HISTORY OF THE ASSOCIATION AND OURSTUDENT PROGRAM

The Club Managers Association of America (CMAA) is the oldest, most respected Associationrepresenting the club management profession. CMAA has close to 7,000 members who managemore than 3,000 country, city, athletic, faculty, yacht, town and military clubs throughout theUnited States and abroad. CMAA is represented by chapters in all 50 states and threeinternational chapters and has student chapters and colonies on more than 40 universityand college campuses across the country.

The objective of the Association is to promote and advance friendly relations between andamong persons connected with the management of clubs and other associations of similarcharacter. In addition, CMAA encourages the education and professional advancement of itsmembers and assists club officers and members, through their managers, to secure the utmostin efficient and successful operations. CMAA recognizes its responsibility to assist students ingaining a better understanding of the private club management profession and in selecting acareer in this sector of the hospitality industry.

The first student chapter charters were granted in June 1978 to Florida InternationalUniversity and the University of Wisconsin-Stout. As of September 1, 2004, CMAA maintains40 student chapters and colonies with more than 1,000 student members located throughoutthe United States and abroad. The first meeting of CMAA’s Student Development/Scholarship Committee was held on February 12, 1978. Since that time, responsibility forstudent members has been assumed by the Chapter/Member Services Committee. Theobjectives of this committee were established at that time to do the following:

• Inform college and university students about club management as a profession; increasetheir awareness of the career opportunities in club management; and serve as theliaison between the practicing professionals and the academic community.

• Provide students with employment opportunities within the club industry by means ofpart-time employment during the academic year, summer employment, work-studyinternships and post-graduation placement.

The current Chapter/Member Services Committee continues to support these views. You, as astudent chapter officer, are empowered with the responsibility to manage your chapterreasonably. Let this handbook be your key. Use the Student Chapter Officer Handbook as aguide when sitting down with your fellow officers to plan your chapter’s master calendar forthe year. Evaluate your roles and responsibilities and make a commitment to serve. CHAPTER CRITERIAThe first step to successful chapter management is to make sure that your chapter is meetingthe criteria necessary for a student chapter to exist. A chapter must meet the following criteria to maintain its charter:

1. Student chapters must have a minimum of 10 student members at all times.

2. Each chapter is to hold a minimum of seven meetings during the school year, four ofwhich must be educational. Reports of ALL meetings must be sent to the NationalHeadquarters and to respective committee members within 15 days following the meeting.

3. Each student chapter must include a minimum of one club tour each year. This may beconsidered one of the four educational meetings, and minutes should be sent to theNational Headquarters.

4. Within three years of being granted a chapter charter, the university/college must have aclub management course as part of its curriculum.

5. The Chapter President must submit an annual report to CMAA’s chief executive officer byMay 1 of each year or 15 days after the last chapter meeting, whichever is first. Furtherexplanation and forms are available in the Chapter Activities and Forms sections.

6. At the end of each school year, each chapter is reviewed by the Chapter/Member ServicesCommittee to determine if chapter requirements have been met. Failure to meet the criteriamay result in the chapter’s loss of its charter.

STUDENT CHAPTER BYLAWSYour student chapter bylaws are the governing documents of your organization. The purposeof the bylaws is to make the rules, regulations and procedures easy to understand for the leaders and members of the student chapter. Student chapters should review their constitu-tions and bylaws regularly to ensure that they are effective and correspond to current policiesand regulations. It is also a good idea to present each of your chapter officers with a copy ofthe bylaws for his/her review and signature. This will ensure that the chapter leaders are acting responsibly and within the guidelines set forth by the chapter.

In order for your student chapter to be granted a charter, National Headquarters must have acopy of your bylaws on file. Keep in mind that future chapter officers of your student chapterwill see this document; therefore, it must be a working document that is easily updated, easyto understand and easy to use.

THE ORGANIZATIONAL CHARTMuch like clubs, chapters need to have some type of management structure in order to func-tion and prosper. To achieve chapter leadership continuity, the Chapter/Member ServicesCommittee suggests that student chapter officers be elected for a fall-through-spring-semesterterm. All student chapter officers must be members of the National Association as well as the student chapter they represent.

An important way to ensure future growth and development is to select leaders as officers. Tostay organized and to ensure that the student chapter officers understand their responsibilities,it is recommended that each chapter officer review his/her noted responsibilities accordinglyand make a pledge to fulfill his/her obligations. Make changes as necessary as they relate toyour chapter specifically. For example, if you choose to combine the role of Secretary andTreasurer, be sure that the candidate selected can accomplish both roles and delegate addition-al responsibilities as necessary.

PRESIDENTThe President shall be the chief executive officer of the chapter, shall preside at all meetings of the chapter and Student Board of Directors and shall be an ex-officio member of all committees.

The President shall:

• Appoint/have elected all chairmen and committees;

• Be the official contact between the student chapter, CMAA National Headquarters and thesenior CMAA chapter;

• Lead chapter meetings with chapter officers;

• Ensure that a minimum of four education sessions are held annually; and

• File the President’s Annual Report with the National Headquarters by May 1, 2005.

VICE PRESIDENTThe Vice President shall have the authority and assume the full duties of the President in thecase of his/her absence.

The Vice President shall:

• Acquaint himself/herself with all the duties of the President and other officers;

• Familiarize himself/herself with the duties of the committees; and

• Aid the President as requested as liaison between the committees and the StudentBoard of Directors.

SECRETARYThe Secretary shall:

• Conduct the correspondence for the student chapter;

• Keep minutes of all meetings of the chapter and Student Board of Directors; mail/e-mailcopies to board members, chapter members, the National Headquarters and appropriatecommittee members; and report in the chapter minutes the subject, speakers, durationand type of educational activity presented in the meeting;

• Keep attendance records for chapter meetings, workshops, regional seminars/meetingsand Annual Conference;

• Collect all membership application forms. Applications must be signed by the FacultyAdvisor, Liaison Manager and Chapter Secretary or another elected officer. Forward com-pleted applications to the National Headquarters and keep a copy for chapter records;

• Keep the membership roster continuously up-to-date and provide the NationalHeadquarters with a current roster; and

• Upon termination of office, transfer all current records to successor and bank signaturecards to trustees.

TREASURERThe Treasurer shall:

• Keep accounts, collect debts, make payments as authorized by the Student Board ofDirectors and be responsible for all chapter funds, as outlined in the chapter bylaws;

• Mail or distribute dues invoices to members as necessary;

• Furnish the President with information needed from chapter records for the annual reportand The Club Foundation Grant Reconciliation and Usage forms;

• Maintain the chapter record system; and

• Collect dues, initiation fees and other indebtedness and properly record them on mem-bers’ record cards.

COMMITTEESA substantial amount of the business of any organization is conducted through member partici-pation and involvement in the committee structure. The Chapter President is responsible forassigning committees and appointing leaders and chapter members who will work together toget the job done. Each student chapter will need to determine its own committee structure, con-sistent with its needs, growth and objectives. The best advice is to keep it simple.

The Chapter President should select committee members carefully. Choose the members who have the most to offer in terms of a variety of experiences, interest in the committee,knowledge about the subject area and an ability to get along with others.

Other important points to keep in mind regarding committees:

1. Committee members usually will serve a one-year term with the chairman’s option toreappoint.

2. The size of the committee will vary with its responsibilities, but generally the size rangesfrom two to eight members. Larger committees may be needed for areas such as member-ship recruitment; however, smaller committees are preferred for their efficiency in reach-ing a consensus and getting things done.

3. Committee meetings will be most productive if members have a clear understanding oftheir responsibilities and duties before they arrive. Brief them on your expectations forthe committee. Give them assignments and set deadlines for the work, and don’t be afraidto delegate responsibilities and expect results.

4. Decision-making is made easier when the chairman continually summarizes what the com-mittee has discussed and moves the committee toward a decision.

Ensure that each committee:

• Defines objectives;

• Analyzes the issue or activity;

• Assigns responsibility;

• Accumulates facts and research;

• Sets deadlines;

• Reviews the need for any outside help;

• Evaluates results;

• Develops a number of alternate solutions;

• Selects the best solution; and

• Recommends a course of action.

Results from a committee meeting should be brought to the attention of the Student Board ofDirectors through the committee chairman. However, be aware that the Board of Directors isonly as effective and efficient as its committees. The work of the committee is as good as yourleadership — you set the pace and tone. Your relationship with your members is crucial to that success. Chapter operational areas that might require committees are membership recruitment,fundraising, chapter/school relations and education.

The results of all committee work will form the basis of the programs the board enacts. Eachcommittee should report to the board regularly, depending on the nature of its work. Thereport should be brief, containing a description of the issue, a full account of the proposedaction including pros and cons, the budget and the results of the action.

There are two types of committees — standing and special (or ad hoc). Standing committeesare permanent committees, established to monitor and/or implement an ongoing activity orprogram. Special committees are developed to address a unique or one-time situation or pro-gram. Once the committee’s business is finished, it is generally dissolved.

1. Standing Committees:

• Membership Committee — responsible for the design, development and implementationof membership recruitment and retention programs and new member services.

• Programming Committee — responsible for the development of education and socialprograms and other activities for the student chapter members (i.e., identifying speakers,public relations events).

• Publicity/Communications Committee — responsible for soliciting and submitting contributions to the national student chapter online newsletter. The committee is also incharge of publicizing chapter programs and activities to members and non-members. TheSecretary typically chairs this committee. The President is in consultation with the officers and may appoint an active member to serve as the publicity/communications specialist.

2. Special Committees

• Nomination Committee — should be appointed annually to conduct the slating andelection of officers for the student chapter. The appointment of a graduating member ofthe student chapter as chairman of the Nomination Committee should be considered inorder to protect against biases, pressure and favoritism.

• Student Chapter of the Year — should be a combination of new and rejoining studentsto help bring fresh ideas to this annual project. The President should be a member ashe/she is responsible for a large portion of this report. (See Award Programs section).

• Idea Fair Committee — should also be comprised of new and rejoining members tohelp showcase ideas that have been presented and executed during their year of servicewith CMAA. This award program, presented at the Annual World Conference, is discussedunder the Award Programs section.

CHAPTER MEETING MINUTES**Copies of all chapter minutes should be sent to the National Headquarters, the Chapter LiaisonManager, Faculty Advisor and the appropriate Chapter/Member Services Committee member(Student Ambassador) no later than 15 days following the meeting.

The following items should be included in all chapter minutes:

1. Names of all members attending the meeting (typed or printed);

2. Type of meeting (i.e., business, social or educational);

3. If it is an education meeting, the following should also be included:

a. Name of the speaker;

b. Content of the education portion; and

c. Length of the education portion of the program.

Student members do not earn credits for attending their own student chapter meetings. Theydo, however, receive credit for attending senior CMAA chapter meetings, the Annual WorldConference and CMI-sponsored workshops or regional meetings.

CHAPTER POINT SYSTEMAs an incentive for chapter members to volunteer and attend various chapter-sponsoredevents, many chapters have devised some type of point system to use as a means of dispersingmonetary funds that have been generated through fundraising or donations. The followingmodel, adopted from the Cal-Poly University President’s Handbook, may be used as a modelfor your chapter.

Members receive points for attendance at each event:

• Meeting/club event attendance 5 points

• Recruitment of new members 10 points

• Senior chapter meeting attendance 15 points

• Event committee chair fulfillment 20 points

• Fundraising event participation 5 points/hour

• Executive position fulfillment 35 points

How It Works

Suppose the chapter has $2,000 available to spend for Conference, and the following mem-bers’ cumulative points at the time of the Conference are as follows:

• Member A 100 points

• Member B 50 points

• Member C 25 points

• Member D 20 points

• Member E 5 points

Total 200 points

Divide the available funds by the total points ($2,000/200 points). One point will be equiva-lent to $10, and thus, Member A will be eligible for the monetary assistance of $1,000 ($10 xMember A’s 100 points) from the student chapter for the Conference.

After the Conference is over, your points can be saved toward monetary assistance for anyyear-end events or may be carried over until the next year. You may also use your studentpoints to attend senior chapter meetings at no cost. The student chapter will pay for youradmission in exchange for your 10 points.

ANNUAL BUDGETThe student chapter should develop a budget of income and expenses for the academic year.The Treasurer of the student chapter should regularly monitor the student chapter income andexpense report to ensure that these remain within the budget. All officers and committeechairmen should be familiar with the budget process, as well as with their own expenses.

Your student chapter should have a bank account and your Treasurer should be the only onewith access to it. The following are some potential sources of income and expenses for the student chapter.

USE OF CMAA LOGOAny student member of the Association in good standing may use the name or phrase “stu-dent member of CMAA” or may use any logo, emblem, insignia or phrase indicative of mem-bership as approved by the CMAA Board of Directors. The use of the CMAA logo by studentmembers in good standing is authorized for the member’s business cards, stationery andenvelopes where the member’s name is imprinted on the paper, not merely typed. TheAssociation’s logo must not be used in such a way as to signify approval by CMAA of the con-tent of circulars, brochures and other such promotional materials without prior written per-mission of the Association. A copy of the pro-posed material showing the use of the logo mustaccompany all requests for permission. Membersand chapters may not adopt, publicize, promoteor otherwise convey any policy or principle inthe name of CMAA that has not been officiallyadopted by the Association. Use of the CMAAlogo shall be in good taste and within acceptablebusiness practices as determined by CMAA.CMAA reserves the right to limit or revoke theuse of the logo by members and chapters if war-ranted. The Student Chapter Ambassador program was developed in 1996 in order to provide a vehiclefor student members and chapters to reach CMAA’s leadership — the CMAA Board of Directors.Each fall and spring semester, a member of the Chapter/Member Services Committee will contactthe Chapter President, Liaison Manager and Faculty Advisor. DETERMINING ELIGIBILITY FOR STUDENTMEMBERSHIP

An individual who is enrolled in a hospitality or related curriculum at an accredited, four-yearcollege, university or school for undergraduate or graduate students is eligible to apply for stu-dent membership. Applications for membership are to be supported by the Faculty Advisor orthe dean of the school. Such membership does not entitle the holder to vote, hold electiveoffice in the Association or transfer to any other category of membership. Student memberswho are no longer enrolled at a college/university, upon attaining a full-time manager/assistantmanager position and within two years of graduating, must apply for Provisional membership.

SUBMITTING AN APPLICATION TO THE NATIONAL HEADQUARTERS

Once the chapter has approved the applicant for membership in the chapter, the ChapterSecretary should submit a completed application signed by the Chapter Secretary, LiaisonManager and Faculty Advisor to the National Headquarters along with the proper fees. Pleasekeep the yellow copy for the chapter’s records. Annual student dues are currently $45.

For memberships that become effective between April 1 and August 31 in any year, 50 percentof these dues will be applied to the following fiscal year. Memberships that become effectiveon or after September 1 in any year shall be exempt from dues for the remainder of that fis-cal year and the entire amount shall be applied to the ensuing year’s dues. The Association’sfiscal year is November 1-October 31.

MEMBERSHIP RENEWALSThe first student dues invoice is sent to the student’s home address. A student member should review the invoice, make any necessary corrections and return it with a check or credit card payment payable to CMAA for $45 to the Chapter Secretary or renew online atwww.cmaa.org/renewal. The Secretary should then forward any checks AND invoices to the bank address listed on the invoice immediately. Members should NOT complete another application form to renew their membership.

The second and third dues invoices will be sent to the student chapters. It is the duty of theTreasurer to distribute these forms to the current chapter members and request payment. If a member is not attending a college/university at that time, the invoice should be returned to the National Headquarters along with any updated information. Membership renewal fees are due October 31. Individuals who renew after December 31 may not appear in the follow-ing year’s Yearbook.

MEMBERSHIP REINSTATEMENTSMembers who have not paid dues for the current year are dropped from the rolls of theAssociation on December 31 (and March 31 when applicable). A list of the dropped students issent to each Faculty Advisor and Chapter Secretary. These members may be reinstated by sub-mitting their dues within a year from the date they were dropped. When more than one yearhas lapsed, these members must reapply as new members and meet current student member-ship requirements.

ADVANCING TO PROVISIONALMEMBERSHIP

Student membership can be renewed for up to two years after graduation or until a job in the field of club management has been obtained, whichever comes first. Once employed by a club, student members advance to Provisional membership status through application with their localsenior chapter. We encourage all students who have taken a post-graduate position in a club to continue their professional development by taking this important step from Student to Provisionalmembership.

ANNUAL WORLD CONFERENCE ANDEXPOSITION

The CMAA World Conference on Club Management is the centerpiece of the Association’s yearly activities and offers more than 80 educational programs from which to choose. Morethan 2,500 managers and 300 CMAA student members from around the world meet to furthertheir professional development through clinics, round-table discussions, forums and educational sessions. The discounted student registration fee includes sessions designatedespecially for students, an icebreaker session for all student members to interact and mingle,an orientation breakfast and admission to all manager education sessions and the highlypraised Exposition. The Career Opportunity Showcase is a “clubs only” job fair for managersand students to meet and interact in a relaxed atmosphere. Interview rooms and networkingareas are available.

YEARBOOKThe CMAA Yearbook is published annually and mailed to all student members and FacultyAdvisors. This is a confidential publication and should be treated as such. CHAPTER ACTIVITIESThroughout the year, you will need to plan various activities and events for your chaptermembers to attend. There are also some reports that are required from National Headquartersthat need to be addressed as a chapter with, perhaps, the help of committees. This section willhelp you organize those events to further promote CMAA on your campus.

CHAPTER MEETINGSThe student chapter officers and members should meet periodically for business activities,to hear speakers, to plan presentations or for social interaction. The type and frequency ofmeetings should be consistent with the needs of the student chapter and its members.Organizations generally conduct two types of meetings: Business meetings for officers andgeneral meetings for the entire membership.

OFFICER BUSINESS MEETINGSOfficer business meetings should be conducted by the officers as needed to make decisions and policies concerning the operation of the student chapter. The meeting is usually chaired by the President and attended by the officers. It may occasionally include the Faculty Advisor.The Chapter Secretary is responsible for keeping accurate minutes of each business meeting to reflect the decisions of the executive committee. A typical agenda for the business meetingmay include:

A. Call to order;

B. Approval of minutes from the previous meeting;

C. Report of officers (activities/responsibilities including financial report);

D. Report of committees (by officer assigned as ex-officio member or chairman);

E. Old business;

F. New business;

G. Discussion;

H. Next meeting date; and

I. Adjournment.

GENERAL MEMBERSHIP MEETINGSGeneral membership meetings may be conducted weekly, bi-weekly, monthly or bi-monthly forall student members and may occasionally include the Faculty Advisor and Liaison Manager.These meetings provide officers with the opportunity to make announcements, report to themembers and host a program (i.e., speaker). This also ensures that student members have adequate opportunities to participate in decision-making and generation of ideas. A typicalagenda for a general meeting might include the following items:

A. Call to order;

B. Program (i.e., speaker);

C. Announcements;

D. Old business;

E. New business;

F. Questions and answers; and

G. Adjournment and refreshments.

Hold your student chapter meetings on weekdays, weekends and evenings or at any othertime of the day with the consent of the full membership. Remember, the student chapter musthold a minimum of seven meetings, four of which must be education, during the school yearto maintain its chapter affiliation. One must be a club tour, which can be considered one ofthe four education meetings provided a substantial program is held. Consider scheduling meet-ings for the semester well in advance. Check your student activities calendar to avoid conflictswith meetings of other organizations or major special events. Publicize meetings in the schoolnewspaper, on bulletin boards and on your chapter Web site and have it announced to theclasses one or two days before the event.

You are also required to submit your chapter minutes to National Headquarters. These are to be submitted within 15 days following the meeting. These forms must be on file to receivecredit for your President’s Annual Report, which is due at the conclusion of the school year. A copy of the Minutes form can be found under the Forms section of this handbook andonline at www.cmaa.org/student.

PROGRAM SUGGESTIONS/GUIDELINES• New Member/Orientation Meeting — This could be an introduction to the Club

Managers Association of America and the club management profession. Invite the chap-ter’s Liaison Manager and Faculty Advisor to address students about the services and ben-efits available through membership in CMAA and the employment opportunities availablethrough club management. Encourage former members, including alumni and upper class-men, to attend to help promote your student chapter. A CMAA PowerPoint presentation outlining the student program and its benefits is available by contacting the NationalHeadquarters.

• Guest Speaker Series — There may be several club managers located within your areawho are qualified to speak on a wide variety of subjects pertaining to the club manage-ment profession. You may also wish to invite a club official, a faculty member or an areachef to present on a specific area of club management, food and beverage, facilities main-tenance or human resources.

• Panel Discussion — Choose a popular subject and ask three or four local club managersor individuals to address a specific phase of the general subject. Leave time at the end forquestions from the audience.

CLUB TOURSAs part of your education requirements, each student chapter is required to coordinate at leastone club tour per school year. These tours should be well-planned and should include arrivaltime, transportation information and promotion. During your tour, there are some etiquetteissues that are necessary to contend with such as:

• Cell phones and pagers are not allowed.

• Business attire for men and women. Men should be required to wear jackets and ties,while women should dress according to any club-specific dress code.

• Be punctual and arrive 10 minutes early to the designated meeting area.

• Ask questions! The reason you are on a club tour is to learn about the different aspects ofthe industry. This is your time to ask.

• Send a thank you letter to the club manager/representative for taking the time to meetwith your chapter members.

SENIOR CHAPTER MEETINGSStudents are often invited and are encouraged to attend senior CMAA chapter meetings in and out of their geographical regions. These meetings offer a wealth of educational, socialand networking opportunities for your chapter officers and members. All chapter officersand members should be encouraged to take part in these meetings as they help to establishpersonal contact with managers, which can often lead to internships and/or employmentopportunities in the club industry. Students should keep track of their attendance andparticipation at all CMAA senior chapter meetings, regional meetings and the AnnualConference. Additionally, they must sign the senior chapter’s official registration rosterto ensure proper credit is applied.

ELECTIONSIt is suggested that elected student officers be second-to-fourth-year students. This will ensurethat officers are familiar and knowledgeable about procedures, policies and regulations of theinstitution. Also, in many chapters, the current Vice President will be the President for thenext year. This allows for continuity from year to year. Such a mix will also provide leader-ship to incoming freshmen and the next set of officers. Participation from all student mem-bers should be encouraged.

Each candidate should have the opportunity to present his/her platform at a special meetingprior to voting and should prepare a brief biography, summary of professional activities andgoals for the office he or she is seeking to be printed in the chapter newsletter or on the Website. Candidates should explain why they feel they would be a good part of the CMAA teamand how they can make the chapter better. Once elected, each officer will serve a term of oneyear beginning immediately upon installation and ending immediately after the newly elected officers have been installed and oriented.

ANNUAL WORLD CONFERENCE ANDEXPOSITION

Held in a major U.S. city annually, the CMAA World Conference on Club Management is thecenterpiece of the Association’s yearly activities and offers more than 80 education programsfrom which to choose. The discounted student admission includes sessions designated speciallyfor students, an icebreaker session for all student members to interact and mingle, an orienta-tion breakfast and admission to all manager education sessions and the Exposition. Conferenceinformation, including online registration and housing details can be found online atwww.cmaa.org/conf.

GUIDELINES FOR CHAPTERS• Each student chapter is provided with one free registration for the President. If the

President is unable to attend, another member of the chapter [usually the next in com-mand (i.e., Vice President)] may use this registration. This voucher is a Conference grantprovided by The Club Foundation (see Award Programs section) and must be returned tothe National Headquarters by the application deadline prior to Conference.

• The deadline for Conference registration at the discounted rate is approximately onemonth before the Conference. Registration received after that date or those processed atConference will be charged a higher fee (approximately $25).

• Make hotel accommodations as soon as possible. While it is not always fiscally possible tostay in the host hotel, CMAA provides a listing of reduced rate accommodations at hotelsin the area. Please contact WorldTek Travel at (800) 832-5165 to make your reservationswell in advance to ensure that we have room for you and your chapter members.

• Student Idea Fair and the Student Chapter of the Year are two important award programsthat are presented at Conference and your active participation is requested. See theAward Programs section for complete details on how to properly showcase your chapter’sachievements — through national recognition at the Annual World Conference.

• When at Conference, there are four sessions designated specifically for students. These programs are designed for student members and do not coincide with managers’ sessions.We encourage Faculty Advisors and Liaison Managers to make a note of all students whoare active attendees. Some chapters require that students submit a contract agreement toensure their presence at education sessions. This contract makes the attendees responsiblefor their actions while at Conference as they are representing their chapters and universi-ties. For a sample contract, please contact the National Headquarters.

• The student icebreaker session is held the evening before the first full day of student education sessions. The session is designed to let students get to know each other in a social setting at the host hotel. During this time, we encourage student chapters toexchange school stickers. Such quarter-size stickers can either be specially ordered orfound in most university bookstores.

• Be sure to make faculty at your college/university aware of the students who will beattending the Annual World Conference. A memo should be submitted to all faculty mem-bers by students letting them know that they will be away for a specific period of timeand be sure to include a date when students will return to class.

• Your student chapter contact should keep a listing of all the Conference attendees fromyour chapter and their corresponding membership numbers. These numbers can be foundon the individual’s membership card or by contacting the National Headquarters. You willneed your membership number to ensure that your credits will be properly posted toyour CMAA Education records.

FUTURE CONFERENCE LOCATIONS/STUDENT HOST CHAPTERSFor each Annual World Conference, there are two student host chapters. The following is a list ofthe next five Conference locations and the corresponding hosts.

2006 Honolulu, HI Northern Arizona University andUniversity of Hawaii, Manoa

2007 Orlando, FL Florida State University and Oklahoma State

2008 San Diego, CA Cal-State Poly, Pomona and University of Massachusetts

Chapters will be notified in September with the necessary duties related to their role as host chapters.

PRESIDENT’S ANNUAL REPORTAt the close of each school year, each chapter must submit its President’s Annual Report Form.Chapter officers should complete this form together with input from the rest of the chaptermembers. You may also consider forming a committee to complete this report. The piece is acollaboration of the minutes of your meetings, signatures of your Faculty Advisor and LiaisonManager and a copy from your university course booklet outlining the club classes that youruniversity offers. This form must be returned to National Headquarters no later than May 1,2005, to keep your chapter in compliance. The sections are as follows:

• Listing of Chapter Meetings — Please record the corresponding date, type and locationof the meeting and be sure to include other chapters that may have attended your meet-ing. Chapters are required to have a minimum of seven meetings per year and four mustbe educational. One must be a club tour, which can be one of the four educational meet-ings provided a substantial program is held.

• Questions about CMAA Student Membership — Answer these questions in detail, as this is the feedback that CMAA uses to improve and further develop the student program. Encourage your officers or committee members to each answer a question.

• Officers — CMAA encourages chapters to elect officers at the end of each school year forthe following year so that officers can fully prepare for their positions in the fall. Includethe name and e-mail address of each chapter officer so that we can contact him or herprior to the school year. If your school holds elections in the fall, please provide NationalHeadquarters with your election results immediately, so that information can be sent outto the correct officers.

• Signatures — It is necessary for documentation purposes that this report form be submittedwith the correct signatures of your Faculty Advisor and Liaison Manager. Please includephone numbers, e-mail addresses and chapter addresses to verify that your CMAA informa-tion is being sent to the correct address.

• Course Information — Per the bylaws of the Association, it is required to have a classin club management registered with your college or university within three years ofreceiving your charter. Include a copy of the course information from your university’scourse booklet.

• Minutes — Your chapter’s minutes should be submitted within 15 days following a chaptermeeting. If at the end of the year, you have additional minutes that have not been submittedto National Headquarters, please send them in at this time. This form can be found online and under the Forms section of this handbook.

THE CLUB FOUNDATION SCHOLARSHIPAND GRANT PROGRAM

The Club Foundation, the only 501(c)(3) charitable organization for the private club industry,was established by the Club Managers Association of America (CMAA) in 1988.

The mission of The Club Foundation is to financially support the professional development ofclub managers through education, training and research initiatives.

In order to accomplish this goal, the Foundation has developed its Scholarship and GrantProgram, which targets the following five funding areas: 1) Student scholarships and grants; 2)Faculty grants and internships; 3) Manager scholarships and grants; 4) Chapter grants; and 5)Industry grants. Following are the programs available to students and student chapters.

STUDENT SCHOLARSHIP PROGRAMThe Club Foundation awards student scholarships annually to those individuals actively pursu-ing a managerial career within the private club industry. Scholarship awards are made at therecommendation of The Club Foundation Allocation Committee (CFAC) and approved by itsBoard of Governors.

Candidates must have completed his/her freshman year of college and be enrolled for the full2005-2006 academic year in an accredited four-year institution. Furthermore, the candidatemust have achieved and continue to maintain a grade point average of at least 2.5 on a 4.0scale or 4.5 on a 6.0 scale. Please note that additional points are awarded for CMAA studentchapter members.

Students wishing to apply for a scholarship student must meet certain basic criteria. At thistime they include: completion of at least one year of college level work at the time of applica-tion (preferably majoring in Hotel, Restaurant & Tourism Management); a minimum overallgrade point average of 2.5; and evidence of employment interest in the club managementfield. All applications and required documentation must be received in theFoundation office no later than April 15, 2005.

In addi-tion, The Club Foundation also awards grants that provide the President of the chapter (oranother representative selected by the chapter) a complimentary registration to the annualConference. The program guidelines and application are available on our Web page atwww.clubfoundation.org. A brief description of each is on the next page.

CONFERENCE TRAVEL GRANTCMAA’s Annual World Conference offers students the opportunity to witness firsthand the pro-fessionalism and educational opportunities that CMAA provides. In addition, Conference alsoshows students how unique the networking system is among club managers throughout thecountry and offers an arena in which each student may make important career contacts.Student chapters are eligible to receive a Conference Travel Grant as long as proof of fundrais-ing activity is provided. Please note that this grant is awarded on a matching funds basis, upto $500 per student chapter. Finally, the Faculty Advisor and Liaison Manager must ensure thevalidity of the application. The application and supporting documentation must be sub-mitted to The Club Foundation by May 1, 2005.

STUDENT CHAPTER PRESIDENT CONFERENCE VOUCHERThe Club Foundation will provide each eligible student chapter with one voucher redeemablefor a complimentary Conference registration. The voucher must be used by the student chap-ter President or another representative selected by the chapter if the President is unable toattend. A registration voucher is mailed to each student chapter President for completion. Inorder for the voucher to be valid, it must be completed and returned to the Foundation by thespecified deadline date. Student Chapters failing to return their vouchers will forfeit the com-plimentary Conference registration.

IDEA FAIR FOR STUDENT CHAPTERSThe Idea Fair competition is held each year at the Annual World Conference. There are several categories to choose from, which reflect the common interest and programs in every studentchapter. The 2005 categories include Chapter Newsletters, Creative Use of Technology,Education, Membership Programs, Public Relations, Fundraising, Club Tours and Student andSenior Chapter Relations. Student chapters are encouraged to document specific achievement or ideas that they have implemented within their own chapters to be shared and judgedagainst other chapters’ entries. Winning chapters receive a plaque and are recognized inCMAA’s Yearbook. The 2004 Student Idea Fair can be viewed online atwww.cmaa.org/member. Entry forms will be sent to all student chapters in Septemberand can be found online at www.cmaa.org/student.

STUDENT CHAPTER GROWTH AWARDSStudent chapters are recognized at World Conference and in CMAA’s Yearbook for the achieve-ments in CMAA growth programs. The “Most New Members Recruited,” “Growth by Percentage”and “World Conference Attendance Percentage” awards are announced and presented at theAnnual World Conference.

STUDENT CHAPTER OF THE YEAR AWARDThe Student Chapter of the Year competition is open to all student chapters and recognizes special projects completed by a chapter during the school year. The guidelines are supplied bythe National Headquarters and will be sent to all chapters in September. All entries for theschool year must be submitted by February 11, 2005. In addition to national recognition and aplaque, the Student Chapter of the Year Award winner receives a $1,000 grant good toward offsetting Conference registration fees for the following year. These awards, along with theIdea Fair awards, are presented at the Student Orientation Breakfast at Annual Conference.Entry forms will be sent to all student chapters in September and can also be found online atwww.cmaa.org/student.

FACULTY ADVISORS AND LIAISONMANAGERS

Initially, a link between the student chapter and CMAA must be formed. It is important for the Faculty Advisor and Liaison Manager to play an important role in developing this link byencouraging the student chapter’s involvement in senior chapter activities.

CMAA Faculty Advisors and Liaison Managers can offer the following:

• A chance for students to preview their chosen profession;

• Advice for prospective managers;

• A summer work program, some offering college credit;

• Part-time work during the school year;

• Post-graduation employment assistance; and

• Opportunities to visit and observe various club operations.

Additionally, senior chapter members provide a wealth of personal knowledge, as well as support and encouragement for student members.

STUDENT CHAPTER FACULTY ADVISOR

The chapter’s Faculty Advisor is the official representative from the chapter’s college or universi-ty and should be a full-time faculty member who is responsible for teaching club managementand hospitality classes. This individual should be someone who works well with students; is easi-ly accessible; is willing to provide advice and guidance to the student chapter officers on pro-grams, activities and general operations; acts as an interface between the student chapter andthe school administration and other faculty members; and is willing to participate and attendmeetings of the student chapter. It is important that the Faculty Advisor performs the followingfunctions:

• Maintains student chapter guidelines and continuity;

• Distributes information from National Headquarters to student chapter members;

• Communicates regularly with the CMAA Liaison Manager to keep him/her abreast of student chapter activities; and

• Educates colleagues about club management as a source of lecture material and course project suggestions.

Additionally, one Faculty Advisor from each chapter is invited to CMAA’s Annual Conferencefor which all education registration fees are waived.

CMAA FACULTY MEMBERSHIPAn exciting opportunity is available for instructors within the hospitality industry. TheAssociation has a faculty membership category. This membership category is open to any individ-ual who is an instructor/faculty member for hospitality or related courses at an accredited educa-tional institution for undergraduate/graduate studies. The dues for faculty membership are $100per year. STUDENT CHAPTER LIAISON MANAGERThe Liaison Manager will be a point of contact for the senior chapter in the residing area ofthe college or university. He/she is responsible for the distribution and exchange of informa-tion between the affiliated chapter, the student chapter and National Headquarters. He/shemust be willing to devote the time required to assist the Faculty Advisor and student body ineffectively achieving the goals and requirements set forth in this handbook, as well as thoseestablished by the local CMAA chapter and Faculty Advisor. If the Liaison Manager transfersmembership to another club outside of the local chapter boundaries, the chapter must appointa new liaison. Please inform National Headquarters of any changes so that we can ensure thateach student chapter has a current Liaison Manager.

It is important that the Liaison Manager:

• Serves as a key advisor to the students;

• Stays in close contact with the Chapter/Member Services Committee member assigned tothe chapter;

• Attends student chapter meetings as often as possible and reviews records and accountingprocedures;

• Educates and encourages the Faculty Advisor’s interest in club management;

• Assists the chapter with its overall programming needs (i.e., meeting speakers, field trips,resources for Association news, chapter meetings and employment opportunities);

• Participates in campus career-day programs; and

• Ensures that copies of the chapter’s minutes are forwarded to the National Headquartersas well as the Chapter/Member Services Committee member assigned to that chapter.

CMAA advances the profession of club management by fulfilling the educational and related needs of its members.

CODE OF ETHICS OF THECLUB MANAGERS ASSOCIATION OF AMERICA

We believe the management of clubs is an honorable calling. It shall be incumbent upon club managers to be knowl-edgeable in the application of sound business principles in the management of clubs, with ample opportunity to keepabreast of current practices and procedures. We are convinced that the Club Managers Association of America bestrepresents these interests and, as members thereof, subscribe to the following CODE OF ETHICS:

1. We will uphold the best traditions of club management through adherence to sound business principles. By ourbehavior and demeanor, we shall set an example for our employees and will assist our club officers to secure theutmost in efficient and successful club operations.

2. We will consistently promote the recognition and esteem of club management as a profession and conduct ourpersonal and business affairs in a manner to reflect capability and integrity. We will always honor our contractualemployment obligations.

3. We shall promote community and civic affairs by maintaining good relations with the public sector to the extentpossible within the limits of our club’s demands.

4. We will strive to advance our knowledge and abilities as club managers and willingly share with other Associationmembers the lessons of our experience and knowledge gained by supporting and participating in our local chap-ter and National Association’s educational meetings and seminars.

5. We will not permit ourselves to be subsidized or compromised by any interest doing business with our clubs.

6. We will refrain from initiating, directly or through an agent, any communications with a director, member or officialof another club regarding its affairs without the prior knowledge of the manager thereof, if the club has a manag-er.

7. We will advise the National Headquarters, whenever possible, regarding managerial openings at clubs that cometo our attention. We will do all within our power to assist our fellow club managers in pursuit of their professionalgoals.

8. We shall not be deterred from compliance with the Law, as it applies to our clubs. We shall provide our club offi-cers and trustees with specifics of federal, state and local laws, statutes and regulations, to avoid punitive actionand costly litigation.

9. We deem it our duty to report to local or national officers any willful violations of the Code of Ethics.
