When it comes to any inbound or outbound communication from any business, the highest quality possible is not that hard to achieve. Here are three straight-forward, simple principles anyone can follow to make good, clear writing easy, natural, and professional.

Step 1 - Internal is external

There is no document, e-mail message, or spreadsheet that truly stays local; it’s just as likely as not that someone outside your original audience will read what you wrote. Make every communication professional, polished, and free of typos, bad grammar, and clear.

Step 2 -Read your written communication out loud

The shortest path to the best result with anything you write is to read your own writing out loud--before you hit the send button or otherwise release it into the wild. Some people even read backwards to spot hard-to-find spelling errors. Learn to proofread your own writing. If you still can’t pull it together, invite a trusted coworker to review what you’re intending to say to point out your logical leaps, typos, less-than-ideal grammar, and so on.

Step 3 - Aim for perfection

Every company invests heavily in templates and checklists to ensure that employees do the same things consistently, well, and proficiently. Adhere to the templates. Don’t put best practices aside because you’re in a hurry. And, if you’re repeatedly in a hurry, focus on that fact as an opportunity for improvement. If someone points out even just once a mistake, make sure you capture that somewhere so you can easily access these pointers again. Remembering quality has been your constant focus. Learn not to make the same mistakes twice.
