Position Description: Date Approved: Page 1 of 3 Position Description Reports to: Subordinate positions: Classification: Context: The Australasian Fire and Emergency Services Council (AFAC) is the national council for fire, land management and emergency service authorities in Australia and New Zealand, representing 31 member organisations, comprising permanent, part-time personnel and volunteers, totalling 295,000 firefighters and emergency workers. AFAC engages with members through a collaboration model as well as event facilitation, professional development and influencing regulations and standards. AFAC has a number of business units that facilitate a broad range of activities on behalf of its members. These include professional services, aircraft contract management, cross border deployment of emergency services personnel and other nationally significant activities such as management of the national conference and National Memorial. AFAC Purpose AFAC is the facilitator and custodian of contemporary fire and emergency service knowledge and practice, for the benefit of our members and through them, the community. We will be recognised and have impact as the National Council for fire and emergency services, through collaboration and influence. AFAC Values Respect. We treat each other with fairness and courtesy; valuing diversity of thought, abilities and opinions. Communication. We are mindful of sharing information so we can all do our job most effectively.     Classification: [Full-time]Primary purpose: The primary purpose of this position is to perform administrative and coordination tasks at the front desk. Greeting visitors and members and answering phones are core responsibilities as is support for all meetings conducted. The role requires a multi-skilled, proactive and creative person who is adept at self-organising and managing priorities. Clear Form: Position Name: Receptionist / Support OfficerText5: 20/12/19Key relationships: - AFAC CEO- AFAC Directors and Managers- AFAC staff- AFAC MembersKey responsibilities: Reception- Answer phones for all organisations - Greet members and visitors- Take messages, answer queries, manage phones on 'hunt'- Maintain office cleanliness/order- Support staff recognition program e.g. monthly birthday calendar and celebration Meetings- Oversee meetings calendar- Manage office and member meetings- Arrange and monitor catering orders- Assist with meeting room set ups Administration- Process accounts folder and manage queries- Ensure all invoices are signed, coded and checked before entering system- Enter all invoices in MYOB- Reconcile American Express invoices to statements- Follow up debtors as required- Responsible for filing, mail, couriers (local and interstate)- Provide general administrative assistance- Manage, log and follow up facilities issues- Monitor and replenish office supplies as required AFAC Shop Sales- Process orders in a timely manner and arrange delivery- Replenish shop stock when required- Arrange quotes when needed Key selection criteria: Essential- Minimum of 3 years' experience - Organised with strong administrative competencies and attention to detail- Able to operate effectively with limited supervision in a busy environment while being flexible and able to manage competing priorities- Competency in microsoft office software and MYOB- Ability to develop strong working relationships with internal and external stakeholders Desirable- Experience with a membership based organisation- Understanding of the emergency management sector Reports to: Kate Somerville, Executive AssistantSubordinate positions: N/A
