The coronavirus
pandemic has changed
the world we live in.
• Over the last few months, many of us have
had to pivot our patient care and our
businesses to protect the health of our
communities.
• But, physical therapists are specialize in
pivoting.
It’s been a long few months
ON MARCH 17, CMS ANNOUNCED COVERAGE
FOR E-VISITS FOR PHYSICAL THERAPY. WE BEGAN
HOSTING ALL OF YOU TWICE WEEKLY TO DISSEMINATE
AND DISCUSS INFORMATION AS IT BECAME AVAILABLE.
SLOWLY, OTHER INSURANCES BEGAN
EXTENDING AND EXPANDING COVERAGE TO
TELEHEALTH AND WE INTRODUCED OUR
CORONAVIRUS TOOLKIT TO HELP CORRAL AND SHARE
INFORMATION.
Based on what we learned and your feedback, our developers released v18 of
TheraOffice, which included Telemedicine Billing Rules.
On April 30th, the industry experienced a massive win when CMS opened telehealth
coverage for PT/OT/SLP using regular therapy codes, which will be paid at the same
rate as in-person services.
This past month, we have seen Tennessee BCBS announce permanent telehealth coverage, a massive win for PT advocacy.
And CMS has clarified providers billing institutionally will also be able to offer and be paid for telehealth services by Medicare.
…and therapy
will keep innovating.
We know everyone’s first priority remains keeping their
staff and their patients safe while recovering business.
And for every clinic, the path over the next few months will
be unique. This fight is far from over.
We’ve heard so many creative ideas, both internally and
from all of you. So, to assist with the process and to help

Optimizing Your Schedule
• We’ve heard from many clinics who have instituted one-in-one-out policies as they have begun opening their doors for patient care.
• And while this policy is a great way to reduce traffic and contact, it can be a strain on front desk staff to schedule.
• To help make this easier, we recommend setting Alternating Schedule Increments in your Application options to visually differentiate blocks on the schedule.
Reduce wait room time and contact • The TheraOffice Patient portal, an add on feature available now for web customers, enables your
patients to fill out all their intake paperwork from their own private devices.
– This reduces the amount of time spent in your clinic filling out intake paperwork, as well as contact with high-touch surfaces such as clipboards and pens.
– All the information which patients provide in the portal can then be imported directly into your TheraOffice, which has the added bonus of saving time and data entry for your staff.

Mobile Check in and Payment: Coming Soon
• As we all look for ways to streamline the patient journey to
reduce contact and increase safe interactions, our
developers have been hard at work to introduce a new
feature which will enable patients to check in their own
appointments via text, as well as pay their copays from
their phone.
• This feature is still in development, but is coming soon.
Keep an eye out for a follow-up webinar with Nick and I to
formally introduce this feature.
Harnessing Data for Recovery
• TheraOffice reports can be utilized both to understand
where your clinic is at and to also identify potential
gaps created by the COVID-19 Pandemic.
– Authorization Detail
– Charge Audit by Appointment Type
– Patients by Date Last Seen
– Trended Visits
– Trended Payments
Authorization Detail
• Patients that stopped their treatment
early will have expired authorizations
that require getting updated.
• We recommend running the
Authorization Detail report to capture
these expired auths for your current
unlocked and active cases.
Charge Audit by Appointment
Type
• Mentioned in previous webinars as it
relates to Telehealth.
• Report allows you to query your charges
by the appointment type that they were
checked in for.
• Groups by insurance and then tells you
the modifiers and place of service for
those charges.
Patients by Date Last Seen
• Typically, TheraOffice users have
deployed the Not See in 2-4 Weeks
Search/Report to monitor patients that
are falling off the schedule.
• The problem now is… its been more
than 4 weeks.
• A new alternative report is now
available in the Patients by
Trended Visits
• When applying for any kind of
federal/state assistance, you are often
asked to show how your clinic has been
impacted by COVID.
• The trended reports are a great way of
viewing that data sliced and diced
multiple ways.
Trended Payments
• Same as the Trended Visits report
except for Payments.
