Topic 1: Using CAT for the Administrator This section will cover the CAT functions unique to the Administrator. These functions will also be relevant to other CAT roles, depending on the permission sets.

Your Role as an Administrator 

An Administrator manages CAT users and content. Your responsibilities can vary, depending on the assigned permission sets. This role can manage a specific subset of the group structure within the organization and/or a specific subset of the Positions, Competency Maps, and Development Activities. The Administrator has access to all the functionalities in CAT Enterprise, except those reserved to the System Owner. As an Administrator, you will have to be familiar with the Participant and Supervisor roles, as you will also use these functionalities.

An administrator has two main responsibilities:

To work within My Team’s Development, which includes group and person creation, editing people, running reports, and creating/sharing report templates

To work within the Competency Framework, which includes Development Activity, Competency Map, and Position Administration

Navigating the Administrator Homepage 

When you log in as an Administrator, your homepage/Dashboard will look similar to the image in Figure 1. The page displays chart and report information related to the Positions, Competency Maps, and Development Activities associated with your people and groups. The CAT Enterprise Supervisor Manual explains the interpretation and use of the Dashboard, the charts and Quick Reports in detail.

Topic 2: Managing Groups, People, and Profiles As an Administrator, you will be working with groups, people, and Person Profiles by creating, editing, and deleting items for your organization.

Before Creating a New Person 

One of your roles as an Administrator is creating new people in the system. When creating a new person, you may be notified that this person, or a person of the same name, already exists in the system. However, if your System Owner has given you permission to “View Non-Supervisable People,” you can first use the Search function, and the people in the system that you do not supervise will also appear in the search results. These people will appear grayed-out, and you will only be able to view their role summary (Figure 4).

Creating a New Person 

To create a new person, click on My Team’s Development in the main menu (Figure 5).

You will now see a tree, listing your assigned groups, in the left frame—your groups are also listed in your main screen. There is more than one way to create a new person from this screen. The simplest way, however, is to create a new person from your Assigned Groups tree.

In your Assigned Groups tree, expand a group, and right-click on either Participant or Management, depending on what type of person you want to create. A menu will appear: click on New User. For example, in Figure 7, “Group B” is expanded, and Figure 8 shows that a new Participant is being created.

Alternatively, to create a new person, you can click on a group in your Assigned Groups tree or on a group from your list in the main screen (refer back to Figure 6). A Group Activity Profile screen opens. From the main screen, click on the

Create New User icon. There are two icons on the page that look the same: one is for creating a new group; the correct icon for creating a new user is circled, as shown in Figure 9.

You main screen will now display the first page of the New User Wizard. Your Assigned Groups are displayed in a tree in the left frame, and the criteria icons are in the header on the top right (Figure 10).

New User  

The New User criteria icons will be shown on the header while you navigate through the pages. These icons will be disabled while you progress through each page and will not become activated until you reach the final page. At that point, the

Save icon will be activated. Once you click the Save icon, the new user will be created, and all the icons will be activated, so you use them to navigate easily though the pages and edit user details.  There are several pages of new person criteria:

Properties Allows you to specify account information for a person.

Person Profile Allows you to add Person Profile related information for a person.

Position Allows you to assign a Position to a person. Only one Position can be assigned.

Growth Positions Allows you to assign Growth Positions to a person. More than one Growth Position can be assigned.

Group Membership and Role Assignment Allows you to assign group memberships and roles to a person. More than one group and role can be assigned to a person, but a Participant can only have one role, as a Participant, in each group).

Save Saves changes made. Proper validation is required upon saving to ensure required fields are filled out and are in the correct format. This is one of the few pages that incorporates a save function. If changes are made and you navigate away, a message will be displayed indicating changes will be lost if not saved.

To navigate through the criteria pages, use the Next and Back buttons, as shown below.

Properties Figure 11 shows the first page of the User Creation Wizard. In the top right corner, the criteria icons indicate which page you are viewing. The fields marked with an asterisk are mandatory, and you will not be able to click the Next button until you complete these fields.

If you miss a mandatory field, you will be prompted with an error message below the required field in red bolded text, as shown in Figure 12. The cursor will default to the first empty required field, when one has been missed.

 Person Profile Once you have completed the Properties page and clicked the Next button, you will be taken to the Person Profile page (Figure 13). Establishing Person Profile information is not required, so the Next button will be enabled by default. You can skip this page, or come back to it later by clicking on the Back button. Editing the Person Profile page is explained in full detail in the CAT Enterprise Participant Manual, “Topic 1: Getting Started with CAT Enterprise.”

Note: If your organization has decided not to use the Person Profile feature or if you do not have the right permissions, this page is skipped automatically when you click the Next button.

Position Clicking Next will load the Position page (Figure 14). By default, no selections are made. This area allows assignment of a Position to the new person. The Positions listed come from all Positions stored within the system. A note indicating no Position is assigned will be shown in the Assigned Position box on the right. It is recommended, but not mandatory, to assign a Position to a new person; the Next button will be enabled regardless. To assign a Position, enter search criteria in the search field and click on the Search icon. The Unassigned Positions box will be populated with Positions you have access to.

In Figure 15, you can see the search results in the Unassigned Positions box. Clicking on a Position will highlight it in blue, like the “Drilling Rig Site Supervisor Skill Building.” Once highlighted, you can then click the Add >> button to move the Position to the Assigned Position box. Figure 15 shows that the “Drilling Engineer Skill Building” Position has been assigned. You can remove a Position in the same way, by clicking on the Position in the Assigned Position box and clicking the << Remove button. Only one Position can be assigned to a person, and therefore, only one Position can be in the Assigned Position box at a time.

 Growth Position It is not mandatory to assign a Growth Position to a person; therefore, the Next button will be enabled. Adding and removing Growth Positions works in the same way as adding a Position. Clicking Next will load the Group Membership and Role Assignment page. Clicking the Back button will bring you back to the Position page. Group/Role Assignment This area allows you to assign a person to one or more groups. The groups shown will depend on the person’s group permissions established within the My Team’s Development area. If the new user functionality is being accessed from within a Group Details page, then that group will be checked and assigned the “Participant” role automatically. A new person must be assigned to at least one group. Management Positions can be assigned more than one role within a group. Figure 16 shows that the person has been assigned the “Participant” role in the “Central Region.”

To assign a person a role and a group:

1. Click on a group or sub-group in the list of groups.

2. Choose a role from the Role Assignment list by checking in its box. You can see in Figure 16 how the role name appears beside the group name.

3. Click on more group names to assign the person to more than one group (optional).

4. Click on the Save icon. ** Be sure not to miss this step, or your person will not be created and all data will be lost. **

Save Clicking on the Save icon will submit the information. After the data is saved, you are returned to the person’s Details page where you will see the words “Save Successful” to confirm the user information has been saved (Figure 17). Edit As Figure 17 shows, from the Details page you can re-enter the User Creation Wizard in edit mode with the Edit User icon to continue adding or modifying Participant information. You will also find the Delete User icon, which will allow you to delete users from the system permanently. You can learn more about this in the CAT Enterprise Supervisor Manual, “Topic 4: Viewing and Editing a Person.”

Specifications for User Details 

Summary of Group Membership and Role Assignment Functionality The checkboxes within the Group Membership area allow for group assignment. More than one group can be checked and unchecked. The role assignment checkboxes will be disabled until a group name is selected. Only one group name can be selected at a time. Once a group name is selected, the checkboxes under Role Assignment will be enabled. The roles listed will depend on the person’s permissions. The Administrator, Mentor, Participant, Reporter, and Supervisor roles may be available for selection.

Beside each role name the associated permission set will show in italics. The associated permission set will vary on a group to group basis. More than one role can be assigned to a person within a group; however, if a person is assigned the Participant role they can only be assigned that role. Checking the Participant checkbox will uncheck all other role selections. Checking other roles will ensure the Participant checkbox is not checked. The Save button will only be enabled if at least one group and one role are assigned to the new user. Character Validation The last name, middle name, and first name will accept the letters a-z and apostrophes, hyphens, and spaces. The User ID field will accept the letters a-z and hyphens, periods, underscores, and the numbers 0-9. If an invalid character is used, an error message will be returned, indicating the field will only accept the characters above. E.g. “The Last name field can only contain the following characters: a-z ‘ - space” E.g. “The user ID field can only contain the following characters: a-z - . _ 0-9” Fields The Password Field will accept any character except spaces. Passwords can be case sensitive; this is established through a Site Configuration setting called “Passwords are Case Sensitive.” By default, this setting is initialized to false. If case sensitive is set to true, a note will be displayed. The Employee Number and Phone Number fields will accept any special characters. The Employee Number must be unique. The Email Address field must be a valid email address. There will be another constraint set through a site configuration setting called “Email Validation.” This allows System Owners to enforce emails to be set to match a format—for example, “@petroskills.com.” The Email Address must be a unique field; this will be enforced as validation on edit. Field Length Maximum character length (enforced):

Last name - 30 characters First name - 25 characters Middle name - 25 characters User ID - 26 characters Password -16 characters Employee Number - 16 characters

Phone Number - 30 characters Email Address - 100 characters

There will be a minimum password length that is enforced through a site configuration setting called “Minimum Password Length”. By default, the minimum password length is 6 characters. Check with your System Owner for password length settings.

Picture To change or upload a picture, click on the Browse button on the Details criteria page to upload a new picture (JPG or GIF) from your computer (Figure 18).

The Upload Person Picture dialog box will open, as shown in Figure 19. Click on the Browse button to choose a picture, then click the Upload button. This will show a preview of the picture in the dialog box. The dialog will resize dynamically to fit the picture for viewing. The picture shown will be scaled automatically to 100 by 100 pixels then stored at a low resolution. If the picture is smaller than 100 by 100 pixels, it will not be scaled. The maximum picture size is 1 MB (1024 KB). This is controlled by a site configuration setting called “Maximum File Size Person Picture” that can reset the maximum size. Clicking the Save button saves the new picture.

The picture can be enlarged by clicking on it. The size of the dialog will vary as it is dependent on the original size of the picture. Click the Close button to close the dialog box. If there is no picture supplied for the person, then the default picture icon will be displayed instead (Figure 22).

Inactive Date Field Inactive Date determines when the account will become inactive. The Calendar must be used to select a date.

To set an Inactive Date, click in the Account Inactive checkbox, then click on the

Calendar icon and choose a date. Once a date is selected, it will appear within the text box. To clear the date, uncheck the Account Inactive box (Figure 24).

Password Options If the option “User must change password at next login” is checked, the user affected will be prompted to change their password during their next login. After the user has changed their password, the “User must change password at next login” checkbox will be unchecked (Figure 25). One of the three radio buttons “User cannot change password,” “Password never elapses,” and “Password expires every ‘X’ days” can be selected. The option “User cannot change password” prevents the user from changing their password within the system. “Password never elapses” means the user’s password will never expire,

and “Password expires every ‘X’ days” will force the user to change their password during next login, if the number of days since the password was changed is greater than or equal to the set value.

Editing Person Profiles 

Profile Administration is accessed under Administration in the menu (Figure 26). This will be read-only access by default to allow you to see what has been setup within the system and any validation criteria; however, depending on your permissions, you may be able to edit certain fields.

After you have selected a Participant’s Details tab, the Profile Administration allows you to view (and perhaps edit) the details and values of a Person Profile. This is customized by each organization and by default will have no values (Figure 27). The Person Profile can be specifically customized to display any number of details, such as a person’s country or date of birth. The exact variables in the Person Profile will be decided by your organization. It is up to your organization whether to use the Person Profile or not.

When viewing the Profile Administration page, all Profile categories are listed in the tree located in the left-frame window. Any Profile Categories that have been setup within a hierarchy will display as such. The ability for different Roles within the system to view or edit the values associated with an individual can be modified in the Role Permission Set Editor. When a Profile Category is selected, it will display three tabs in the main screen: Category, Value, and History (Figure 28).

Category 

Each category will be similar to the Properties to the left on the Person Details and will include a number of options:

Category Name: appears within the Person Profile

Category Description: appears as the mouse-over text.

Data Type: this can be String, Numeric, or Date. (Note: This option is disabled when editing sub categories.)

Max Values: determines how many values can be set per person.

Enabled: determines whether the Category will appear within the Details and Reports.

Value 

Once the category has been setup, values can be added based on the Category Type. In Figure 29, the strong-type values for Country are shown on the left, and the subcategory Province/State is shown on the right. Values of Country can be assigned values of Province/State for ease of use in reporting, searching, and while editing a user account.

History 

The history will show a record of changes made to the properties of the Category including the date, person, type of change/property, old value, and new value (Figure 30).

Managing Groups  

One of your tasks as an Administrator is to manage groups and their memberships within CAT Enterprise. Groups are managed by being created, edited, and removed. This is an Administrator responsibility; however, a Supervisor can be given permissions for these functions as well. Within the My Team’s Development section, Administrators can manage the groups and the people they directly administer. Supervisors, who have been given the permissions, can manage the groups and the people they directly supervise. To begin managing groups, select My Team’s Development from the main menu (Figure 31).

Once you click on My Team’s Development, you will see a list of Assigned Groups in the left frame, along with a list of groups in your main screen (Figure 32). Your groups are managed from within a tree, which is organized by hierarchy.

Group Hierarchy A hierarchy is defined as a series of ordered groupings of people or things within a system; therefore, group hierarchy is described as an organizational grouping where each group (except for the top object) is a subordinate of another. This can be visualized as an upside-down tree—the top of which is known as the root. To establish a hierarchy, a root object is defined by the System Owner. In this case, the root object is a group created directly under the Assigned Groups node. Within this group, another group can be created. This will be become the subordinate of the object selected and is also referred to as a sub/child group. The system will support a limitless a hierarchy. Tree Example: Assigned Groups Group A – The root, parent of Group B Group B – Child of Group A, parent of Group C Group C – Child of Group B Group D – The root, parent of Group E Group E – Child of Group D In your Assigned Group tree, the groups are categorized in the hierarchical form, as shown in Figure 33. This is divided into the group name, the Participants, Management, and Position (also known as Primary Position).

Creating a Sub/Child Group 

Within your Assigned Groups, you can add additional groups. Right-clicking on a group name will display a menu—click on New Group (Figure 34). You can also click on a Group name and then click on the Create New Group icon in the Group header (Figure 35).

taken, the name will be “New Group 2” and so forth. The group created will be the parent and ordered alphabetically.

Deleting a Group 

To delete a group, you can right click on the group name and select Delete from the popup menu, or you can click on the group and click on the delete button in the group header (Figure 37). If the group contains any people assigned to it, a validation box (Figure 38) will appear, so that it is not accidentally deleted. If this is the last group any of the members belong to, you will not be able to delete the group.

Editing a Group Name 

Group names can be changed at any time. To edit a Group name, click on the name, and it will change to Edit Mode (Figure 39), or click on the edit icon in the Group header (Figure 40).

Editing Group Membership 

To edit Group Membership (Figure 41):

1. Select a group name on the navigation tree.

2. Click on the Edit Group Membership tab.

3. In the search field enter your search criteria (e.g. Last name, first name, or user ID). By default, the Unassigned People list will be empty. Leave the search field blank to search on all Participants you have access to that are not currently assigned to the group selected. Click the Search icon to populate the Unassigned People list.

4. Select a person from the Unassigned People list.

5. Select a role.

6. Click the Add >> button. The person(s) selected will be moved into the Assigned People list with their role. The Unassigned People list will support multi-select allowing the user to add multiple people to a Group. This is achieved by holding down the ‘Ctrl’ key.

To remove people follow Step 1. In the Assigned People list you will see people who are currently assigned to the group selected and their role. Select the person(s) in the list you want to remove (7) then click the << Remove button (8).

Editing Position Assignment 

Position Assignment allows you to quickly edit the Positions of the people belonging to your assigned groups by removing Positions, reassigning Positions, and searching for new Positions for assignment. This functionality will allow you to change a Growth Position to be the Assigned Position, but it does not modify Growth Positions in any other way. This feature is accessed under the Position Assignment tab on the Dashboard. Administrators will see this tab by default; Supervisors and Mentors will not see this tab unless given the “Edit Position Assignment” permission. To use Position Assignment, select a Group from the Assigned Groups tree. This can be any Group (parent, child or a Participant or Management node). The members of the Group are listed in the Group Members window, and their assigned Positions are listed in the Position window. A search bar also appears. (Figure 42)

When you click on a Position, the people assigned this Position appear in the Group Members list with a checked box adjacent to their names (Figure 43).

You can remove a person’s Position by unchecking the box. The Position title is then changed to “No Position Assigned” (Figure 44).

Use the search bar to find a particular Position. Type in a Position name or a portion of a Position name in the search bar and click the Search icon. Your search results will appear in the Position list (Figure 46). Now you can choose any of these Positions for assignment.

Changing Permission Sets for a Group 

Whenever a classifier or parent group is created, the default permission set associated with the roles available within that context will be the first listed within the permission list combo box, which is ordered alphabetically. The default permission sets for sub-classifiers and child groups will be that of the parent’s—meaning, upon creation of sub-classifiers and child groups the “Inherit Permissions from Parent” checkbox will be checked automatically and the permission set name will be selected accordingly to indicate the permission set name inherited. The Policy Editor allows permission sets for a given node and all child nodes to be changed. The Policy Editor can be accessed only from a classifier, sub-classifier, or group name. To change these permission sets, right-click on a group name, then select Policy Editor from the popup menu (Figure 47).

The Use Permission Set combo box selects the permission set to assign to the associated role. It is a list of all permission sets defined for the role. To change, uncheck the Inherit Permissions from Parent check box then select the new permission set you want to apply to that role for the selected classifier or group (Figure 49).

Multiple roles can be assigned to a person on a given context object. For example, a person may be assigned to a group in two different roles, such as a Supervisor and a Reporter, each with its own permission set. The 2 different permission sets will be applied to the group and all of that group’s child groups. This allows roles to have permission sets that share (overlap) the same functional permissions; this will be handled in an additive manner. This means that a context object (e.g. group) within the context model (e.g. supervision model) that has more than one permission definition associated with it will have all active functionality of both permission sets

regardless of functional conflict. For example, if one permission set states function “x” is on and the other states function “x” is off, then the person will have access to function “x” on the context object in question; however, the person cannot be assigned with a “Supervisor” and “Participant” role for the same group; no user can belong to both the management and Participant nodes. Security policies for a Person The permission sets for a person’s security policy in the system can only be changed in reference to a group in which that person belongs. If a permission set is changed for a role on a person’s security policy, it is only changed for the person in the group in which the change was made. If no change is made on the permission sets for a role at the person level, the permission set is inherited from the group to which that person belongs.

Group Profile, Competency Inventory, Gap Analysis, and Activity Profile 

As an Administrator, you may also have the permissions to manage Group Profile, Competency Inventory, Gap Analysis, and Activity Profile. These functions are explained in full detail in the CAT Enterprise Supervisor Manual.

Topic 3: Working within the Competency Framework

Overview 

The competency framework consists of three areas of CAT: Development Activities, Competency Maps, and Positions. They will be used to find out what Skills are required for specific Positions, to assess Skills, and to determine what learning and development opportunities are available. Administrators, SMEs, and Reviewers will be responsible for the ongoing maintenance of the parts of the Competency Framework which are proprietary to your company. The exact process that will be followed for approvals will be agreed upon within your organization. Within the PetroSkills Alliance, this work is done by the Discipline Networks where a Discipline Manager coordinates the input from and builds consensus for any changes with the Curriculum Advisors, and you may follow a parallel process. PetroSkills Competency Maps and Development Activities are updated by the System Owner within CAT.

Roles and Permissions within the Competency Framework 

The specific permissions that are applied to each of the Roles below are set by the System Owner within the organization. At the highest level, these permissions are granted at either the classifier or sub-classifier levels, similar to the way roles are assigned to groups. Being placed into the Management area will provide you with permissions on the items that fall into the section of the tree, as shown in Figure 51.

Being part of the Management for the “Formal Training” would give you permissions on all the Development Activities within “Archived Course,” “Industry Course,” and “PetroSkills Course.”

Creating and Editing Classifiers or Sub‐Classifiers 

The classifiers and sub-classifiers are used for two main purposes:

To organize the Development Activities, Competency Maps, and Positions within the Assignment Details, Competency Inventory, Gap Analysis, Searching, and Reports (where appropriate).

To provide the structure for assignment of SMEs and Reviewers.

The classifier and sub-classifier naming should be consistent with the expectations of the people within your organization and should be based on functional divisions, not the people who will be responsible.

To create a new classifier or sub-classifier, right click on the level above Management in the tree and select New (Figure 52 & Figure 53).

Adding and Removing Persons and Roles 

Anyone in the system can be assigned the Subject Matter Expert or Reviewer roles. This is done by right-clicking on the appropriate Management node and selecting Add/Remove Persons and Roles—this will open a dialog box (Figure 54).

To add a new person:

1. Type part of their name into the search field.

2. Click on the Search icon.

3. Select the person and click the Add >> button.

4. Check the appropriate role and click on the Save button.

To remove a person:

1. Select the person from the Assigned People.

2. Click the << Remove button.

To change the role assigned to a person:

1. Select the person from the Assigned People.

2. Check or uncheck Roles as appropriate and click Save.

Activity Administration 

Development Activities can be any learning and development opportunity that contributes to the development within one or more Skill Description in the system. To make changes, select a Development Activity. This will open the Properties (Figure 55), and you can tab to the Assignment Details or History.

Properties that you are able to change will be in black text; otherwise, they will be gray and not editable. The properties in Figure 55 are the defaults in the system. It is possible for your organization to add additional properties as required.

Names must be unique in the system and validation will prevent duplicate entries.

Codes must be unique in the system and validation will prevent duplicate entries.

URL: can point to any valid web address.

Status: determines whether or not this Development Activity will be available to people within the Competency Inventory, Gap Analysis, or Development Plan. Archiving does not delete associated information.

Because multiple properties can be edited at once, changes are not automatically saved, and the Save icon must be used. If changes are made and you do not save, but attempt to move away, a confirmation dialog will appear (Figure 56).

Assignment Details 

Assignment Details allow you to see/change the associations between Skill Descriptions and a specific Development Activity (Figure 57).

The Competency Maps are displayed within their classifiers, along with a count at each level of the number of times the Development Activity has been linked in square brackets [ # ].

Selecting a Competency Map will bring up a list of its Skill Groups at the far right, also with a count.

Selecting a Skill Group will open a list of the Skills below this and display

check marks where links have been made. To change the associations simply check or uncheck the appropriate box. Placing your cursor over the checkbox will display the Skill Description name in a popup. These changes are automatically saved. This process is recommended when new Development Activities are added to the system. For a new map with multiple Development Activities to add, there is corresponding functionality with the Competency Map Administration later in this section.

History 

The History will show a record of changes to the Properties of the Development Activity including the date, person, type of change/property, old value, and new value (Figure 58).

Map Administration 

Competency Maps are comprised of Skill Groups, Skills, and Skill Descriptions. They are discipline (not job) specific to allow the Skills to be easily shared between one or more Positions. The relationship between the different levels is one-to-one; that is a Skill Description can only be in one Skill, a Skill can only be in one Skill Group, and a Skill Group can only be in one Competency Map.

In the navigation tree, Maps are sorted into sub-classifiers which in turn are part of a classifier (Figure 59).

At the bottom of the tree will be an “Unassigned” node. This will hold:

the Skill groups not in a Competency Map;

the Skills not in a Skill Group; the Skill Descriptions not in a

Skill.

Unassigned items can be dragged into the appropriate Competency Map and dropped in place.

Statistics with a “#” symbol represent counts, and the % symbol represents the ratio of the number of Skill Descriptions with one or more Development Activities linked versus the total number of Skill Description in the Competency Map (Figure 60). By using the tree for navigation you can also access the Properties of the Skill Groups, Skills, and Skill Descriptions. Because multiple properties can be edited at once, changes are not automatically saved; the Save icon must be used. History 

The History page will show a record of changes to the properties of the tree selection including the date, person, type of change/property, old value, and new value. The tree can be used to change the context of the history from and to any Skill Description, Skill, Skill Group or Competency Map that you have access to (Figure 65).

Create a New Competency Map/Skill Group/Skill/Skill Description 

Right-click on the next higher level and select Add New [X]. For example, to create a new Skill right-click on the Skill Group that it should be in. This will create a new object in the tree and allow the name to be edited. It will also create the minimum number of child objects. All parent objects must have at least one child, so creating a new Skill will also automatically create one Skill Description and the same is true for Skill Groups and Competency Maps.

Edit a New Skill Description 

Although new Skill Descriptions can be created quickly in the tree, it is recommended that the Name editing be done in the Assignment Details using the Edit Skill Description Dialog, as this will allow more text to be displayed and any Development Activities can be linked at the same time.

To edit a new Skill Description:

1. Select the Skill Description, Skill, or Skill Group in the tree.

2. Click on the Assignment Details tab.

3. Click on the Skill Description and modify as required.

Re‐order 

All objects, other than Skill Descriptions, can be re-ordered using drag and drop in the tree. To place a Skill below another, drag it down until the location is indicated by a dotted line to be below the other Skill (Figure 66).

Skill Descriptions within the Competency Map are ordered based upon their Competency Level and so drag and drop does not make the same kind of logical sense. The Competence Level can be changed either from the Properties or by moving the Skill Description into the unassigned, then back to the appropriate location.

Remove/Delete 

The right-click menu from the tree will provide three options. The first two are Delete and Remove from [x]. In the case of a Skill this will be “Remove from Skill Group” (Figure 67).

Remove from [x] will move the Skill Group/Skill/or Skill Description into the Unassigned section. Delete will remove the Skill Group/Skill/or Skill Description from the system entirely and move any of the lower levels into the Unassigned section. Selecting Delete will return one of two confirmation messages (Figure 68 & Figure 69):

This logic is intended to make accidental deletion very difficult. To delete all elements of a Competency Map, you would need to delete the Competency Map then go to the Unassigned section, where you will have the option to Delete or Delete All. The Delete will work as it did before, only deleting the level you are at and moving anything below to the appropriate area within Unassigned. Delete All will act as a cascade that deletes and removes everything; i.e. the Skill Group, all Skills, all Skill Descriptions, and any data associated with any of these.

Updating a Competency Map 

PetroSkills Competency Maps (not custom) can be updated by uploading an XML file that contains your Competency Map information. This feature can also be used to create entirely new Maps, just as you would manually through your Competency Map tree. To access the Competency Map Update, select Map Administration under Administration in your menu. The options you require to use this feature appear in your main screen (Figure 70). The Competency Map tree in your left pane is not used.

To Update or add a new Competency Map, click on the Click to select… button and select the XML file that contains your Competency Map information. Then choose where you want to place the Map by choosing a sub classifier from the Competency Map Sub Classifier dropdown menu. The next three dropdown menus allow you to change the assessment status of the Skill Descriptions in your Map. In your Excel file, each Skill Description is set to

having either a minor change, a major change, or the change may not be indicated (unexpected).  Default Assessment for Minor Change Indicates minor changes such as in grammar and mechanics. Default Assessment for Major Change Includes changes to the Skill titles or Skill Descriptions. Default Assessment for Unexpected Change Changes that were not indicated as minor or major. For each type of change, you have four selections to choose from:

Do Not Change - No changes are made.

Reset -> Not Assessed - Resets all assessments to “Not Assessed.”

All -> Not Assessed - Resets assessments that are set to “All” to “Not Assessed.”

All -> Some, Some -> Few - Resets assessments set to “All” to “Some” and assessments set to “Some” to “Few.”

All and Some -> Few - Resets assessments set to “All” and “Some to “Few.”

When you are finished selecting your options, click the Start Comparison button. This will take you to the next Map Update page. (Your Competency Map changes have not been updated at this point.)

Note: If your XML file did not upload properly, an error message and the causes are listed. You won’t be redirected to the next Map Update page until these errors are resolved.

The second Competency Map Update page consists of the Map Update icons in the header and information about your update for you to review and/or to make changes.

Map Update Header Icons ;

The Legend icon displays the color chart for the Map changes.

Clicking on the Map Sync icon finalizes your Competency Map Update. Do not click this button until you are sure of your changes.

Expand/Collapse expands and collapses all the headings on the page.

Print Preview Displays a preview of this page in an external window before printing.

Map Update Review  The Competency Map Upload page consists of four areas: Warnings, Information, and Map Name. It is recommended that these sections are carefully reviewed before updating your Map. Warnings The Warnings section indicates any Development Activities that did not already exist in the system. It is recommended that you do a Development Activity Update before a Competency Map update. These warnings are for your information only and will not prevent you from completing your update. Information The Information section indicates Maps that have been affected in the update. For example, a Map could be affected when a Skill Description that already exists in the system also exists in your update. This Skill Description will be removed from the existing Map and will only appear in your new and updated Map, as a Skill Description can only exist in one Map. Map Name Under Information, the Maps pending for updates are listed. These can be expanded by map name and skill group. The changes are indicated under each skill group name. And you will see that each Skill Description is indicated with a color. Each color represents a type of change. When you place your mouse over the Legend icon, it displays the change types (Figure 71).

Adding Custom Skill Groups and Skills to PetroSkills Maps 

Custom Skill Groups and custom Skills (with no regional ID) can be added to PetroSkills Alliance Maps. This is beneficial for cases such as Positions in your organization with Skills that are not industry common, such as your own in-house or proprietary procedures. Custom Skill Groups and Skills are added the same way to PetroSkills Maps as you would add them to any Map. Custom Skill Groups can be created within a Competency Map that has a regional ID, and custom Skills can be created within a Skill Group that has a regional ID. Your custom Skill Groups and Skills are easily differentiated, since they appear without the yellow asterisk. (Note: Skill Descriptions with regional IDs that have been given an “Alternate Name” appear with a gray, instead of yellow asterisk.) You can edit the Properties, make modifications, and treat the custom Skill Groups and Skills just as you would for any Map. You cannot edit the PetroSkills Skill Groups and Skills, and they are not affected by your added customizations. Below you can see how a custom Skill Group and custom Skill appear in the Map Administration (Figure 73) as well as the Competency Inventory (Figure 74).

System Owners, as well as Administrators and Subject Matter Experts with permissions to “Create and Edit Competency Maps” or “Edit Competency Maps,” can add custom Skill Groups and Skills to the PetroSkills Alliance Maps. Take note of the rules associated with custom Skill Groups and Skills (with no regional ID) within PetroSkills Alliance Maps (with regional IDs): Skill Groups Skill Groups with no regional ID can be reordered amongst Skill Groups with

or without regional IDs—as a result, Skill Groups with regional IDs can be reordered indirectly as a result.

Skill Groups with no regional ID can be dragged and dropped on a Competency Map that has a regional ID. This Skill Group is automatically ordered last within the Competency Map.

Skills A Skill with no regional ID can be reordered amongst Skills with regional IDs.

For example, a Skill with no regional ID can be ordered between two Skills with regional IDs. Skills with regional IDs can be reordered indirectly as a result.

Skills with no regional ID can be dragged and dropped on a Skill Group that has a regional ID. The Skill will automatically be ordered last within the Skill Group.

Adding Test Questions to Skill Descriptions 

Test questions can be added to Skill Descriptions, which allows Participants to be tested on their Skill competency rather than assessing the Skills themselves—this can help to attain more accurate assessments or to help them understand a Skill Description better. Once test questions are added to Skill Descriptions, these questions can also be added to Development Activities, which is done in the Activity Administration. Before adding test questions to Skill Descriptions there are some Site Configuration settings that are set up by the System Owner to be aware of: All testing functions, including adding test questions, will only appear if the

testing feature is turned on. The results of a test can change only the Participant’s assessment, the

Participant’s assessment along with the Supervisor’s cross-assessment, or not affect the assessment at all.

The number of times Participants can take a final test is set between 1 and 5. Participants may or may not be shown correct answers in final test results. Final test results may automatically assess only the Skill Assessments that are

“not assessed” or only the ones that are assessed as anything but “All.” To add a test question, first extend the Competency Maps tree until you find the Skill Description you want to add one or more test questions to. Right click on the Skill Description name and click on “New Question.” (Figure 75)

The main screen displays the property values you must fill out to compose a new question (Figure 76). The properties are the same for each question type, except “Possible Answers.” The properties are explained below.

Question Properties  Question Type There are four types of questions to choose from the dropdown menu: Matching – A list of answers must be matched with their corresponding matching answers. For example, a list of elements must be matched with their atomic numbers. Multiple Choice – Only one answer can be correct, but there can be many answers to choose from. This type of question can also be used to form True/False or Yes/No type answers. Multiple Response – Allows there to be more than one correct answer to choose from. Short Answer (Fill-in-the-Blank) – This type of question is intended for the Participant to type in the answer, rather than guessing from a number of provided answers. The answers for this question should only be one or two words—any more than that could lead to incorrect answers.

Question The question is typed into this blank field. Possible Answers The possible answers are entered into the blank fields. The variables change, depending on the question type. For matching, multiple choice, and multiple answer types, extra answer fields can be added (and removed):

To add more blank fields click on the Add an Answer icon.

To remove fields click on the Remove icon.

The fields for each question type look slightly different. Below are examples of how to set up each question type. You can see the end result of these examples in the CAT Enterprise Participant Manual, “Topic 2: Assessing Your Skills – Taking Skill Assessment Tests.” Matching questions require you to enter a list of possible answers in the left-side

fields, and then enter the matching answers in the right-side fields. You can see in Figure 77 that a list of elements has been matched adjacently with their atomic numbers.

Multiple Choice questions require you to enter a minimum of two answers and to

click on the radio button to indicate which one is the correct answer (Figure 78).

Note: Answers are randomized; therefore, location-specific answers such as “All

of the Above” should not be used.

of the answers can be correct and is indicated by clicking on the checkboxes beside the correct responses (Figure 79).

Short Answer (Fill-in-the-Blank) questions are intended for the Participant to

type in the response, rather than choosing the response. In the Possible Answers field, a list of many possible correct answers can be listed and are separated with a semi-colon. You can see in the Figure 80 example that “mercury” is the correct response, but its symbol (Hg), its Latin term (hydrargyrum), and a common spelling error (murcury) have also been added as correct responses.

Require All Answers This option only applies to Multiple Response, Matching, and Short Answer question types. When checked, this will require all of the answers chosen to be correct. For example, if three answers are chosen, all three must be correct for the Participant to get the question right. Mandatory Since the questions are randomized, checking this box will ensure that the question is always asked in a test. Enabled This checkbox must be checked for the question to be asked in a test. Final Test Only The question will only be asked in the final test and never in the practice test. Resource URL This allows you to add a web URL that directs a person to relevant information about a question. The link will open in a new browser window. Image An image can be added to a question. The maximum size is 1MB (1024KB). Accepted file types are GIF, JPEG, and PNG. History The History tab displays all the property changes that have been made to a question as well as who made the changes.  Statistics Question statistics are displayed underneath the question properties (Figure 81). These statistics help you keep track of the number of times a question was asked, the number of times a question was answered correctly, and the percentage of correct responses for both practice and final tests. This data can help identify whether a question is beneficial and can also help identify errors.

Once you are finished entering the properties for your question, click the Save icon, located in the upper right hand corner of the properties screen. You can now continue to add as many questions as needed to the Skill Description. You will see the test questions in the Competency Maps tree (Figure 82) and click on each one to display its properties in the main screen for viewing or editing. To rename the question or delete it, right click on the question in the tree.

When you are finished, click on the Skill Description name in the Competency Maps tree. The properties for this Skill Description appear in the main screen. Skill Description Properties  In the Skill Description Properties, you must indicate a value for two properties for the test to be available to the Participant (Figure 83): Practice Test Questions This indicates the maximum number of practice test questions that can be asked. For example, if you have ten practice questions, and you indicate five, only five will be asked at a time. The five questions asked will be randomly selected from the ten questions. Final Test Questions This indicates the maximum number of final test questions that can be asked. This works in the same way as the value for the practice test questions. Once you have entered these values, you must click the Save icon

Position Administration 

Positions are comprised of any number of Skills. The Skill Group and Competency Map each Skill is associated with are used to organize the display of the Position but are not linked directly to the Position. This means that the changes to a Skill that has been assigned to a Position will automatically appear in all Positions using that Skill, but changes to the Skill Group or Competency Map the Skill originates from will have no automated effect on any position.

Properties 

Properties that you are able to change will be in black text; otherwise, they will be gray. The properties below are the defaults in the system. It is possible for your organization to add additional properties as required. Simple name changes can also be done by right-clicking on the tree (Figure 85).

Note: Names must be unique in the system and validation will prevent duplicate entries.

The tree can also be used to view Properties of any of the elements used in the Position. Because multiple properties can be edited at once, changes are not automatically saved; the Save icon must be used. If changes are made and you do not save, but attempt to move away, a confirmation dialog will appear (Figure 86).

When this tab opens, there are three buttons at the top right:

Required / Not Required    Required Skill Descriptions will appear grey with black text, while not required are white with grey text. To change the status, simply click on a skill description to toggle its status. Because the development has an implicit progression:

everything to right of a Skill Description set to Not Required is also Not Required;

everything to left of a Skill Description set to Required is also Required;

will set all of a Skill Group or Competence Level (column) within a Skill Group to Required;

will set all of a Skill Group or Competence Level within a Skill Group to Not Required.

Position Level High Priority   

Clicking on this icon will allow the Priority level for individual Skill Descriptions to be toggled as Normal/High for all people viewing this Position. Priority can also be set at the Group and Person level but setting High Priority at the Position level takes precedence.

Expand / Collapse All – Competency Maps and Skill Groups   

Will simply open or close everything within the Position.

History 

The History will show a record of changes to the Properties of the Position including the date, person, type of change/property, old value, and new value (Figure 88).

New Position 

New Positions can be created using any combination of Skills from the Competency Maps that exist in the system.

To create new position:

1. Right-click on the sub-classifier the position will belong to and select New Position.

2. Select the appropriate Skills from the Add/Remove Position Skills dialog (Figure 89). Each sub-classifier and Competency Map will be followed by a count of the Skills linked to this Position. Checking next to a Skill Group or Competency Map will add all the Skills that currently fall below, but the link is made at the Skill Level. Changes to the Map or Skill Group will not affect the Position.

Development Activity Rules 

Development Activity Rules allow you to filter which Development Activities are shown for a Position(s). Some Development Activities may not be relevant due to similar Positions having various geographical locations or job duties (such as different options for a North American location versus a European location). You could set up, for example, similar Positions for different regions in your company. Each Position would be labeled by location (i.e. Geologist-United States, Geologist-Africa, Geologist-Egypt), and then you could filter each Position’s Development Activities, so that Participants and Supervisors only see those that are relevant. When a Development Activity Rule is applied to a Position, it will control which Development Activities are made visible when viewing the Position in non-Administrative areas, including the Competency Inventory, Gap Analysis, and Activity Profile areas, as well as any Position screens or dialogs that refer to Development Activities. Development Activity Rules are applied hierarchically at the Position Classifier, Sub Classifier, and Position levels:

Position Classifier - Rules automatically cascade to all of its Positions and overwrite the rules made at the Sub Classifier and Position levels. You can only modify Classifier selections from this level.

Position Sub Classifier - Rules automatically cascade to all of its Positions and overwrite the rules applied at the Position levels. You can only modify Sub Classifier selections from this level.

Position - Rules cannot be seen from the Classifier and Sub Classifier context. You can only modify Position selections from this level.

To apply Development Activity Rules, right-click on a Position Classifier, Position Sub Classifier, or Position. You can see in Figure 90 that rules are being applied to the “Reservoir Engineer (Egypt)” Position.

The Set Development Activity Rules dialog opens (Figure 91). This dialog allows you to choose which Development Activities you want to appear. Only the Development Activities you choose from this dialog will appear for this particular Position.

Click Save when you finish choosing the Development Activities. The node you applied the rules to now appears in the Positions tree with a lock icon (Figure 92).

Now, you can see in the Competency Inventory, for example, that the “ORE” Development Activity, that is a default Development Activity associated with the Skills applied to this Position, does not appear for the “Egypt” Reservoir Engineer Position, yet it still appear for the “United States” Reservoir Engineer Position (Figure 93 & Figure 94).

Copy Position 

If you are creating a series of similar Positions, this function can be used to copy not only the Skill association, but also the Required and Priority status of an existing Position.

To copy a position:

1. Right-click on a Position and select Copy Position. A new position called “Copy of <old position name> will appear within the Add/Remove Position Skills dialog.

2. Make any Skill changes required and Save and Close. If no changes are required simply click on Close.

3. Update the Position Name from the default and Save.

4. Select Assignment Details, and note that the settings have carried forward.

5. Change the Required status and/or Priority as appropriate.

Add / Remove Position Skills   

To edit the Skills assigned to an existing position, right-click on that Position within Administration | Position Administration and choose Add/Remove Position Skills. The remaining edits can be done exactly the same way a new Position is created.

Rename 

Renaming a Position can be done either from the Properties or the right-click menu on the tree.

Delete 

Deleting a Position does not affect the Skills associated with the Map or any assessments done against the Required Skill Descriptions in any way. It merely removes the Position Required/Priority settings that have been made. Deleting a Position will open a confirmation dialog that defaults to No (Figure 95).
