10 Ways to Double Church Volunteer Recruitment

Without volunteer labor and ministry, our churches would not exist. The recruitment and retention of

volunteers should be one of the highest priorities of church leaders.

While we typically honor our paid labor force, I want to take the opportunity to focus on volunteer labor

in our congregations. Specifically, I want to share with you 10 ways the most effective churches are

recruiting and retaining volunteers.

In many cases, they have more than doubled the success of churches where these approaches are not

taken:

1. Tie their work to the vision of the church. First, the church must have a clear and compelling

vision. Then leaders should redundantly express how different volunteer ministries tie in to that vision.

Such a clarification gives purpose to the work of the volunteers. And without purpose, volunteer

ministries struggle.

2. Consider recruiting with specific end dates. If possible, recruit volunteers with a definite term of

service. They are much more likely to say "yes" if they know they will have a time when the work is

done. At that time, they can renew their commitment or move to another area of passion.

3. Recruit toward a member's passion. Find out areas where members are already passionate and

gifted. If not, you will have to recruit with compulsion or guilt. Volunteers recruited in that manner are

not only likely to quit their work at the church, they are also likely to leave the church altogether.

4. Honor your volunteers at least once a month. A number of churches have annual ministry-

appreciation banquets. That's not sufficient. Leaders should find ways, even if it's as simple as a phone

call, email or letter, to recognize volunteers at least monthly.

5. Volunteer recruitment and retention should be the priority of the pastor.While pastors should by

no means do all the work, they should make certain it is a priority focus of their ministries.

6. Get your best leaders to oversee volunteer recruitment and retention. It's just too important to

hope oversight happens without strategy. Your best leaders should have the responsibility of oversight of

these ministries.

7. Communicate openly and frequently with volunteers. Indeed, a clear strategy should be in place

for such communication. That is one reason number 6 is so important.

8. Recruit through relationships. Strategically ask people who already have healthy established

relationships to work together in a ministry. Those relationships will be vital in keeping people

motivated. After all, we all prefer to work with people we like.

9. Provide periodic checkups. A critical part of the communication process should be a checkup to see

how each volunteer is doing. It should be open, transparent, affirming and non-threatening.

10. Allow volunteers to quit honorably. Burnout is always a possibility. Members may discover that

their ministry actually is a bad fit for them. They should have the prerogative of quitting, taking a break,

or finding a new area of passion.

We honor all church volunteers who give, go and serve sacrificially. You are truly the heroes of our

congregations.

PROMOTING YOUR EVENT/ACTIVITY

Always include the Who, What, Where, When, and Why, and who to contact for more information.

Promoting events/activities to the Holy Trinity Community and beyond:

Sunday Bulletin – service publication - short and sweet, usually only two to three sentences. Email

[email protected]. Deadline: Monday by noon.

Journal – monthly emailed newsletter - can accommodate more information, one to two paragraphs, and

pictures and links to more information. Email [email protected]. Deadline: the 20th of each month

– publication the first week of each month. Volunteer editor: Barbara Bodie

From the Pulpit – forward requests to Fr. Randy at [email protected] by Thursday

Flyers/Hand Outs – the Parish office copy machine is available to members during regular office hours

when the copy machine is not in use for other church business. Paper may also be available in current

office inventory. Please see the church administrator. The office does not currently have the resources to

provide design services. We now have the capability to copy/scan full color and black & white copies,

fold, staple, 8 ½ X 11 up to 11 X 17, color, card stock and other specialty papers.

Signs/banners – inexpensive signs and banners are now available locally and online, often times

including design assistance. See Vistaprint.com or FastSigns.com.

Street Sign – all requests for space on the Holy Trinity street sign should be forwarded to

[email protected] for consideration by the Sign team.

Local media – local newspapers, magazines, television and radio often times will promote community

events or cover newsworthy stories. Study your local media, get contact information for the writer, editor

or section you think matches your event and forward your info. It is always helpful to make a personal

phone call to follow up. See the church administrator for more information on writing press releases.

Social media – Post your info on any social media sites you are involved in, Facebook, Twitter, Pinterest,

Tumblr, and any others.

Word of mouth – word of mouth is always your most powerful marketing tool. Ask your team to tell

everyone they come in contact with about the upcoming event. Ask them to share the information with

their family and friends, hang flyers in their community’s rec center, ask local business owners to hang a

flyer, and lots more ways to get the word out.

Wifi in office and thrift store (not in the church or parish hall at this time) – Trinity3200 (uppercase T)

Educare door code when the school is open (generally 6:30 a.m. – 6:30 p.m.): 1099# using the keypad to the right of

the door.

Educare door procedure when the school is closed (generally 6:30 p.m. – 6:30 a.m.): use your alarm code and door key

to gain entrance. For security reasons, keep the door locked at all times when not watching the door. Post a door person

and/or a sign with a cell number to gain entry.

SECURITY ALARM INSTRUCTIONS

(revised Aug 2015)

TO ENTER

1) You must enter through the front double doors of the main church building, or if entering the Parish Office, the reception area door or the front door. Do not enter through any other door.

2) You have 45 seconds to deactivate the alarm once you open the door.

3) Go to the alarm panel. The alarm panel is found inside the church narthex to the left in the hallway leading to the nursery. In the office, the alarm panel is located in the middle of the main hallway, middle floor.

4) Enter your user code _________ then the number 1 (or Off button). Should you make a mistake entering the code, enter the code again and the number 1/Off button until disarmed.

5) When you hear the beeps and the green "ready" light goes on, the alarm is deactivated. It will also be displayed on the panel.

TO EXIT

1) Make sure there is nobody in the building(s) church, parish hall, or office – check all floors. See if there are cars in the parking lot.

2) Make sure all exterior doors (all floors) are LOCKED. Make sure all AC units and lights are turned off.

3) Make sure that the green light marked "ready" is lit on the alarm panel. If the light is not green, check the building(s) again. You may also hit the default button on the alarm panel to receive information on where the issue is located. Stand still for a moment, as it may be picking up your motion.

4) When you are ready to exit, enter the user code _______ then the number 2 (or Away button). When the alarm is armed, it will beep, and say on the panel that it is armed.

5) You have 45 seconds to exit the building. Double check that the door you exit is locked behind you.

6) You may exit either through the main exit double door, or the nursery door in the church, or the reception area door, or the front door in the office. Do not exit through any other door.

FALSE ALARMS

Should you accidentally set the alarm off, call the Protection 1 alarm central station at 877-776-1911. Give them the password ___________, and notify them that it was a false alarm.

Should you have any questions or issues with the alarm, please call the Parish Office, during office hours, at 727-796-5514 or, if after hours, call the alarm customer support at 877-776-1911.

Holy Trinity Leaders Meeting Interpersonal Communication: Building up the Body of Christ February 21, 2016 “The gifts he gave were that some would be apostles, some prophets, some evangelists, some pastors and teachers, to equip the saints for the work of ministry, for building up the body of Christ until all of us come to the unity of the faith and of the knowledge of the Son of God, to maturity, to the measure of the full stature of Christ.” Ephesians 4:11-13 How shall we communicate with one another?

1. Let us give thanks to God and to one another. Eucharist means “thanksgiving.”

2. Let us speak collaboratively with one another. Some examples: “What do you think is the next step?” “How will we do this together?” “Let’s take a look at…” “What do you think about…”

3. When we have different perspectives or viewpoints:

a. Show respect to one another. (Baptismal Covenant, BCP p.305)

b. Meet face to face. Phone calls can be exploratory. Email and texting work best for sharing data or information only.

c. Seek help as needed.

4. Giving orders is inappropriate. Be aware of the components of communication: words (7%), tone of voice (38%) and body language (55%).
