Today’s Agenda
Cloud ProgramEnd of PY18 Update and PY19 Planning2
Feedback and DiscussionMeeting Wrap-Up3
Cloud Adoption is a top priority for University IT because of its broad reach and campus-wide impact.
As UIT tackles cloud, we are learning how Stanford integrates new technology and delivers tools to improve how faculty, students, and staff do their Stanford work.
Reminder | Overall UIT Cloud Program Goals (through 2019)
Goal 5: Reduce UIT computing footprint on campus 50%
Goal 1: Perform cloud governance and portfolio management
Goal 3: Integrate cloud systems, processes, and services
Goal 2: Define organizational development program
Goal 6: Exit Livermore disaster recovery site
Goal 4: Run mission critical services in the cloud
Cloud Program | Status at the End of the PY 2018 Performance Year

Footprint Reduction
Technology Portfolio
Perform cloud governance and portfolio managementPublished cloud reference materials for internal / external use
Provided data to OCIO for PY19 priority-setting based on service owner roadmaps, client satisfaction survey, cloud champion recommendations
Acquired and implemented a cloud analysis tool (SkyHigh)
Proposed SaaS Campus Cloud Enablement team; will receive funding for two positions on 9/1/18
GOAL1
Technology Portfolio
Integration of cloud systems, processes, and servicesCompleted requirements gathering and rolled out a portion of the AWS/GCP billing and provisioning process.
Negotiated BAA terms; now being finalized with AWS
GOAL 3
Run mission-critical services in the cloudApproach to aggregated log & monitoring has OCIO support and is well underway (starting with cloud services)
Documented cloud network use cases and policies
IdP, Kerberos, Directory (LDAP), Puppet infrastructure on AWS
Acquired a campus-wide agreement with a cloud-based vendor, Acquia, and started migration activities
Designed architecture for AD in AWS and began testingGO

Kicked off discovery for network address and DNS management in the cloud with Networking team
Cloud Transformation Site Resources for UIT and the campus community
Organizational Readiness
Define organizational development program
Addressed new cloud roles for UIT: Created three new cloud-specific job descriptions (currently with HR for review)
Rolled out UIT communication channels and forums:● Created Cloud Champions group in August 2017; held
monthly meetings ● Hosted two rounds of roadshows with the Executive
Sponsors
AWS cloud simulation exercise held for UIT senior staff to provide context and help understand prioritization and tradeoffs
Began building greater Stanford-wide awareness: Presented overview of UIT Cloud Transformation program to faculty senate sub-committee on computing (C-ACIS)
Set up Cloud Academy licenses for 56 UIT staff, providing unlimited online cloud coursework and certification.
Organized and delivered 77 hours of AWS training, including two AWS Essentials sessions and two advanced 3-day workshops.
GOAL2
Footprint Reduction
Reduce UIT computing footprint on campus 50%With Finance, Vendor Management and Hosting Services, implemented hardware review process in UIT. To continue progress toward this goal, we have an online form to be used when requesting new physical servers in Forsythe data center or one of the other on-campus locations.
GOAL 5
Exit Livermore disaster recovery siteFinalized a template for a service exit plan that can be used for Livermore services
GOAL6
Change management will be a dominant themeProductivity impacts may be expected as UIT move to SRWC advances
Planning Context for PY2019
Likely impact from major planning initiatives Long Range Planning outcomes and Stanford Medicine IT review may yield intra-year projects
New very large programs will stretch capacityThe ADAPT, File Storage Security, and SRWC programs will substantially impact all of UIT

Proposed Goal
● Define roles and responsibilities by July 2018; and fill 2 FTE cloud positions using FY 2019 base funding by September 2018
● Create document for Business Partners to communicate and share the new service by July 2018; start communicating with clients by August 2018
● Partner with FMS to expand current SaaS vendors by July 2018
● Complete procurement steps we need to flag/block SaaS purchases by July 2018
● Create process to capture metrics 1 by August 2018
● Create talent development options in this space by August 2018
● Go live with new service by September 2018

AL2PY19 Program Focus on completing automation of provisioning/billing for AWS and GCP• Original goal: reduce manual billing. By 4/30/18, automate account
provisioning and billing for primary IaaS vendors (AWS/GCP)• To date: the SNow project has implemented:
– Partial AWS ordering automation for UIT only– GCP billing automation is due for May billing
• Still to be completed from original scope:– GCP project creation automation– AWS billing automation– AWS ordering for campus community (currently UIT only)– Integrations with workgroup and PTA validation
