The Work of Our Church Committees and Teams (in large part reformatted from 2003 Constitution and Bylaws)

PURPOSE:

Recognizing that the spiritual and material program of this Church covers many diversified activities

which make imperative adequate analysis, planning, organization, etc., which cannot be achieved by

larger groups within the limitations of the congregation's regular business meetings, committees shall

be elected for the purpose of:

1. Providing, through creative thought and thorough discussion, more effective ways for carrying

on the work of the Church;

2. Providing information which will assist the congregation in making decisions;

3. Providing opportunity to make use of the knowledge, abilities, and training of persons best

qualified in particular fields of interest;

4. Providing opportunity for Christian growth and orientation by sharing the work of the Church;

5. Providing a broader base of leadership and involvement than would be otherwise possible;

6. Each committee shall be assigned a staff coordinator to aid and work with the committee.

7. Committees shall be made up of appointed (voting), standing (voting) and ex-officio (non-

voting) positions.

TYPES OF COMMITTEES:

Standing Committees and Special Committees are the two types of committees.

Standing Committees are in service from year to year. Tasks assigned to Standing Committees

remain consistent annually. These committees make up the annual roster of church

committees.

Special Committees may be called into service by appointment of the church. The Committee on

Committees will propose such committees for a designated purpose, time, composition of

membership, and staff assistant.

MEMBERSHIP:

Membership of a committee shall be composed of church members holding church membership

for at least one (1) year and having been duly nominated and elected by the church.

A Church member may not be a member of more than one *major committee (indicated by *

on the listing of 2015 Committees) and may not be a member of more than two committees at

a time. This rule does not apply to ex officio members nor does it apply to membership on

Special Committees or Teams.

Church members are not eligible to serve on a committee on which the member has a parent,

spouse, child, sibling or in-law who are also on the committee. The Committee on Committees

and teams will seek to apply this same practice to any appropriate Team (i.e. where spousal

couples or family members may or may not be most appropriate).

A parent, spouse, child, sibling or in-law to any employee of the church will not serve on any

committee or team that gives oversight instruction, review, or evaluation to the related

employee.

A Committee member or Team member will recuse himself or herself from discussion,

consideration, deliberation, and decision regarding any matter that bears an effect upon the

member or his/her family member(s).

NOMINATION OF COMMITTEE AND TEAM MEMBERS:

Nomination of committee or team members shall be made by the Committee on Committees

and Teams. The Committee on Committees and Teams will secure private consent of the

individuals to be nominated and then will bring nomination directly to the Church for approval

of service.

The Committee on Committees and Teams will assure a full roster of service for the coming year

at the regular church business meeting in November.

TERM OF SERVICE:

Term of service for all committee members shall be three (3) years unless specifically stated

elsewhere in this document.

The names of the first year members will be suffixed by the number one (1); second year

members will be suffixed by the number two (2); third year members will be suffixed by the

number three (3).

The names with the number three (3) suffix will be rotated off the committee annually,

perpetuating, thereby, a rotating membership and the advantage of:

(a) the continuance of initiated studies and programs

(b) the accumulation of experience and understanding of the assigned task

(d) the prevention of possible long-term domination by any member

(e) providing training and leadership opportunity for members in several areas of Church

functions.

No member may succeed himself to election to the same committee, unless one full year shall

have elapsed since his last tenure, except whereby the duties of the committee may so require.

Committee or team members may not substitute themselves by enlisting the assistance of their

spouse or any other person or church member not elected to this specific term of service.

In the event a member is elected to fill an unexpired term, conditions listed above apply only if

the period exceeds one full year.

COMMITTEE OFFICERS:

Committee chair, vice-chair, and recorder shall be selected by members of each individual

Committee. It is recommended the vice-chair occupy a service term of one year longer than the

chair. Thereafter the vice-chair will automatically become chair at the annual rotation of the

committee. No person can serve more than one year consecutively as chair unless specified in

the responsibilities of an individual committee.

EX-OFFICIO MEMBERS:

The term ex-officio means by virtue of office or position. Ex-officio members shall consist only of

the Pastor, the Church Staff, and, where applicable, other members of the church as assigned.

DUTIES OF A COMMITTEE AND TEAM MEMBER

1. Maintain active attendance and participation in the ministry and worship of the church. 2. Know the purpose, duties, and members of the committee. 3. Be present and on time for meetings. 4. Participate in discussions. 5. Contribute to the planning and achievement of activities/projects. 6. Complete assignments as agreed upon. 7. Keep the committee chairperson informed about progress on assignments. 8. Report on assignments at committee meetings.

DUTIES OF A COMMITTEE AND TEAM CHAIRPERSON

1. Maintain active attendance and participation in the ministry and worship of the church. 2. Know the purpose, duties, and members of the committee.

3. Request and administer committee budgeting. 4. Serve as an ex officio member of the church council. 5. Plan the agenda for each meeting of the committee. 6. Conduct meeting.

● Each meeting should have a purpose. ● Each meeting should have an agenda. ● Each meeting needs resources. ● Each meeting should plan for follow-up. ● Each meeting should be reported in the form of minutes and presented at the next

meeting for approval. This shall be provided to absent members and/or the staff advisor as requested.

● Provide a copy of meeting minutes to the church office in electronic form if possible. ● Supervise the work of the committee secretary.

6. Assign responsibility to committee members for follow-through actions. 7. Report committee action(s), as appropriate, to the church council, and/or the church

business meeting. 8. Collaborate as necessary with church staff members, church officers, church council,

program directors, and other committees. 9. Lead the committee to:

● Identify and schedule meaningful activities/projects ● Develop a sequence of actions. ● Prepare a timetable. ● Determine the resources needed. ● Complete activities/projects.

10. Recommend successors for the chair position to the Committee on Committees and Teams two months prior to annual rotation.

11. Notify Committee on Committees and Teams of inactive members.

You Are Appreciated We are so very grateful for your Committee service:

1. For your security and for the church’s conservation of energy costs: Though the church has many spaces in which to meet, we deliberately arrange short meetings in areas of our facility conducive to security and energy conservation. Please coordinate through the church office any requests for meeting space.

2. Please do not assume your meeting is neither of greater nor lesser importance than all the many activities of the church.

Your committee service is a great gift to our church. We treat you and your work with great respect. Please allow us to demonstrate that respect by reserving your place in the facilities and your time on the church calendar. Even if your meeting is held away from church premises, please coordinate your plans with the church calendar.

3. Please know our church staff wants to help you. Our staff has many demands. Each matter we handle is a priority to someone. We like that and we want to serve. Each committee has an assigned staff member. Coordination of your needs can best be assured if you involve the assigned staff member even if you also make your own direct contact with the church office staff.

How To Connect To Church

1. SET A TIME AND PLACE FOR A COMMITTEE MEETING: (even if the meeting is away from

church)

When a day, hour, and place has been arranged by or for the committee, please assure your assigned staff member is fully aware of your needs. You or the assigned staff member will then contact the church office: (Sharon Dill 940-284-6286 [email protected]) with these points:

1. Availability of your chosen day, hour, and place as per the church calendar. 2. Provide contact information so as to have your request confirmed. 3. Confirmation is subject to a full staff review and will be assisted best by at least a

week’s notice before the desired date of your meeting. 4. Confirmation will be provided as swiftly as possible to encourage your efforts to

coordinate your need.

2. REQUEST AN EVENT BE POSTED ON THE CHURCH CALENDAR:

The service your committee provides to the church is invaluable. There may be times an event or activity proposed by your committee contributes to the many church opportunities at hand. In order to assure your committee-hosted event catches the attention of the church, you can post the matter to the church calendar through your assigned staff member or by contacting the church office: (Sharon Dill 940-284-6286 [email protected] ) with these points:

a. Your name and contact information b. Name of the Event c. Intended audience/participants d. Description of event as to specific experiences e. Any costs f. Any deadlines or registration g. Time duration

2. Confirmation is subject to a full staff review and will be assisted best by at least a week’s notice

before the desired date of your meeting.

3. Confirmation will be provided as swiftly as possible.

3. REQUEST FUNDING

Some committees have ready-made church budget line items dedicated to their service for the church. Other committees have designated funds that may be dedicated to their service for the church or there may be such funds at the discretionary assistance by the Finance Committee. When a need seems appropriate, the Committee should register a formal committee request. The request should provide the following:

(line item, etc), payout if not in total, explanation of the need, the specific plan to meet the need, and any time constraints or deadlines related to the request.

1. Compose the request in writing. 2. Secure the assigned staff member’s counsel and assistance. 3. Provide the request to the church office, the Chair of Finance Committee, and a copy

to the assigned staff member. Special note: The Finance Committee regularly meets the Wednesday prior to the third Sunday of the month and at additional times as required. Timing your request in anticipation of their regular meetings will provide greater opportunity for your request to be given prompt attention.

4. REQUEST PROMOTION/PUBLICITY

Our church has many activities and events. We like it that way. We want every opportunity possible for our membership to enjoy one another and serving the Lord together in multiple ways. We all want the information we receive about our church to be accurate and timely. Please help us to keep everything fresh and clear by following these simple steps:

To be included in a church call-out message: Information must be presented via email to Kim ([email protected])by 5pm on TUESDAY. Please include the call-out verbatim, word for word to be read aloud. This submission should include an approximate date and time for call-out to be sent. All such requests require a full staff approval. Our staff meets each Wednesday, 10 a.m. to noon. You will receive confirmation via e-mail as quickly as possible.

To be included in prospective news releases to the public (the Saturday edition of The Gainesville Daily Register: All requests need to be provided to Sharon (940-284-6286 [email protected]) by 5 pm TUESDAY of the week prior to the Saturday on which the information is to be included. All such requests require a full staff approval. Our staff meets each Wednesday, 10 a.m. to noon.

HOW TO DO COMMITTEE WORK

1. HOW TO COMPOSE A COMMITTEE AGENDA

Prior to each committee meeting, a proposed agenda should be used in calling the committee members together. The Chair will be responsible for the formation of each Committee Agenda. Members may suggest agenda items for inclusion. Suggested agenda items should provide the following facts:

1. Member requesting item to be included in the agenda. 2. Name for suggested item 3. Approximate time needed to introduce, adequately discuss, and take action on the item. 4. Essential matters of the item:

a) contextual description (including presenting need, possible solution, substantiation as to why this solution should be chosen over any others.)

b) anticipated benefit (necessary, cost saving, preferred condition/situation, furtherance of our calling, etc.)

c) from start to finish: time, cost, congregational/staff/committee involvement (require outside help?)

d) within the scope of our described service? e) need to engage/involve other committees (e.g. Finance Communication, or Properties

Committee, or staff?) The Chair will provide the meeting agenda prior to the meeting and set the order of agenda items to be covered. Any member having offered adequate notice and noted essential facts with their request for an agenda item prior to the meeting, may make mention of the request if the item has not been included in the agenda. The Chair will provide explanation to the satisfaction of the committee and agenda items not having been provided in this meeting's agenda may be taken up by committee vote or a time set for the agenda item to be thoroughly reviewed and set for inclusion in a prescribed meeting agenda.

2. HOW TO REACH A RECOGNIZED COMMITTEE DECISION

The most current copy of Robert's Rules of Order shall be the authorized rules of conduct in committee meetings. A simple majority vote achieves a recognized committee decision. Committees have the advantage of small numbers and adequate discussion time. Some items can easily be discussed, only to be postponed for further evaluation and discussion at the next committee

meeting. Given the need for extended decision making, many committees find it amenable to achieve consensus strength toward acceptance of a committee decision. In such cases, it may be an advantage to make use of a "fist to five" style of consensus building. The "fist to five" exercise allows each member to vote on a scale of:

0 fingers extended (thus a fist) = lack of acceptance of an identified matter 1 finger extended = an openness to discuss further, but not likely to change opinion 2 fingers extended = an openness to discuss further, but lacking enough info at hand 3 fingers extended = willing to go with the prevailing position of the committee 4 fingers extended = definitely in favor of accepting the identified matter and ready to help gain

favor 5 fingers extended = enthusiastically in favor of the identified matter and ready to encourage it

to pass Using this method, each committee member can demonstrate the more complex position of accepting or rejecting a particular matter at hand. You can quickly learn how to isolate and discussion the points of a matter that seem most definitive to your committee.

3. HOW TO BRING A COMMITTEE DECISION TO CHURCH ACTION

Our church encourages the participation of all of our members in the discussion and decision of all church actions. It is our desire to make decisions which honor God and are the expressed service of His will as identified by our church body.

Preparation:

Please take the time to write the specific action proposed by your committee decision. Though any member may raise any question at our regularly scheduled business meetings, it is most helpful for all concerned that the Moderator anticipates your questions. If expenditure of funds will be necessary to accomplish your proposed action, then anticipate this discussion by a formal visit with Finance Committee to gain its counsel and possible endorsement of your request. If your proposal suggests coordinated efforts on the part of our membership or other committees/program organizations, then anticipate this discussion by a formal visit with the deacon body or elected leadership of the committee/program organization. It is very helpful to seek the counsel of our ministerial staff in almost any matter you anticipate bringing to the attention of the church business meetings. Please make arrangements to be included in the agenda of the business meeting by speaking with the Moderator in advance of the business meeting in order to be included in the written agenda.

Procedure in Business Meeting:

Prior to the start of the business meeting, verify your committee report/call for action has been included in the written agenda. Please speak to the Moderator to alert him as to where you will be located in the audience and confirm when he will be calling on you. If the item is not included in the written agenda, prior to the meeting, visit with the Moderator to gain understanding and due process. If there is no agreement with the Moderator's plans, simply alert the Moderator to your intent to bring a proposal from the committee to the business floor during New Business. At the appropriate time, when no other person is addressing the Moderator and the Moderator is available, gain the attention of the Moderator by rising to your feet in the audience and with uplifted hand seek the attention of the Moderator. Rise and address the Moderator by saying, "Mr. Moderator" Wait until the Moderator recognizes you. Make Your Motion Speak in a clear and concise manner, stating that you are the Chairperson of your committee and want to bring a motion for action. Always state a motion affirmatively. Say, "On behalf of _____Committee I move that we ..." rather than, "I move that we do not ...". Because this is a motion from a committee, it does not require a second The Moderator States Your Motion The Chairman will say, "it has been moved and seconded by the action of ___ Committee that we ..." This places your motion before the membership for consideration and action. The membership then either debates your motion, or may move directly to a vote. Once your motion is presented to the membership by the Moderator it becomes "assembly property." and cannot be changed by you without the consent of the members. Expanding on Your Motion The time for you to speak in favor of your motion is at this point in time, rather than at the time you present it. The one who places the motion before the assembly (you are this person) is always allowed to speak first. Simply provide a succinct representation of the Committee’s proposal of action. All comments and debate must be directed to the Moderator. The one who places the motion may speak again only after other speakers are finished, and must be called upon by the Moderator.

Putting the Question to the Membership The Moderator asks, "Are you ready to vote on the question?" If there is no more discussion, a vote is taken. Sometimes, particularly when there is not enough information or time to decide a proposal of action from a Committee, the church will decide to Table the Motion or to Refer the Motion. To Table the Motion -- This motion is often used in the attempt to provide more time or information regarding the proposed action. The option is always present, however, to "take from the table", for reconsideration by the membership. To Refer the Motion – This is often used to seek additional counsel that is pertinent to the proposed action, i.e. Finance Committee to see if we have the money. Follow-up: If the proposed action has been approved by the church, then please assist in whatever manner appropriate so that the church’s decision is upheld.

The Difference Between Committees and Teams

Committees are understood to address matters routine and continual from year to year. The members rotate in 3 year service terms, 1/3 rotating off each year. Teams are understood to address matters much more technical or operational in nature, requiring expertise and tasks performed with accumulated knowledge and assigned operations. These members do not rotate, but are replaced as attrition or demand occurs.

CHILDREN’S COMMITTEE

Staff Advisor: Director of Children/Preschool

1. Make regular inspections of the nursery as to orderliness, cleanliness, light, heat.

2. Set up general regulations for the operation of a good Church nursery.

3. Supervise the work of the nursery attendants. They shall recommend new workers as needed.

The committee shall set up the suggestions concerning hours, salary, etc.

4. Recommend the purchase of equipment and supplies as needed and shall proceed with

purchasing those items already covered in the budget.

5. Make a check on the amount of supplies used and the condition for storing the stock.

6. Obtain volunteer workers on occasions when needed.

CLAUDE JONES COMMITTEE

Staff Advisor: Director of Children/Preschool No member may serve more than four consecutive years. This committee shall have a chair, vice-chair

and a secretary/treasurer. The chair shall serve three years, but must have been a committee member

for one year or served on the committee previously before becoming chair. The vice chair may be any

member and is not required to accept the chair.

1. Act as liaison between the Church and the center. All major decisions shall be approved by the

Church.

2. Be responsible for the operation of the center. It shall provide supervision for all workers and

recommend new workers as required. It shall recommend rates, hours, wages, etc.

3. Recommend the purchase of new equipment and major supplies and any repairs or

maintenance required to maintain the property in its most serviceable condition.

4. Make regular unscheduled inspection tours of the center's building and grounds.

5. Meet semi-annually with called meetings as required.

6. Report the financial status of the center to the Church at the regular business meeting in

September and March.

7. See that all regulations as set out by the department of Human Resources, the Insurance

Company and other regulatory bodies are adhered to.

8. Be responsible for the financial condition of the Center and shall maintain separate records

independent of the Church to accomplish this.

CONSTITUTION & BYLAWS COMMITTEE Staff Advisor: Pastor

1. Maintain in the church office a loose leaf “master copy” of the current Constitution,

Bylaws, and insert all revision and/or questions for consideration by the Church in the future.

2. Develop and maintain a working understanding of the document and interpret for

the Deacons, the Church, committees, and/or staff, when needed, the provisions(s) in question.

3. When constitutional provisions are not followed, advise the appropriate parties. The

parties in each case being the individual(s) acting outside the bounds of the constitutional provisions and those affected by such actions. Seek to resolve the matter, and as necessary, in order to bring resolution, carry to the attention of the church any unresolved matters in question.

4. Recommend to the church staff when updated revisions of the document need to be

printed and distributed to the membership

5. Receive from members, committees, or staff any questions concerning provisions and/or proposed revisions and provide interpretations and/or recommendations to the appropriate group or individual(s).

6. Oversee the process of preparing the wording of proposed revisions and the

presentation to the membership.

7. Provide in writing to the membership an appropriate “addendum” when changes to the document are approved by the Church.

DEACON NOMINATING COMMITTEE

Staff Advisor: Pastor

1. Receive counsel from the Pastor and Deacon Chairman regarding the need for additional

deacons.

2. When the need arises, determine names of prospective deacons and present this list to the

pastor and deacon officers for their evaluation.

3. Compile a list of names to be interviewed and complete the interview process.

4. Submit the final list of names to the deacons and church for approval. Maintain a list of all

members who are ordained deacons. Those who have been members of our church for at least

one year should be considered for activation.

They shall have been a member of this church for one (1) year. These shall be elected by the

2. Present the names of the Woman's Missionary Union Director, Men's Ministries Director and

the Ladies Ministries Director, who have been elected by their respective organizations, to the

Church for approval.

3. Fill any organizational vacancies which occur during the year, subject to the approval of the

Church.

4. Oversee the deletion and creation Sunday School classes. It shall supervise the placement and

arrangement of the Church plant for educational programs.

5. Provide opportunities for training of teachers and officers for the Church's educational

programs.

6. Formulate and present to the Church for approval any educational policy matters.

1. With Committees

a. Consult with the Finance Committee in developing and budgeting salary and benefits

provisions for all staff annually. Any personnel, salary or benefit changes not currently in

the budget will be presented to the Finance Committee.

b. Consult with the Finance Committee in budgeting for additional church staff members.

c. Review personnel budget mid-year for budget adjustments and recommend to the

Finance Committee.

2. With Church Staff

a. Work with all staff members (except non-staff contract workers) to:

1. Prepare and update job descriptions annually.

2. Negotiate salary schedules and benefits provisions annually.

3. Develop Church policies and procedures relating to staff personnel.

4. Discuss needs for additional staff positions.

PROPERTIES COMMITTEE

Staff Advisor: Facilities Superintendent

1. General: This committee shall act with initiative and foresight in performing its responsibilities.

Each member should be familiar with and participate in the activities of this committee. Each

member should be constantly alert to the needs of his particular area of responsibility as

assigned by the Chair. Periodic meetings will be called by the Chairman.

2. Inspections: All facilities shall be inspected periodically to determine the following:

a. Cleanliness, orderly storage of supplies and training aids, and general appearance of

buildings and grounds.

b. The need for repairs and maintenance to buildings and equipment including plumbing,

electrical, heating and cooling and church vans.

c. Locate any possible fire and safety hazards; review location and serviceability of fire

extinguishers.

3. Repairs and Maintenance: Make arrangements for and supervise needed repairs and

maintenance. Major expenditures for repairs or maintenance must be approved by the Church.

Written bids and contracts should be required and submitted. The Properties Committee will

handle the vehicle upkeep and needs.

4. Equipment and Supplies: Approve the purchase of supplies for cleaning and maintenance.

Consider requests for purchase of equipment (pianos, sound equipment, office equipment,

training aids, etc.), consult with staff and make recommendations regarding purchase of such

items. Dispose of worn out, obsolete and unused equipment.

5. Staff: Exercise supervision over janitorial staff and/or building superintendent. Develop written

guidelines for duties and responsibilities.

6. Grounds: Provide for care and maintenance of lawns, landscaping, parking lots, sidewalks and

steps.

7. Fiscal: Make recommendations to budget committee on projected needs for inclusion in annual

budget. Monitor house and grounds expenditures in relation to annual budget. Coordinate with

Finance Committee and make recommendations to the Church on major or non-budgeted

expenditures.

8. Insurance: Review insurance coverage annually to ascertain adequate coverage. Be alert for

damages and initiate the filing of claims when appropriate.

11. This committee will be responsible for conservation of energy and energy cost of Church

buildings.

12. Make a careful survey with the music, education and youth directors of the present use of our

buildings on Sunday and Wednesday nights and other functions during the week.

AUDITORIUM FLOWERS AND DECORATIONS TEAM

Staff Advisor: Worship Leader

1. See that flowers are provided for each Sunday for the auditorium.

2. Circulate a list at the beginning of the year asking the people to indicate the Sunday on which

they would like to contribute memorial flowers.

3. Coordinate sanctuary decorations during the Church calendar year and during special occasions

such as Christmas, and Easter.

4. Coordinate funeral flowers through the Church secretary.

5. Work with the Properties Committee in coordinating the interior decor of any facility repair or

remodeling.

BAPTISMAL TEAM

Staff Advisor: Executive Assistant to the Pastor

1. See that the baptistery is in usable condition and that any needed repairs on the

baptistery and the heating equipment are reported to the Properties Committee.

2. See that the robes and towels are available, and it shall recommend the purchase of

robes and towels as needed.

3. See that the robing rooms are warm and lighted and shall assist the candidates in

their preparation for the baptismal service.

4. Be notified by the Church office concerning baptismal services.

5. Study ways to improve the ordinance.

DRIVERS TEAM

Staff Advisor: Facilities Superintendent

1. General:

a. Reservations for vehicle usage are on a first come first served basis. Reservations

may be made by contacting any church staff member with access to the church

calendar.

b. The church will maintain a list of approved drivers, along with their license numbers

and expiration dates.

c. A test drive and checkout must be conducted for any prospective driver not already

familiar with the vehicle.

d. For trips greater than 250 miles one way, two drivers must be available.

e. Each group reserving a vehicle will provide the names(s) of the driver(s) before the

departure date.

f. No vehicle is to be taken out of the continental United States for any reason, due to

insurance issues.

g. The driver is responsible for the safe and efficient operation of the vehicle, and has

the authority to quell unsafe behavior of minors unaccompanied by their parent.

Group sponsors have an equal responsibility to monitor behavior. Parental

permission to the exercise of such authority will be obtained prior to departure

through the standard Release form.

2. Standards for authorized drivers:

a. No convictions for driving while under the influence of alcohol and/or drugs

b. No more than two occurrences of accidents for which the driver is judged at fault,

nor more than two moving violations in the past three years

c. Driver records and license expiration dates will be verified annually.

3. Driver Responsibilities:

a. Conduct an inspection of the exterior and interior of the vehicle before loading the

passengers. Exterior scratches, dents and other discrepancies not previously noted,

along with interior damage and trash should be noted and reported to the

Transportation Team.

b. Lap & shoulder belts are to be used by the driver anytime the vehicle is in motion.

c. Texting or use of cell phone while the vehicle is in motion is strictly prohibited.

d. Remind passengers that seat belts, if available, must be worn at all times while the

vehicle is in motion.

e. Any accident, no matter how minor, must be reported at once. Do not discuss the

accident with anyone other than the police, the insurance carrier, or the church

staff. Do not sign anything other than a citation and/or police report.

f. All traffic or parking tickets are the responsibility of the driver.

g. At the completion of the trip, if the fuel quantity remaining is less than one half tank,

make arrangements to top off the tank and check all fluids.

h. At the completion of the trip, remind passengers to place all trash in bags provided,

and collect the bags for disposal.

i. Conduct another interior and exterior inspection of the vehicle, looking for interior

cleanliness and exterior damage, with particular attention paid to the condition of

the tires.

4. Summary:

a. Drivers are key to proper maintenance of the vehicle. They will be first to spot areas

that need attention, and should report them for prompt repair.

b. Questions and suggestions concerning these procedures should be directed to a

member of the Transportation Team or Properties Committee.

HISTORICAL TEAM

1. Prepare and a history of our Church, with attention to as many details as shall be possible. This

should include pictures and newspaper clippings.

2. Clip and file all newspaper items concerning the Church and its activities.

3. With the librarian, seek to keep a complete file of Associational Minutes. These shall be kept in

the Church Library.

4. Collect and preserve the weekly Church bulletin and have these permanently bound at the end

of each year.

5. Have the responsibility of planning and promoting the important anniversaries of the Church.

LIBRARY TEAM

Staff Advisor: Pastor

1. Assist Librarian in enlisting helpers.

2. Assist library staff in scheduling hours and use of the library.

3. Assist staff in selecting books and non-book media.

4. Assist in promoting the Library and assist in securing adequate funding.

5. Encourage giving of funds to the Library (in honor or memory).

6. See that the Library books and materials are cared for properly.

7. Assist Library Director in inventory control and in staff education.

8. Assist in resolving censorship challenges. (Refer to Censorship Challenge Form>)

LORD'S SUPPER TEAM

1. See that the Lord's Supper is prepared and placed on the table before the time for the service as

indicated on the Church calendar.

2. Direct the purchase of all necessary supplies such as glasses, trays, linens, bread and so forth.

3. See that the Lord's Supper service is properly cleaned and stored after each observance of the

Lord's Supper.

4. Care for the cloths to cover the table.

PRAYER SUPPORT TEAM

1. Organize and maintain an Intercessory Prayer Ministry through the Intercessory Prayer Center that

ministers in intercession for:

a) The staff of FBC and their families and responsibilities.

b) The membership of FBC and their friends and family (sickness, death, hospital, etc.).

c) The lost, spiritual needs, and special times of evangelism and revival for the church.

d) The mission trips and partnerships of FBC, and the pastors, churches, and missionaries with

whom FBC cooperates.

e) Elected officials of our nation, state, and county.

2. Cooperate with special emphasis on prayer with denominational emphasis (Weeks of Prayer for

International, National, State, and Associational Missions).

3. Cooperate with National Day of Prayer and other interdenominational emphasis.

4. Cooperate with Library in purchasing important books on prayer.

5. Remind FBC staff and membership on the primacy of prayer and enlisting prayer warriors.

TELEPHONE TEAM

1. To assist the secretaries in answering the phone, take messages and direct calls as necessary.

2. Each person will work a morning or afternoon doing these duties.

3. Assist the caller with information if possible.

4. Assist with other duties such as filing, addressing, etc. as needed by the secretarial staff.

1. Collect and deposit Church receipts as soon as possible.

2. Insure that a minimum of two persons are present in the handling of all receipts.

3. Verify amounts contributed in offering envelopes.

4. Secure all monies in specified location until deposits are made.

USHERS TEAM

Staff Advisor: Worship Leader

1. This committee shall check the building for temperature, ventilation, cleanliness, and so forth

before and during each service.

2. The ushers shall greet the people at the entrance, cordially welcome them and help to seat the

people. It is particularly important that assistance be given to seating those who come in late.

The usher shall not seat anyone during special music or the reading of scripture.

3. The ushers shall hand out visitors cards, programs, bulletins, and receive the offering. The

ushers committee shall feel free on occasions when there are not enough stipulated ushers

present to serve, to select other men for the performing of these duties.

4. Serve both morning and evening in the services.

5. The ushers will see that the outside doors to the sanctuary are kept closed at all times except

for people going in and out. This means that they will not be propped open at anytime unless

used for outside air to get into the building for a purpose.

WELCOMERS TEAM

1. This committee shall make a special effort to warmly greet our Church's members and guests at

each worship service.

2. This committee shall be responsible for placing its members at all entrances to the sanctuary

before and after each service.

3. This committee's primary area of ministry will be in and around our Church's sanctuary proper.
