Greetings from Post Award Grant Administration
The school year is finished, summer is underway, and we are fast approaching our year-end closing period for fiscal year 2014/15. As we anticipate the start of new 2015/16 grants and projects, we would like to bring to your awareness some helpful info.
Multi-year grants that have a July 1st project code change, or programs that are renewing beginning July 1st with a new fund code, will need to update the following with the new fund/project code information:
Payroll change forms for employees who will be paid from the new fund/project effective July 1st
Speed charts
Telephone chart-field (Contact Rose Staylon in OIT)
Copy-key chart-field
Taking the time to review and revise these items with your new upcoming chartstring will promote a smooth transition of these charges without the down time of cost transfers further along in the process.
Please note that PI’s for all new grant and contract funds will receive emails requesting them to complete:
Conflict of Interest Disclosure Form or Statement of Economic Interests (700U Form for non-governmental grants)
Delegation of Authority form
In addition, Post Award will be arranging grant start-up meetings for new PI’s to disclose relevant programmatic and financial information targeted specifically to new grants. Both Pre and Post Award representatives will be present to share information and answer questions unique for each grant award. For our seasoned and existing PI’s, Post Award welcomes requests for grant follow-up meetings.
As we close fiscal year 2014/15, we would like to thank you for your contributions towards another successful grant year and wish you continued success in 2015/16 with your future projects.

Please review your expenditures up front to ensure that they are appropriately paid from correct funds, accounts and projects! All transfers should take place within a 90 day period of the original expense. The importance of making transfers within this timeframe can’t be overemphasized: first, because it is required by the Uniform Guidance and the CSU; second, it significantly reduces problems and reporting issues from resulting posting period questions; and third, transfers that take place outside of this time frame become a red flag to auditors and also sponsor agencies. Consistency should apply to all transfers based on appropriate allocations and criteria to ensure fair and balanced distribution of costs.
LAST CALL – Any year-end problems or corrections brought to our attention will be handled to the best of
our ability on a case-by-case basis within the timeframes allotted.
Time & Effort Note When completing Time & Effort Certifications, please note that any uncommitted effort should not be reported. What is uncommitted effort? Any work for the grant that is voluntary and not included in the grant proposal or budget. The certification process only requires the disclosure and recording of committed effort in order to match the awarded budgeted amount to actual effort expended. Disclosures of uncommitted effort are considered unsolicited information and become an audit finding if included!

CSU Stanislaus Endangered Species Recovery
Program (ESRP) has several ongoing projects
that study various aspects of the San Joaquin
kit fox (one of several animals studied by
ESRP) with continued successful grant
funding such as their recent award from
Morris Animal Foundation. Brian Cypher
recently shared pictures of these beautiful
animals taken by Jason Dart of Althouse &
Meade.
…GRANTS IN MOTION…
Have you seen the new CSU Stanislaus Warrior Express Shuttles running in the evening? The University Police Department submitted a proposal and successfully received grant funds from San Joaquin Valley Air Pollution Control District which allowed their department to purchase four seven-seat shuttles. These vehicles provide safe and no-fare transportation throughout the campus for students, faculty, staff and visitors. The shuttles run Monday thru Thursday 6PM to Midnight and Friday 6PM to 10PM during Spring and Fall semester hours. You can text your location and destination to 277-8940 or call 667-3114 and the evening student call-takers will receive and respond to requests letting you know when a shuttle is available.
