GROUND TRANSPORTATION We are working with Colorado Mountain Express (CME) to provide discounted ground transportation to and from Eagle County Regional Airport and Denver International Airport. AD INSERTS/ROOM DROPS INSTRUCTIONS If you have purchased an ad insert or room drop for this course, please make sure it is one page, no larger than 8.5” x 11”.

EXHIBIT PERSONNEL All participants affiliated with exhibits must be registered as an industry attendee, including complimentary registrations as part of exhibit support. Industry badges allow access to the exhibit floor and all scientific sessions. The Exhibitor Badge Registration Form (pages 4-5) is required by Friday, January 4, 2019. **Times are subject to change based on the final program agenda.
Exhibitors may access the Exhibit Hall 30 minutes prior to opening and remain 30 minutes after the close each day. All exhibits must be staffed during open hours.
EXHIBIT SPACE FYI: No booth numbers are assigned to prior to the setup onsite. Your booth location will be identified with a custom company name table tent for easy identification by your company representatives. Depending on sponsorship, each exhibit space will be furnished with one to two skirted 6' x 30" tables, two to four chairs, and one small wastebasket.
Electrical, audio visual, telephone and internet services can be ordered directly through the Vail Marriott.
INSTALLATION OF EXHIBITS Exhibits can be installed on Wednesday, January 16, 2019, 1:00 PM - 10:00 PM. Assembly of exhibits during regularly scheduled conference hours will not be permitted. Please confirm packages arrive no earlier than Monday, January 14, 2019 and prepare yourself any all onsite personnel with tracking numbers as this remote location can be more difficult for shipping.
DISMANTLING OF EXHIBITS Exhibits are officially closed on Sunday, January 20, 2019 at 8:40 AM. All exhibits must remain intact until the official closing time and may not be dismantled or removed, in whole or in part, before that time. After the close of exhibits, all materials must be removed no later than 2:00 PM on Sunday, January 20th.

EXHIBITOR KIT
All exhibitors must fill out this kit 2 weeks prior to arrival regardless of their needs so that we
can ensure each exhibitor is accounted for in our preparation for your show.
For billing purposes, please note that our standard method of charging for any
services requested is to post charges to the guest room. If you are not a guest of
the hotel or prefer to use an alternative method of payment there is a page for
payment included in the back of this kit which must be completed for services to
be rendered.
Please fill out the forms and return them to the Resort no later than 2 weeks
prior to the show date to ensure that all of your needs can be accommodated on
site.
**should you chose to provide an alternative method of payment - due to PCI
compliance an accountant will be contacting you prior to the event to collect your
full credit card information**

SHIPPING AND RECEIVING CHARGES
We have the ability to receive UPS, Federal Express / Freight and USPS packages. We will be happy to assist you with your shipments. With regard to outgoing packages, we can prepare shipments via Federal Express. We are also a drop-off location for UPS packages and packages with UPS air-bills are acceptable for outgoing shipments.
Vendors will be responsible for their own shipping charges, unless otherwise instructed by the group contact.
The following Handling Fees will be applied by the Hotel to shipments:

IN-TOWN SHUTTLE The Town of Vail offers a complimentary In-Town Shuttle Service (route below in grey). Guests can pick up the shuttle directly in front of the hotel every 5 to 10 minutes in peak seasons and every 15 to 20 minutes during the off-season. The In-Town Shuttle runs on a continuous loop through Lionshead, Vail and Golden Peak Villages from 6:30AM to 1:30AM daily.
