Thank you for entering your club youth team(s) into the Ulster Hockey Youth Leagues for the 2016-17 season. We
are extremely delighted to have the largest number of teams ever entered, and no doubt we will have further
increases come September when numbers are finalised once training has officially resumed for everyone. These
rises are unquestionably a result of the hard work that youth officers, coaches, administrators, volunteers and
parents have dedicated over the years. Ulster Hockey is indebted for all that you contribute to hockey week in
and out.
I hope this youth season can run a lot smoother and we can push Youth Hockey in Ulster on to the next level with
the introduction of some new ideas and initiatives in 2017. Ulster Hockey would like to thank each and every club
that hosted a blitz last year and worked tirelessly to make each event run as smooth as possible. Without your
continued effort and support we would not be where we are today.
This Club Host-Coordinator manual is designed to help your Club plan and successfully execute the hosting of
underage youth leagues, whether it is in the under 11 or Under 13. Throughout the guide you will see a number
of resources that should help you both in the lead-up to the event, during the day and finally post-hosting. Full
contact lists have been provided for facility venues across Ulster and youth officer details for all entered clubs,
which should be of significant value in the case of cancellation due to inclement weather conditions.
Ulster Hockey appreciates that these are financially difficult times for all clubs, therefore we encourage clubs to
maximise their hosting duty as a fundraising opportunity through the selling of tea and coffee or even the running
of a tuck shop where volunteer availability allows. Also, why not promote your club’s efforts through Twitter or
Facebook. Take pride in your hosting, make it your own and we will endeavour to retweet and share on social
media any information that is directed to us.
The manual is available on-line from our website www.ulsterhockey.com and can be easily downloaded and
printed in PDF format. It is hoped that this will be a constructive and beneficial tool for all clubs, but particularly
for those who may not have as yet hosted a youth league event previously. If you have any queries regarding

Host Coordinator(s)
Pitch Set-Up -Set up of coned pitch layouts
and goals on the pitch.
-The more people available for this role the quicker it will be
completed.
-No hockey expertise is required, therefore parents can be very valuable helpers in this role.
Registration -Recording of team arrivals at
the venue.
-Notify overall coordinator which teams have not arrived
within ample period of the start time.
-Make teams aware of teh location of each pitch in
accordance with the fixtures that have been issued.
Central Time Keeper
-Start and stop time inline with the allocated fixture timeslots.
-Monitor time passed using a stopwatch.
-Signal the start and end of matches through the use of a
hooter or long blacst of a whistle.
Fixture Announcer
-Announce the next set of fixtures highlighting the pitch allocation
for each. Use a mega/microphone if available.
-Warn teams that are repeatedly being slow that the hooter will
start without them.
Tea/Coffee/
Tuck Shop -Prepare, manage and sell
refreshments throughout the day as a means of fundraising for the
club.
-Recruit futher volunteers from clubs if necessary during busy
periods.
When hosting a youth league event each coordinating club should allocate volunteers to the necessary roles listed
below.
Host-Coordinator: An overall Host Coordinator should be nominated to oversee the running of the event and
delegate the required duties. The coordinator should brief all volunteers prior to the event, detailing what each
individual will be responsible for – this can be done through an informal chat or through email/text
communication. Visiting teams should notify the host coordinator of their attendance. If they are unable to
attend for any reason then the coordinator should amend the fixtures appropriately. All queries that may arise on
the day should be directed to the host-coordinator who has the overall authority of how the event is delivered.
Following the event, the host coordinator should contact UHU Participation Officer to update how the event
went.

**Please note it is recommended that each team participating has opportunity to play in at least 4 games over a
period of two hours. If your session is running over 2 hours then the number of games played should be reduced.
For example: U11s held between 11:30 – 13:30 and U13s held between 14:00 – 16:00, allowing for 30 minutes of
warm-up time for all teams before each session.

In order for the tournament day to start and finish on time it is vital that you strictly manage the timings of each
of the matches and rest periods. Youth league matches are played with multiple teams, therefore it is important
that once a match has finished the teams quickly leave the pitch for the next teams to get ready to play, a 3
minute turnaround is usually given between U13 and U11 games. A timeslot of 1 hour and 10 minutes will be
allocated for U15 girls games to allow for warm up, a game of 25 minutes each way and half time.
When hosting, you must be strict with teams that are consistently being slow and preventing the hooter from
being signalled on time. If necessary provide warnings through the megaphone or start the hooter/time without
the team if they are persistent offenders. It is hoped by achieving this all players, coaches, parents and hosts will
have an enjoyable day, benefitting from good quality match time and finishing up within a reasonable hour.
The following time lengths for matches should be carefully adhered to when hosting your tournament.

Please note, if your tournament is running behind schedule then it is advised to reduce both match length and
turnaround time by one minute.
Cancellation due to weather:
Postponements and/or rescheduling of Youth League games due to inclement weather may be made in order to
protect the safety of the participants. Decisions concerning game changes due to weather will be made as soon as
possible on the morning of the scheduled youth league by the host coordinator. Games that are cancelled due to
inclement weather may not be rescheduled due to facility constraints.
A host coordinator should complete the following if extreme weather is experienced:
1. Monitor weather forecasts on the Saturday prior to your hosting. Be prepared for predicted bad weather.
2. Send a warning to youth officers due to attend your area to be on stand-by and provide an estimated
time that a call will be made as to whether the event will be cancelled.
3. Contact the facility provider on Sunday morning for pitch status.
4. Visit the facility if feasibly possible (particularly in flooding, ice, snow conditions).
5. Make decision of cancellation in consultation with the facility provider.
6. Contact all youth officers that were due to attend, either by text or phone and ask for confirmation
message in receipt of your text if appropriate.
7. Individual youth officers are responsible for contacting their own players to communicate cancellation.
8. Notify Ulster Hockey staff – Andrew Brown - of cancellation. Ulster Hockey will issue a confirmation text
to all affected youth officers upon notification from the host coordinator.
Unable to fulfil a fixture:
If your club is unable to fulfil a fixture you should inform the regional co-ordinator / host club immediately.
All club cancellation notifications should be provided no later than the Friday of the week previous to the fixture
meeting to allow for alternative arrangements to be made.
e.g.
Andrew Brown should also be contacted to provide verbal notification of changes.

Upon completion of the event it is recommended that you make contact with the Youth Development Officer on
the Monday after the youth league. This is to ensure that Ulster Hockey is aware of how the day went, particularly
if you did not get an opportunity to speak to a member of UH staff at your venue. Communication with staff does
not have to be a phone call or a long email but a short text message will often suffice if there are no major issues
to report.
If you do have any complaints or grievances on issues such as rules, repeated misconduct, venue facilities, etc,
then these should be directed to the youth officer and not the host-coordinator on the day. Only complaints
received from club youth officers will be accepted by the Youth Development Officer. Again, we would urge clubs
to communicate via phone, email or at the mid-year consultation in order to voice their concerns in order to help
Ulster Hockey improve the youth leagues for all participants and coaches.
Also, why not utilise your hosting duties as a PR opportunity to increase the profile of your club and advertise
your affiliated sponsors. Take pride in your event, submit a report to your local paper, update your Facebook
status and promote on Twitter. This could be an excellent means of attracting new members or volunteers to
your club and make the local community aware of the services you provide. Furthermore, we encourage clubs to
direct tweets and pictures detailing your tournament towards @UlsterHockey and we will endeavour to retweet
them.
