Brief History/Discussion of Key Issues SRCS is currently using an aged storage appliance and an out of warranty tape backup system for our most valued and important data. These systems are not working effectively to provide SRCS with the amount of needed storage or backup in the event of system failure. Our current storage solution does not easily or cost effectively scale as our needs increase. The current tape backup system cannot handle our existing backup requirements on a daily basis. Single backups often take more than one day which could potentially leave us vulnerable if the need arises to restore data in the event of corruption or failure. With the investment and implementation of our new network infrastructure, additional scalable storage, reliable backups, and the ability to recover from catastrophic system failure is essential to ensure operability and continuity for teaching and learning as well as operational support from all levels of the organization. This project address:

Storage This opportunity will consolidate primary storage providing enough storage for the requirements of the new network infrastructure project while supplying enough storage for the requirements of the current infrastructure need. This primary storage platform is a modern all-flash storage architecture built for performance and reliability. The implementation of a modern, all-flash storage will create new efficiencies and allow SRCS to provide more reliable services and faster access to mission-critical applications and data by staff and students. The existing storage appliance will be repurposed for general storage including security cameras and other non-mission critical applications.

BOARD REPORT SUMMARY

This solution provides 33.5TB of useable storage. Backup This opportunity will provide a disk based backup solution with appropriate software to optimize SRCS’ data protection strategy. With the Avamar/Data Domain solution routine/daily backups will be accomplished in hours rather than days in some cases. This is accomplished through data compression and data deduplication to aid the backup process. This solution will provide 124TB of backup capacity mirrored between two sites. Disaster Recovery A reliable Disaster Recovery (DR) solution is a key component of an overarching business continuity strategy to protect SRCS’ data and applications from failure or from internal or external attacks. The deployment of a reliable DR solution is intended to allow SRCS to maintain or quickly resume mission-critical functions in case of such events. This opportunity will provide two appliances to be located in separate geographical locations on different power grids. The data recovery system will have the capacity for backup of all current data with an anticipated 3 years of growth. This system can easily be scaled if necessary as requirements change or new requirements are added for the organization. This solution will use the 124TB of backup capacity to restore server environments, applications, and/or data. Using the EYEP SOLUTIONS - CMAS contract for this solution allows us to receive exceptionally good pricing. As discussed at previous Board meetings, CMAS sets the ceiling for product price in the pre-negotiated contract. Staff has determined that the pricing from EYEP SOLUTIONS through their CMAS contract for this project is fair, reasonable, and competitive and meets the needs of SRCS. Executive Summary:

Santa Rosa City Schools IT Department needs to have a system in place to recover applications when they fail and to find

records from the past. The current system of backing up the school's applications to a tape based platform is no longer

working effectively. Additionally, the current NetApp primary storage platform is significantly aged and difficult to

manage at times. These systems are at an inflection point where they will require a sizeable investment to keep them

running or Santa Rosa City Schools can look towards a new solution that will be more cost-effective and allow for future

growth.

Current Business Challenges:

1) Existing primary storage has aged and is in need of new hardware investment to maintain. a. Utilizing over 120 HDD's to meet current requirements

b. Difficult to manage at times as LUN creation can take almost 24 hours

c. No integration with VMware currently

2) Tape based system is also aged and inefficient — requires days to complete backup cycles, often impacting

applications during school operating hours. a. Data sets are too large now to complete over the weekend onto tape.

b. Failed backups can only be restarted next weekend.

c. Potential loss of data can be up to two weeks.

3) Existing system does not Scale. a. Currently only storing up to a year's worth of data.

b. Longer retention periods would require additional costs (employee time, warehousing space, tapes etc.)

c. Creating an archiving strategy would take additional investment.

d. Additional applications or data growth over the next few years will only make system worse.

Recommendations:

1) Refresh NetApp platform and tape based system with a more modern all-flash primary storage architecture, disk

based backup system, and software to optimize your data protection strategy. a. Unity — All-Flash SAN Storage Array

b. Replicating Data Domain Appliances

c. EMC's Data Protection Suite Software for moving data quickly and efficiently to backup appliances.

d. Avamar Nodes to manage Meta-data and run Backup jobs.

Outcome:

1) A Complete Disaster Recovery Plan

a. Two Data Domain Backup Appliances replicating to one another ensure that data is backed up in two separate locations.

b. In the event of a site failure, restore from the second site within minutes.

2) Reduced backup windows (minutes/hours not days)

a. Avamar Software send only net changes from Applications to target disk

b. Each backup is stored as a Full backup

3) Increase network speed (less data traveling over your network)
