Welcome to Big Camp 2018…and a huge THANK YOU for bringing your group /section along to this amazing event. With so many fantastic daytime activities on offer and a full evening entertainment programme, everyone is guaranteed a great time. Our camp theme is Mythical Creatures, so make sure you are prepared for a magical and action packed weekend with lots of surprises. This is Somerset Scouts’ first all section activity camp for six years, and it has been organised in response to feedback from young people across the county. We have appointed our first ever Youth Camp Chief – Abi Dare, who has been responsible for putting together this leaders’ information booklet for you. Big Camp 2018 is a truly youth shaped event, with lots of opportunity for excitement and adventure, whilst meeting new friends from all over Somerset. I hope that everyone will challenge themselves, learn new skills and have fun. PS: Don’t forget to sign up for the Leaders’ Unicorn Trials on Sunday evening….. It’s going to be epic! Activity Zones:- Serpent’s Nest Dragon’s Cave The Mummy’s Tomb Kingdom Life All Young People will receive their BIG CAMP Passport to take with them to help choose their activities. See the activity passports for the full list of activities.

Evenings at Big Camp are going to be just as busy as the daytimes. On Friday evening, each Kingdom will host its own talent contest, with finals being held in the main arena on Saturday evening. The evening events programme will also include – The Giant Pushball League, Indoor Cinema, Trek Cart Racing The Widest Wide Games, Inter-Kingdom Competitions, The Infamous Leaders’ Unicorn Trials, An Indoor Disco …and (of course) the Big Camp Campfire!

Beaver colonies need to arrive by 8:30am, ready for flag break at 9:30am. They can then take part in various activities before finishing the day with a BBQ at 5pm. Beaver Day at BIG CAMP 2018 is on Sunday 26th August, where Beavers are welcome to join the fun.

BIG CAMP 2018 is proud to be part of the ‘Damboree’ initiative organised by the UK Scout Association to give all Beavers the opportunity to camp in tents. To earn the badge, Beavers need to camp in a tent for one night. There are additional challenges that can be done to gain the Damboree badge (5 of these need to be completed to gain the badge)

There are four Kingdoms on BIG CAMP 2018 – Air, Earth, Fire and Water. These are named to follow the overall theme of Mythical Creatures! The Kingdoms will be where all young people & their leaders will live throughout the weekend. These Kingdoms will include sections /units and groups from across all of our Districts. Each Kingdom has a Chief who will be in charge. They will make sure that everyone is having fun, stays safe and making the most of all the opportunities that BIG CAMP has to offer. Each Kingdom will also run some onsite activities during the evenings, to add even more fun to BIG CAMP! On each Kingdom there will be facilities to:

• Freeze ice-blocks

• Recharge mobile phones

At the centre of the BIG CAMP site is the Village Square which has a host of activities available for all to participate in at select times over the weekend. There will be a range of stalls including a Tuck Shop, Ice cream van, burger van, Go Outdoors shop, Scout Shop, Young Driver experience and many more, so don’t forget to bring some money!

The BIG CAMP team has been working hard to make sure that this camp is as enjoyable for all members as possible. We want to make sure that everyone is having fun and being safe at all times. We therefore have a few rules which we please ask that everyone

follows throughout the camp. DO DO NOT

Do follow your law and promise at all times.

Do not intrude on other peoples’ privacy.

Do treat everyone with respect.

Do not bully any other person.

Do tell a leader if someone is doing something inappropriate.

Do not be offensive or threatening towards another person.

Do talk to a leader if someone does something that is upsetting you.

Do not be inappropriate or engage in inappropriate behaviour.

Do treat everyone how you would like to be treated.

Do make sure that this Code of Conduct is followed at all times.

All emergencies to be reported to Information /Reception or to any member of staff. FIRE:

• The fire bell will be rung continuously, all persons and young people must move to the Emergency Assembly Area in the main arena.

• Find your Kingdom sign board and wait with your group leader /group.

• Group leaders will then take a roll call of their young people and their adults, reporting to the Kingdom Chief when complete.

• Further instructions will then be given. EVACUATION OF THE SITE:

• If an emergency arises and the site needs to be evacuated, the Camp Chief and his team will make the decision, with the evacuation information passed down to the group leaders via the Kingdom Chiefs.

EMERGENCY PLAN:

• An extensive emergency plan has been prepared and shared with various authorities as required. We all hope and trust that we have a safe camp and none of these precautions are necessary.

• Your cooperation in any circumstances will be appreciated.

• All groups should be able to deal with minor first aid issues on their own sites.

• There are no first aid facilities provided by the Kingdom staff therefore, if necessary, casualties should be taken to the Medical Centre.

• A fully equipped Medical Centre is based on site for more serious matters and for use when young people are not on their own sites. Any ambulances required will be coordinated from the Medical Centre.

Feeling sad, stressed or troubled by something; come and ‘get it off your chest’ by chatting to Raksha. Age no barrier, open to all from age 6 – 99 Raksha is accredited by BACP (British Association of Counsellors and Psychotherapists) and will listen to your story and help you find out how to ‘sort it out’ – Confidentiality is assured. Please contact the Medical Centre or the Information Booth for further information or to book a time-slot.

At BIG CAMP, alcohol is not banned. However, we are following the HQ Green Card policy. This means that:

• Under 18’s SHOULD NOT drink alcohol.

• Adults should not consume alcohol when under 18’s are present.

• All sections need to ensure that the correct ratio of responsible adults is present (excluding all who are consuming alcohol.

• All adults who have agreed to accompany /drive casualties to hospital must not consume alcohol whilst “on-call”.

• Adults must follow the Yellow Card policy at all times. All adults, including helpers and Network members, should follow the same guidelines as any other adult leader.

• Individuals should consider how alcohol affects them and their ability to complete their duties at the time and also the following day.

• A number of toilet blocks, – clearly marked as male /female - all with washing facilities and some with showers are available on site.

• In addition there some Portaloos, which are all uni-sex.

• Please respect these facilities and leave them as you would wish to find them.

• Under no circumstances are the toilet blocks to be used for washing-up nor should hot water be removed from the facilities for the purpose of washing up.

• There will be water available on camp from designated water points.

• All waste water needs to be taken to the marked disposal points located near to the toilet blocks. Under no circumstances can waste water be thrown into hedges or the surrounding area.

• Wet pits must not be dug at any time.

We will be recycling as much as possible, including:

• Glass bottles.

• Clean cardboard.

• Plastic bottles.

• Cans. Please place these in the recycling bags provided. Please put your rubbish and recycling in separate bin bags and place them by your Kingdom gate for collection by the site service team.

All vehicles should be taken off site BEFORE 5pm on Friday and can return on a restricted basis after 3:30pm on Monday. No cars or vans allowed access from Friday at 5pm onwards. Only the site services team with designated vehicles will be able to tow trailers from this time onwards. Young people will be starting to arrive from 5pm onwards. Groups should book in as soon as possible on arrival please. Two vehicle passes will be issued to each group attending for access to their site. Access to these vehicles will not be allowed after 5pm on Friday and before 3:30pm on Monday. The closing ceremony is at 2:30pm on Monday. Breaking of camp will commence after the closing ceremony from 3:30pm and vehicles will only be allowed on site after this time.

Caravans and camper vans are permitted only in the designated caravan parking area. They are not permitted on the main site/ Kingdoms.

All towing vehicles need to be placed in the car park. All cars, vans and trailers are to be removed from site and placed in

the car park by 5pm on the Friday night.

There is a strict no pets policy on BIG CAMP. There are adjoining fields in which dogs and other pets can stay, but they cannot be walked /taken on the main site. Assistance animals are allowed, provided that details of the requirement are provided to administration in advance & pre-agreed.

The quiet times for Kingdoms will be between 11pm and 7am. Please show respect for others and keep noise to a minimum between these times.

There must be no fires on camp at any time. The ONLY exception would be the BIG CAMPFIRE on Saturday evening. Each group must ensure they have a water or sand bucket /appropriate fire extinguisher which is only to be used in emergencies.

Due to the high use of mobile phones, cameras and the amount of young people that will be using these, we need help to ensure that we do our best to protect any young people who cannot have their photo taken for any reason. If this applies to any young person in your group please ensure that a photo of the young person is emailed to Karla March. This will be shared with the media manager so that the team can try their best to check all pictures before they are used on the Somerset pages. It is the leaders’ responsibility to supervise the young person and their activities so that they can stay safe. These young people will be issued with an additional coloured wristband to ensure that they can more easily be identified

During the camp, please contact the Information /Reception for any issues – they will be “Happy to Help!”

• Liaison over deliveries from online supermarkets The contact number for the site from Wednesday evening onwards will be 07954 407650. All young people and adults are requested please to wear neckers /scarves at all times during the camp. All Section leaders must ensure that they have the signed health forms for all the young people attending. The forms will be needed onsite for activities like shooting. Please try to have somebody to meet the young people from your group on the Friday in the car park prior to the security booking in gate.

Everybody will be given an individual wristband which they must wear at all times. This will be issued to them in the car park before they enter the site on Friday. If a new wristband is required for whatever reason, please bring the old one to the Information /Reception and a new one can be issued.

Whilst you are at BIG CAMP, why not take the opportunity to grab a few minutes with a member of the County Training Team? We will be available on site at specific times on Saturday and Sunday evenings (venues and timings will be advertised on site), to answer any training related questions, provide information and validate modules. If you want to validate any training, to help us help you, please be clear what you want to validate and have the appropriate evidence. We will have access to your current outstanding training and will update all records promptly as required and let your training advisor know. This could be a great opportunity for you to take one more step towards your Wood Badge.
