• Former Business Process owner did most of the work

• Business Analyst loaded data

• Developed additional scripts

• Scripts were highly customized for one task

• Didn’t use for master data

• We only had two licenses

• SOD conflict to have IT loading data

Can we get more value out of current licenses?

Processes identified:• Four people keying orders full time- 300 hours per month

• More than 4 people involved in the creation of a material in the material master

• Pricing conditions took two days

• Creating a customer took about two hours

• Loading the budget took a full month

• One journal entry done every two weeks (payroll) took 2 hours to copy/paste into “fast entry”

• Current process was manual, labor intensive and time consuming

• Teams most receptive when someone had left the company and there wasn’t someone already identified to do the work

• Word of mouth was spreading• As one team heard about how another was saving time, it got the conversation going

• We started to realize that we had to look at this tool in a more strategic way

The Solution – Engaged User Base

• Part of employee training and development

• New team members were taught how to utilize the runner tool

• Asked team members to think about other areas the tool could be used

• Monthly meetings with users to increase skills

• Trained users with different types of licenses how to use the tools to a new level

• Onboarding for new users

• Users help each other out during the sessions to problem solve through issues

The Solution- Centralized Repository

• Scripts were everywhere

• Items were on personal drives, many versions, many templates

• Winshuttle library development

• Work in progress to share with different areas of the business to create standardized templates and ease of use.

• Standards that have worked from other Winshuttle users

• Continuous process improvement skills

Results- Time Savings

• Enables us to review programs, terms and conditions without having to manually go into each transaction.• 300 hours per month now takes approx. 8-10

• Used for various VA01 transactions • Daily – weekly for returns process enables us to, credit and maintain

inventory

• Took a 40 hour process down to 30 minutes per week.
