We have identified that real estate professionals are faced with increasing pressure to minimise costs and increase the efficiency of an organisation’s real estate portfolio. As an increasing number of vendors enter the market, this report aims to identify key workplace solutions.

This report is designed to guide real estate professionals and building managers to make informed decisions of the most suitable solutions for their organisation. The report details the growth of the smart technology industry and the increasing need to find a solution to occupancy and utilisation knowledge in a building.

The Internet of Things is taking the digital world by storm and by 2020 IoT will be in 95 per cent of electronics for new product designs. This figure will contribute to the 21 billion things which will be connected in 2020, according to forecasts by Gartner. This growth highlights the importance for property managers to understand how their building works and how people are working within it.

As part of the research process for this report we sent out extensive questionnaires to potential key vendors in the market who represent varying software and solutions; each vendor which completed the questionnaire was interviewed, along with a number of their customers. utilisation of a space. Wi-fi and sensor networks, lease databases, booking systems and calendar systems are optional integrations. APIs for output of Optimo results can be provided upon request; however, Optimo typically sources data from other systems.

Rifiniti offers up to five levels of service and charge per square foot, per year, based on the level of service. The five levels are: Optimo Lite – badge data which provides attendance results; Optimo Essential – badge data in providing attendance, utilisation, mobility and other KPIs; Optimo Performance – badge and sensor data in providing attendance, utilisation, mobility, other KPI’s and heat maps; Optimo Advanced - which uses badge and WiFi data to yield similar results to Optimo Performance, but with greater granularity; and Optimo Advanced Plus - using badge, sensor and wi-fi data to log even more information about attendance, utilisation, mobility, other KPIs and heat maps. Customers can mix and match different service levels on a per-monitored site basis.

Rifiniti is able to deploy Optimo rapidly in any geographical location because it is a software- and data-only service. It allows companies to monitor an unlimited number of sites remotely, with its largest customer monitoring 100 of their biggest sites worldwide, which accounts for over 13 million square feet.

In the near future, Rifiniti will release tools for capacity planning and scenario modelling that can function inside the Optimo software, as well as a module for restack and move optimisation. It is also developing real-time data solution for release in 2018.

Rifiniti is a software company based in Boston, USA. Its space utilisation software and data analytics platform, Optimo, ingests a range of existing building data sources which are readily available to Rifiniti’s customers and does not require new sensor hardware.

Rifiniti’s application of advanced data science and machine learning algorithms enables the company to harmonise a growing range of data from buildings which is then presented as actionable KPIs in a dashboard or report format. These three key elements provide Rifiniti with its competitive advantages: time to market, scalability and intellectual property.

Rifiniti’s flagship product, Optimo, replaces existing manual bed checks, one-time studies, and rule-of-thumb space planning by delivering year-round insights. Users have access to Rifiniti’s advanced analytics, enabling real-time, dynamic decision-making around CRE portfolio optimisation. Rifiniti customers are able adopt a continuous improvement model that enhances the workplace experience for employees, all while also reducing real estate costs.

Optimo gathers data from existing data sources implemented into the building such as security swipe cards, sensors and wi-fi. The software’s backend processes these sources into a results database and end users can access the Optimo UI

and report generator to run queries and create reports using a wide range of criteria.

Optimo is an interactive Software-as-a-Service (SaaS) portal that can be accessed via a single sign-on by customer’s end-users, on either computers or tablets. The analytics include attendance, peak and average utilisation, departmental analytics, mobility analysis, and cost savings. These results can be reviewed on a daily, weekly or monthly scale and viewed on various levels from portfolio, region, campus, building, floor, zone or room. There are also modules for benchmarking, booking analytics and collaboration. Users can run a wide range of reports which can be downloaded as image files, spreadsheets, PDFs or PowerPoint files.

The software does not require any on-site installation, but Rifiniti do assist customers to access their own data sources and ready them for delivery to Optimo via an API. The delivery team sets up customer buildings in the Optimo back-end and connects with the data sources to begin processing the data. Customer support for the software is based in EU and US offices and is available on weekdays from 3am-9pm EST.

Card swipe data and IWMS/CAFM systems are fundamental data sources which need to be integrated into the Optimo software to measure the
