Executive Summary

Digital Matrix Solutions (DMS) has prepared this proposal in collaboration with Lim Chuan Jer of Hardware Zone.

Current situation

Hardware Zone Pte Ltd (Hardware Zone) is a popular online publication and

has consistently emerged as the leading IT hub in South East Asia and as one of the worlds finest with its unbiased and comprehensive reviews, regular updates with news and thorough buyers' guides. At a regional level, its

popularity has sparked the creation of localized www.hardwarezone.com sites that are active in Singapore, Malaysia, Thailand, Australia and Philippines and

also serves as highly interactive and member-centric platforms for localised

information, such as IT price guides, classified ads and forums specific to the country.

The Web Content Management System (CMS) employed by Hardware Zone is

a proprietary application. The current website has:

• Over 50,000 pages incl. the Forums section

• More than 35 million page views monthly • 1.1 million unique global visitors per month.

Within the Asian market, the Hardware Zone website is seen as one of the

World Wide Webs main resources on current IT market trends, the latest IT hardware products and technical information.

DMS is proposing an innovative approach to resolve the following issues related with Hardware Zone’s growing market presence.

Need for advanced document editing Due to the growing business Hardware Zone has the requirement for an advanced document editing system. Editors need to be able to quickly find relevant previously published information while writing reviews and articles.

Need for separation of presentation layer Editors also should not be responsible for the final presentation of the article they are writing. This separation also paves the path for alternative presentations in the future i.e. Print Media, Mobile phones etc.

Need for localization taxonomies With different market regions Hardware Zone is facing the challenge that certain content is only available for selected regions, i.e. product launches, local market trends and availability as well as targeted advertising

campaigns.

Business Process Management Business process management (BPM) is a field of knowledge at the intersection between management and information technology, encompassing methods, techniques and tools to design, enact, control, and analyse operational business processes involving humans, organizations, applications, documents and other sources of information. The term 'operational business processes' refers to repetitive business processes performed by organizations in the context of their day-to-day operations, as opposed to strategic decision-making processes which are performed by the top-level management of an organization. BPM differs from business process reengineering, a management approach popular in the 1990s, in that it does not aim at one-off revolutionary changes to business processes, but at their continuous evolution. In addition, BPM usually combines management methods with information technology. Accessibility and Mobility Information Accessibility and Work force mobility is a key to today’s organizations being able to exhibit the flexibility and responsiveness necessary to excel. There's no question that information technology has made mobile work more feasible. Knowledge workers equipped with laptops and cell phones work from home, from Starbucks, from airline lounges and from touch down spaces. Both knowledge workers and their employing organizations are in experimental mode with regard to mobile work. A well constructed accessibility and mobility plan can ensure organizations are maximizing resourcing and minimizing costs. Converged Communication Convergence (converged environments/networks) defines a multi-media environment and/or network where signals regardless of type (i.e. voice, quality audio, video, data, etc.) and encoding methodology may be seamlessly exchanged between independent endpoints with similar characteristics. Converged Communications is a field that combines tradition business communications with information technology - pushing the controls and uses of communication systems further into enterprise applications, and enable business users to immediately leverage information that was previously not available. VoIP (not to be confused with voice over internet) is simply a starting point for converged communications. 3. Solution Overview DMS’ senior architects developed a tailored Solution that addresses and

resolves Hardware Zone’s need for • advanced Document Management System

• separated presentation Layer • and localized taxonomies

In the following Section DMS will outline the proposed approach to resolve these issues.

The new System in brief will consist off:

Taxonomy Integrated Document Management System All news, articles, reviews and price guides will reside in this system. Editors

will create new content within this system and apply relevant taxonomies for location and product categories. This could even include location and product category specific advertising campaigns.

Hardware Zone’s existing Content Management System We propose to keep the existing CMS purely for the presentation Layer of this application. The CMS will not be used for content creation. The CMS will

however apply Design Templates to the content, which is provided in a localized and categorized format from the Google Mini Search Appliance.

Metadata enhanced Web enabled DB Content Viewer This Application is needed in order for the Google Mini Search Appliance to

index all news, articles, reviews and price guides with applied taxonomies in form of Metadata.

Google Mini Search Appliance The Search Appliance is the Core of the new System. The appliance will have

a localized and categorized index of the information stored in the new Document Management System.

This has the following advantages:

• CMS can easily access localized and categorized Content • CMS developers can concentrate on design and usability of the website • Editors can concentrate on content creation

• Fast and relevant Search on the website • Fast and relevant Search for editors on previous Content

4. Why Taxonomy

Taxonomy provides conceptual structure and enhances clean navigation design. The value of a CMS increases dramatically with the introduction of a

content taxonomy. The taxonomy defines the domains of the content's metadata and the valid combination of all metadata “dimensions" (what

some might call "facets"). Industry, for instance, is a common taxonomy dimension. By defining a set of industry codes you define the range of values that the industry identifier of your content assets can take.

The requirement that certain content should not be available in all markets

introduces us to one dimension of your taxonomy. Maybe there is also a product dimension in the taxonomy, and you do not want to show the newest

Ipod Nano review for the Malaysian market, but everywhere else. As outlined above we propose a 3 dimensional taxonomy for Hardware Zone.

These 3 dimensions should be location, product, and content type (news, article, review etc). Each dimension has potential values which still need to

be defined. The highlighted cube in the example represents a Global News content about Main boards.

5. Implementation Approach

For this project we propose a 4 stages implementation plan:

Stage 1: Document Management System

DMS will help you select a LAMP (Linux Apache MySql Php) Document Management System and install it in your current environment. We will

further setup the 3 dimensional Taxonomy frameworks to further tag your content.

Stage 2: Setup Search Appliance DMS will setup the search Appliance to index your Document Management System. As previously mentioned we will write a custom Application that generates Metadata enhanced content directly form

the Database. The search Appliance will further be integrated in your Document Management System, helping your editors with their research.

Stage 3: Data Migration We will perform a pure Database to Database Migration of existing News, Articles, Reviews and Price Guides from Hardware Zone’s CMS system to the new Document Management System. Within this process

we will automatically assign Taxonomies to old content.

Stage 4: Integration in your Current CMS DMS will integrate the Google Search Appliance into your current CMS system. The search API will be replacing the current browsing /

searching functionality of reviews, news and price guides. User created Sections like Forums, Marketplace and Members Area will however be untouched.

6. Terms, Conditions and Exclusions

Terms and Conditions

� The Material in this Proposal is copyright and may not be

reproduced in any form without the express prior approval of Digital Matrix Solutions. Digital Matrix Solutions retains

intellectual property right and ownership over all material in this Proposal. Upon request, this Proposal and all copied material

should be returned to Digital Matrix Solutions.

� Formal acceptance of this proposal can be made by sending DMS a Purchase Order and a signed proposal acceptance form, found in section 8 - Appendix A - Proposal Acceptance.

� Cancellation Policy: Hardware Zone shall give Digital Matrix Solutions 10 business days advance written notice of project

cancellation. On receipt of the cancellation, all time billed to the

project and expenses incurred by Digital Matrix Solutions will be invoiced to Hardware Zone.

� Digital Matrix Solutions will take due care to ensure a limited risk to Hardware Zone but will not be liable for any damage or loss of

business arising either directly or indirectly from any work done by Digital Matrix Solutions to Hardware Zone’s Production

Environment before, during or after the time frame of this project.

� Any changes to the scope of this project require the written agreement of both parties as described at the end of this

proposal.

� Work for this project is scheduled during normal working hours,

being 9:00 AM to 5:00 PM. Digital Matrix Solutions can provide scheduled work outside of normal working hours however this

effort is subject to out-of-hours rates. Out-of-hours is defined as any time outside 8:00 AM to 5:30 PM Monday to Friday and including all day Saturday, Sunday or public holidays. This work

will be billable at 150% of the rates specified in this proposal and will be measured in half-day increments.

� Digital Matrix Solutions will execute the project stages in accordance with this proposal. Hardware Zone understands and

acknowledges that:

o a firm start date for the project is agreed upon from the

proposal in writing and/or;

o once Digital Matrix Solutions consultants have begun the

project set forth in this proposal, if there is a delay or an interruption in the consultant’s ability to perform the

services either at Hardware Zone’s request or due to circumstances that are under Hardware Zone’s control

� Digital Matrix Solutions consultants will work on an “as and when required” basis. They will not be required to commit to any weekly or daily quota, or be required to be present at the Hardware Zone’s site for any other time other than that to

perform work directly related to this project to meet the deliverables stated in this proposal.

Exclusions

The work detailed in this proposal that falls out of the scope of this project is as follows, but not limited to;

� Digital Matrix Solutions will take all care in ensuring that Hardware Zone’s production environment remains stable throughout the length of the project. In the unlikely event that

any production workstation/server repair/rebuild arises either directly or indirectly from any work done by Digital Matrix Solutions for Hardware Zone then this work is to be excluded from the scope of this proposal.

� Any project overruns, additional work and performance irregularities caused by inconsistencies between test equipment

and/or test environment supplied to Digital Matrix Solutions by Hardware Zone and Hardware Zone’s Production Environment

and/or Hardware Zone’s designated pilot site(s).

� Any processing of Hardware Zone’s change management requests by Digital Matrix Solutions.

� Any project overruns caused by delays or an interruption in the consultant’s ability to perform the services either at Hardware Zone’s request or due to circumstances that are under Hardware

Zone’s control. This includes, but is not limited to:

o Delays in the scheduling of the piloting and deployment to

Hardware Zone’s Production Environment and/or pilot sites

o Delays in the processing of change management requests

o Delays with the signoff of each stage and delays with in the supplying of, or configuration of test equipment

� Any communication, management and/or negotiation performed

by Digital Matrix Solutions on behalf of Hardware Zone for the scheduling of the deployment and/or piloting stages with Hardware Zone’s clients/customers/business units.

� Any skills transfer, maintenance and support performed other

than that supplied to Hardware Zone’s Technology Champion by way of skills transfer, either verbally, e-mail or via deliverable

documentation supplied by Digital Matrix Solutions.

� Any work relating to the migration or integrity “tidy-up” of Hardware Zone’s data.

� Any project management other than that of Digital Matrix Solutions resources, but not limited to Hardware Zone’s staff or contractors and staff or contractors of Hardware Zone’s clients.

� Any work Digital Matrix Solutions considers not specified in this proposal.

� Any work performed by Digital Matrix Solutions to produce

Exception Plans for, but not limited to, any change of scope request.

� Any performance issues relating to, but not limited to Hardware Zone’s hardware, software or infrastructure, which is used in or associated with this project.

7. Investment Summary All work will be carried-out at DMS’ offices in Lane Cove Sydney. The costs outlined in this proposal do not include any disbursements, travel, accommodation, allowances or levies that may be applicable.

These additional costs may be incurred in the course of completing this project. Any such costs will only be incurred with Hardware Zone’s prior written approval, and will be charged back to Hardware Zone at cost.
