1Welcome to the CommonHealth Agency Coordinator Training and thank you for your interest in making the CommonHealth Wellness Program available to all of the employees of your agency. We appreciate your time and commitment.

Training GoalWe want to give you the tools and resources needed to provide an engaging and successful CommonHealth program at your agency.

Together, we will work to make Virginias workforce the healthiest in the nation!

2The goal of this training program is to give you tools and resources to help you to provide the CommonHealth Wellness benefit in a way that it is not only successful but also engaging for employees. For many years CommonHealth has been helping employees to live healthier . Together, we can reach our goal to make Virginias employees the healthiest in the nation.CommonHealths MissionImprove the health of state employees by;

Integrating wellness into the workplace cultureProviding an environment that promotes and supports changes in health behaviorBuilding trustworthy partnerships between employer, employee and our wellness partners

3To achieve that goal we will need to work together, with agency administrators and wellness partners to create an environment that promotes and supports employees efforts to make healthier lifestyle choices. By volunteering to coordinate the CommonHealth Program at your agency you are bringing us closer to realizing these goals. Thank you!

Conditions like heart disease and cancer are some of the costliest and most prevalent reasons for a hospital stay. The management of chronic diseases like COPD, hypertension, and diabetes play a major role in spending as well.

Why CommonHealth WorksWe come right to you and currently serve more than 500 agency locations.We have over 190 years of combined health professional experience.We work with locations of any size and any configuration, from a small VDOT headquarters to a big office on Capitol Square to a 24-hour corrections facility.We are state employees too! Who Can Participate?All state employees at participating agencies, including wage, hourly and part-time workers

Covered dependents (over the age of 18)

Retirees and their covered dependents

6One of the first questions you will be asked is Who can participate?Unlike some employee benefits, ALL active employees my participate in the CommonHealth program. This includes full time, part time, wage, hourly, adjunct, and seasonal employees. Anyone who receives a paycheck from the state may participate!

In addition, any employees dependent 18 years or older, and covered by one of the states health benefit plans may also participate. If fact, we encourage participation by family members the added support from family members is very important as individuals make changes to live a healthier lifestyle.

7So, I am sure you are wonderinghow do I get started?

Over the years we have found that the biggest key to having a successful and active CommonHealth Program is to have support from those at the top. Gather support from administrators, supervisors, managers etc. If they understand that CommonHealth will benefit employees and, as a result, benefit the agency, that its a win-win, they will be happy to lend their support.As you ask for support, be sure that management understands that participation rarely interferes with the normal work day. Programs are often offered at lunch time, during staff meetings etc. And, CommonHealth has the ability to tailor programs to meet specific agency needs.

In addition, many agency coordinators find it helpful to form an advisory committee to help share the load. Advisory committees are not required and vary from agency to agency . They are particularly helpful in larger agencies or those with multiple sites. Among other things, advisory committee members can assist with program promotion, scheduling, reserving space. When setting up a committee look for diverse skills and try to represent various departments and/or locations. The size of the committee would depend on the size of the agency but in general should be no more than 10 individuals at large agencies.

8After building a strong foundation of management support you are ready to roll! Next, we will cover the nuts and bolts of your responsibilities as an agency CommonHealth coordinator.

Our goal is to make providing CommonHealth straightforward and as simple as possible for coordinators. As we review the responsibilities, please keep in mind that CommonHealth remains flexible to be able to meet each agencys needs.

As the coordinator, your core responsibility is to schedule the CH educational programs.

We will help you with promotional materials like flyers, email messages and anything else you need to get the word out to increase participation. We will ask you to collect participation information so that we know how many employees we are reaching. This is as simple as collecting attendance or participation data.

Finally, 3 times a year employees look forward to receiving the CommonHealth Compass, our newsletter that is delivered electronically ( via email attachment) by our agency coordinators.

9As an agency coordinator one of your most significant contributions will be to work with the CommonHealth staff to schedule 3 health programs at your agency each year. These programs are created by the CommonHealth staff and new topics are introduced on a regular schedule. In addition to CommonHealths campaign menu, your regional Coordinator may be available to assist in providing information on topics of specific interest to your agency.

Traditional Training - 15 - 45 minute training gives participants an in-depth exposure to the campaign materialsLearning Station - high traffic area where participants receive information in about 5 minutes or lessCoupon - paper or electronic method of delivering key points Video web link or PowerPoint Presentation to be viewed electronically

Campaign options to meet your needs

Contact your Regional Coordinator to schedule10We understand that no 2 agencies are exactly alike, and one size doesnt always fit all. For this reason, programs may be delivered in a variety of formats to meet your needs. Discuss the different deliver methods available with your Regional Coordinator - agencies may select one or more of the delivery options to increase employee participation.

Traditional presentations can be delivered in 15 to 45 minutes, depending on your request. These may include power point presentations, group activities and discussion. Please schedule with your Reg. Coordinator.

Learning Stations are visual displays set in high traffic areas like lobbies, break rooms or cafeterias. Your regional coordinator will provide quick tips and information to interested employees as they stop at look at the display. Learning stations work well during special events like employee appreciation luncheons, Benefits Fairs and health screenings. These are scheduled with your Regional Coordinator.

The CommonHealth Program Coupon is a simple way to provide information and incentives for employees with limited time or ability to participate ( perhaps they work off site). The coupon is essentially a handout with a tear-off that the employee returns to receive an incentive. Coupons are available on the CommonHealth website or from your Regional Coordinator.All CommonHealth programs are available via video web link. Videos may be accessed through the CommonHealth Website or the CoVA Knowledge Center. Several agencies make CH videos available on their internal learning management or training sites. With this option, after employees watch the vidoe they contact the their agency coordinator to receive an incentive.Finally, Regional Coordinator may offer the Desk to Desk option. In an effort to enhance participation your Regional Coordinator may offer to visit individual workspaces with program materials following a program (as schedules allow). We hope with the variety of program formats, you will find it easy to schedule CommonHealth activities while meeting the needs of your agency. Please remember to contact your Regional Coordinator for program supplies and incentives

Electronic articles on a wide variety of health topics come your way on Mondays. Share these with the people in your agency location electronically or post to a bulletin board if email access is limited.

Wellnotes & ICHA special electronic publication for Agency Coordinators called Inside CommonHealth is sent out before the start of a new campaign, giving you a preview of the new content to help you plan your next wellness events. 11

12CH provides an electronic newsletter for all employees. As the agency coordinator you will receive an electronic copy as an email attachment. We ask that you forward this email attachment to all employees in a timely fashion.

Whenever possible, we ask that paper copies be made available to those employees without access to email.

The Compass features articles of interest, program information, delicious recipes and success stories that motivate. Please help us bring this information to all employees! CommonHealth Web Site

CommonHealth Wellness Champions

Certification - CommonHealths certification program recognizes excellence in workplace wellness. To qualify as CommonHealth Worksite Certified, agency locations create cultures that are conducive to a healthy workforce through policies and programs, managerial support, and innovative ideas that further the mission of employee wellness in the Commonwealth.

Champions To be considered for this award, the nominee must meet the following criteria:A current Commonwealth of Virginia employee.Within the previous six months of their nomination, an employee has achieved one or more of the following: Modeled a healthy lifestyleMade significant changes in health behaviorsMotivated others to make health improvementsImplemented a policy, practice, or activity to help create a positive wellness culture for the Commonwealth of Virginia

CommonHealth also offers a menu of Workers Compensation topics to provide an overview training of many on the job issues.16Weight Watchers Reach your weight management goals

At work programs, community programs, online programs Special pricing for Commonwealth employees50% reimbursement for employees enrolled in state health benefit program who meet eligibility requirements

17Weight Watchers offers special pricing programs are available to all state employees. In addition, active employees enrolled in state health insurance plans may also be eligible for reimbursement of 50% of their out of pocket costs if they meet program requirements.

CommonHealth no longer administers these services or medical screenings (health checks).
