The Challenge

AB Moving was doing some things very well. Others, not so much. The company, operating in several competitive markets in Texas, was using quite sophisticated software for its customer, job booking, and moves data. Their problem was a disconnect in getting that data to their more than 50 mover teams each day. This is what that looked like:

• A paper-based dispatching system. Movers had to travel to the company office each day to pick up their bill of lading documents, the contract between the company and the customer.

• No way to prove existing damage. AB faced expensive damage reimbursements, when customers filed post-move claims.

• Tedious, human error-prone, manual processes. Employees devoted too much time to matching up moving contracts with credit card receipts and dealing with credit card numbers over the phone.

Solution

AB Moving found its solution with Sprint and one of its mobile forms providers Canvas. They equipped each moving team leader with a Canvas enabled tablet and smartphone which provided movers with the tools to swipe credit cards for payment using their device. This means they can now easily handle both the bill of lading and a damage report form electronically on the tablet or smartphone, in PDF format. This data is then transmitted back to AB Moving in real-time. Following this, the signed bill of lading and credit card receipt are emailed directly to the customer.

Each morning at 5 a.m the bills of lading are sent to the moving team leader to sign and complete. These are then transmitted wirelessly to the company office so that credit card receipts can be issued to the customer via email.

Bottom Line

AB Moving launched the Sprint mobile forms solutions in January 2014, after customizing the forms to meet its specific needs. It embraced an all-electronic approach that helps push all relevant documents to movers ahead of the move and retrieves all information once a move is completed. That includes all customer signatures, with receipts sent via email. The benefits have been impressive:

• Massive credit card processing savings: In the first year, AB Moving saved $125,000 in credit card processing payments alone (processing fees are lower for on-site swiping).

• On-site damage documentation: Photographing damaged items pre-move and storing the photos for later reference significantly reduced the number and costs of post-move damage claims.

• Automated processes: Realized another $50,000 in annual savings in paper and in employee time spent matching contracts with credit card receipts and dealing with card numbers by phone.

• Better time efficiency: Movers no longer need to come to the AB Moving office, saving time and reducing unproductive mileage.

• Compliance: AB Moving has been able to reduce fines from state regulators for incomplete or unsigned documents.

• Paper-free transactions: Paper has been all but eliminated from the entire process. Bills of lading or credit card receipts rarely get lost as it is all stored in the cloud. The data from each job is also integrated with a homegrown application that AB Moving developed.
