Setting up a meeting

1. MyMCC Landing Page Log in to your MyMCC account and click on Blackboard.

Click on Community.

3. Choosing Your Organization From the list of organizations, please click on the organization you would like to create a virtual meeting in.

4. Web Conferencing Click on the link for web conferencing.

5. Create a Virtual Meeting Session Click on the “Create Session” button.

6. Virtual Meeting Session Parameters Create a name for the meeting.

Make sure “Guest access” is checked. Also determine the level of access for meeting attendees. Participants cannot collaborate using a white board but Moderators can. Presenters may run the meeting. For a collaborative meeting, you can make all participants Moderators.

In order for meeting attendees to log in to the meeting without having to access Blackboard, please click on the copy icon next to the URL and email the URL to all meeting attendees. You may also include the URL in an Outlook meeting invitation.

You may also provide a dial-in number by clicking on the copy icon next to the Anonymous dial-in number and pin number. Choose a start date and time. In order to keep the meeting open if you go over your scheduled time, please click on “No end (open session)”. This will also allow you and other meeting attendees to go back into the “room” again. You may also leave the early entry option to 15 minutes, so that participants may enter the meeting before the designated start time.

If you would like to record the session, you can also click on “Session Settings” and click on “Allow recording downloads”.

When finished, click on “Save”. If you decide you do not want to keep the meeting, you may click on “Delete”. The meeting will appear grayed until the meeting start time.

By clicking on your icon – you are able to provide feedback to others in the meeting, temporarily leave or completely leave the meeting.

Meeting Participation Tools You may also click on the microphone to participate in the conversation as well as the video icon so others may see you. You can “Raise your hand” to ask a question, too.

Operations Session Menu Options such as recording your session, using your phone for audio, reporting an issue, and leaving the session are available by clicking on this button.

Collaborate Panel The Collaborate Panel allows meeting participants to chat, see attendee functions, share screens, and modify settings.

Chat Feature You may chat with the group (Everyone) or chose to chat with an attendee privately by typing in their name in the “Find someone to chat with“ box at the top.

Attendee Information Attendee information can be found by clicking on the icon below. Information such as a microphone being on, number of session entry attempts, and the session experience quality can be found here.

Screen Sharing Screen sharing allows meeting attendees to collaborate on a whiteboard, share a screen or application, and to share PDF files.

Session Settings You may add your picture by clicking on the pencil next to your name. You may also make adjustments to your audio and video settings as well as notification and session settings. You may also report an issue to Blackboard.
