They are looking at establishing a new meeting on Thursdays. This would make it so that the SE of Calgary would have 5

meetings per week. The Core has a lot of options so they don’t appear to be coming out that far, but members are always

invited. They wish to ask the YMCA if it could be held there.

Last Friday there were 90 people in attendance to attend a 66 year celebration

a. Area Activities Charli H, Acting Chair Meeting: PLH, 3500 26 Ave SE, Saturday April 11, 2015, 11:00 AM Oral Report

Regarding the Glo-Ball event, 17 people attended. It was fully self-supported and no profits or expenses were made for the event. The bank balance remains at $1008.35

For May, there will be a house warming and a campfire event – all are welcome

The House Warming will take place at the Sheldon Chumir on May 14, to kick off the new date, time and location of the Activities Meeting. It will take place in Room 3102. FREE COFFEE AND DONUTS!!!

The new meeting times are: Every second Thursdays of the Month at the Sheldon Chumir Health Centre, 1213 4 St SW, on the 3rd Floor in Room 3102

The Campfire Event will take place at Bowness on May 16 – more information to follow

Attendance at the Business Meeting for Area Activities is 3 regular members and 3 casual members

Area Activities is always looking for new and innovative Activity idea

The Canada Day Campout will have many events going on and people can drop in just for a day. They don’t have to stay the entire time

Activities will be asking if the Convention Committee can donate items for the Camput’s Silent Auction that will be left over afterward

QUESTION PERIOD

Question: Do all profits from the Silent Auction go into the Activities Fund? Yes. What goes over the Reserve amount of the Activities Committee will be handed over to the ASC at their year-end in January. A report will be written at that time listing all profits and expenses incurred for the year.

QUESTION PERIOD

Question: What is happening on the Friday of the Convention? Show up to find out. We have planned some very different entertainment for this year. But that’s not the biggest news. The biggest news about the event is that there will be FREE COFFEE!!!

Question: What does the Full Package pay for in comparison to the Basic Package? The full package pays for the two meals. The meals are $42.00 each. That is what will be different from the Basic Package. We only make a profit from the Merchandise sales and the Basic Package sales. Both packages get you into all the events. But a Basic Package does not get you any meals. The sooner people pay for their tickets the better!

Question: Why is selling Full Packages so important? We need to sell 150 Full Packages. So far, we have only sold 25 packages. If we can sell 150 Full Packages, then we don’t have to pay for the rooms we have rented.

Question: Have the Treatment Centres been contacted and informed of the Convention? There is a flyer being prepared. It was done based on an earlier request that was made. All those in treatment centres are welcome and no addict will be turned away from the Convention regardless of their financial situation.

Question: Is this how we are going to fulfill our Primary Purpose? Yes. It’s a no brainer. We just want people to show up.

Question: Will the coffee really be free? Yes.

Question: Will a Program for the event be made available? I will have it posted on the Website by May 1st. It’s not up yet because the information needs to be accurate. I will also be doing up flyers to deliver to all area meetings and will deliver them myself as we have, unfortunately, lost our Vice-Chair.

Question: Have Edmonton and Red Deer received packages? The Website has received requests from out of

town regarding the Convention. Our Flyer will be on the Website. I have also received requests for packages and information from out of town. Some Out of Town meetings and other Areas have received packages to sell and purchase.

QUESTION PERIOD Question: Where will the Mental Health Conference be held? I believe it will be held at the Cavalier Sheraton on June 18, 19 and 20. There is not a lot of information on this yet. But it will be posted on the Website as soon as details are clear. Question: What are the voting procedure eligibility for HOPe? If someone comes in halfway through the third meeting, they do not have a vote yet. They must be present for three meetings. Attending a meeting means that someone is present from the beginning to the end of the meeting. Question: Are all service bodies to place a request each time they require a refund now? No. Just HOPe Subcommittees. The P’n’P was amended due to some confusion. We better defined this policy so that if you do Outreach, for example, and want to be reimbursed for gas, you go to the Coordinator before the fact, not after to ensure that you can be refunded. Question: When are the meetings held at The House? HOPE Meetings are held on the second Saturday of the month, the next one is on May 9 at 11 am. There will also be a service orientation at 10am. So if you’re new to service or have been away from service for a while, you can attend the information session to see where you can best fit in or to find something that yo u may want to do.

Request for Clarification: Now that Activities is no longer a part of HOPe, do the workshops at HOPe include Activities? No, because Activities is no longer part of HOPe. But someone can come from Activities to recruit there. You can discuss the issue with HOPe if you wish.

Question: Is everyone at the HOPe committee oriented in doing Service? Yes. If someone wants an elected position they have to take the orientation. It is not generally required is someone wants to speak at an event or an H&I facility. Nor is it required if they wish to come to HOPe. And eligible voting member does not need to take the Orientation.

Question: If a meeting closes, where does the Literature from the meeting go? It should go back to the literature depot. You can do what you want with your literature and your supplies. You can, if you wish, deliver them to The House – including Coffee Pots, etc. Can we get supplies from old groups to use for the Auction? Yes. But you would have to ask someone who was organizing the meeting for their permission to do so.

QUESTION PERIOD

Question: How much is the Rent for The Hose? It is $150.00/ month. Question: If there are two strong groups there, why does the ASC pay for the rent? We pay the rent first, and then we collect the rent from the groups there. They submit about $10.00/ meeting. The House should be cash flow positive soon.

Question: Why are you requesting smaller contributions? Say a group collected $1000.00 over time and delivered it all today. Our bank would jump from $2000.00 to $3000.00. All funds exceeding $2000.00 are sent to the Al-Sask Region. These funds would not go toward monthly expenses such as printing, rent etc. So it is better to receive monthly payments rather than lump sum payments so that we can cover our expenses.

QUESTION PERIOD

Question: How much were the sales this month? The sales were $575.00. Next month, I will add a line item ledger to my next report so that people can clearly see the sales and expenses.

f. RCM and RCM-Alt Pat L, RCM Peter Lougheed Auxiliary Room, April 25, 2015 Oral Report

Will be discussing ASC Conscience which would be taken to the Region during the Open Forum as it is important that this is made clear. Our region has proposals not motions. To be returned as motions. The proposal has to have an amendment made. At this point, we have two choices. We can stick to our area’s conscience or consider the amendment and change our vote. This would most certainly depend on the amendment, but the Concepts state that we must trust in our trusted servants. The question is, do you trust your RCM to make certain changes or would you like him to return all amendments and changes that have been made at the last Region? Keep in mind that if a motion gets sent back to the Areas then it can slow down the process.

The NAWS Conference is experiencing problems with the hotel bookings. Some of the venues have closed. If you wish to know how to book a hotel, contact your RCM.

The BC Region has started a new game show for pure entertainment. It is called “Family Feud”. If you are interested, give me your e-mail and name to answer the questionnaire and participate.

The Manitoba Convention is looking for speakers. If you are interested, please apply.

Our RCM-Alt will be bringing a calendar for regional events. The Regional Events Calendar was created so that events do not conflict with each other. To date, the first two months (May and June) have been entered into the Calendar. In May, we have our Conference. In June, there is the Al-Sask RSC Meeting, and the NAWS Convention. There are also camp outs happening all over the place. All will be listed. Should you wish to have an event announce, have it brought to the Regional Committee so that they can update the Calendar. I think it is headed up by the Secretary.

QUESTION PERIOD

Question: Regarding the voting process: how is it done? The Region has a Consensus-based format for their decision making process. Items are only voted on when there is no full consensus at the table. It there is an amendment to the P’n’P, it is brought back to the Areas because it affects the groups. Housekeeping amendments are done while at the table. We can abstain to change quorum, should be wish, to bring it back. If there is no conscience, it is brought back to the Area.

Question: Does it happen often that motions are sent back to the Areas? No. When the WSC was held in LA Last, 8 amendments were made but we couldn’t vote on them because we didn’t have our Area’s conscience. We don’t want this to happen at the Regional Level.

Question: Regarding the Calendar, will it be all inclusive? Yes. If you have an event to announce, forward it to me and I’ll have the secretary add it to the calendar. It will include all events from all the Areas. The Regional Website is still being worked on though so it’s not up there yet. But there is a work group working on the Calendar as we speak. I am not sure how much advance time is needed to make an announcement. Perhaps they will check it on the 1st and 15th so that it is include on the Calendar by the following months. It would give them two weeks to update it.

Question: Are Regional members being sent to campouts? Yes. There are members going to the Northern Lights Area camp out. They requested a workshop to be held there.

Question: What is this “Family Feud” thing? It’s a game being held by the BC Region for entertainment purposes.

Question: Was Recovery Day added to the Calendar? I’m not sure on this one. The Recovery Day Event is still being reviewed.

a. Medical Marijuana

DISCUSSION AT THE ASC

Not asking if it’s admissible. There are members who believe it is okay to smoke up before entering the rooms. It causes anger among other members. The individual is not kicked out, though, but does get a lot of griping for feedback. I thought we could bring it back to the groups or perhaps get some new ideas on how to handle the situation.

According to Tradition Three, everyone has their own program and that’s what they should be working on. Not someone else’s. Perhaps some members can do it themselves as it doesn’t affect them in the least. Whatever their decision is, it is between their God, their Sponsor and Themselves. If they feel like they are clean, then it goes back to a matter of respecting the spiritual principles of NA

We’re not doctors and what makes one person better than the other person is not for us to say. We should let it ride

All that’s required to be a member in NA is a desire to stop using. So let’s show some compassion for all our members

If something is bothering someone about someone else, they should be able to pull that person aside and let them know. If someone smells like pot and someone else gets upset at that? Then sit down and shut up – the person is taking it for medical reason much like other things are taken for medical reasons by other people

It is a drug. People have abused it which is why they end up in NA, and this may enable them to relapse. It is disrespectful and inappropriate is someone is smoking up just before a meeting.

Some groups have “If using, or high, don’t share, just listen” in their preamble. If they would like to talk to someone, then they should find a member to speak with after the meeting

There is one concern: the Principles, Concepts and Traditions all state that the only requirement is a desire to stop using. But we can’t go into a room smelling like pot and talking about it. We wouldn’t want others to come up with that excuse to start using again. There are some people who think that NA is where you go to get high. This is a real Catch 22 situation

People who are high at a meeting can become disruptive and this is the biggest concern here. Just make sure that the member agrees not to be disruptive

If a member advertises that they are getting high before the meeting, then they need to learn to take the negative feedback. If they are reacting negatively then they should not be sharing this information.

It is clearly stated that no drug or drug paraphernalia be on a person while at the meeting. So if they are smoking it just before coming into the meeting, what are the chances that they are carrying while at the meeting?

I would take him aside and let him know that it’s triggering other members

Anyone can get a license for medical marijuana these days. It sounds like an excuse

The pamphlet, “In Times of Illness” should be read as well as the Booklet. Both for those using Marijuana for medical reasons and for those who question them

b. New Meeting in the South Campus Health Centre on Thursdays

DISCUSSION AT THE ASC

If a new meeting were to start on Thursdays at the South Health Campus, would it have support? At the last Saturday Night Live business meeting, we discussed how our group struggles on Saturdays. One member stated that the Youth Rehab there goes home for the weekend. So we were thinking that if we added a weekday meeting then it would attract the younger members. It would also make it so that the South East has 5 days’ worth of meetings for their area. SNL does not pay rent for the use of the facility – they give donations of literature. A meeting place available for Thursday nights. Saturday Night Live can use their equipment to get it started.

A Thursday meeting just closed. So this would be a good day to pick

Those who step up to chair meeting may do so for a while

I’ve been to SNL meetings and they are small. My concern would be that this would spread some service members thin. If Thursdays are better for SNL, maybe cancel Saturday and do only Thursday instead?

You can also change the time of the meeting to allow for flexibility

Moving the meeting has been put into consideration, but the purpose is to cater to addiction. Suggest a test run to see if attendance of that section of the hospital increases.

Okotoks would be very supportive of this idea

Try a pilot project, like once or twice a month on Thursdays to see what happens for a couple of months and go from there

There is a bus service from Calgary. To get to the meeting is only one bus away from downtown

Speak to staff there to open meeting but take another member with you to speak to the staff before opening a new meeting at their facility

Inner Peace is closed. The North West only has MIR and Cochrane meetings to go to. If we can find, say, four people to chair a meeting one week/ month then we’d like a meeting set up over there. We are looking for people, ideas and suggestions. It only takes one person to start a meeting … and coffee … and a resentment Some meetings open due to the distance of other meetings What is the furthest meeting? There are quite a few, but none on Thursdays As a member in the North West, support for this would be great. We have a facility that will support it as well

d. Has the rent been paid by the ASC to the PLH?

Has the ASC paid their rent to the PLH lately? I am aware that HOPE has paid theirs. The ASC pays their rent with a donation of a “Basic Text” and a “It Works How and Why”. The last time the rent

for the ASC was in December so let’s pay it Fred M Is the liaison for the PLH. We owe them two books per month. January, February, Mach and April. Or we can pay them for six months.

Find out what literature is required by the hospital. We can also give them $24.00 worth of “Introduction Guides” if that’s what they require

Take one of each book and pay the rest in Introduction Guides. Fred will be our contact from now on and we can supply him monthly so that we no longer fall behind in our rent payments

e. How does your group send their Contributions – Best Practices

DISCUSSION AT THE ASC

I’m fairly certain that everything would work out financially if groups did not hoard funds and then deliver it all in one lump sum. So to reiterate, there’s no such thing as a tiny contribution to the ASC. The ASC Treasurer will accept a $5.00 donation if that is all the group has. However, if a group does contribute a large sum, would you feel comfortable if your Treasure broke it down for you? For example, if your group contributes $600.00, then your Treasurer would break it down to $200.00 per month on the ledger. How would the groups feel if your Treasurer did that? To me, it would make the donations regular and the finances easier to regulate. There have been occasions where our Finances have fallen below prudent reserve because a lump sum was sent previously, and then nothing was contributed for the following months. So, if the Area Treasurer recorded these transactions, how would your group feel?

It sounds like “Cooking the Books” and it doesn’t feel okay. It sounds manipulative. I don’t think it’s okay. If someone makes a large contribution and a large part of it goes over Prudent Reserve, then all those extra moneys should go to the Region

The Region may not be aware of how we are maintaining our finances, but we certainly will I’m fairly certain, that as it stands now, by the end of the year, it will all work out. It always has If the $100.00 is not given in to the ASC because they don’t feel comfortable with how the books are handled,

then it’s almost like the GSR would be misappropriating funds because they have kept the moneys Our Group discussed this issue and it’s only because we trust the present treasurer that we’d be willing to make

amends to the way we manage the budget. However, in order to enable this, the P’n’P may have to change. Our Treasurer may not be around next year. And anyone can misuse or abuse this decision. We set a precedent for the next treasurer coming up when the P’n’P is amended.

Perhaps this should be done at the Group level instead. Splitting the funds up into smaller donations. Transparency is extremely important in this case – especially at the ASC level It appears that the Treasurer’s request is fair in terms of donations. Donations should be made on a monthly or

regular basis anyway. It is not a lot to ask of the groups. But we are not sold on the yearly contribution idea. We would rather contribute every month.

One concern would be how the income splitting would be tracked over time. What if someone donated $600.00 today and you spread it over three months, and then two months later, they contributed another $600.00? On the third month, it would appear in the ledger that the Group contributed $400.00 that month instead of $200.00.

No one should be hoarding funds at the Home Group level, either. It seems like this method is a little too complex Can groups send a checque to the box or make a Direct Deposit to the Account, or make a Funds Transfer? Yes.

a. Motion 2015-04-248 HOUSEKEEPING CHANGE: To add a Basic Text and a set of readings to the Starter Kits. INTENT: To make it an actual Starter Kit. The Price for the Package will change from $7.50 to $26.50 each.

This change would make what we have now into a more realistic Starter Kit. It would cost the area at total of $26.50 whenever someone requests a Starter Kit as opposed to $7.50. The present Starter Kit includes a Group Booklet, Pamphlets and a Group Registration form to be filled out and sent to the WSO. The Amended Starter Kit would add a Basic Text and a Set of Readings to the list. The question posed was whether this was a Policy Change or simply Housekeeping. If it was a Policy Change, then the P’n’P would add another line regarding the actual cost of the Starter Kit as well as what was found in a Starter Kit. Over a period of three years, it was calculated that only Seven Starter Kits were handed out and three were returned. Those returned kits were sent to others who wanted to start a meeting. As there was never a mention of the cost
