Title: How to Navigate Cognos

Purpose: Reports from Axapta are accessed through use of the Cognos tool. Scope: The Cognos BI application is a web-based solution that can be accessed from any Internet

Note: Depending on your machine setup, the version of the Internet Explorer browser, Internet option settings and other variables your experience getting into the Cognos 10 application may be different than the example here. Guidelines for accessing IBM Cognos BI:

1. Launch the Internet Explorer browser. Insert the following URL into the Internet Explorer

address bar https://cbi.zurn.com/cognos (save this address in FAVORITES on the web browser)

and press Enter. The system will prompt the log on screen.

Note: Your Zurn network account must be enabled to get access to the IBM Cognos BI solution. Once the webpage loads you will be asked to Log on:

Guidelines for navigating in IBM Cognos BI: If you have successfully connected to Cognos you will likely see one of two screens. If you see a screen similar to the screen snapshot below you are on the Cognos Welcome Page. If this screen appears the suggested action is to verify the “Show this page in the future” option is not selected (no check in the box) and click the “My home” option. Continue with the instructions below.

You should now be at the IBM Cognos Connection screen (see sample snapshot below). If you are not at a screen similar to the sample go to the instructions at the end of this section. There may have been several screens that flashed by before the IBM Cognos Connection screen was displayed. This is normal and they can be ignored. Also, there may be blank screens displayed in addition to the desired IBM Cognos Connection screen. If this happens the blank screens can be closed. The snapshot below is an example of the IBM Cognos Connection screen. Click the Rep reports folder.

The snapshot below is an example of the Rep reports.

Logging Off When you are ready to Log Off the Cognos system, you will need to select the drop-down option to the right of your user name (partial screen snapshot below). That will allow you to select the Log Off option and end your Cognos session.

Title: How to Maintain Internet Explorer Settings

Purpose: Several issues have been identified in Cognos 10 BI that can be resolved by maintaining the Internet Explorer settings. The following guidelines walk users through steps to maintain Intranet Options for the issues resolved to-date.

Scope: This maintenance can be performed within the Cognos 10 BI application or in any Internet Explorer session. There may be minor differences in the following screen snapshots depending on software version, user preferences and user permissions .

Effective Date: 6/10/2013

NOTE: At this point in time the only Internet browser supported by Zurn for use with the Cognos 10 BI solution is Microsoft Internet Explorer (any version). The use of any other browser is not supported by Zurn I.T. at this time.

Issues resolved with the following steps include:

The Run / Run Report (Excel any) and Run Report (CSV) options don’t create desired output file.

The Run of a Report only produces a Blank Internet Explorer window.

Internet Options maintenance Guidelines:

First you’ll need to determine which version of the Internet browser you are using and follow the appropriate instructions for that version. If you don’t know which version of the browser you are using you’ll need to locate the Help / About Internet Explorer function. The following snapshots show you how to do this in two versions of the browser. There may be minor differences in the following screen snapshots depending on software version, user preferences and user permissions. If you need assistance please contact the Zurn I.T. department.

The following partial screen snapshot shows the upper right corner of a typical Internet Explorer 7 screen. If your screen doesn’t look like this, go to the next example.

From the toolbar select the “Help” command followed by the “About Internet Explorer” option. In the window that is displayed note the version value and use that value to determine which guidelines you follow below.

If the “Help” command isn’t shown select the double-right-arrow ( ) at the end of the toolbar. A window will open and the “Help” command should be accessible from there.

The following partial screen snapshot shows the upper right corner of a typical Internet Explorer 9 screen. Again, depending on which display options (menu bar or command bar) you have selected your screen may appear different.

From the toolbar select the “Tools” command (or from the menu bar select the “Help” command) followed by the “About Internet Explorer” option. In the window that is displayed note the version value and use that value to determine which guidelines you follow below.

If the version of the Internet Explorer is 7.x or less use the following guidelines – “Maintaining Internet Explorer 7.x Internet Options”.

If the version of the Internet Explorer is 8 or 9 go to the guidelines for – “Maintaining Internet Explorer 8 and 9 Internet Options”.

If the version of the Internet Explorer is 10 go to the guidelines for – “Maintaining Internet Explorer 10 Internet Options”.

Internet Explorer 7.x Internet Options:

From the IBM Cognos Connection screen select the dropdown option for Tools and select the Internet Options at the bottom of the list.

The Internet Options screen will be displayed.

First select the Security tab. Second select the Trusted Sites option. Third select the Sites option.

Continue scrolling through the settings on the Security Settings – Trusted Sites Zone until you reach the User Authentication / Logon sections. Verify that “Automatic logon with current user name and password” is selected.

After completing required changes select the OK button. On the Internet Options screen select the OK button.

Either approach should open a dropdown window that includes the “Internet Options” at or near the bottom of the list of options. Select the “Internet Options” option.

NOTE: Internet Explorer 8 file download results are stored, viewed and maintained in the View Downloads function. View Downloads function can be accessed from the “Tools” function on the menu bar or the toolbar. You may need to ensure automatic prompting for file downloads is enabled. Do this by going to Tools, Internet Options and the Security tab. Select Trusted Sites and then Custom Level. Next scroll down to “Automatic prompting for file downloads” and be sure it is set to Enabled.

Maintaining Internet Explorer 10 Internet Options:

From the IBM Cognos Connection screen, within Internet Explorer 10 select Tools from the menu bar. If the menu bar is not available, right click on the top toolbar of Internet Explorer and select Menu Bar. Now Tools should be an available menu at the top of your Internet Explorer.

Select Tools and click Compatibility View Settings.

The following Compatibility View Settings window will be displayed. Put a check in the box for “Display all websites in Compatibility View”.

Completing Maintenance Changes:

It is suggested that you close your Internet Explorer session and come back in before continuing in the Cognos 10 BI solution.

If you have any problems completing these steps contact the Zurn I.T. department for assistance. If you have suggestions for improving these guidelines please pass that information onto the I.T. department.

Title: How to Run Cognos with Advanced Options.

Purpose: The BI team is suggesting that anyone running reports that take longer than 5 minutes to

complete should use the Run with options action to run reports.

Scope:

Effective Date: 6/10/2013

1. In Cognos Connection navigate to the report you want to run.

2. To the far right locate the Run with options icon ( ) and select it.

The Run with options screen is displayed.

3. In the top right corner of the Run with options screen select the advanced options.

The Run with advanced options screen is displayed. In the Time and mode section at the top of the screen

select the Run in the background option.

4. In the Options and Delivery portion of the Run with advanced options screen set the output versions

and the delivery method for the report output.

In the Formats check the PDF and/or the Excel 2007 option(s) depending on what report output formats you want. Uncheck the HTML option unless the format is required.

5. In the Delivery portion uncheck the Save the report option and check the Send the report by email option.

6. Next, select the Edit the options to set where the report will be emailed to. This option is located to the right of the Send the report by email option. The following screen is displayed. In the To: or Cc: enter the email address of the individual(s) that the report results should be sent to. Separate multiple email address with a semicolon (;). Verify that the Attach the report option is checked. The Subject and Body can be changed as required. Complete the setup by selecting the OK button.

On the Run with advanced options screen in the Prompt values portion check the Prompt for values and select the Run button.

The prompt screen for the report being run will be displayed. Respond to the prompts and select the Finish or

Run button.

A screen similar to the one below will be displayed. Review the output options and prompt responses. If all

parameters are correct select the OK button to run the report.

If changes are required to the output options or prompt responses select the Cancel button and restart the

process.

You will be returned to the Cognos Connection screen where you started. The results will be returned to

you by email when the report completes.

Title: How to Run the Incomplete Orders Report

Purpose: This report will provide a copy of the orders that are incomplete in Axapta for your sales group

or warehouse. This is equivalent to an open order report.

Scope: This will allow a quick turnaround for order clean up and should be run as often as possible to

limit the number of orders that make up this list.

Effective Date: 06/12/2012

1. Access your Cognos network account.

2. The system will display the Cognos home page. Click on the folder titled “Rep Reports”.

3. Click on the Incomplete Orders link.

4. The system will display the prompts (selection criteria or parameters) for the report, as shown below.

These prompts are mandatory. Descriptions of each to follow on the next page.

Select Location(s): This is the Ship From warehouse.

Highlight location(s) that you want to search by. To search for orders in multiple

Select Status: This is the status of the sales order line.

Note: Open, PkTkt, OnOrd, PkReg and PhyRes are recommended as these are all considered “open”

in Axapta.

Select Product Line(s): this is the desired product line/s.

Use Date: This is the desired date.

Requested Ship Date: this is the customer want date

Confirmed Ship Date: this date is based upon delivery lead times by business, service center and REP.

Note: Confirmed Ship date is recommended as this is what Zurn uses to measure delinquency.

Date Filtering Method: Select Choose by Dates

Date Range: this is the desired date range that you’d like to use for the report.

Begin Date: The previous year’s date is recommended.

End Date: The previous day’s date is recommended.

Ex: If you want to filter by confirmed ship date and the date range of 6/3/2012 to 6/2/2012, the

report will return any incomplete orders that have a confirmed ship date within the last year.

Any line with an end date older then day is considered delinquent.

Sort By: Report defaults by date. Use the drop down menu to change the sort by.

5. To view by Sales Group, continue to Step # 6. Select Finish to view what’s open in your warehouse/s.

Sales Group: You can select to filter the report

by one or more sales groups within your security

permissions. To search for orders in multiple sales

groups, hold the CTRL button while you click the

groups needed.

Rep Security will only allow you

to view what is open for your

Sales Office/s in other locations.

Disregard the other options, these do not affect

the rep users.

6. Select the Finish button at the bottom of the screen. The system will indicate that the report is

running. This step can take a few seconds to several minutes.

Cognos Reports Open or Invoiced Lines where Net = List, Net = $0, or List = $0

Title: How to Run the Open or Invoiced Lines where Net = List, Net = $0, or List = $0 (AX09) [with

delivered status] Report

Purpose: This report will provide a copy of the lines where pricing is potentially wrong (Net = List, Net =

$0, or List = $0).

Scope: Running this report frequently (at least once a day at the end of the day), will reduce pricing

errors that make it through the nightly invoicing run.

Effective Date: 6/12/2012

1. Access your Cognos network account.

2. The system will display the Cognos home page. Click on the folder titled “Rep Reports”.

3. Click on the Open or Invoiced Lines where Net = List, Net = $0, or List = $0 (AX09) [with delivered status]

link.

4. The system will display the prompts (selection criteria or parameters) for the report, as shown below.

5. All of the prompts are mandatory. You must select at least one option for each of the criteria prompts.

Descriptions of each to follow on the next page.

Sales Rep: you can select to filter the report by one or more sales groups within your security permissions.

Product Line: Choose the Product Lines that you want to view. You may select more than one option if

desired.

List Price Selection: Select the List Price Selection criteria, which will show the lines that meet the

associated filter. You can only select one option each time the report is run.

Net Sales = List Price: This will show lines where the unit price on the line is equal to the list price

of the item on the item master. This should be reviewed in AX and changed as necessary.

List Price = $0: This will show lines where the no list price is found for the line item. This will

occur for MO items or configured items. All other items that show on this list need reviewed

within AX.

Net Price =$0: This will show lines where the unit price on the lines is equal to $0. This should

be reviewed and changed as necessary. If this is supposed to be the price of the item, please

add a note within AX to that line.

Line Status: Choose the Line Status of the lines you’d like to view. You can only choose one option at a

time, so if you need to view multiple statuses, you should choose the option for “All”.

Note: Delivered is recommended as that status will be picked up for invoicing the same day.

Start Date: Choose the Start Date for the lines you want to view on the report.

End Date: Choose the End Date for the lines you want to view on the report.

6. Once you have completed all of the prompts, press the Finish button at the bottom of the screen. The

system will indicate that the report is running. This step can take a few seconds to several minutes.

Title: How to Run the Order Visibility Report

Purpose: This report will enable you to view the status of customer sold orders that are

shipping or have shipped from other Zurn locations.

Scope: This procedure will encompassses all Zurn product lines and shipping locations

within the Axapta system.

Effective Date: 3/12/2012

1. Access your Cognos network account.

2. The system will display the Cognos home page. Click on the folder titled “Rep Reports” to open

the Zurn Rep Reports page.

3. Click on the Order Status w Shipment Info link. The system will display the prompts (selection

criteria, or parameters) for the report as shown below.

4. Here is a listing of the report prompts, and an explanation of how to complete each field.

Select Report Output Page Choose if you’d prefer to view the detailed order with or

without tracking information (without will enhance system performance.).

Warehouse This is a field of WHERE THE ORDER SHIPPED FORM. Choose an individual

warehouse to view or “Select All” to show all warehouses that the order may have

shipped from. * If no selection is desired, this can be left blank.

Product Line Choose a specific product line (210, 220, etc.) to view an individual line or

“Select All” to show multiple lines that may be on an order. * If no selection is desired,

this can be left blank. * Hold down the Control key to select two or more product lines.

Use Ship Date This field defaults to No, meaning that the report will include orders

matching all other selection criteria without regard to ship date. If you want to limit the

beginning date, ending date, or both dates, first check yes. Select the drop down menu

to prompt the calendar menu. This is a mandatory field if yes is selected. * Information

prior to 11/28/11 will not be returned in this report unless the order remains open.

Optional Prompts

o Sales Order Range This is the Axapta Sales Order Number. Enter the beginning

and ending sales order numbers to be reported, or leave either one of both of

these fields blank.

o Customer Number Range Enter the beginning and ending numbers of the

customers to be reported, or leave either or both of these fields blank.

o Customer PO# If you’re looking for an order number related to a particular

customer PO, enter all of part of the PO number in the Search field; otherwise,

leave the field . *Search can be used for multiple PO numbers.

o Contractor ID If you’re looking for an order related to a particular contractor ID,

enter all or part of the Contractor ID in the Search field; otherwise, leave the

field blank. *Search can be done for multiple Contractor ID’s.

2. The system will display the Cognos home page. Click on the folder titled “Rep Reports” to open

the Zurn Rep Reports page.

Purpose: This report will enable Axapta users to see all open stock transfer lines shipping into and out of your location/s as well as open lines that need to received into the user’s warehouse.

is on the way.

o Received: the ship to warehouse has received the material into their

warehouse.

From Warehouse: this is the shipping warehouse.

To Warehouse: this will default to your own unless there is more then one location per

company.

Line Status: This is the order status at the line.

Qty Status: the status of the line in regards to pick ticket, picked, packed, etc.

Title: How to Run the Invoice Copies for Reps Report

Purpose: This report will provide a copy of the invoices that are shipped from a specific rep location or for

a specific sales group.

Scope: This will replace that hardcopy invoices that are currently sent from the credit department.

2. The system will display the Cognos home page. Click on the folder titled “Rep Reports”.

3. Click on the Invoice Copies for Reps link.

4. The system will display the prompts (selection criteria or parameters) for the report, as shown below.

5. The first set of prompts is mandatory. You must fill in a date range for which to see the invoices.

a. If you do not want to fill in any other prompts and would like to view the report, press the finish

button directly under the date range prompt. If other prompts will be used, do not press any

button and continue with Step 6.

6. The second set of prompts is optional. A description of each prompt is listed below.

Product Lines: Choose the product lines that you

want to see the lines for.

Sales Group: You can choose to only see invoices

for a specific sales group(s) in your security settings.

Exclude Credit Invoice Lines: This prompt allows

you to only see positive line amount that are not

associated with a credit.

Only Show Invoice Amts Greater Than: This will set

a threshold for invoice totals, and will only show

invoices that are greater than this total amount.

Invoice ID(s): If you are looking for a specific invoice

number, enter this and then press search. It will

show up in the Results box, and then you must

highlight it and press the insert button.

Sales Order(s): If you are looking for specific sales

order numbers, enter this and then press search. It

will show up in the Results box, and then you must

highlight it and press the insert button.

Invoice Account(s): If you are looking for specific

customer invoice account numbers, enter this and

then press search. It will show up in the Results

box, and then you must highlight it and press the

insert button.

7. To filter the report by Product Line, highlight the product lines that you want to see the invoices for. To

select more than one product line at a time, hold the CTRL key while clicking the appropriate product

lines. If no product lines are selected, it will automatically search for all product lines.

8. To filter the report by Sales Group, you should click the sales group you want to see to highlight it. If

you’d like to see more than one sales group, you should press the CTRL key while clicking the sales

groups. If no sales group is specified, the report will run for all of the sales groups that are shown in the

prompt box.

9. To search for a specific Invoice ID, Sales Order, or Invoice Account go to the appropriate prompt screen.

Enter the appropriate search criteria and press the Search button.
