REGION 23 AUDITION INFORMATION JH Region Auditions: JH Etudes and Excerpt packets are available at the Fall Region Meeting. Send all questions for Junior High errata to the Junior High Coordinator.

Cuts from the All-State etudes chosen for HS Region auditions Auditions must follow the indicated tempo markings from the TMEA website Observe all audition errata as outlined on the TMEA website: www.tmea.org The website is the only source for bowing changes and errata for High School Audition Music Pianists are repertoire dependent and in some years, one may be auditioning for a patch only.

Students can only audition on one instrument to region. Students must choose between auditioning on piano or any other instrument. Student Elimination: “Once a student enters the TMEA audition process s/he may be eliminated only by either: (1) the audition processes itself or (2) the TMEA Appeals process (3) the student’s director for any reason.”

PLEASE Encourage students not to take SAT on November 1, 2008

ALL-STATE AUDITION INFORMATION In order for a student to audition for all-state they must have auditioned at the Region level. Students accepted into All-State and that qualified for the Region Orchestra must have proof of their participation in the region concert in order to participate in All-State (i.e. concert program, patch). ***All-State Excerpt Cut Information*** ● All information pertaining to the Area Audition will be announced on the TMEA website Friday, October 31, 2008 after 2:00 pm CDT. ● This information will include: 1. The recording order. 2. All etude and all repertoire excerpts. ● Obtaining copies of the All-State audition excerpts: 1. log onto www.tmea.org 2. Click on “Divisions”, then “Orchestra”, and “All-State Audition Material.” 3. Click to download the PDF files of the excerpts to be printed on your computer. ● It is your responsibility, as Director, to ensure your students’ knowledge of the music order for the area audition and the all-state recording.

All Students must have a current photo ID to record for All-State. Recording Format All recordings will be done on Compact Disc. Fees $15.00 (Cash Only) $10.00 fee for state audition CD. $5.00 Region Recording Fee. This fee is paid only when a student advances from the audition and records for the All-State Round.

10 Audition Scenarios: 1. No Audition Needed Recording will begin at 10:00am only if there are fewer students auditioning than what Region 23 is allowed to send to the All-State Audition Rounds. 2. Area Audition Needed An Area audition is required when there are more students enrolled for an audition than what Region 23 can send. This audition determines which students from Region 23 advance to the All-State Audition Rounds. This audition will begin at 10:00 and will continue until all performers have been heard. Students who advance will begin recording in the order in which they were ranked from the Area Round. All students must report by 8:30 am Late arriving students will not audition. No exceptions. Miscellaneous: UIL MAC Update The following items were discussed at the annual UIL Music Advisory Committee meeting held on July 30, 2008. 1. 3A and 4A schools whose athletics were elevated to a high classification may choose to remain at the school’s original classification in regards to fine arts UIL activities. 2. A judge selected from the Recommended List of Approved Judges shall be designated chair of the adjudication panel for all middle school contests as well as high school contests. 3. State Solo and Ensemble Contests in multiple sites around the state. 4. Students who do not perform his/her solo in its entirety as designated in the Prescribed Music List should be disqualified. 5. If a school is unable to compete in its region Solo and Ensemble Contest due to a school related conflict, the director should be able to petition another region contest provided that both executive secretaries agree to the transfer. 6. Once a selection is added to the PML it should remain on the list. 7. Allow groups below a sub non varsity level an extra minute in the sight reading room. 8. Pianists who perform on stage during orchestra Concert and Sight Reading Contest should not be expected to participate in Sight-reading unless there is a specific piano part included in the sight reading selection. Outcome: Issues 1, 2, 4 and 8 passed to the Superintendant’s Committee. Issues 5, 6 and 7 failed to pass to the next high committee. Issue 3 narrowly passed in band, unanimously passed in orchestra, and failed in the choir divisions. This topic will return for further discussion.

Region Policies Regarding Orchestra Director Participation: TMEA Region 23 Orchestra Division Policy states that all Directors are required to assist with auditions for both the High School and Middle School Levels. This policy is for all Region Auditions, Area Auditions, and High School or Junior High ChairAuditions. Furthermore, directors that have students auditioning for Region / All-State must be present throughout the duration of the last audition and the last protest period of the audition day. Directors without auditioning students may not leave the audition site until results are final as declared by the Region Chair. Directors will not accept outside performing jobs (“gigs”) on the days of audition or the clinic / rehearsal. Directors with students auditioning must attend all auditions and rehearsals. It is not ethically acceptable to have students participating in the TMEA process without the director present. Directors not adhering to these guidelines as stated will receive a written reprimand to their school principal and the Fine Arts Supervisor for the School District. Furthermore, the name will be given to the TMEA Orchestra Division Vice President for any further disciplinary action. Regarding Region Clinic and Concert: Every Director is required to assist with the smooth operation of the Clinic and assisting the host (s) site (s) with cleaning and moving equipment after the Region 23 Concert.

Region Entry Instructions There will be three contests that have the word orchestra in them. Ignore the one labeled Orchestra-wind, brass, percussion, unless you are directly responsible for entering those students into that contest. The two contests you should be concerned about are: High School Orchestra -- (for Region & All-State) Middle S. / Junior H. Orchestra – (for middle school & junior high directors) The following are some helpful guidelines for you as you enter your students.

1. Whatever it takes--- DO NOT LEAVE OUT ANY STUDENTS 2. Familiarize yourself with all materials pertaining to the auditions that were included in the

handbook. 3. Enter violinists as violin not violin 1 or violin 2. 4. Please double check that everything you entered saved onto the website. That means log onto your

account and check that everything is there before the deadline has passed. Also, please don’t enter everything in one day. The more often you see the information the better the chances that everything is there and it is all correct.

5. Triple check your entries before you finalize them. 6. DO NOT LEAVE ANY FIELDS BLANK. 7. You, the director, are responsible for informing your students of the rules, expectations, and

eligibility requirements of entering the region/all-state audition process. This acknowledgement is certified by your signature on the entry page of the TMEA entry coversheet.

8. Every student entered via the website should have signed their contract.

a. Students should complete the contract (hopefully copy the important dates on the contract) and return this to you by your entry deadline.

b. Sort by instrument and alphabetize by last name and hold onto them at the Region Audition after the final audition results are official and posted.

9. Please include payment with your entry materials or PO Request so that Greg understands that the

actual check is coming. 10. Refer to the handbook, the web site or the August issue of Southwestern Musician for instructions

on inputting students. 11. The mailing address, fees, and all other entry materials are included in this handbook.

15Region 23 Code of Conduct for all students

Participating in Music Activities To provide for an appropriate educational environment and positive experience for participants in Region 23 Music Activities, the directors of the region adopt the following:

1. All directors who have students competing or observing music activities in Region 23 are to be

directly responsible for the conduct of their students. The director may provide additional teachers and chaperones to assist the director in supervising students.

2. No proxies will be accepted for directors missing region auditions or region clinic and concert. All directors assigned to judge/monitor a TMEA Region event, are expected to attend and fulfill their duty or risk a reprimand not to exceed those listed in the TMEA by-laws.

3. No student shall interfere with another audition or prohibit any student from performing at the best of their individual ability.

4. If accepted into the region orchestra, the student is expected to fulfill their obligations of attending all rehearsals and sectionals and carry the honor of performing in the region concert at the conclusion of the region clinic.

5. Students not fulfilling their obligations and privileges may be removed from all additional TMEA auditions as outlined in the Appeals Process.

6. All schools with students competing in music activities are held responsible and liable for any and all damages that may occur at the contest site.

7. Students identified in acts of vandalism or other inappropriate behavior will be removed from the site and may suffer any of the following consequences upon identification of the guilty party:

a. Details of the infraction will be sent to: 1. Guilty party’s director (s) 2. School principal for which the guilty party attends

b. Should monetary damages be involved, an invoice will be sent to those parties listed immediately above with the expectation that such damages will be paid.

c. Any further consequences as outlined in the TMEA Audition appeals process and/or the UIL Constitution as deemed necessary by the Region Chair, host, and Executive Committee of Region 23.

8. It is the responsibility of all individual directors in Region 23 to notify their students of these policies and penalties in advance of each contest.

9. All directors will assist with cleaning after the Region clinic/concert site (s).

MEMBER DUTIES Region Chairman: Brett Nelsen

• Collect all applications and fees for TMEA Entries. • Communicate with HS Band Region Chair to organize orchestra wind auditions. • Procure wind personnel list after final auditions and forward to program and orchestra organizers. • Prepare and provide a schedule for All-Region rehearsals and sectionals to the ensemble

organizers, the site hosts, and all of the directors in the region. • Lead meetings, distribute and gather information, and mediate all discussions from Region

Membership. • Assign committees and committee chairs to discuss issues important to the Region. • Determine UIL and TMEA dates with other Region Officers. • Contract UIL judges (with Region UIL Executive Secretary) for contest. • Arrange sites for all TMEA and UIL activities. • Chair Audition Site Committee: ensures that all audition sites meet the minimum expectations of

hosting auditions including room assignments on campus appropriate to the instruments, director’s lounge, tabulations, and reporting rooms.

• Oversees tabulations room and verifies audition before directors are given results. • Represents Region to TMEA Orchestra Division Vice President and UIL Music Advisory Council at

TODA. • Makes all final decisions at Region/ Area Auditions.

Region 23 Orchestra Audition Host Checklist

1. Clear the use of the school with principal. This must be done as soon as possible at the beginning of the summer or the school year.

2. You have a budget of $150.00 per day for food arrangements.

3. Provide maps to school and floor plan of school to Region Chair one prior to the auditions. So Region chair can distribute information to the rest of the region.

4. Clear use of rooms with individual teachers and arrange for custodians to clean bathrooms,

commons, and other areas being used. Host must arrange for air conditioning, and possibly security. This should be finalized 2 weeks ahead of the event.

5. Make arrangements for food, drinks and snacks for the judges, monitors, and other directors.

The region has several boxes of sheets and clothespins for screens. Signs to direct traffic to the audition rooms and a copy of the interior map of the school should be sent to region chair 2 weeks prior to the audition.

6. The Region chair should have the following information 2 weeks prior to the event:

a. Map to host school including 1. Bus parking 2. Student pick up and drop off 3. Concession stand for students 4. Any additional information pertaining to access those areas of the school being used for the audition

b. Interior map of host school so kids know where to go upon arrival c. List of rooms being used d. Schedule of breaks and lunches for those students auditioning and have food available

to those kids.

7. The day prior to auditions: a. Make diagrams of each room set up to return it to its original position after auditions. b. Set up rooms for auditions with screens, desks, tables for judges, chairs, stools, stands

for the students. c. Have and post signs, maps, floor plan of school with rooms highlighted d. Tables and signs posted in Registration area e. Tables, available outlets, stapler and tape and copier available for use in tabulations

area.

8. The day of auditions: a. Have drinks, food, and snacks for judges and teachers

i. Breakfeast items for morning meeting ii. Lunch items for the middle and late in the day.

b. Any area with results should stay private from any parents.

Region Hosting Needs Tabulations Room This needs to be an out of the way large room where those conducting tabulations can work usually the teacher’s lounge where parents are not allowed. Jennifer needs three tables to hook up the network to conduct tabulations. I need access to a copier. We have posted results for the directors on the walls. Parents are not allowed in this room. Directors Lounge We need an area to host the directors and have our morning meeting. Please have tables in this area, as lunch and other meals will be served here. Some parent clubs have gone all out on decorations, candles, fresh lox for bagels, homemade casseroles or catered lasagna lunches. Others have provided just peanut butter and jelly sandwiches. Somewhere between the two extremes would be appreciated. Parents have provided breakfast, a lunch, and afternoon snacks. Please have coolers filled with bottled water, and soft drinks. Also, please have coffee brewing throughout the day. The violin panels run late, and they may want parents to bring food to them as they judge. Snack Bar This works best when you bring the food to the kids in the audition rooms. The students report directly to the audition rooms and really aren’t allowed out to eat lunch. We’ve had great success putting their snack bar onto Red Radio Flyer wagons and delivering snacks to the kids. It is very successful. You can have a main snack bar in the holding area for the students. Commons Reserve a holding area for students and parents immediately before and after auditions. Designate an area for official posting of results. Be sure that I can easily access the area and prevent, to the best of our ability, a mob forming around the posting area. Audition rooms No rooms should be next to one another. If possible, keep the same instrument in the same area or hallway; a violin area, viola area, cello area, etc. The size of the room needs to fit the needs of the auditioning instrument. Avoid outside windows, mirrors, or unmovable furniture. There must be room for a five member adult panel to set up and take notes comfortably. Also, adequate space must be provided for kids to perform their audition. Kids need help directing traffic to the audition rooms. Parents in Booster Club What a great resource. Use the parents to patrol hallways, baby sit rooms that are not auditioning and serving food in the director’s lounge. Under no circumstances should parents be in the tabulation room. We also want to protect parents from watching the raw scores and other sensitive information.

25Region 23 Orchestra Audition Procedure

1. Students arrive at audition site and report directly to rooms. An alpha list by room will be posted. 2. Students are assigned an audition number. 3. Audition Registration closes and all unclaimed audition numbers are turned into the tabulations

chair as DNA’s unless the region chair states otherwise. 4. Panel monitors pick up a copy of alphabetical list of students in room and audition roll call per

room and waits for judging panel outside of assigned room. 5. Room monitors ensure room is ready for the audition, screen, “hot seat”, two “on deck” chairs and

that students have situated themselves in the room in some random order. STUDENTS ARE NOT TO PRACTICE. See step 15 for acceptable activities.

6. Room monitor takes final attendance and collects any and all cell phones, personal computers, and PDA’s. Room monitor allows students to tune. Judges inform panel monitor of cuts and the audition order—which goes first and who is last in that room.

7. Panel monitor double checks tuning and informs room of cuts and audition order and informs the judging panel that they may enter the room. Finally, the room monitor leaves and the Panel monitor takes over instructing students in the audition order and audition protocol.

a. No talking b. No practicing c. No one is allowed to leave the room while the judging panel is present d. Only the monitor may talk to the judging panel e. The monitor may tune the instrument. f. No audible metronomes g. THE MONITOR INSTRUCTS STEPS 8 THROUGH 11

8. Panel monitor Calls out the first audition number and the next two numbers. a. First number goes to the hot seat. b. Next two numbers are on deck.

9. When all students are in the correct place, the monitor will call out the current audition number. 10. The panel chair repeats the audition number indicating that the panel is ready to hear the auditions.

The student begins audition. 11. After the first student is done and leaves the “hot seat”, the monitor announces the next person to

audition and calls for a new person to come to the “on deck” area. 12. Judges make comments and rank each audition from strongest to weakest with stronger performers

receiving the higher score. 13. Repeat steps 9 through 12 until the room has completed the audition. 14. Judges break all ties as auditions are placed on TMEA form #2. 15. If the room waiting for another round in which to play, the judging panel immediately leaves for

the next audition room and repeats steps 7 through 14 until the audition is completed. The room monitor reenters the room and observes the following:

a. No practicing b. No talking c. Students may read, do homework, play video games, listen to personal stereos d. No computers, cell phones, or PDA’s at any time during the audition. e. Student may leave for the designated restroom one at a time. f. Students may eat lunch, snack during this time only.

16. If the room has finished all rounds of the audition, then the students are to pack up their personal belongings and leave to the designated waiting area QUIETLY. The judging panel may stay in this final room to independently deliberate their scores and rankings onto Form #2. JUDGES ARE RESPONSIBLE FOR BREAKING ALL TIES.

17. Panel monitor returns any and all cell phones, personal computers, and PDA’s and informs the panel chair that all students are clear.

2618. The Panel Chair will ensure that each panel member has double checked their work and initialed

such at the top of page one of form one. 19. Judges will turn in all papers to the Panel Chair. Panel chair will deliver information to the

tabulations room. 20. Judges wait until results are official before they are dismissed for the day. 21. Students will remain in the waiting area for results to be official and posted. They may leave the

audition site under the directions of their individual teacher as long as such instructions do not interfere with the current audition under way. In the case of Area auditions, students are instructed to remain on campus until the auditions are final.

Area Audition only

22. Students advancing to area are to report back to registration, pay their fee and receive further instructions.

23. Students wait for their instrument and their number to be called before reporting to the recording room.

24. Student enters recording room, checks tuning, and is allowed to warm-up until the engineer is ready. The student may take a brief pause to reset pages, etc. between each excerpt.

25. Recording Engineer announces audition and student performs audition. 26. Recording Engineer verifies that audition recorded onto Compact Disc format. 27. Recorded CD is given to verification committee for immediate playback confirming that audition

recorded on all tracks. 28. CD’s are packed by instrument and in sequential order for shipment to TMEA Headquarters in

Austin, TX.

Region 23 Orchestra Judges’ Instructions & Rules

Rules

• All judging panels will consist of five members. Per TMEA rules, no fewer than three members of this panel shall be members of TMEA. Per region rules, no fewer than three member of the panel shall be primary performers of the judged instrument for that level.

• All judges must break all ties and clearly rank students from strongest to weakest using a consistent ranking system used to judge all criteria of a student’s performance.

• Judges will verify audition sheets for accuracy by exchanging the completed forms and initial the top of the first sheet as an indication that totals have been doubled checked.

• All panel members must remain at the contest site until the results of their audition are made final by the region chair.

• The panel chair may make take appropriate breaks during the audition and handle any emergency situation, such as illness, that may arise.

Instructions

1. Judges will select a portion of each etude or excerpt to be heard for the audition. The selected cuts

will be a representative sample of the announced audition material. 2. Judges will not observe the students auditioning at any time during the audition process. 3. Judges will not communicate with any student during the audition process and all communication

between the panel and the students must be done through the audition monitor. 4. No Judge shall tune a student’s instrument after the audition has begun. Only a room monitor will

tune an instrument during or just prior to the student’s audition. 5. Allow a one (1) minute break for every 18 students or 50% of the total number of students

whichever is greater. Students may warm up during this break. 6. Students will be graded on a point scale for each selection with the highest scores given to the

better players. Judges may elect to use their individual system to determine their ranking as long as their individual system does not create an abundance of ties through the audition.

7. Judges will take notes to maintain consistency through the entire audition---the purpose of the audition is to rank each and every student from strongest to weakest.

8. Judges will penalize a student if tempo markings are not observed and/ or such tempo is too fast or too slow.

9. Judges will use TMEA Form #2 to keep track of scores and thus avoid all ties. 10. Panel chair will collect all the sheets from their panel and deliver them to the tabulations chair. 11. All panel members must remain at the contest site until the results of their audition are made final

by the region chair. Audition Order

First Round (selection) The panel will hear students auditioning in numerical order starting from number 1. Second Round (selection) The panel will hear students auditioning from the middle to the last and then from the first to the middle. If multiple rooms are used by two judging panels: Panel 1: Begin with room A (students audition from lowest number to highest in each room) Panel 2: Begin with middle room then go to last room and then first room to middle (students audition from the middle number to the highest number then lowest to middle number)

Region 23 Orchestra Monitors Rules and Instructions

Rules

• The audition room shall have space for a single audition area and room for two “on deck” chairs. The “on deck” chairs will be used to seat students who will be immediately following the current audition.

• There will be a screen to separate the judging panel from the auditioning students. • There are no reflections that would allow for the potential for a judge to observe any student either

by moving to/from the audition chair or directly observing the audition. • The students will be seated in a random order while waiting to be called to the “on deck” area. • Students are not to arrive to the audition room after registration has ended unless the region

chairman approves them. • Students stay in the audition room until the audition is completed. • No parents or guardians are allowed in the student’s assigned audition room at any time during the

audition process. • Under no circumstances are audition numbers to be switched between students. • Under no circumstances is an audible metronome allowed. • The monitor will be the sole means of communicating information from the panel to the students

and vice versa. Students are not allowed to talk out loud to one another while the judging panel is in the room.

Instructions

1. The monitor should have two copies of the audition list for your room. (i. Alphabetical by audition number and ii. by audition number order. The monitor should not allow any student to enter the room after registration has closed.

2. Students should be assembled in the audition room. The monitor ensures that letter jackets or other school identifying clothing are removed. The students are seated in random order.

3. The monitor ensures that students understand where the audition takes place by indicating the “hot seat” and the “on deck” chairs.

4. No student should leave the audition room during the actual audition. Students may take a break only when the judging panel takes a break. In the event of multiple rooms for an instrument, only one student at a time may use the restroom, but again not at all if the judging panel is present inside that audition room. IF AN EMERGENCY SITUATION ARISES, NOTIFY THE PANEL CHAIR IMMEDIATELY. THE PANEL CHAIR WILL DETERMINE WHAT COURSE OF ACTION MAY BE TAKEN. Situations may include but not limited to: illness, fire alarms, student leaving audition room before official end of audition, parent entering room, etc.

5. The monitor will obtain the audition excerpts and the actual order of the audition (who plays first who plays last) from the panel chair and announce that information to the students.

6. The monitor may supervise students while they are waiting for the judging panel. Students may read, study, play personal video games, or listen to portable stereo devices. They may not at any time use a cell phone, personal computer, or PDA.

7. Students are not allowed to practice after the audition has begun. 8. Allow a one (1) minute break for every 18 students or 50% of the total number of students

whichever is greater. Students may warm up during this break. 9. Repeat the above steps until all judging panels have heard their respective selections. 10. The students may be dismissed from the audition room only after all the judging panels have heard

the selections. 11. Do Not distribute tokes to students after their audition.

Region 23 Orchestra Registration Desk Instructions

• Students are to check in by instrument and alphabetical order by last name. • Students receive an assigned audition number and given their audition room. • The Region Chair announces when students are to go to their audition rooms. • Registration is closed when the Region Chair announces when students are to go to their audition

rooms. All unregistered students are reclassified as DNA’s and turned into the computer room. • For Area Auditions: Students are to pay their area taping fee and receive further instructions.

Envelope Stuffing Instructions Under separate cover, our computer tabulations chair is forwarding the paperwork we generated over the weekend for this Saturday’s auditions. I need you to do the following:

Judges Envelopes: 1. Make copies of the form 1s and stuff into the appropriate envelope. 2. Insert copies of the form 2s and stuff into all the judges’ envelopes 3. Insert a copy of the judges instructions from the Region Handbook you got in August. 4. Insert copies of those etudes into the appropriate envelope. Mark the excerpts from which the

judges will hear the auditions. 5. Sharpen all the pencils and put two per envelope. Buy extra pencils.

Panel Monitors Envelopes

1. Insert the monitor call sheets and stuff those into the appropriate envelope. One envelope per panel and they should be labeled

2. Two sharpened pencils. 3. Insert a copy of the Monitors instructions from the Region Handbook you got in August.

Room Monitors

1. Each audition room has the following in a separate envelope: a. Student Check in sheets (make a copy per room) b. Student Room assignments in alphabetical order c. Student Labels for that room only.

This is the most critical as time lost here will add hours to the audition. I need you to highlight the names on the check in sheets and attach the matching labels to that sheet. This has to be done per room; 6 violin rooms, 3 viola rooms. Please make 5 copies of each Student Room assignment to be posted around the commons at your school, the audition site. I will send you copies of the form 2 and you should have that by Wednesday. It seems like a lot to do, but it should only take you 5-6 man hours. The most time consuming part of the project is highlighting the student names and matching those names with the audition labels. The rest takes time, but is pretty easy to do.
