It is important to note: The funds available through this grant do not cover the cost of building, installing, or maintaining the actual trail, and no funds will be directly distributed to the site/grantee. Instead, the grant funds will be used to produce and deliver the TRACK Trail materials (trailhead sign, brochures, webpages, etc.) to each partnering site.

Each partnering TRACK Trail site will receive: - Trailhead sign frame (3 options to choose from)- Trailhead sign (high-pressure polycarbonate material with 10 year warranty)- Plaque with partnering agency logos for the kiosk- Four brochure holders- Four different self-guided brochures from the KIP program’s stock of generic brochures (2,000 copies of each)- Integration of your site into the KIP website (trail page)- Prize dissemination to kids who register their adventures from your site- Access to the back-end of the website allowing you to download data spreadsheets and monitor registrations - Annual data reports about the users who have registered from your site- Connection with all the other TRACK Trails sites in the program’s network

General Information/Guidelines:

Kids in Parks will be funding 44 TRACK Trail locations at NCRPA sites in North Carolina counties where the program does not currently have a TRACK Trail. Please see the map and counties diagram on the last page of this document to determine which counties are eligible to apply.

Only one site in each “NEW” county will be funded through this grant. The deadline for submitting an application is September 1, 2017. TRACK Trails are installed upon kid friendly trails that support a child’s desire to return for another adventure.

Specific criteria for trail selection and appropriateness can include:- Trail distance (generally between 1.0-2.0 miles)- Difficulty (easy to moderate)- Park Amenities (restrooms, visitor center, safe parking, benches, water fountains, etc.)- Trail Amenities (trees, wildflowers, streams, river, lake, waterfall, views, etc.)

Kids in Parks seeks TRACK Trail locations that have strong collaborations between parks, schools, other partner groups, and the community. Priority will be given to locations that can show partnerships and collaborations within the community.

Scope:

Through this NCRPA grant, grantees will agree to a 3-year partnership with the Kids in Parks program. Those agreements can be extended after the term has been completed.

Requirements

Enter into a 3-year partnership with KIP Agree to pay the annual membership fee of $400, payable annually or upfront ($1,200 total) TRACK Trail locations are required to designate a TRACK Trail manager as the point of contact that will be

responsible for all reporting and management of the TRACK Trail The TRACK Trail manager and park personnel are expected to share information about the KIP program with

park patrons TRACK Trail sites are encouraged to plan celebrations and educational outreach events that encourage

community participation on the trail TRACK Trail sites will be expected to share success stories, photos, testimonials, etc. that can be used in

promotional materials to spotlight the success of the trail and program as a whole Install the trailhead sign frame, trailhead sign, partnership plaque, brochure holders, and brochures at the trail’s

trailhead or visitor center Purchase additional brochures from Kids in Parks, or have brochures printed locally (to spec: #80 gloss book,

legal size, tri-fold, 4C/4C), in order to keep your trailhead sign stocked throughout the duration of the partnership. Prices for brochure reprinting depend upon the brochures selected for your site, and are included in the On-going Budget Sheet as an attached document. Kids in Parks staff will discuss brochure options with you in advance to help inform your initial brochure selections.

All granted sites will be required to enter into an MOU with Kids in Parks detailing the partnership and what is expected from each partner group. A copy of the KIP program’s generic MOU is attached to this grant application for your review.

Reporting:

TRACK Trail grantees will be required to report regularly about: Observed use of the TRACK Trail The number of brochures that are being taken from the trail The number of volunteer and paid work hours spent enhancing the TRACK Trail Success stories and special events affiliated with their TRACK Trail Any issue/problems that happened on or near the TRACK Trail (i.e. injuries, criminal activity, safety issues, etc.)

Startup CostsThis document demonstrates the standard startup cost to “franchise” into the Kids in Parks TRACK Trails program. However, through this NCRPA Grant, your site will only be responsible for the Annual Fee for a 3-year period, and continuing for the duration of the partnership, and any costs associated with restocking the brochures for your site.

The prices listed below, your site will receive: a trailhead sign / kiosk with four brochure holders, four sets of self-guided brochures (2,000 copies of each), a trail page on the Kids in Parks website, prizes disseminated to your trail’s registrants, and annual data reports regarding the use of your trail.

*Some of the prices (kiosk construction, brochures, shipping fees, etc…) in this document can fluctuate based on several factors: kiosk (the partnering agencies ability to construct and install the kiosk on their own), brochures (larger print runs for larger parks), and shipping fees (weight and distance items need to be shipped). Kids in Parks is willing to work with agencies to find ways to help reduce installation cost on a case-by-case basis. Please contact us for more information.

Additional Services

In addition to our standard trail package, we offer other services that can add more value for visitors to your trail. Site specific brochures and interpretive panels can help visitors have a more meaningful connection to your site, while trail markers help with way finding. TRACK Packs are backpacks that are stuffed with gear (field guides, compass, binoculars, magnifying lens and more) designed to enhance the visitor’s experience along the trail. Our community integration kit provides you and your community partners with 4 miniature kiosks and 10,000 generic brochure / rack cards that can be placed in various locations (doctor offices, libraries, schools, etc) to advertise your site’s TRACK Trail.

These items are not included in the NCRPA grant, but can be added to your trail for the fees listed below.

On-Going BudgetThis budget document represents the on-going costs and shipping fees to maintain the brochure supply for your site’s TRACK Trail, and the corresponding annual administrative overhead fees for maintaining your trail in the Kids in Parks program’s system.

The costs to maintain the brochure supply for a TRACK Trail varies dramatically from site to site. Depending upon the visitation at your site and the brochures your site selects, the costs to re-stock those brochures will vary. We print our most popular brochures in larger quantities, allowing us to pass on the savings to our partner locations. However, less popular brochures are printed in smaller quantities, and site-specific brochures are printed in one-off batches, making them more expensive to re-stock / re-print.

Note: Some sites may have alternative printing options (GPO, state printer, local printer). If your site is mandated to use a particular printer, or your site can reduce costs by printing elsewhere, the KIP staff will be happy to provide you with the graphic files and work with your printer to ensure our quality standards are met. (Brochure specs: 80#, White Gloss Book, FSC Certified, Legal Size, Tri-Folded, 4x4).
