1. plan, plan, plan. You will likely need to spend three times as much time planning your migration to paperless as you will implementing it. as part of the planning stage it is imperative to get buy-in from the top to ensure that your entire organization embraces the move.

2. Make it a team effort. Organize a dedicated “Champion team” to gather information, test the various products and forecast potential cost savings from going paperless.

3. Seek and you shall find. perform a comprehensive search of all available applications and products. We talked to three potential paperless application suppliers before we finally settled on CCH Scan and CCH Document from CCH Canadian Ltd.

4. take small steps before making big decisions. Consider doing a pilot test to quantify the benefits of the transition to paperless. We did this with CCH Document and CCH Scan, and as a result we were able to estimate savings of 1.8 full-time equivalents per year, plus considerable reductions in our paper and storage costs.

5. timing is everything. to reduce the strain on company resources most firms should consider going electronic with tax returns and initiating implementation of year-end files outside tax season.

You may also want to go with third-party hosting and thin client units and an application delivery system to save space.
