Big Lots Vendor Compliance Web Portal User Guide - Vendor https://visibility.inovis.com/dataquality/xclient/BigLots 1. To login to the system for the first time:

• Open the New User Notification Invite e-mail that you received.

• Write down your User ID because you will need it soon, then click the Click here to respond to Invitation link in the e-mail. The User ID and Email Address are below your link.

• Type the Security Key and click Continue. A new page displays.

• Response to the Invitation. If you select “No”, please enter a reason for not accepting the invitation in the “Reason” field. If you select “Yes”, you do not need to enter a reason. Click Ok to continue.

• Click Login to application? link. After clicking “Login to application”, you will be brought to the screen where it asks you to create a password.

• Type your New Password and retype a password of your choosing.

• Click Ok. The Actionable Intelligence user interface opens.

2. When you log into Actionable Intelligence, you will see your Dashboard. The Dashboard fills most of the page. It displays a high-level view of various tasks, statuses, issues, and other information. It contains Messages, Tasks, and Announcements components.

• You can view your Messages, Tasks, and Announcements components at the upper right side of the page.

3. You will have one “Not Started” task on your Dashboard; click View to view the task.

Task 2.0 Review Compliance Policies

• Select the “2.0 Review Compliance Policies” task

• Click Take Action

• Read the Instructions and check the Yes box

• Click Save & Close Task

• A new task page will display

Task 3.0 Download Instructions for Onboarding

Task 9.0 Assign User Roles Your User ID has been created by the system, please memorize your User ID. You will be asked to enter your User ID when you login to the system. Please read the following instructions if you want to create a new user for your company.

• Select the “9.0 Assign User Roles” task

• Click Take Action

• Click New to create a new user and assign to new role

• Type the information on the fields and select the Access Role for the user

• Or if you are the only user within your company, double click the primary contact

• Enter your first and last name

• Enter your email address

• Please memorize your User ID

• Assign all roles to yourself, check all of the boxes on the Access Roles

• Click Save Note: Each role must be assigned to at least one person in order to complete the task. If you are the only user within your company, you will need to assign all roles to yourself.

4. To login AFTER the first time:

• Go to the AI website URL for your portal.

• Type your User ID and Password, then click Login. Note: If you forget your password, click the Forgot your password? link to receive a new password.

5. When you log into Actionable Intelligence, you will see your Dashboard. The Dashboard fills most of the page. It displays a high-level view of various tasks, statuses, issues, and other information. It contains Messages, Tasks, and Announcements components.

• You can view your Messages, Tasks, and Announcements components at the upper right side of the page.

6. If you want to view your Important, Normal or All messages:

• Click the appropriate View button to display a list of messages

• Open Message(s) and respond appropriately

• When you are finished click Close

7. If you want to view your Overdue, Not Started, or In Progress Tasks:

• Click View for that category

• Select My Tasks and the Status of the task

• Select the Max Results to 1000

• Click Apply

• Click Close to close the open task Note: You can view your tasks in Task on the Dashboard when you login, or you also can click Home or Deduction on the navigation page (left menu) to view your tasks.

Note: If the Internet Explorer security message appear on your screen, click the message and select Allow Blocked Content > click Yes

8. If you want to Take Action for a Task:

• Select the task for which you want to take action

• Click the Deduction link to view the detail of the issue

• Click Comments to view the comment or Attachment to view the picture

• Click Close to return to the Deduction Task

• Click Take Action to dispute a deduction

• Select Yes to dispute a deduction

• Click Save & Close Task to save, or Close to cancel

• A new page display

• Click Close to close the task

• You will have a new task name Dispute

• Select the task and click Take Action

• The Deduction Task Action > Dispute page display

• Type the comment

• Attach the supporting documentation or picture for the action

• Click Save & Close Task Note: Your request to dispute the deduction will be sent to Vendor Compliance Manager. Once your request is approved or rejected then the system will send you a notification.

9. If you want to Reassign a Task:

• Select the task you want to reassign

• Click Reassign

• In the page that opens, select the person to whom you want to reassign the task

• Click Save to Save, or Close to cancel

10. If you want to Print a Task:

• Select the task you want to print

• Click Print

11. If you want to Export the task list to Excel:

• Click Export > Export List to Excel 12. If you want to Refresh the page:

• Click Refresh 13. If you want to open an Announcement:

• Click on the Announcement hyperlink

• After reading, Click Close to close the announcement

14. In the Dashboard, the Deduction Summary component displays a pie chart representation of the dollar amounts associated with different deduction categories.

15. If you want to change the data represented in the chart:

• Click Edit

• Select the parameters

• Click Save

16. If you want to view a Deduction Issue: (Under Deductions Module)

• Click Deduction > Deduction Issues

• If necessary, type the PO# on the Identifier field

• If necessary, select the Start and End Date from the Calendar icons

• Select the Status of the deduction from the drop down list

• Click Apply

• Select the deduction item, then click Open

• You can view the Deduction Issue’s status

17. If you want to view the Comment or Attachment for the issue:

• Click Comments tab

• Click Attachments tab Note: If the Internet Explorer security message appear on your screen, click the message and select Allow Blocked Content > click Yes

18. If you want to categorize and analyze deduction issues in list:

• Click Deductions > Deduction Analysis

• Select the filter you want to apply to the project, then click Apply

• If you want to refine the data further, select options in the View By 1 and View By 2 drop-down lists, then click Apply

19. If you want to view a summary item in graphic form:

• Select the Category, then click Charts

• Select the type of chart you want to view, such as Pie Chart

• If you want to view the detail of the Category click Open

• Select the deduction item, then click Open 20. If you want to change the Analysis Filter parameter on your Deduction Analysis:

• Click Deductions > Analysis Filter

• Click New

• Type the name of the new filter

• Select “USER” in the Access filter

• Check the “Make this a default filter” box if you want the filter to be the default filter in the Deduction Analysis

• Select the Date Filter Type

• Select the Analysis Period

• Click Save

21. If you want to view your Scorecard:

• Click Production Analysis > Scorecard

• Select the Analysis Filter and click Apply

22. If you want to change the Analysis Filter parameter on your Scorecard:

• Click Production Analysis > Analysis Filter

• Click New > Scorecard Filter

• Type the name of the new filter

• Select “USER” in the Access filter

• Check the “Make this a default filter” box if you want the filter to be the default filter in the Actions (In Order)

• Select the Date Filter Type

• Select the Analysis Period

• Click Save

23. If you want to create a new user within your company:

• Click Administration > Users

• Click New

• Type the information (Name, Phone, Email Address, User ID, etc)

• Click Save

Note: Select Active on the Active field, select the appropriate Access Roles for the new user that you’re created, check the Portal Access and Notification boxes.

Vendor Compliance Manager has certified the deduction is valid, but has decided not to impose the penalty on the partner.

Exempt

While a deduction would normally apply to a partner, the Vendor Compliance Manager has indicated the partner is not liable for the penalty.

Acknowledged

Partner has acknowledged the deduction

Reversed

Vendor Compliance Manager has agreed with the partner’s dispute and will not impose the penalty.
