The Society of Urologic Nurses and Associates (SUNA) is excited to present to youour exhibit prospectus for the spring Annual Symposium, March 13-16, 2014 at TheBroadmoor in Colorado Springs, CO. We invite you to exhibit with us!

SUNA is the professional organization for urologic nurses and associates. Membersactively practice in hospitals, physician’s offices, clinics, and private offices. In their dailyresponsibilities, SUNA’s 2,700+ members are directly involved in all areas of urologicpatient care. They initiate product evaluations, purchase products for use, teach patientsabout new products and services, and provide direct patient care utilizing your productsand services.

When you join SUNA as an exhibitor, you will have the opportunity to personally presentyour important marketing and sales message to hundreds of urologic nurses who makebuying decisions. They will be anxious to view all products and services related to urologichealth care as well as products related to other associated patient needs such as woundcare, oncology, erectile dysfunction, and surgery.

Policy for Assignment of SpaceAll applications for space must be filed on thecontract form enclosed. Please keep a copy foryour records. It is not always possible to assignone of your preferred choices. However, we willtry to make assignment in requested area.The primary consideration in the assignment ofspace to exhibitors shall be in the best interestof the Society. SUNA may at its discretion acceptor reject any application for space, and reservesthe right to relocate or reassign exhibit boothsat any time.Exhibit space assignments will be made in ac-cordance with a two-tiered point system. Cor-porate Members will be ranked in the first tierand all other exhibitors will be ranked in a sec-ond tier.Companies in the first tier who submit their ex-hibit applications by the established deadline willbe assigned space in the order of their earnedpoints, from highest number of points to lowestnumber of points. After exhibits are assigned forcompanies within the first tier, companies withinthe second tier will be assigned exhibit space inthe order of their earned points from highest tolowest.

Terms of Payment and CancellationsApplications should be accompanied by checkor credit card payment (VISA, MasterCard orAMEX) in the amount of 50% for each exhibitspace, checks payable to the SUNA and mailedto East Holly Ave., Box 56, Pitman, NJ 08071.SUNA’s tax identification number is 93-0696206.The balance of payment shall be due upon re-ceipt of confirmation. Should any contingencyprevent holding of the Conference or Exhibition,SUNA shall not be held liable for any expensesincurred by the Exhibitor.

Exhibitor Services:The following services will be provided to ex-hibitors at no additional charge:• A standard identification sign showing ex-

hibitor’s name and booth number.• Eight-foot high back wall and 36” high side

rails of quality fabric.• Security Guard service.• Daily cleaning of aisles in Exhibit Area.• Company listing in Program Book.• Complimentary exhibit badges for three ex-

hibit personnel per booth.

Note:SUNA does not provide any complimentary fur-nishings, electricity, labor, drayage, etc. for yourexhibit.

Hotel Accommodations/Meeting SpaceSUNA has made arrangements with the hotel foran exhibitor block of rooms. Hotel rooms are pro-vided on a first-come, first-served basis and ex-hibitors should plan on making arrangements asearly as possible. No hotel accommodations willbe made for non-exhibiting firms. Meeting space/function rooms for exhibitors willbe available in a limited number. Reservationsmust also be cleared through the SUNA NationalOffice. Meeting space must not be open duringexhibit hours or during sessions. Under no cir-cumstances will companies not exhibiting normaking Conference contributions equal to theaverage booth fee be permitted to participate inactivities during each meeting.

Security and LiabilitySecurity will be provided during non-exhibithours. However, each exhibitor must make pro-visions to safeguard his/her goods from the timethey are placed in the exhibit area until they areremoved by him/her. SUNA, Anthony J. Jannetti,Inc., and the hotel are not responsible for loss ordamage due to any cause. Space is leased withthe understanding that SUNA, Anthony J. Jan-netti, Inc., and the hotels will act for the exhibitorand his or her representative only in the capacityof agent, and not as principal; and that SUNA,Anthony J. Jannetti, Inc., and the hotels assumeno liability whatsoever for damages, for any actof omission or commission in connection withsaid agency, and that the exhibitor and his or herrepresentatives hereby release SUNA, AnthonyJ. Jannetti, Inc., and the hotel from any or all li-ability for loss ensuing from any cause whatso-ever. The rules and regulations are to beconstrued as part of all space contracts. SUNAreserves the right to interpret them as well asmake final decisions on all points the rules andregulations do not specifically cover.

Special RegulationsNo Smoking Policy — Smoking is not allowedwithin the exhibit area at any time, includingmove-in and move-out.Subletting of Space — The subletting or assign-ing of space is prohibited. Two or more compa-nies may not exhibit in a single space unlessspecial arrangements have been made with theExhibit Manager.Installation — Exhibits should be installed sothey will not project beyond the space allottedor obstruct the view of, or interfere with otherexhibits. HCEA standards will apply.

Fire Safety — All structural work, such as extrashelving, standards, display racks, signs, spot-lights, etc., must be approved, and all decora-tions, drapery, and other fabrics must beflame-proofed before being used in decorationof any exhibit. Balloons are prohibited.Courtesy — The rights and privileges of an ex-hibitor shall not be infringed upon by any otherexhibitor. Interviews, demonstrations, distributionof literature, etc., must be made from within theexhibitor’s booth. Exhibitors may not enter an-other exhibitor’s booth or photograph/investigateanother exhibitor’s products at any time withoutthe expressed permission from the exhibitor.Canvassing — Canvassing outside the booth isforbidden. Vendors and/or exhibitors may notdistribute materials to other exhibitors at anytime by canvassing the hall. All business mustbe conducted from within each exhibitor’s booth.Advertising — Advertising material or signs ofexhibitors other than those who have engagedspace are prohibited. Exhibitors may not displayadvertising, logos, or names for products otherthan those sold by the exhibitor in its normalcourse of business unless approved by SUNA inadvance.Audio-Visuals — Audio-visual presentationsmust be so arranged that aisles are not blockedand be presented in a sound-proof area or so re-mote that the neighboring exhibitors are not dis-turbed. All apparatus must conform to the fireregulations of the convention center. Exhibitorswith noisy electrical devices, or other exhibits ordevices which may prove objectionable to otherexhibitors because of noise, odor, or other dis-agreeable features, must agree to accept boothassignment which will abate reasonable objec-tions to these annoyances.Conduct — Unethical conduct or infraction ofrules on the part of the exhibitor or his or herrepresentatives or both will subject the exhibitoror his or her representatives or both to dismissalfrom the exhibit hall. In this event, it is agreed norefund shall be made by SUNA and no demandfor redress will be made by exhibitor or his orher representatives. Disregard for any rule statedhere is considered just reason for SUNA to pro-hibit an exhibitor from attending all future activ-ities.

RegistrationAll confirmed exhibitors will have the opportunityto pre-register their personnel. It is to the ex-hibitor’s advantage to register early by e-mail soas to avoid delays onsite. Three (3) badges areincluded with each 10'x10' booth. Additionalbadges are $80 each. The contact person forbadge registration is Heidi Perret, email [email protected]. The official registrationarea will be open daily. All attendees will be re-quired to register, and admission to the exhibitswill be by badge only.

For the Annual Symposium, exhibitors can-celing before December 20, 2013 will for-feit 50% of the full booth fee.

Exhibitors canceling after these dates willbe charged full-space rental regardless ofwhether the space can be resold or not.Cancellations must be made in writing tothe SUNA National Office.
