As a United Way Champion, you are the captain of your organization’s quest toward community triumph. You are a true force to be reckoned

with as you recruit your team of comrades, devise your inspirational United Way campaign and ultimately celebrate the success of your

impact in the community. Your task is hefty, but not insurmountable, and the impact of your efforts is truly priceless.

The United Way Champion is central to the success of the campaign in your organization,and ultimately, to the well-being of your community.

No individual, company or agency, working alone, can achieve as much as we can working together. The majority of dollars raised by United Way comes from employeescontributing at their workplaces.

As a Champion, your role is to:

• Lead and direct the United Way campaign within your organization, motivate your

campaign committee and inspire people to give.

• Help employees understand how contributions to United Way directly impact your

community.

When setting a date for your campaign launch, choose a time when your fellow employees and leadership will be most engaged. Keep holidays and your organization’s seasonal considerations in mind. Then, plan your timeline.

Recruit your Campaign Team

• Your team should include members from all departments, levels and locations of your organization. Remember to include team members to represent second and third shift employees as well as a Labour Ambassador.

• A Leadership Chair to be responsible for initiating the Leadership Giving Campaign

in your workplace ($1,200+/annually).

• Campaign Ambassadors for peer-to-peer solicitations, which is the most effective method of fundraising. Strive to recruit representative for every 10-20 employees.

• A GenNext Ambassador who can create buzz and promote the campaign with employees in their 20’s & 30’s.

• A United Way Staff Partner who can offer ideas, provide support, order supplies, request community speakers, and make presentations.

4. Campaign Planning Checklist

Meet with your United Way Representative

• Meet with your Leadership Chair to coordinate your Leadership Giving Campaign plan.

• Review your organization’s list of past Leadership Donors. Contact United Way for this list and confirm the donors are still employed at your organization.

• Encourage donors of $800-$1,199 to join the Leadership Giving Program. Be sure to explain the benefits of this program & the GenNextLevel Program.

• Explain and promote the Leadership Challenge Grant and their benefits (See section 8 for more info).

Report Results

• Schedule a mid-campaign update meeting with your committee and your United Way Staff Partner. At the mid-point of your campaign, dollars should be close to 70 % of your campaign goal. This meeting is an opportunity for problem solving, motivating your team, and thanking them.

• Submit donations and reports at mid-campaign and again within two weeks of the end of your campaign. Doing so ensures your colleagues’ gifts are processed and Leadership Donors are thanked in a timely manner.

• Deliver all forms for payroll deduction gifts to your payroll departments. Keep your employees informed on campaign progress.

• Follow-up. Ensure all previous Leadership and pre-Leadership Donors have been given the opportunity to give by doing personal check-in reminders.

Say Thank You!

• Thank all donors and volunteers who have made your campaign a success.

• Hold a thank you event for employees.

• Invite United Way to report back to staff on the impact of their gifts. A presentation or Community Impact Experience in the months following your campaign reinforces the value of donors’ gifts.

Make the Ask

• Strive to ask 100 percent of your organization’s employees and retirees to donate to United Way.

• Do a one-on-one, peer-to-peer ask with a personal follow-up.

• Ask selected employees (based on salary grade or title) to give at the Leadership level with gifts of $1,200+.

Confirm which tool you will be using and who manages that tool.

At United Way, Leaders are people who are driving change, willing to set a powerful

example, and able to inspire action. It begins with a personal annual gift of $1,200 or

more. Leadership Giving is an important part of United Way employee campaigns in all

organizations. United Way relies on the volunteer Leadership Chairs to spearhead the

Leadership Giving Program for their organization, and United Way offers training, ongoing

support and fundraising materials, to help ensure the success of the Leadership Giving

Program. Leadership Giving is the fastest growing area of United Way’s annual Campaign,

currently representing just under 40% of the overall annual Campaign achievement.

What is Leadership Giving?Leadership Challenge Grant

One gift. Double the impact.

What is it? The Leadership Challenge Grant provides matching funds for all new Leadership Level gifts or increases to Leadership Level gifts to the 2019 Campaign (a Leadership gift is any donation $1,200 or more).

*Note: Matches will be made for qualifying gifts from the beginning of the campaign year until the fund has been exhausted. Pledge early to double your impact in the community.

GenNextLevel Leadership Program

What is it? GenNextLevel is an opportunity for donors to leverage matching funds generously donated by the Tricar Group to make an even bigger impact in the community. Donors who commit to giving $600 in year one, $900 in year two and $1200 in year three will have their gift topped up to the Leadership level allowing them to be recognized as a Leadership donor in all three years.

Canvassers are a vital extension of the Campaign Champion. They are part of the campaign from start to finish, helping with meetings, boosting participation by encouraging employees to give and, perhaps most importantly, communicating United Way’s messages while having fun!

The most responsive donors are informed and involved. An effective communications program, supported by committed Campaign Canvassors and a well-planned Workplace Campaign always encourages an enthusiastic response from donors.

Who is a Canvasser?

The ideal Campaign Canvasser is someone who is:

• Community-minded and excited about United Way’s impact.

• A committed United Way donor.

• Enthusiastic.

• Organized and flexible.

• A self-starter and team player.

• Well respected by their peers.

Common concerns from co-workers and colleagues and points to help you address them:

I can’t afford to give

• Every individual’s circumstance is different, only you can determine what

is right for you.

• Payroll giving makes it easy and affordable. By spreading your gift throughout

the year, you often don’t miss the amount from your pay-cheque and may be

able to give a bit more.

• Your payroll gift will be tracked on your T4 and you will realize a savings on your

tax return, making the net cost of your gift much less than you would think.

• Emphasize each and every gift makes a difference and that we hope you can

participate at whatever level is most comfortable for you.

I’ve already made my gift this year to other charities

• Thank you for your commitment to making a difference.

• By supporting United Way, you help ensure that the cause closest to your heart is supported by complementary programs in your community.

• Understanding all of the needs in a community can be complex. United Way works closely with agency partners to understand these needs and invests funds to help improve lives.

• Our designated giving program allows donors to give to a charity of their choice. However, a gift to United Way’s Community Fund has the greatest impact in our community.

• Thank you for that gift.

United Way spends too much on fundraising

United Way is proud of its efforts to keep costs low through sponsorship, the Sponsored

Employee Program and workplace volunteers. United Way’s fundraising costs are

consistently and substantially lower than Canada Revenue Agency’s recommended

guideline limit of 35%. Our total fundraising costs, over the past three years, average only

20% of net donations and grants.

I don’t use any of the services funded by United Way

• You might be surprised. United Way funds many initiatives in our community. It’s possible that you, members of your family, friends, colleagues, or neighbours access funded initiatives.

• United Way helps to keep our community strong by dealing with the root causes of critical social issues. United Way is about creating measurably better communities. We do this through research, community dialogues, advocacy, communications for public awareness, and evaluation.

I pay taxes. The government should be responsible for looking after these services.

• Unfortunately, shifts in government funding mean agencies find it increasingly challenging to deliver critical services.

• Many funded agencies rely heavily on stable funding from United Way to deliver additional services which have been identified as critical in addressing new and emerging needs.

• It takes a community to care for a community. United Way mobilizes resources and brings together partners, labour, government, business, and volunteers to create sustainable change in the lives of our community members.

Tax Receipting

Always check to ensure a donation is receiptable under Canada Revenue Agency tax receipting regulations before promising a tax receipt to a donor. This applies to any donation—lottery tickets, goods for an auction, casual day donations, etc. One of the most unpleasant tasks a volunteer can face is telling a donor they will not be receiving a tax receipt after all.

Please remember, these are Canada Revenue Agency tax regulations. United Way must follow them to retain our charitable status. There can be no exceptions.

Gifts that are receiptable

• Direct cash, cheque and credit card donations of $20 and over are automatically issued a tax receipt. Donations of less than $20 will be issued a tax receipt on request. • Direct cash, cheque and credit card donations are receiptable for the tax year in which they are received. • Monthly donations will be receipted at the end of the calendar year. Payroll enquires/receipt requests should be directed to United Way’s Finance Department at 519-438-1721.

Payroll deductions

Employees who donate through Payroll Deduction Plans are entitled to a tax receipt at the end of the year, reporting total charitable donations for that year. This can be provided in one of the following ways:

• Either your company has an agreement with United Way to show the annual contribution on the employee’s T4 slip. • Or if your payroll system cannot report charitable donations on T4s, United Way will issue tax receipts after we have received your final payroll remittance for the year. Your Payroll Administrator will need to provide us with the name of each payroll donor and amount donated through payroll deductions for the year, as well as the total amount remitted by you to United Way for the year.

9. Finance, Administration, Licenses & PermitsGifts that are not receipted

Auctions and raffles

A charity cannot issue tax receipts to people who buy items at a charity auction, even if the price they pay exceeds the fair market value of the item. This is because they are receiving something in return and therefore there is no gift.

Contributions of services

Contributions of services may not be acknowledged by issue of an official receipt. A gift must involve property. Contributions of services (that is time, skills, effort) are not property and do not qualify.

How to use incentive prizes

You can offer an incentive to make a donation only if you ensure that everyone has an equal opportunity to win the prize. For example, as everyone hands in their pledge form (completed or not), they become eligible for a draw.

Gifts that are partially receipted

Admission cost to a meal or entertainment event

Canada Revenue Agency regulations permit the issuing of a receipt for the donation component of the admission price to a meal or entertainment event. For example, if a lunch costs $30 per person (including HST) and the admission price is $100, then a receipt can be provided for the $70 difference. This partial receipting rule applies to dinners, shows or the like.

**Please do not promise anyone a receipt.

Please check with your United Way Staff Partner if you are not sure about receipting rules.

In order to hold some special events, such as raffles, casino nights and bingo, you are required to obtain a permit or license.

To obtain a license, an application form must be filled out in the name of United Way. If you are planning to hold a special event that requires a license, please get in touch with your United Way Staff Partner or call 519-438-1721. It may take up

to six weeks for you to receive your license, so plan early.

When holding a raffle, you must include the Ontario lottery license number on each raffle ticket. Keep in mind that you cannot print or sell your raffle tickets until you receive a lottery license. If you are planning a raffle, please build approximately six week’s time into your plan to apply for the license, print your tickets with your license number and sell the tickets.

Twitter:

• Twitter is for rapid-fire conversation. Create a short, snappy message (under 280 characters) - comment on what’s happeneing, share a photo/video and a relevent quote or ask a question.

•  Use hashtags to amplify your message and link it to United Way’s campaign. Popular hashtags include: #LocalLove, #DoGooder, #UNIGNORABLE, #ChangeMaker, #LdnOnt, #StThomasProud and #ElginMiddlesex. We also use hashtags for events like #3MHarvestLunch and #StairClimb. Use them often to keep the conversation going and help us get trending.

• Use a unique hashtag to start a topic trend. Get creative!

Facebook:

• Facebook is a place to share stories and get personal. There’s no character limit so your post can be longer, include photos and even a web link.

• Tag your location so people can see where you are and tag people or workplaces so they’re looped into the conversation.

Instagram:

•  Instagram is all about the image, so use it to share great photos, GIFs and graphics along with a short message.

•  You can’t share a link in an Instagram post. Instead, include it in your bio and refer to it in your post by saying: “link in bio.”

•  Add a photo or videos to your Instagram ‘story’: this is a photo or post that appears at the top of the homepage and lasts for only 24 hours.

• Tag people or workplaces to loop them into the conversation.

The role of the Labour Ambassador
