STUDY AREA AND SITE CONTEXT

Sports field:• The cricket nets are not used and could be removed. • The long jump track and sand pit could be relocated to
better integrate with running track.• The T-Ball mound/pitch is not used and could be removed.• Irrigation already installed on the sports field, connected to
the water tank.• The eroded goal squares - too much activity around the
goals.• General quality of the oval surface is poor with large areas
of eroded grass and areas with deep depressions mostly around the goal squares.
• There is an option to introduce soccer pitches as the interest in soccer is growing.
• There is a proposal to introduce a new running track and the design is consider how this can be integrated into the overall scheme.
• Consider shifting the AFL goals to accommodate the running track. The AFL goals are used for kick to kick but it may not be necessary to have two sets of these as it is very rare that a full sized ground is required for AFL.
• The amphitheater/gathering area could be improved. This is used for events such as Christmas carols, emergency access, general multi use gatherings.
• Sub-surface drainage has been installed to base of existing wall by local landscape (parent)
• Perimeter fence might suit a new sports field arrangement • The Cricket pitch is used only during the summer moths and
is often used as a gathering place for the grade 6 kids.• Consider the feasibility of introducing drinking taps subject to
water supply connection.
NOTES FROM BRIEFING WITH SCHOOL COUNCIL 10/12/18
Environment:• Garden planting and play activities are a key part of the
learning experience at the school. • The school would like to introduce more native planting and
encourage local bird life into the campus. • Note the intention of “habitat creation” for kids to interface
with environment and outdoors.• Retain existing trees and planting where possible.• The chicken coup facility is successful but the current site is
a bit cramped jammed in between two buildings.
Play:
• There is strong participation in “creative play” where students groups occupy areas on the site and build forts, cubby houses, bases and other structures utilising various materials found in the grounds.
• There is a need to create a dedicated space to contain the spread of mess and damage to the gardens and building cladding as well as achieve better/easier surveillance of these activities.
• The design should include the provision of storage “depots” for materials (rocks, logs, sticks, pebbles etc).
• There is a well used informal gathering space for older kids in far north west corner of the oval taking advantage of the existing trees, elevated vantage point and clear views to the surrounding neighborhood.
Drainage and erosion:• Erosion and water run-off is a key issue causing patches of
the embankment to erode and gravel to wash down the hill. • Consider options for re-grading of the embankment and
steps as well as additional planting. Note that an existing scheme has been sketched for review and consideration.
Access:• Consider options to create better access to the oval and
integration with other elements such as planting and terraced seating.
• Currently the access ramp and steps are not DDA compliant.• Review options for achieving all-abilities access.
Perimeters:• General concern regarding the western boundary condition
and surveillance. Also accessibility to public views. • Challenge around levels and also the existing trees. • Could the embankment be used to revegetate the boundary
to restrict access to the boundary fence?• Retain existing trees with possible additional understory an
option?
Existing projects:• Creek bed project mostly complete. Waiting on installation of
hand pump. Issue with throwing pebbles from the creek. The could mortared in place to solve this.
• Sheok tree planted in terraced garden bed - ideally retain this if possible.
• Other planting to the embankment has had mixed success - to be reviewed as part of the overall scheme.
• Schematic design for the play area including a sunken pit to be considered for review.

Upper Embankment Ÿ A review and improvement of
the planting treatment to the embankment is needed.
Ÿ The embankment has a number of uses as an amphitheatre/gathering area, during events such as carol concerts, assemblies and as emergency rally point. The GMP should consider how this can be improved.
Ÿ Sub-surface drainage has been installed to base of existing seating wall.
Surface run-offŸ Surface drainage and run-off
from the upper level is causing significant erosion of the upper level gravel paths and the embankment garden beds and batters.
Ÿ The GMP should review options for stabilisation, planting and surface drainage.
Sports fieldŸ The cricket nets are not used and
can be removed.
Ÿ The long jump track location should be to integrate it with running track alignment.
Ÿ The T-Ball mound/pitch is not used and could be removed.
Ÿ The oval has an irrigation system already installed but its is not used often.
Ÿ The g eneral quality of the grass surface is poor with patchy coverage in places. In particular, the eroded goal squares are caused by excess activity around the goals (kick to kick).
Boundary treatmentŸ The existing boundary
condition consists of a 1:3 approx. graded grass batter with mature native trees in lawn planted at the lower level along the fence line.
Ÿ There are general concerns regarding surveillance and boundary access to street/public.
Ÿ There is no edge treatment or barrier at the top of the embankment which creates problems with surveillance of students as well as the management of ball sports.
CREATIVE PLAYŸ Existing informal “creative
play spaces” are heavily used by students in groups but often with damage to the landscape.
Ÿ Existing sites are often along boundary and building edges making supervision challenging.
Ÿ There is a need for a dedicated space for these activities along with the provision of storage “depots” for materials etc.
Ÿ The GMP should consider the introduction soccer pitches as an alternative to AFL goals/or a combination of the two.
Ÿ The GMP should consider the concept for a running track and this is to be integrated into the overall scheme for the oval.
Ÿ The cricket pitch is used moderately during the summer but is otherwise used as a gathering place for the G6 kids. A dedicated space should be considered.
Ÿ Provision of drinking taps near the oval to be considered subject to water supply.

• Area 2 - Creative Play area is great idea and should be distinct /
separated from sports oval & running track. The creative play area and
sports area are likely to attracts different types / ages of kids and they’d
appreciate separation that removes interference with the other (eg
footballs being kicked into play area). Water tank area - need to keep
separated from imaginative play area - must keep this area defined so
that students do not take the things from the garden to their play. So,
need some type of separation (eg foliage, climbing wall, etc...) or fencing
(sustainable)
• Running track could be highly inspirational and functional for the kids. It
should be the official 400m to help them visualise / participate in athletics
that occurs in Olympics / Comm Games/ World Titles, let alone inter
school competitions, especially for official middle distance events (400m,
800m, 1,500m & 3,000m). I have seen other tracks that are 350m or
500m and they’re compromised because they are not as relevant. Cam
is thinking that it is approximately 250m around the oval - he will check
again. Importance of cricket pitch to be added to the middle.
• Good idea to change the football posts to one end and that soccer pitch
runs in length.
• Must have a cricket pitch in the middle of the oval (in some shape or
form). Cam thought about two smaller soccer pitches running across
oval towards Balwyn Rd rather than one big pitch. But then fencing
would be needed to stop the balls going down. (Sus and Cam to follow
up with Rob and work out what to decide here).
• Net behind the football goal posts may need to be incorporated as it
would be good to encourage kids towards casual seating at lunchtimes
behind the goals but that wont happen if footballs are being kicked into
that seating area. Need to have a net.
FEEDBACK ON DESIGN RESPONSEPARENTS AND STAFF10/04/19
• Section 7 that runs from playground along classroom (music portables)
needs a paved area or path through to get to walkway down to Balwyn
Rd exit. We liked some of the images in the concept ideas - we want
a pathway through, we also want indigenous gardens. Terraced area -
planting - how much is veggie gardens? Would these be used?
• Section 4 - seating area - is there a way to build some wider staging
areas/platforms into this space. A reminder that the school would like to
keep SheOaks in this area - what can be done to achieve this? (Rob to
confirm)
• Use of sustainable materials as much as possible (we are working
towards 5 star sustainability). This may be an addition when information
goes to tender for each section (Rob to confirm).
• Irrigation of oval and gardens - included in the oval. ***Factored into the
plan at point of implementation.
• Drink taps - reminder these were requested by students. This may be
an addition when information goes to tender for each section (Rob to
confirm). Add as note to masterplan.
• Note on drawings that shipping container and fenced garden area and
chooks are other way around.
• Long jump pit - continuing from edge of track (running along Balwyn Rd)
synthetic surface for running to sand pit (needs to be included). Included
in mid blue space at Balwyn Rd end.
• Chickens - do not feel these need to be moved - what was the thinking
around this?
• Reminder that planting should be indigenous. This may be an addition
when information goes to tender for each section (Rob to confirm).
• (Glyn’s questions and thinking) Sequencing & funding - What’s the right
sequence of work to enable funding..? Also, feels like the we should
commence with the longest lead time items first to help speed up overall
completion (eg if running track take the longest because drainage,
irrigation and foundational leveling takes many months, then commence
it first). Need to also ensure that certain tasks once started can be
finished, eg it would disappointing if the oval was dug up but then work
halted and it remained a massive mud pile for months. Need to chuck
down the tasks and sequence them cleverly.
• The sequencing and timing will be part of plan that we eventually receive
from Papworth Davies. They will have suggested staging for each
section, a estimate of costings (to assist us with planning what we can
achieve with the funds we have).
• All sections would go to tender as per DET requirements, contracts
would be written with DET support and Legal Division support and
approved by School Council. All of Glyn’s suggestions and questions fit
with the expectations of how the projects would unfold. No doubt during
the projects there will be times that some areas will not be able to be
used but staging and setting down timelines is how the work will be
planned with the successful contractor and the school (there may also
be Victorian School Building Authority - VSBA - involvement).
FEEDBACK ON DESIGN RESPONSE FROM JUNIOR SCHOOL COUNCIL10/04/19
PAPWORTH DAVIES
Q | Are we getting rid of the long jump and cricket?
Having spoken to Mr Batt he felt that the cricket nets were not that well used
anymore and we could remove them. The long jump pit will be included
along the Balwyn Rd edge of the track. A cricket pitch will be on the oval.
Q | Is the position of the AFL goal posts the best... what if students are
sitting in the seating area during playtimes. Won’t they get hit with the
footy?
That is a good question - we will pass this onto the landscape architect.
Q | What material will the fence/s be made of?
There are no exact materials yet - do you have some ideas?
Q | How high will the fence be?
Q | What type of nets with the soccer nets be?
The soccer nets will be ones approved for use in schools - we have no detail
on this yet.
Q | What is the timeline for the project?
We are hoping to have all of the planning completed and the plans
completed early in Term 2. The plans will set out what work needs to be
started first and we will have an estimate of costs for each section. How long
it takes to implement will depend on the costs and the amount of fundraising
we can undertake.
Vote for oval surface - Synthi (7) Grass (everyone else) Don’t mind (nil) -
Q | Can it please be replanted, ie. new grass. And can it be airated so it
doesn’t get too hard?
The surface of the oval will continue to be grass and replanting and on going
work like aeration will continue as part of the maintenance of the area.
Q | Can the school boundary fencing be changed so that tennis balls
don’t fit through?
Changing the boundary fences is not part of this project. Perhaps there is a
clever way to stop balls without having to redo all of the fencing - we need to
think about this.
Q | Is the Peace Garden still going to be there?
Yes the Peace Garden will stay right were it is.
Q | Will there still be ‘bases’ - Vote taken and half of the JSC reps think
they are an important option for students at playtimes.
Yes the bases will be included in the imaginative play area that runs along
the same side of the school as the Peace Garden - they will be moved as the
area on the other side of the school needs some work with planting to stop
the rain running off onto the oval area.
