This article is applicable to carry forward of commitment and budgets in Investment Management and Project System modules (year end functionalities) when used in ECC 6 version.

Summary

This article explains you how to carry out the year end functionality like approval year carryforward and budget carryforward for IM program and its measures (projects).

Abbreviations Used TC = Transaction Code IM = Investment Management WBS = Work Breakdown Structure Measure = Project or WBS or any order Fiscal year = Financial year Approval year = Approval period (year) of the IM program Node = End position ID in a IM program hierarchy

Purpose

Purpose of this document is to give overview on how to carryout fiscal year change on IM program and its measure, also how to carryout yearend process like budget and commitment carryforward.

Integration

Year End functionality is integrated with following components/ objects

1. IM program and position ID.

2. Projects, WBS elements

3. Actuals and commitment values on WBS element/ Project

Pre-Requisite

o Create an IM program with approval year ex: 2010 (TC -> IM01) o Create IM position ID under IM program at level 1 (TC-> IM11) o Create further IM positions under main position ID (TC-> IM22) o Create a Project Definition (TC -> CJ06) o Create a main WBS element (summary WBS element) under project definition (TC-> CJ01) o Create complete WBS under top level WBS element (TC-> CJ02) o Assign the IM end position ID to the top level WBS element (TC-> CJ02) o Assign budget to IM position, end node (TC-> IM30) o Distribute the budget from IM end node to WBS element (TC-> IM52) o Post actuals & commitments on WBS element

Steps

Opening of new approval year through IM27

Open the new approval year for the IM program to be carried forward. Choose the options Copy program structure and copy forward measure/ appropriate request.

Period opening through MMPV

Open the MM period of new fiscal year using MMPV transaction (for budget carryforward).

Commitment carry forward of projects through CJCF

Carry forward the commitment values on project (WBS elements). It will transfer the values of open purchase orders and requisitions if any.

Budget carry forward of project through CJCO

Carry forward the unused budget value on project (WBS elements). You will get a system notification to carry forward the IM program budget values using IMCAOV (across years). You can carry forward IM position budget once all IM measures budget has been carried forward.

Carry forward the IM program budget.

Budget & measure carry forward of IM programs through IM27_repeat

You can carry out this transaction as many times as possible in order to make IM measures’ budget synchronous with IM program budget. Choose the option carry forward budget values.

Original budgeting and supplement budgeting of measure/ projects in two IM programs

Carry forwarded budget will be seen as Forward budget in newly opened IM approval year/ fiscal year as shown below.

Closing the old approval year through IM27_close

Before closing the approval year, the measures will be shown as current measures in old approval year and carried forward measures in new approval year. Thus accepts the budget from both the approval years (supplement from new IM approval year program).

If you want to remove the link between IM measure (ex: project) and old approval year then carry out closing approval year task.
