Overview

The CMA Property Profiler system provides you with the flexibility to generate professional CMA Reports for your prospective vendors and purchasers allowing you to report to them such items as, Capital growth of the area, median sales prices and the changes in median sales prices, sales by price and per annum and information of the rental market in the area they are selling or buying a property. The CMA reports also allows you to report to your client the demographics of the area, and to present this information by setting a variety of display options including agency logos and the sales persons profile. While focusing on your chosen property, you can easily compile customised reports including:

• Sales History records from the Lands Department. • Recent Sales records from your own and other agent sales advices. • Past Recent Sales records from your own and other agent sales advices • Market comparisons for your target property • Maps of the properties location and • Graphical Statistical Reports derived from the Bureau of Statistics.

Accessing CMA Property Profile

To access CMA reporting log in to RP Data and select property information for the menu then select CMA property profiler.

Main Screen Once in the CMA screen (above) use the buttons at the bottom to navigate through the CMA.

View Profile This will open any saved profile in a new screen where you can view the details and print the CMA. Simply choose the dot next to the profile you want to view. Create/Modify Profile Use this button to create a new CMA Profile or to modify an existing one. Choose the dot next to the empty position to create a new one or choose the dot next to the one you wish to modify.

Clear Selected Profile. Once you have used all the positions in the CMA list, you may need to delete a profile before you can create a new one. Choose the dot next to the profile you wish to delete. Generate PDF Once the CMA is in the list and you have set the display options (see later in “Viewing a CMA Property Profile” section) you can save the CMA Profile on to your computer as an Adobe Acrobat file. Upload Details This area gives you extra set up options such as Agent Photos, Agency Logos and Contact Information. This is explained later in the “CMA Property Profile Setup” section. This will bring you to the main screen of the CMA Property Profiler; the system allows the user to store five permanent Property Profile Reports at a time. The menu provides functionality to View Profile, Create/Modify Profile, Clear Selected Profiles and generates the report quickly in PDF any time you need it, You can also modify an existing report from this screen. To begin creating a report, make a selection on the page by clicking on the radio button to the left of the list number. Click on the “Create/Modify Profile” button to start creating a new property profile report.

Creating a CMA Property Profile

Report Generation Screen You will then be taken to the report generation screen where you select items for your CMA profile report

Selecting the Target Property The first step is to select a target property this is the property you wish to provide the CMA profile on.

Select a property you wish to appraise by pressing the Target Property button. Locate the property in the same manner as you would through Quick Access. When you have the full property details on the screen, select the Target Property button – The following screen captures show how this report is created. Locate the target property via the Street Name & Number search.

Note: Try entering only the first few characters of the street name or leaving the suburb blank if you are unsure of the correct address or spelling.

Select the correct street / suburb entry from the list provided, by selecting the street name.

Enter the street number of the target property and press Go to browse the properties in that street.

Select the Target Property by clicking on the target property icon to the left (or under the photo if you have selected to display the browse list with photos) of the appropriate record on the browse list.

Alternatively, a quicker way to create a CMA is to choose the “Start CMA” option at the top right corner of the screen when you are looking up the property information through Quick Access. 1. Go into the Ownership Database 2. Choose one of the Quick Access options 3. Locate the property by entering the appropriate information 4. Click on the “Start CMA” option.

Once the Target Property has been selected, this will lock it into the CMA Property Profiler system. Entering the listed sale price on this screen (optional field shown below will cause the sale price to be displayed on the CMA Property Profile Report.

Selecting a target property is now complete. You can either click “Continue” to proceed with the CMA Profile or you can choose “Upload Photo” if you do not wish to use the photo provided.

This is the name of the person that the report is being prepared for.

NB: This is a text field you can enter any item in this text field such as price ranges, auction etc.

This are is used for a description of the property.

Adding Past Sales Essentially, you are looking to build and manage a list of comparable sales. A menu is provided at the bottom of the screen that allows the user to Add to List, Remove from List & Delete List.

You can select comparable sales from the Sales Database by pressing the Past Sales button. The Sales Database contains sales records issued regularly by the state government.

Add to List There are several search options available when adding properties to a list as shown below. Select the most appropriate option for your requirements. (NB: Radius reports are recommended)

Each one of these options is the same as the Advanced Reports in the Ownership and Sales History database. For more help on how to do a report, please read the Ownership Database Manual. Choose the most appropriate way of searching by clicking the dot next to the option you want. Usually in metro areas the Street & UBD radius searches are the best.

Search by Street & Suburb (Example) The Street & Suburb search is useful for identifying and including neighbouring properties that have comparable market values or demonstrate established values for a neighbourhood. However there are other search options you may like to investigate. You will notice however that the computer will have already filled in the boxes for you, you can select these results or change them if you require, Note: Asterisk (*) is a wild-card that denotes all streets in a given suburb.(recommended)

Refine your search list by using the advanced search parameters provided such as sale price, sale date & area of land.

NB: You can select multiple land use or zoning by holding down your CTRL key and selecting multiple selections.

Hint: Only change the sale date to 6 months prior and select the same land use as the target property or the most results. Use the Sale Date, Price, Area and Land Use to refine your search. Once you have filled in any criteria you want to change click submit to do your search. Selecting Past Sales Properties A browse list will be displayed containing all properties that match your criteria. Check the box to the left of the comparable records to “tag” the appropriate properties. Press the Save Tagged Properties button on the menu bar to add them the “Past Sales List”.

Hint: You can fit six past sales to a page in the CMA Profile. A browse list will be displayed containing all properties that match your criteria. Tick the box next to the price for any property you wish to add to the CMA Profile. Once you have selected all the comparable sales, click the “Save Tagged Properties” button at the bottom of the page to save them to your CMA Profile.

Now select exit and your page will refresh

Now that you have some properties added to the Past Sales, you can use the buttons at the bottom to do;

• Add to List – Do a new search and add more past sales. • Remove from List – If you want to remove an individual property from the list. • Delete List – If you want to delete the entire list and start again. • Change Photos – If there are additional photos, you can choose which one you want to use on

the CMA. • Exit – Once your happy with your past sales click exit to continue.

Adding For Sale Records Essentially, we are looking to produce a list of comparable properties that are currently on the market for sale. A menu is provided at the bottom of the screen that allows the user to Add to List, Remove from List & Delete List.

‘For Sale’ allows us to select comparable properties, which are currently listed within our ‘For Sale’ database by pressing the For Sale button. Properties listed ‘For Sale’ demonstrate the position that the selected property holds in the current market.

Add to List Select the appropriate type of property to search for relevant to the Target Property,

Refine your search list by using the advanced search parameters provided such as price range, property type & number of bedrooms (where applicable). Selecting Properties for Sale A browse list will be displayed containing all properties from a current and comprehensive database that match your criteria. Check the box to the left of the comparable records to “tag” the appropriate properties. Press the Save Tagged Properties button on the menu bar to add them the “For Sales List”.

Market Comparisons Essentially, we are looking to produce a list of comparable properties that are currently on the market for sale or have sold this report will show you vendor or purchaser the trends for buying or selling property in the area. This report includes the first listed and last listed price of the property, days on the market, actual sales price (if sold) & the percentage of price increase or decrease from advertised price to actual sale price.

A menu is provided at the bottom of the screen that allows the user to Submit (add) this to the report.

Select the appropriate type of property type to search for relevant to the Target Property. Select add to list to add market comparisons. Hint: Start with your suburbs and 0 – 3 months, if there is not enough results click back and try 0 – 6 months Type in the suburb of your target property and choose the period, either 0 – 3 months or 0 – 6 months. Choose the property type and if you want to exclude auction sales. Now click “Submit”.

As with the other sections of the CMA Profile, put a tick in the box next the address for the ones you want to include and scroll to the bottom and click “Save Tagged Properties”.

Attach Agent Details

This is the last step of the CMA Profile. You have the ability to add agents information to the CMA Profile to personalise it for yourself. This includes your name, a photo, position, mobile number and email address.

Put a tick in the box to the left of the Agent you want to attach. You can add up to two agents to the CMA Profile. If an agent’s details are not there, then click “Add New Contact” or if the details are incorrect or incomplete then click on the agents name.

Note: Uploading agent photos are explained later in the CMA Property Profile Setup section of this document. Simply fill out the Contact Name, Position, Mobile Number Email Address and Description. The other fields are used by other features of the website and not the CMA Profile. All fields are optional, so if you do not want to put the mobile number, you do not have to. Once you have selected the agent/s you want to add to the CMA Profile click “Attach/Detach Agent to Profile”.

Viewing the CMA Property Profile Report

Once the Target Property, lists have been produced, simply press the View Profile button on the index on the bottom of the page. You can also select to download this report to PDF so you can e-mail it or you can choose to print it directly to the printer

Simply press the “View Profile” button on the bottom of the page to open the profile in a new window. Browsing the Profile Once you click the “View Profile” button, the system will gather all the information you have enter as well maps and graphs into the one Profile on the screen. Down the left hand side, there are buttons for all the different pages of the profile. In addition, at the top of the page, you have “Print this Page” which you can use to print one page at a time and “Generate PDF” which will make a file for you to save to your computer, both of these are explained further in this manual. Click on each button down the left hand side to get a preview of the information on each page.

CMA Property Profile Report

The CMA Property Profile Report combines the Past Sales, Recent Sales For Sale listings, and market comparisons. Detailed statistical and demographic information relating to the locality of the Target Property are also included in the property profile report. Each section can be viewed and printed independently from the main CMA Property Profile report screen by pressing the appropriate button on the left index. Press the print this page button to produce a printer friendly version, complete with your office details and logo featured on the page. The report section formats are described further in the remainder of this document. Note: If your logo or office details are incorrect or do not appear, contact the RP Data client support department.

Setting Display Options Here we can customise the way we want to present your CMA Property Profiler. We also have the options to include or exclude various parts of the CMA. For example, if you were to use this for an appraisal for a house that has the area size 0f 750m2 then there would be no need for the unit statistics and land statistics. So where there is a green tick present in the check boxes provided, simply uncheck this box and then click on Save Changes and then this part of the report will not show up.

You can further customise your CMA Profile by removing certain pages, sorting the lists of properties and changing the template by clicking on the “Display Options” button • Sort Recent and Past Sales by: Allows you to change how the Past Sales are ordered on the

profile.

• Sort for Sale listings by: Allows you to change how the For Sales are ordered on the profile.

• Include Property Type: Where available, will add house, unit, and vacant land etc to the front page

of the profile.

• Include Attributes: Where available will include the number of bedrooms, bathrooms etc to the

property details.

• Include Features: Where available will include year it was built, materials used etc to the property

details.

• Include Property Sales History: Will include the previous sales for this property in the profile.

• Include Agent Details: You can choose which bits of the agents information will be display from the

“Attach Agent” section.

• Include Office Details: You can choose which bits of the office details you want to include in the

header.

• Include Photos: You can choose not to put the photos on the profile to save ink in the printer.

• Pages to include in “Print All Option”: This is where you select which pages you want to include in

the final copy of the profile. Setting up your template colour options You can customise your CMA colour scheme to your office using the advanced template or alternatively use the standard template (being the colours set by RP Data) To set the standard templates simply select the standard selection in the template field To set the advanced options simply select the advanced selection in the template field and select your required colours, you now have two options you can select to use the colours provided by RP Data or alternatively use colours from a colour chart this is done by entering the required colour value Into the options (Your printer may be able to supply you with the correct colour for your office using their colour chart). Note: If a value is not included then you must add a ‘0’ e.g. RGB (Purple) 128,0,128 CMYK (Grey) 23,0,0,79

Once all changes have been made, you need to click “Save Changes” for them to take effect. The following sections explain how to print and save your finished CMA Profile. CMA Profile Setup

There is extra setup available through the “Upload Details” button. This includes uploading agent photos, logos email and website addresses.

Click on the “Upload Details” button and the following menu will appear.

Click “Upload Agent Photo” to upload a photo for a particular agent.

Note: Agent photos can be no more the 70 pixels in height and will not be available until over night. Select “Browse” and locate the image on your computer. Chose the dot next to the agent that the photo is for and click “Upload Photo”. If the agent does not appear in the list then click “Add New Contact”. Once you have added all the photos, click “Cancel” to return to the previous menu.

Click “Upload Agency Details” to upload a logo and email and website addresses.

Note: Logo has to be a GIF file and no larger than 70 pixels in height and will not be available until over night. Click “Browse” and locate your agency logo on your computer and type in your office email address and website if applicable. Once you have completed all the information on this screen click “Update Details” to submit this information. Now that the information has been saved, click “Exit” to return to the previous menu. If you want to delete an old logo or remove the current one that is displayed, click on the “Delete Logo” button.

Saving the Profile & Generating a PDF

When you save the profile, it uses the “Display Options” that you changed earlier, to save the CMA Profile to your computer.

Click the “Generate PDF” to save your CMA Profile to your computer. The CMA Profile is saved as a PDF document. Most computers are able to open this type of file. If you have trouble opening the document once you have saved it, please contact RP Data Client Support. Once you have clicked “Generate PDF” the following screen will appear.

Depending on the display options you chose earlier, the CMA Profile may take thirty seconds to five minutes to generate. Click the “Check Report” button to the right to see if the CMA Profile has finished generating. Note: The screen will NOT update automatically. Once the CMA profile has finished generating, the screen will change to the following.

To save the PDF file to your computer move the mouse over the “CMA” icon and use the right mouse button to select the icon. A menu should appear (below) and select “Save Target As”.

Once you have done that you will be asked to save the file onto your computer. It is up to you where you save it. When you have saved it to your computer, you can view, print or email the CMA Profile. Alternatively, you can left click on the “CMA” icon and it will automatically open in a new window. From here, you can save it to your computer and print.
