Terminal City Club promotes responsible beverage service in all of its facilities. To ensure the enjoyment and safety of all our guests, we reserve the right to limit and refuse service.

Our house policy prohibits the service of double shots and shooters for all events. Alcohol will be served until 12 a.m. daily.

We are pleased to offer a selection of premium brands on all bars unless otherwise requested by the host. Spirits are offered to members by the bottle based on liquor store pricing plus corkage.

Bartenders are provided at a flat rate of $150 per steward per event. One steward is required for every 75 guests. Applicable taxes and service charges are not included.

MEMBER CATERING POLICIES

MENU PREPARATIONOur team requires that your menu and beverage choices be finalized a minimum of two (2) weeks prior to your event. Menu changes made less than two (2) weeks prior to the event may result in

additional charges. Menu prices are subject to change.

At the time of confirmation you will receive a copy of your contract. Please make any necessary changes before signing and returning in order to guarantee the details of your event.

All food and beverage services will be provided by Terminal City Club. Due to health regulations, food may not be brought onto, or removed from, Club premises.

GUARANTEE & CANCELLATIONOur Catering Department requires the exact number of banquet guests attending your event three

(3) business days prior to the function. It is the sole responsibility of the client to provide this information to the catering office during regular business hours (8:30 a.m. to 5 p.m. Monday to Friday). This confirmed number constitutes the guarantee. Guarantees for Saturday, Sunday, and

Monday are required on the preceding Wednesday.

The original guarantee will be assessed if fewer than the confirmed number of guests attend the function. If no guarantee is given, the planned number of people listed on the contract will be considered your guarantee. Your final bill will reflect your final guarantee or actual number of

guests in attendance, whichever is greater.

Cancellation charges will apply if written notice of cancellation is not received thirty (30) days prior to the event date:

— 16 – 30 days’ notice: room rental fee will apply.— 11 – 15 days’ notice: room rental fee plus 50% of the estimated food & beverage charges will apply.— 0 – 10 days’ notice: room rental fee plus 100% of estimated food & beverage charges will apply.

Estimated food & beverage equals the estimated guests multiplied by the minimum menu prices. This is calculated based on each meal period, and then multiplied by the lowest price in that meal period.

Please note that your event booking is not guaranteed until a signed contract has been received.

Performance of the agreement is contingent upon the ability of the Club to complete the same and is subject to labour disputes or strikes, accidents, restriction upon travel, transportation, food,

beverage or supplies and other causes, whether enumerated herein or not, that are beyond the control of management preventing or interfering with performance. In no event shall the Club be liable for loss of profit or for other similar or dissimilar collateral or consequential damages based

on breach of contract, warranty or otherwise.

WINE SELECTIONWine choices are subject to availability and the Club reserves the right to make appropriate

substitutions for wines that are unavailable at the time of the request. Prices are subject to change based on liquor board pricing at the time of the event. In order to ensure availability of your wine selection, wine requests are required a minimum two (2) weeks prior to the date of your event. In accordance with our liquor license, all beer, wine and alcohol must be purchased by Terminal City

Club in order to be served on premises.

MEMBER CATERING POLICIES

NON-MEMBERS & AFFILIATESNon-members are required to prepay the estimated cost of the event and must have a valid credit card on file.

Affiliate members must have a current letter of introduction (within one month), a valid credit card on file for final payment, and will be required to prepay 100% of the estimated cost.

ASSIGNMENT OF FUNCTION ROOMSThe Club reserves the right to reassign a function room with notification.

DRESS CODEAll guests must adhere to the Club’s minimum dress code of smart casual. It is the sole responsibility of the client booking the function space to ensure that guests attending their event have been properly notified.

Guests who are not appropriately dressed may not be permitted in the Club.

Smart casual includes collared shirts, golf shirts, blouses, knee-length shorts, khakis, and solid coloured denim. T-shirts without large logos or slogans are permitted provided they are worn with a sports jacket. All

hats, runners, flip-flops, and torn denim are not permitted.

CELLULAR PHONESThe use of cellular phones is limited to the interior of the contracted function space. The use of these

devices in common areas of the Club is restricted to the telephone rooms provided on each floor.

SERVICE CHARGES & TAXESMembers will be charged a 17% service fee on all food and beverage. Applicable taxes will also apply. Non-members will be charged 18%.

SIGNS & BANNERSSigns are not permitted on the exterior of the building or lobby areas without written approval from Club Management. Printed signs for function rooms must be free standing or on an easel. The Club will assist in

the placement of signs or banners, for which a fee may be charged.

RESOUND FEEThe Copyright Board of Canada has approved a levy – each time recorded music is played a fee will be charged and distributed to the artists and record companies worldwide for public use of their music.

Terminal City Club is required by law, to pay license fees, otherwise known as Tariff 5.B, on behalf of RE:SOUND. The cost of a day-license is $45 for events with dancing and $25 for events without dancing

(prices are subject to applicable taxes).

SOCAN FEEThe Society of Composers, Authors and Musical Publishers of Canada assesses a tariff for the performance

of live and recorded music. Functions with recorded or live music are subject to this $80 fee for events with dancing and $50 for events without dancing, which will be collected by Terminal City Club at the time of

billing and paid to SOCAN (prices are subject to applicable taxes).
