BULLETIN
Well, this is it! In just a few days time, each and everyone of us will be having the
time of our lives in France after spending months getting ready!
Girlguiding have made a minor change to the staff team attending Roverway. Claire
will continue to support the Contingent from the UK, and Katie Kitney and Jess Weaver will
join the UK Contingent in France.
Remember to embrace every opportunity that Roverway presents you, be amazing
ambassadors for the UK and enjoy every minute! Can’t wait to see you all there!

SECURITY AND SAFETY AT ROVERWAY
The Roverway Organisers have asked us to extend their thanks for all the good wishes
expressed following the events in Nice on the 14th July. The Organisers have been in
constant contact with the relevant authorities in France to confirm the security plans for
each Road and the main site at Jambville during the Roverway Experience to ensure
everyone’s safety and security during this event.
At a meeting of Heads of Contingents this week, it was discussed that this event is more
important than ever to allow people from different countries and cultures to meet and
come together to promote attitudes of peace and friendship. Both the Organisers and the
UK CMT are looking forward to being able to put into practise the core values of Scouting
and Guiding to cement these friendships during our time in France.
FINAL COMMUNICATION & KEY CONTACTS IN FRANCE
Both Participants and IST will be issued with a final communication, which will be a pack
containing all the key information for Roverway. This will be the key information you will
need for Roverway so please ensure you take the time to read through this in detail. The
pack will include information that will be of use whilst in France.
There will be two version of this pack - IST and Patrols. Patrol Leaders and IST will be
mailed a hard copy to have handy on event. Contained within the mailing will also be your
emergency contact wristbands. Patrol Leaders will receive all the bands for their Patrol. If
you are under 18, you will wear a RED band. If you are over 18 and/or an IST member, you
will wear a BLUE band. You must attach this band to your wrist before setting off for
France, and can remove it once back home in the UK after Roverway.
Printed on the wristbands are two contact numbers. If you have a general enquiry for the
CMT during Roverway, then you can contact this number:

These phone numbers will be active from:
09:00 on Sunday 2nd August until 23:59 on Monday 15th August. (French Time)
Both phones will be WhatsApp enabled so you can also text us and ask for us to call you
back if easier. Please note these phone numbers are for contingent members only to get
in touch directly with the CMT. This number is not for your Personal Emergency Contact.

KEY CONTACTS IN THE UK
If, during Roverway, your Personal Emergency Contact in the UK needs to get in touch with
you, they can do so via the UK Contingent InTouch process. They will need to contact the
UK National Home Contact (available 24 hours a day) who will be able to communicate
with the CMT in France. Depending on whether you are a Scout or a Guide will depend on
which National Home Contact number your Personal Home Contact will need to use.
Please ensure that you and your Personal Emergency Contact fully understand and adhere
to this process. It has been set up to ensure that messages and information are passed on
swiftly and appropriately so please ensure that you all follow this.

GIRLGUIDING - COMPULSORY SAFEGUARDING MODULE
All Girlguiding members who are over 18 (any Participants and all IST) will need to
complete the eLearning safeguarding sessions. If you have never completed this, or
completed this more than 12 months ago, you will receive an email asking you to complete
this eLearning. This will provide an introduction and a good refresher to safeguarding.

complete this prior to attending Roverway.
OFFICIAL INSURANCE POLICY FOR ROVERWAY
By now you should have received the insurance policy from Unity Insurance for UK
members attending Roverway. Please do take the time to read this carefully, as it explains
what you are covered for by insurance during the Roverway experience,
LABEL YOUR BAGS!
Also emailed with this bulletin is a bag label that you must use for the Opening
Ceremonies. During the ceremony your luggage will be securely stored by members of the
Security Team, and will be loaded on to the relevant coach ready for a swift departure after
the ceremony to your Road. The bag labels will allow your luggage to be loaded onto the
correct coach fro your Road. IST must also use the IST label so that your luggage is placed
on a coach for Jambville during your Opening Ceremony.

COMMS CHAMPIONS RESOURCES
Thanks for all the ideas at Briefing 2 for the press releases! The CMT will be using these
whilst in France. You can access the key messages and template press releases here, so in
the final days if you’d like to release a story about your adventure go for it!

EVENT REMINDERS AND UPDATES
In June we held three webinars which covered topics surrounding travel, kit, ceremonies,
Patrol Leaders, emergencies and IST. Here are the main points for each webinar:
1. PATROL LEADERS
As Patrol Leader you are responsible for safeguarding the young people in your patrol. This
includes ensuring they stay happy, healthy and safe.
The UK Contingent are here to support you and can help with any concerns that you have.
Safeguarding young people is all of our responsibilities.
The CMT, Organisers and Road Directors in support roles are all here to support you in lead-
ing the adventure for your patrol, so don’t be afraid to ask for help if you need it.
Safeguarding is protecting young people from any sort of harm (physical, mental or emo-
tional). If you have any concerns surrounding this, please make sure the young person and
yourself are safe and then report this to the CMT as soon as possible.
When else should I contact the CMT?
If you feel uncomfortable or uneasy about a situation.
If you need support in dealing with an issue .
If your gut feeling is to talk to the CMT then talk to us – don't put it off for fear of
bothering us… you won't be!
Also remember the following: Contingency Money (minimum of £20 per person), Patrol
emergency phone which you can use a cheap contract for, Group kit that you will need to
share between you and social media - still time to set up a Twitter account!
2. KIT
If flying make sure that all straps are tucked in! You can get bags to put rucksacks in but
these aren't recommended by baggage handlers.
Check the baggage allowances (Weigh your kit beforehand to be safe!)
Check what you can and cannot carry in your hand luggage AND in your hold luggage.
Keep your kit with you at all times.
Remember to use the bag labels to make the process at the Opening Ceremonies easier!

3. TRAVEL
Before you go research the routes suggested.
Give yourselves a bit of extra time! We recommend arriving at the
airport three hours in advance and the ferry / Eurotunnel terminal at
least two hours before you travel.
Carry some Euros in change to pay to get on buses/ trams in France.
Look online to see if you can pre-book bus, tram or) train tickets.
Print out maps (even if it’s a screen shot of Google) - don't rely on
having Wi-Fi.
TRAINS: It’s very important that you validate your train tickets before boarding the train. In
France there are rarely barriers before getting on to the platform. Instead of going through
a barrier, you are expected to stamp your tickets using a machine labelled ‘Compostage’.
See the image above as an example of a Compostage.
On the day...
1.Wear your Scout/ Girlguiding uniform and Contingent necker.
2.Please leave enough time for check-in/ getting to departure location.
3. We recommend not bringing valuables to the event but if you need to then ensure these
are on your person at all times
4.Once in France, remember the time difference (France is an hour ahead!)
5. You need to arrive as a Patrol to your Opening Ceremony, and register together.
6. Your first meal is on 3rd August in the evening – don’t go hungry before this!
7. If something doesn’t go to plan and you need support, please let us know ASAP (via
wristband numbers).
4. STAYING SAFE AND REPORTING INCIDENTS
There may be times when incidents occur that require the attention of the CMT. These may
be small issues that may be bothering you, a problem that needs to be resolved or
something that is a medical or safeguarding problem. If you require support, advice or
guidance please speak to the CMT using the contact numbers or see us in person at
Jambville by visiting the UK HQ tent. We will also be visiting the subcamps every day.
Whilst Participants are on their Roads they should consult with their Road Directors. If the
issue persists, please contact CMT.

Safeguarding concerns should be reported to CMT as soon as possible. Medical issues
should be dealt with by the Jambville hospital or the Road First Aid Teams, then the CMT
should be notified.
5. IST ON-EVENT
You may be referred to as EIS (Equipe Internationale de Service) whilst on site, which is the
French translation and is the same as IST.
You will work in small teams which will contain members of many international
contingents, but all teams will work in English as much as possible.
The Organisers will endeavor to inform you of your IST role and your team by the end of
July.
IST will have their own subcamp - remember you need to arrange your own tents! Please
understand that whilst a Participant free zone, IST themselves must respect that this area is
quiet as some IST members will be working night shifts and need to sleep in the day.
All IST must also follow the Girlguiding sleeping policy. Girlguiding members, regardless of
age, are not permitted to share tents with males. Male and female adult members of
Scouting over the age of 18 are permitted to share tents.
Remember to look out for the UK IST Liaison members who will be working to help
communicate information to all of the IST. They will introduce themselves at Jambville.
If you are driving, here’s some tips about car parking:
The closest car park to the Opening Ceremony is Salpétrière Italie - Gare d'Austerlitz
https://parclick.com/parking-paris - This handy site will let you book a parking space in
advance so that you’re guaranteed a space ahead of the Opening Ceremony.
Whilst at Jambville, you will be parking on land owned by French Scouts, but is a little
distance from the main camp, so you may want to take everything with you in one trip, if
possible! Please do not leave items in your car.

6. CEREMONIES
The Opening Ceremonies begin at 16:00 on Wednesday 3rd August. You should arrive to
be at your Opening Ceremony location no later than 15:00, though you may register earlier
than this if you wish. Remember to leave enough time for travel from the airport/train
station.
Members of the Oragnisers will be at the main entry points on the 3rd August and will be
point you in the right direction towards the Ceremony location.
If you have travel difficulties or are going to be late to the ceremonies then you must let
the CMT know as soon as possible. We can support you, pass on advice and keep in touch
with the Ceremony/ Road Teams to notify them of your delay.
The ceremony will finish by 18:00. Patrols will be taken to their Road by coach, and IST by
coach to Jambville. Maximum coach journey will be 3 hours. You will be given a picnic
evening meal . We recommend taking snacks and water as this will be a long day and you
want to keep your energy up. Remember you will need to arrange your own meals before
the Opening Ceremony. Remember you can’t take water through airport security, so best to
buy in France.

‘Aristide Briand’ direction of travel. Leave the tram at ‘Homme de fer’.

travel. Leave the tram at ‘Homme de fer’.

UK CONTINGENT:
IST & ROVERBAND
TRAVEL/ CEREMONY SUPPORT ON THE DAY
At each entry city’s main airport and train stations (i.e. those listed above) there will be
members of the Ceremony Teams directing Contingent members to the relevant tram/
bus routes to get to the Opening Ceremony. Remember there will be lots of other Scouts
and Guides from lots of other countries passing through these transport hubs, so the Or-
ganisers will be supporting everyone, as well as UK members. Make sure you have your
necker and Scout/ Girlguiding uniform on so they can recognise you and say hello!
In addition to this, the UK CMT will be located the following Opening Ceremonies:
PARIS - This will be a very busy entry point. The IST, some Patrols and Rover Band come
through here. James from CMT will be here to say hello and ensure IST can access the
Opening Ceremony.
LYON - Lyon will be a very busy entry point for UK Patrols. Katie from the CMT will be here
to welcome patrols. As Lyon is quite a distance from Jambville, so we wanted to make sure
that we could support these Patrols.
BORDEAUX - This is also very busy entry point, with the most UK Patrols passing through
Bordeaux. It is also one of the furthest from Jambville so Charity from the CMT will be
there to welcome you to Bordeaux.
To ensure that the UK HQ at Jambville (Operations Centre) is fully functional by the time
you arrive at the Opening Ceremonies Hannah and Emma will be heading to Jambville to
set up the office and be on the phone in case you need any additional support. Sean and
Chris will be meeting IST members at Jambville when you arrive so please say hello when
you get on site! Please note Sean, our Comms CMT will have his camera so get your best
smiles on!

E-LEARNING MODULE - PARTICIPANTS
Prior to Roverway, the Organisers will be distributing an e-learning link directly to your
email address. This will be a link to three key modules that you must complete before
travelling to France. They are a way of ensuring that everyone attending Roverway is
understanding of the multicultural nature of the event and will help to prepare everyone.
The modules are on the following topics:
Intercultural Learning
Project Management
Self Evaluation
We are expecting the link to be distributed by 22nd July. Please make sure you complete
this before Roverway - it should take no more than 20 minutes.
WHEN SHOULD I WEAR MY UNIFORM?
There will be several occasions during when uniform should be worn. These are:
Opening Ceremonies - 3rd August
Travel from your Road to Jambville - 10th August
Central Camp Opening and Banquet - 10th August
Multifaith Ceremony - 13th August (Morning)
5000 Cultures Arena Event - 13th August (Evening)
Travel from Jambville to Paris - 14th August
Closing Ceremony - 14th August
There may be other occasions where you are asked to wear your uniform (e.g. if you’re
taking part in a flag raising or meeting delegates) so please make sure it’s always handy,
tidy and clean to make for a smart contingent!
Scouts must wear either the Explorer Scout or Scout Network/ Adult shirt.
Several Scouts have asked whether uniform trousers or shorts are needed. For Roverway
these aren’t required, but you must have your uniform shirt. You can wear the activity
shorts if you have these.
Girlguiding members should wear official clothing for The Senior Section or Leader wear.

SUBCAMPS & MEALS AT JAMBVILLE
Traditionally, large camps and Jamborees are organised into smaller camps where
Participants cook, eat and sleep. These small camps are called subcamps. Roverway is no
different! You will be camping as a Patrol with the other Patrols that you will have met
whilst completing your Road.
For Roverway, the Subcamps at the Central Camp are named after famous French
monuments. Here’s where the UK Contingent will be based for the Central Camp:
See the map of Jambville on the next page to see where your subcamp is located.
Subcamp centres will be where Patrols can collect cooking equipment and food for the
Central Camp. All food and equipment will be provided on your Roads, also.
IST - you will be catered for in the Jambville canteen, but Quartier Latin subcamp will
contain a café, a place for activities, an IST only shower block and a chill-out zone for your
enjoyment in your free time.

MONEY AT JAMBVILLE
Whilst all your meals are included in your fee to attend Roverway, you may want to visit
the food houses and cafes at Jambville in your spare time. There will also be a shop at
Jambville selling Roverway merchandise.
In the interest of making Jambville secure and safe, all shops and cafes will be cashless.
Therefore you will need to exchange your Euros at the Roverway bank which will be
located on site at Jambville. In exchange for Euros, you will be issued with ‘Euro-verway’
plastic tokens, which is the official currency at the Central Camp. Please note only Euros
can be exchanged and the shops and cafes will not accept cash for goods.

For those last minute questions, we will be having a Q and A session, on the UK Contingent
Facebook Group from 17:00 until 19:00 on Wednesday 27th July where the CMT can

FINALLY!
We wanted to say how excited we are to be going on this fantastic adventure with
you all. It’s been two years in the planning and you’ve been a brilliant
Contingent! Remember to have a great time at Roverway, ensure you drink plenty
of water, eat three meals every day, get plenty of rest – every day will be a new
adventure and finally, stay happy and stay safe. See you all very soon!
