frequently used terms or words (capitalization) Internet Web, Web site, Web page (Web is capitalized) gospel (not capitalized) pronouns for Jesus are not capitalized, i.e., he, his Word (meaning God’s word) Bible study, but bibilical or scriptural Sunday school vacation Bible school (not capitalized) Use postal abbreviations for states only when used in an address.
