1.0 Backup Utility Introduction: The Backup Utility will automatically create backups of your database structure and files on a regular basis. It is automated to run every 24 hours. It stores the data in an online account, called CloudView, that you can access from anywhere you have the Internet. Additionally, in the event of a catastrophic failure of your data, you can restore your backed-up files with little to no interruption or loss to your business.

To access the backup settings, go to the Administration Tab and click on the Backup Icon.

The CloudView Backup Window will appear. To connect to CloudView, enter your username and password in the CloudView Login Tab. Click Connect.

The Settings Tab allows you to tell the system when you want it to back up your database files. You can choose what time of day you want the backup to run. Your databases backup will occur every 24 hours from the time specified in the date box. Your files will be backed up in real time. You can also choose to back up your databases and files or just your databases. It is highly recommended that you back up both your databases and files to ensure complete coverage. Click Start Backup to do an initial backup of your databases and to add all of your cabinets, drawers, folders, and files into the backup queue.

You can also make the system back up your databases immediately at any time, by clicking Back Up Databases Now.

You will see a message that asks you if you want to purge the information from your CloudView account. If you ever disconnect your account, you will lose the connections that are needed between your databases and your files. It will have to re-establish these links every time you reconnect, so you will get duplicate cabinets in your CloudView account. Purging your account is the only way to eliminate duplicates. Click Yes or No.

The next message informs you that any items that are left over from a previous connection will be removed from the backup queue. Click OK.

This screen will display while your databases are being backed up and your cabinets, drawers, folders, and files are being added to the backup queue. This may take several minutes, depending on the size of your data.

The Status Tab shows the date and time of the last successful backup of the databases, any items that are still in the queue to be uploaded to the backup site, and an option to view the history of all backup activities. Any files that are added, modified, or deleted in eFileCabinet will be added to this queue with the appropriate action to ensure that the data in your CloudView account is current. If you encounter any errors in the upload, you can click on the item to see what the issue is. Once that has been resolved, click the Retry All button to resend the failed files.

You can watch the progress of the queue by clicking on the Refresh button.

When all files are up to date, there will be no items listed in the Backup Queue.

To view the database backup history, uploaded content, or current stats, click Backup History in the Status Tab.

The Status Tab will change to reveal this information.

2.0 CloudView Introduction: The backed-up data is saved in your eFileCabinet CloudView account. You can see your databases in the DB folder, and your cabinets and associated items will be backed up to corresponding cabinets.

To access your account, go to http://online.efilecabinet.com in your preferred browser. Enter your CloudView login credentials, and click Log in to eFileCabinet.

The first time you log in to your account, you will be shown the Terms of Service for eFileCabinet. Please review these, click the I ACCEPT THE TERMS checkbox, and then click Continue.

You will be prompted to enter a Security Question to help identify you in the event you forget your password. You can choose a predefined question from the dropdown list, or you can choose your own. Enter the information, then click Save.

From the Welcome Screen, click on the small cabinet icon at the bottom left to see your cabinets.

Your backed-up cabinets will be shown in the pane on the left. The cabinet structure is similar to what is in eFileCabinet. The cabinets, drawers, and folders listed correspond to your cabinets and other items in eFileCabinet. There is also a new cabinet called DB.

You can preview files by navigating or searching for the file and then clicking on it. The preview will display in the pane on the right.

You can download individual files by clicking on the Download Icon from the Home Tab. Files will be downloaded to your browser’s default download location.

In addition to accessing your CloudView account via the Internet, you can download the mobile app for eFileCabinet Online and view your information on the go.

3.0 Restore Introduction: In the event of a catastrophic failure, you can restore your lost data from your CloudView backups. It is recommended that you contact eFileCabinet’s Support team at 877-574-5505 for assistance; however, the following steps may be taken by an experienced IT professional to complete the restore.

You will need to stop your eFileCabinet Server to prevent any interruptions during the restore process. In the System Tray of the computer you have the Server installed on, right-click on the eFileCabinet Server icon.

Click Stop.

It is best to restore from a clean data system. Open My Computer or Windows Explorer. If you have saved your eFileCabinet program data in the default locations, navigate to: C:\ProgramData\eFileCabinet\ You will see a folder named “5.” Note: ProgramData is a hidden folder by default. If you cannot see it, change your Windows preferences to show hidden files.

Right-click on the 5 folder to rename it. You may call it any new name you would like. This may require administrator permission to complete. Note: if you are using an SQL Server database, at this point it is recommended that you also delete your eFileCabinet database through your SQL manager and recreate a blank one with the same name.

Next run eFileCabinet’s Server Wizard. By default, it is located at: C:\Program Files (x86)\eFileCabinet 5\Server Launch the efcServerWizard.exe.

Click the Restore From Backup button.

Enter in the CloudView account login credentials that you used to connect the backup initiially. Click Begin Restore.

It will list the dates of the 5 most recent database backups. The more recent the date is, the more accurate your restore will be. Click on the date you want your databaes to restore to.

It will automatically begin the restore process by downloading the databases and then importing them back into eFileCabinet. You can see the progress in the Status column. Please be patient and wait during this process.

When it is completed, you will see a pop up message that lets you know the restore is complete. Please keep in mind that your files will be downloaded and restored over time. This is dependent on your internet connection speed. Click OK.

Your eFileCabinet Server will automatically be started. All of the databases have been restored, except for the ClientSettings. This means that you will need to run the eFileCabinet Client as an administrator.

You can see your restored cabinets, drawers, and folders as soon as you log in.

To view status of your files, go back to the Backup Icon from the Administration Tab. This will show your files in the backup queue that are ready to be downloaded. Once a file is downloaded, you can treat it normally. Note: If a file was changed after the databases were backed up, that file will be stored in CloudView, but it will not automatically download into eFileCabinet as part of the restore process. You can download those files from CloudView and manually put them back into eFileCabinet.
