    About Room bookingMake a bookingInnovation Place handles all meeting room and Space location bookings.

    To book a meeting room or common space please complete the Meeting and Event space Request form with

    your booking details, or call 306.249.5344.

    • Minimum bookings of one hour will be accepted. A minimum half-hour window is required between bookings

    for overages and to provide staff with time to clean and re-set the space for the next booking.

    • Once your meeting request has been confirmed you will receive a booking confirmation via email. Booking

    confirmations will:

    - outline the space being booked, duration of booking, any additional equipment or services required and

    total cost to the client;

    - include a user's guide for the room with a park map to provide necessary wayfinding to the meeting space

    as well as nearby parking, washrooms, accessibility requirements, emergency exits, etc.; and information

    about the use of the AV equipment.

    The Innovation Place facilities team is available to assist in the coordination of events; however, tenants or groups

    are responsible for all event planning and catering.

    Cancellations• Room cancellation should be provided two business days prior to the event.

    • Cancellations of less than 24 hours may result in a charge of 50% of the total room rate.

    About CateringMaking Catering ArrangementsCatering in Saskatoon is available from Eurest Dining Services, which uses CaterTrax, a convenient online ordering

    system. For information or to place an order visit www.innovationplace.catertrax.com.

    For catering questions, please contact the Catering Office directly at 306.249.1304.

    • Catering is available between 7:00am and 4:00pm, Monday through Friday. Catering is also available outside

    regular business hours upon request.

    • Catering orders will include all necessary plates, utensils, napkins and condiments in quantities consistent with

    your order. Eurest will also supply all food and beverage equipment needed to ensure food is served promptly.

    • Catering attendants will deliver, set-up and pick-up your order at your requested location.

    Additional InformationJanitorial• For events taking place Monday – Friday prior to 9:30 pm, janitorial services are included with room rental cost.

    Events held on weekends or concluding after 9:30 pm on weekdays require special cleaning services for a

    $60 flat fee.

    security• Security is required for some events at Innovation Place, in cases such as:

    - Exterior doors being programmed open for an event outside of regular building hours

    - Events where alcohol is being served

    Security is charged at a rate of $30 / hour with a minimum of a three (3) hour call-out. Any related security charges

    will be discussed in advance.

    Alcohol• Consuming Alcohol in Innovation Place meeting rooms and common areas requires special arrangements and

    a permit that needs to be secured in advance. Please advise Innovation Place prior to your booking if alcohol

    will be served during your event.

    Parking• Temporary parking is available for $9 / day / permit and can be purchased from the Innovation Place

    Administration offices. Meter parking is also available with pay-by-phone at a rate of $1.50 / hour.

    AboutThe ClearOne video conferencing system includes

    a wide-angle HD camera for coverage of the entire

    meeting room. The meeting rooms have been

    equipped with an internally-built microphone and

    speaker system for complete coverage of the virtual

    meeting environment.

    It is intended to be easy to use with one simple

    USB-cord hookup shown below.

    This cord will double as an HDMI and AV hookup,

    allowing you to duplicate your computer screen

    onto the TV display while also having access to the

    new ClearOne camera and audio equipment now

    installed. All cords have been labelled with their

    appropriate HDMI input for the TV. The regular HDMI

    cords will remain available, but will not have access to

    the ClearOne system.

    first-Time use setting AdjustmentsWhen using the ClearOne system for the first time,

    there a couple things to be aware of:

    • When the USB is first plugged into your computer,

    it may take a couple minutes for the computer

    to recognize the ClearOne system. Please allow

    a few moments for your computer’s screen to be

    duplicated to the TV.

    • The settings on your web-based teams app*

    (Zoom, Microsoft Teams, Webex, etc.) will need to

    be adjusted.

    - For the Atrium Business Centre Boardroom,

    Concourse 210 Boardroom and

    LFK Boardroom:

    » Adjust the camera setting to: UNITE 50

    » Adjust the speaker setting to:

    COLLABORATE

    » Adjust the microphone setting to:

    COLLABORATE

    - For the Philae Room, Golden Room, Candle

    Span Room and Boffins

    » Adjust the camera setting to: UNITE 50

    » Adjust the speaker setting to: CONVERGE

    * The app may need to be restarted after the settings have been changed.

    After the settings are adjusted for the first time, it will

    be as easy as plug and play for future use.

    Camera RemoteThe camera system is also provided with a remote

    to zoom and pan on specific areas of the room. The

    zoom can be adjusted with the up and down arrows.

    After the camera is zoomed, use the left and right

    arrows to adjust further*.

    * The left and right arrows cannot be used when camera is fully zoomed out.

    Additional Items for the Candle span RoomThe TV display is controlled via the Crestron system

    (tablet on wall next to each TV). This allows the users

    of the room to choose if they would like their content

    displayed on both TVs, only one or have different

    content displayed on either TV.

    • On the Crestron display tablet,

    select video > source.

    - Span side – VidCon USB 1

    - Candle side – VidCon USB 2

    • Select the desired room display and then select

    the appropriate source.

    • If different content on either TV is desired, a

    second laptop will need to be plugged in to the

    additional USB-cord on the other TV.

    Additional Items for boffinsfor best quality, please use Zoom or Microsoft Teams.

    The video conferencing system in Boffins is equipped

    with dual cameras; one is capable of facing the

    audience, the other facing the presenting standpoint.

    Both cameras are labeled as Unite 150. You are able

    to select your preferred camera via the settings.

    Volume in the space is controlled via the presenting

    source (i.e. laptop, phone, etc.).

    Boffins is equipped with Bluetooth. Pair your device by

    selecting ClearOne BT-5ce0.

    Wireless microphones are available upon request.
