2 HOSPITALITY PROGRAMME - AUGUST 2015

NOW IT’S HERE!The mission of organising the Rio 2016 Olympic Games is arriving at a crucial point. During this phase,

the strengthening of the relationship with partners is even more fundamental to guarantee the

successful delivery of the biggest sporting event on the planet.

A historical mark will be established with the staging of the Games in Rio de Janeiro, with

competitions taking place in unparalleled scenery, across the Barra, Copacabana, Deodoro and

Maracanã zones.

One of the ways to become a part of the Games is to participate in the Carioca Hospitality Programme,

taking advantage of the excellent benefits offered via exclusive spaces, to experience the climate of

the event with comfort and convenience, at a unique and unforgettable sporting event.

The hospitality programme at the Rio 2016 Games venues was designed to attend the specific

needs of partners and their clients in a transparent and flexible manner. In this guide, you will

find information and standards that will help in your choice, and in the planning of this incredible

experience. Join us!

Carioca Hospitality ProgrammeRio 2016 has developed a hospitality programme for competition venues with exclusive spaces and varied services for those that wish to experience the Olympic Games climate in an unforgettable way. There will be over 270 hospitality sessions, which will serve around 600 Olympic sessions.

Marked by relaxation and sophistication typically present in the daily life of cariocas, the programme is inspired by natural elements of the city of Rio de Janeiro, to acclimatise the spaces and find the best gastronomic references to create the menus.

The Carioca Hospitality Programme is a complementary service to all Olympic Games spectators. To access the spaces, the presentation of a ticket to a sporting session at the time and place compatible with the corresponding hospitality session will be necessary.

Space typesThe geography, nature and charm of the wonderful city of Rio de Janeiro inspire the concept of the spaces and will be represented in each.

Three types of buffet services are going to be available.

GOURMETDeveloped to surprise guests with an exclusive gastronomic range of international and Brazilian cuisine. Prepared with high quality ingredients, a typical lunch includes a variety of starters, such as salads, vegetables and a selection of cheese, and a main course, where you can choose from different dishes. A vegetarian option will always be available. For desserts, a variety of tastes and flavours to delight palates, besides a selection of cheese and fresh fruits. The beverage service will have imported drinks, cocktails, beer, soft drinks, juices and water.

SOPHISTICATEDA buffet with a difference, with flexibility to be adapted to different spaces of the hospitality programme. NB: We have designed a detailed viability and dimension plan based on estimated demand. During the requisition phase, we will analyse the genuine needs of each client and, if there is neither interest, nor a sufficient volume of orders for a determined hospitality area, we will not include this option on the final product list. Should this occur, Rio 2016 will get in touch with all affected clients, offering alternative options.

As it will be necessary for your guest to have a common ticket to enter the Olympic perimeter and access the hospitality area, your request must be compatible with the tickets that you have bought.

HOSPITALITY SIMULATORIn possession of your allocation map, use the hospitality simulator available on the CTP to identify which hospitality sessions best meet your needs, according to the tickets you have bought.

HOSPITALITY SESSION TIMESShould you need to, consult the price list with all details of single hospitality sessions, available in this guide.

Check the specific product rulesEach product could have specific ordering rules. Take a look at the details:

PEDRA BONITA The purchase of this service gives you the right to a private room capable of hosting up to 50 guests to be used throughout the Olympic Games. Should you wish to purchase a Pedra Bonita product, send an email to [email protected], requesting more information and citing your organisation, name, email address and telephone number.

JARDIM BOTÂNICOThe suites will be in a private area, and, therefore, the capacity for each space should be purchased in their totality. Check the illustrations available on the CTP for suite seats at the Maracanã, Olympic Stadium and Rio Olympic Arena to know the exact number of tickets you wish to purchase.

For suites, the purchase of a hospitality pass also includes a suite seat for the corresponding Olympic session. In these cases, it is not necessary to know how many tickets you have for the specific session, as the tickets for the selected sports session will be added to your previous ticket allocation. The suite prices include the price of the hospitality pass plus the suite seat for each guest.

PARQUE DA CIDADE AND PARQUE DA TIJUCAYou will need to buy hospitality passes for a minimum of guests (or multiples thereof) if you wish to have a semi-shared space for your organisation. Parque da Cidade requires multiples of 8 guests, and Parque da Tijuca, of 30 guests. If you try to request a different number than the indicated multiple, the ticket system will round up to the next possible multiple.

IPANEMA AND GRUMARIFor these products, there are neither limits nor multiples to abide by. You will be able to order as many hospitality passes as you like, respecting the number of equivalent Olympic ticket sessions you have for each hospitality day.

The Rio 2016 mission The Carioca Hospitality Programme was designed to attend the varying degrees of demands from guests, delivering a consistent service to a high standard. Priorities and specific rules for purchase are described in this guide. Please be aware of deadlines and dates for placing your order and come join us to witness, in a unique way, the atmosphere of the Rio 2016 Olympic Games.

Conditions of purchaseThe Carioca Hospitality Programme is being offered to the client groups of the Olympic Games, with priority to our Marketing Partners, prior to any possible sale to the general public. Rio 2016 will communicate with all groups before the beginning of the request periods, supplying all necessary information for the successful purchase of passes.

Regarding International Federations (IFs), they are eligible to request to purchase hospitality passes only for the venues in which their respective sport sessions will take place. IFs will be prioritised only in the allocation process for these venues. In the case of venues without Carioca Hospitality Areas, IFs will be eligible to request to purchase passes only in common domain areas where their sport takes place, and they will only be considered for such spaces after Rio 2016 first meets its core requirements.

In relation to National Olympic Committees (NOCs), Rio 2016 is aiming to provide them with an additional opportunity by making some Carioca Hospitality Area spaces available for request to purchase, pending availability, after Rio 2016 first meets its core requirements. More information will be provided in July 2015, and a “request phase” may be included in order for Rio 2016 to assess the overall interest from NOCs.

Rio 2016’s licensing partners will be able to purchase hospitality passes for any Carioca Hospitality Area; however, this group of clients will not be given priority in the allocation of hospitality passes.

Phases of purchaseHospitality pass requests for Carioca Hospitality Areas will be done as described below:

• 23 June 2015 - the CTP will be open to Top Partners, IFs, Tiers 1, 2 and 3, the IOC, IOC suppliers, and Rights Holding Broadcasters

• 20 July 2015 - the CTP will be open for licensing partners.

The order of priority for allocation will follow the same criteria used to purchase Olympic session tickets in the Ticket Programme.

Page 26: Carioca Hospitality Programme

24 HOSPITALITY PROGRAMME - AUGUST 2015

Rules of purchaseCOMBINED TICKETSHospitality passes should be linked to the equivalent Olympic session passes that you have requested, being acquired as an additional service for each guest. This way, no one can order more hospitality passes than regular tickets acquired for Olympic sessions. Suites are the exception to the rule, as they contain specific suite seats that will be sold together with hospitality passes. In this case, the ticket price for the Olympic session will be included in the single cost for each suite option. Therefore, when requesting the number of hospitality passes desired, the purchaser agrees with the emission of the purchase order (invoice) for suite seats (priced with the value of a category A Olympic ticket, for reference) for the corresponding Olympic regular session in equal quantity.

REQUEST LIMITSThere will be no limits on hospitality pass requests for any hospitality session, as long as the number of tickets for Olympic sessions that clients already have after the allocation period is respected. However, for some products, it will be necessary to make purchases in packages of 30 or 50 guests (and multiples thereof) or in a specific number of passes totalling the space capacity, as is the case with the suites. Check the “How to buy” section of this guide to identify specific rules on the product you wish to acquire.

SESSIONS FOR THE CARIOCA HOSPITALITY AREASAs with the tickets for sports competitions and ceremonies, hospitality passes will be sold per session. Carioca Hospitality Areas have their own sessions, which vary according to their location and operating hours of the venues where they are located. For this reason, a hospitality session may correspond to one or several Olympic sessions. There will still be the option to purchase hospitality passes for all sessions that take place in one hospitality space, or for all sessions in three areas. Any one of the packages for multiple sessions will include the right to purchase hospitality passes for all existing hospitality sessions in the corresponding spaces. Consult the hospitality simulator to identify which is the most adequate session for the regular session Olympic tickets that you have.

One session When the Carioca Hospitality Areas are located inside a competition venue, hospitality passes will correspond directly to the Olympic session of that sport. This is the case for sessions that will occur in hospitality areas at the Maracanãzinho, the Olympic Equestrian Centre and the Beach Volleyball Arena, and also the lounges at the Rio Olympic Arena, the Olympic Golf Course and the Maracanã. In these spaces, there will always be a single Olympic sporting session corresponding to the single hospitality session.

Several sessionsAt the Barra and Deodoro Olympic Parks, and Riocentro, the Carioca Hospitality Areas will attend a set of Olympic sessions across several sports. At the Olympic Tennis Centre, the times of hospitality sessions were designed to attend primarily the spectators of the sports sessions that take place on the centre court, but many guests of sessions occurring on other courts will also be able to acquire services.

All sessionsAt the Olympic Golf Course and Barra Olympic Park, the Pedra Bonita service will be sold only in packages of hospitality passes for all sport sessions that take place at their respective venues.

Besides these cases, suites at the Rio Olympic Arena, Olympic Stadium and Maracanã will be sold in packages, containing all hospitality sessions on all competition days. Please note that suites will be sold for the full period of the Rio 2016 Olympic Games, and it will not be permitted for two or more purchasers to share the same space. Tickets should be requested according to the availability of places in each space. Use the suites table to confirm the number of available places. The Rio 2016 Committee will perform the allocation of requested hospitality passes, pursuing an excellent layout for guests and the best use of the space.

Page 27: Carioca Hospitality Programme

25HOSPITALITY PROGRAMME - AUGUST 2015

Allocation of hospitality passesRio 2016 will make the allocation of hospitality passes in a manner so that all client groups may obtain a fair and proportional percentage equivalent to the percentage of Olympic tickets that they have purchased.

Allocations will be made in order waves, according to the following criteria: limits for number of tickets for sport sessions owned by the client; requests of the total number of seats available in the suites; rights of purchase for each partner for Olympic tickets.

Return, resale and redistribution of hospitality passesOwing to the nature of the Carioca Hospitality Programme, in which spaces are projected and built according to client demands, there will be no return or redistribution of hospitality passes. Hospitality passes cannot be resold to third parties or on the black market under any circumstance.

However, Rio 2016 will make the best efforts to evaluate each situation in order to assist clients in swapping their passes, without resale or financial returns, through the Rio 2016 Organising Committee.

Terms and conditionsTerms and conditions for use of hospitality passes follow specific rules. To acquire a hospitality ticket, the purchaser must accept and respect these terms and conditions at the moment of submitting their request.

Client Hospitality PolicyThe spectator policy for hospitality passes follows specific conduct rules. Please be aware of the information available on the CTP to read the most up-to-date policy.

Payment termsFull information about payment for hospitality passes for the Carioca Hospitality Areas will be available on the CTP. Each payment should be made through a purchase order (invoice) sent by the Rio 2016 Committee for the total value of the order.

Invoices will be sent by 23 September 2015, and payments will be made in two installments:

23 October 2015 31 January 2016

50% 50%

• Purchases will not be split, and only one invoice per order will be issued

• Invoices will be sent after the ticket allocation confirmation period is finished

• All invoices will be charged in reais (BRL), and payments should also be made in reais, as referenced on the invoice

• Payments should be made by bank transfer

• All bank taxes referring to payment are charged to the purchaser

Should the payment not be made in full, Rio 2016 reserves the right to cancel hospitality passes and, in the case of suites, the sports session and ceremony tickets that had previously been allocated to the client.

26 HOSPITALITY PROGRAMME - AUGUST 2015

Late paymentsFines will apply to payments made after the deadline date on the invoice. The rate is pre-defined at one per cent per month (limited to 12 per cent per year), in accordance with Brazilian law.

In case of late payment over 30 days, Rio 2016 reserves the right to cancel hospitality passes and, in the case of suites, the sports session and ceremony tickets that had previously been allocated to the client.

Pending paymentsAny balance relating to payment will mean the impossibility of delivery of hospitality passes, and, in the case of suites, the sports session and ceremony tickets as well. All payments must be made before Rio 2016 begins delivery.

Banking informationAt a later date, we will inform all the bank details for the payment of hospitality passes.

General Rules

General Hospitality RulesThe Carioca Hospitality Programme was developed by Rio 2016 as an additional service to the Ticket Programme. Possession of a hospitality pass does not grant access into any Olympic venues. Therefore, to enjoy the services on offer, all guests should carry the equivalent sport session ticket with the time and place compatible with the hospitality session, observing all the entry and exit rules of arenas during competition.

Tickets for Olympic sessions should be requested in a separate purchase, through the ticket system. Exceptionally for suites, the rules are different and should be consulted in the “How to buy” section of this guide.

Session alterationsHospitality sessions may suffer alterations and time adjustments due to changes in the times of the corresponding sports sessions. Any alteration will be notified on the CTP and/or communicated directly to the commercial contact of your company.

Final configuration of Carioca Hospitality AreasThe purchaser recognises that sports venues are still in the construction phase and that hospitality products may undergo location and structural alterations. The dimensions of the Carioca Hospitality Areas may undergo alterations, without previous warning on the part of Rio 2016, in relation to changes in the construction and delivery of competition zones. Any relevant alteration concerning locations and measurements will be notified on the CTP. Final information will only be confirmed with the conclusion of construction and delivery of spaces.

Page 29: Carioca Hospitality Programme

27HOSPITALITY PROGRAMME - AUGUST 2015

To guarantee the comfort of your guests and to attend the demands of all clients, Rio 2016 may make adjustments to the format of the spaces and in the offer of services available at Carioca Hospitality Areas. The provisions of environments and final products offered will be determined through the requests of clients. This way, once the hospitality pass request period and allocation have been finalised on the CTP, we will publish information on projected space configurations.

Customisation of Carioca Hospitality AreasThe Carioca Hospitality Programme will give clients the opportunity to customise their space on different levels, in line with each product. This solution aims to deliver flexible services, including decoration, so as to attend different exhibition needs for the clients’ brands. All material produced by clients should be previously approved by the Rio 2016 Organising Committee, via the IOC Extranet, in the same way as all brand activations. This will guarantee the fulfilment of Olympic Games Clean Venue policies.

Please familiarise yourself with the customisation rules for each service:

PrivateCustomisation* permitted when the product is bought for the entire Games period. The space may be adapted to the specific and individual needs of each client, from the format to the ambience. Plants and technical specifications of the space will be given after the completion of the allocations.

Semi-sharedPunctual customisation*, restricted to moveable decoration, for example, table displays and stationery material.

SharedSpace customisation will not be allowed.

*The costs of space customisation are the responsibility of the purchaser.

Access RuleAccess to hospitality areas by minorsChildren up to two years old will not need a ticket to enter the hospitality area, but should be accompanied by a parent or guardian. In addition, the entry of persons under 18 years old will not be allowed without a parent or guardian, even if the minor is holding a ticket. Minors will receive specific identification, so as not to have access to alcoholic beverages served at Carioca Hospitality Areas.
