Yuvak Yuvati Parichay Sammelan
Introduction
Marriage is that relation between man and woman in which the independence is
equal, the dependence mutual, and the obligation reciprocal.
Shri. Shantilalji Muttha, the founder & National President of BJS through his practical
understanding of social issues and problems faced by the Jain community, decided to
commit himself and the BJS to solving these problems. Shri Muttha decided to first
start working on marriage-related issues, which he thought would have a long-term
impact on the Jain community. He is recognized as the pioneer in establishing the
custom of mass marriages as a respectable social practice, accepted by all sections of
society. The first mass marriage was held in 1985, thereafter it is being held every
year, in 1988 a record 625 couples were married. Mass marriages helped in drastic
reduction of wasteful expenditure.
In olden days, the aged persons of the Community used to search suitable matches for
their children in all communities especially in Jain Community. They had sufficient
time to serve the society. But now in the present modern scenario, even the parents
do not have sufficient time for their children. The declining sex ratio, more girls
getting educated as compared to boys and the preference of girls for boys settled in
cities... these are the factors creating an unbalanced situation in arranging marriages.
Globalization, higher education and changing lifestyle has brought changes in attitude
also. Families are now open to idea of youngsters choosing life partner of their
choice. However, youth in their single-minded pursuit of career find it difficult to
locate a partner of their choice. Though the means of communication have increased
manifold, parents can connect with each other and exchange data much more easily
but it has not resulted in easy decision-making, on the contrary increased expectation
and choices have made the task more difficult.

Parichay Sammelan is the answer to many of these problems, it blends in it all the
traditional advantages, such as authenticity and trust, larger community help line and
a ready made database which is checked and authenticated. It provides a ready made

platform for prospective brides and grooms to find their life partners, thus simplifying
the process of the most important decision of one's life -- marriage. It saves the
money & time and also makes the parents least worried in the matters of marriage of
their wards. Now Parichay Sammelan are held in almost all communities and it has
become a most useful program.
BJS also urges all its volunteers at all levels to organize such Sammelans for socially
ostracized people such as widows, handicapped individuals and divorcees. There are
large number of youths in villages who are uneducated and even unemployed they
also need to be helped in providing required support in their rehabilitation. The
challenges faced by this section of society are much harsher and there are no easy
solution for them. Arranging remarriages for these people is also a burning need of
the community. Efforts should be made by each State Head to organize one such
sammelan in a year in their area of responsibility.
These Parichay Sammelan provides enormous preferences. For the last 20 years it has
been conducted as a need based program of Jain community.
Objectives of Parichay Sammelan:
Provide a broad platform for prospective Yuvaks & Yuvatis for choosing a life
partner
Provide a comfortable and congenial atmosphere to meet and interact.
Provide an opportunity for interaction between the families
Provide a comprehensive database of all the candidates for information of
families
Reduce expenditure and save valuable time
Easy way for communication and further follow up
Gives an opportunity for Boys/Girls to speak out their mind, which is not
feasible in the traditional manner of family meetings.

Policy:
As per the guidelines given by Shri Shantilal Mutha, Founder & National President of
BJS, Yuvak Yuvati Parichay Sammelan should be held at various levels as under.
a. Minimum one Yuvak Yuvati Parichay Sammelan per year in every state having
BJS presence (less Maharashtra)
b. Minimum one Yuvak Yuvati Parichay Sammelan per year in all Regions of
Maharashtra less Pune.
c. Minimum four YYPS per year by Pune Head Office as under
One Sammelan for Oswal/Shwetamber Samaj
One Sammelan for Digamber Samaj
One Sammelan for Gujarati Samaj
One Sammelan for widow/widower, divorce and physically challenged
boys/girls.
The Parichay Sammelan must cover the entire Jain community.
Scope of Parichay Sammelan
The Parichay Sammelan are being conducted from time to time at different places by
the BJS. The executive committees at various levels will decide on the need, venue
and date of the forthcoming event. The day is carefully chosen so as to facilitate
maximum participation by all prospective candidates and their parents / guardians.
This event is open to the Jain Community, irrespective of the sect or sub-sect to
which they belong.
The Parichay Sammelans are held for the following castes:
a. Parichay Sammelan for Highly Educated or Professional Graduate boys and girls
of Oswal Samaj
b. Parichay Sammelan for Educated or Graduate boys and girls of Oswal Samaj
c. Parichay Sammelan for Highly Educated or Professional Graduate boys and girls
of Digamber Samaj

a. Information from the candidate, as to how his wife/ her husband died, whether
Death was natural or by accident should be ascertained.
b. It needs to be clearly ascertained whether the candidate is having a child or
not, and the kind of arrangement planned for the child after marriage. This
information should be known to all so that the prospective husband/wife are
aware of the responsibility they would be shouldering.
c. In case of a widow a written acceptance by the In-Laws is essential so that no
problems are faced after marriage.
d. Information regarding disability be taken from Candidate who are physically
handicapped and mentally retarded and be passed to all candidates. If possible
medical certificate to be taken.
e. It is mandatory for the Divorced candidate to provide proof that he/she is
legally divorced and Legal documents related to divorce be attached with their
application

(F) Educated or Graduate boys and girls of Gujarati Samaj and Mandir Margi
(G) Widow/Widower, Physically challenged and divorced candidates for all Sub castes of Jain Community

f. (Candidates whose divorce proceedings are still in process, or who do not
possess the legal documents shall not be eligible.)
g. Application forms for Parichay Sammelan in respect of each category be kept
separately i.e. Widow/Widower, Physically Handicapped, Mentally Retarded
and Divorced.
h. Any qualification of the candidate is accepted.
a. Candidates should be of marriageable age.
b. Candidates can be from any caste/sub-caste of the Jain Community.
c. Candidates may be from any economic background.
d. Education Qualification of the candidates is no bar.
Procedure for Parichay Sammelan
The event can be divided in the following stages.
Stage – I Preparation Parichay Sammelan
Stage – II Conduct of Parichay Sammelan
Stage – III Post conduct activities
STAGE I- Preparation for Parichay Sammelan
There are no secrets to success. It is the result of preparation, hard work, and
learning from failure. Any successful operation depends on the initial planning ,
forethought, matching resource mobilisation and timely action to maximise the
output. The preparation for the event can be summarised in the following steps.
a) Date & venue
The date will be decided by the National President / Secreatry and at State/Regional
level by State President/Regional President, the announcement for the event be
made two months in advance so as to provide enough time to the organisers to
conduct the event in an exemplary manner. The day should prefereably be a Sunday/

(H) General Category of Boys and Girls of Jain Community

Holiday for maximum participation by the community. The venue be so chosen that it
can easily accommodate 500 or more people. It be easily accesscible and have plenty
of car parking space.
b) Promotion/Publicity
Maximum publicity be given to this event, not only in the State/ Region/
District the Parichay Sammelan is being organised, but also in other states
having BJS presence. All publicity material be sent to the office-bearers of
other states also: The following material is essential:
i.Promotional Leaflets (See Annexure-1):
This be distributed to members of the Jain Community, either in a socialgathering, house to house, or in the spiritual gatherings, if necessary, they may also be distributed with newpapers.
ii.Posters (See Annexure- 2):
This be put up at all Sthanks, Jain Mandir, Jain Congregation areas, Communitycenters and places with high Jain Population.
iii.Banners (See Annexure-3):
These be put up in a few prominent places in City/Rural areas for information of those who may not be reachable by other means.
iv.Press Note (See Annexure-4 & 5):
All local newspapers of the State, Region, District must release the Press Note at least two times within one month of the date of Parichay Sammelan.
v.BJS Website (See Annexure- 6):
A detailed write up on the forthcoming Parichay Sammelan together with theRegistration/ Application Form be pasted on the BJS Website. For this allmaterial be sent to Pune HO for Pasting on the website.
vi.Letters (See Annexure- 7)

Letters be written to office-bearers of other states informing them of the event and requisitioning their support. All publicity material be sent to them. It

must be ensured that all publicity material gives information from where the application forms would be available.
vii.Registration/ Application Form (See Annexure- 8):
Registration form will be customised for each type of Parichay Sammelan.Behind the form all eligibility conditions, rules & regulations will be printed. Fees, if required, would also be mentioned.
viii.Local TV Network:
If possible information of the event be put in the local TV network as movingstrip on TV Screen.
c) Follow up:
It is essential that all persons/office bearers who have been sent the publicity
material are spoken to on telephone and confirming the following.
i. Receipt of publicity material
ii. Placing of material at declared locations
iii. Requesting them to send any applications received by them
iv. Answering any querries
v. Forwarding e-mails to eligible candidates of earlier Parichay Sammelan
(See Annexure- 9)
vi. Phone calls to eligible candidates of earlier Parichay Sammelan
vii. SMS to eligible candidates of earlier Parichay Sammelan (See Annexure- 10)
viii. Confirmatory SMS to registered candidates (See Annexure- 11)
d) Preparation of Database: (See Annexure- 12)
The following process to be adopted
i. Receipt of filled forms from candidates together with the fees
ii. Check the form to ensure all columns have been filled correctly and legibly
iii. Check that the fees (if applicable) is accompanied with the form correctly

iv. Enter the detail in the “Data Entry Form” of the software of Parichay
Sammelan

v. Allot a Registeration No. to the candidate and write it on the physical form and
on the software
vi. Scan the photograph of the candidate and paste it against the name of
candidate through the ‘Querry’ and ‘Photo Print Male’Female’ formats of
Database
vii. Data of all candidates will be filled likewise as above
viii. File all Application Forms of Girls & Boys Separately
The presentation will automatically pick-up the rquired data from the “Data Entry
Form” and project it on screen depending upon the fields required for presentation
projection. A picture of the Data Entry Form as seen on the computer screen is
attached for your information.
e) Allotment of Badge Nos.: (Sample of Badges attached) (See Annexure- 13)
i. Female candidates will be alloted Nos. from Sr. No. 1 to the last number of
the girl candidates who has registered e.g. If 50 girl candidates have
registered for Parichay Sammelan then Badge Nos. will be from 1 to 50
ii. Some girl candidates will also come for spot registration . They will be alloted
Badge Nos. from 51 onwards. It is to be estimated, how many girls are likely
to come for spot registration. That many numbers will be blocked before
starting boys badge numbers.
iii. Boys badge numbers will start after the last number of the girl candidates e.g.
girls registered are 50 and numbers plus blocked for girls for spot registeration
is from 51 to 100, then boys badge Nos. will start from Sr. No. 101 onwards.
iv. The entry of these badge Nos. will be made in the software of Parichay
Sammelan manually
f) Pasting of Photograph: (See Annexure- 14)
Photographs of the candidates will be scanned and pasted against their names in the
software of Parichay Sammelan on the excel sheet generated by the software under
“Tables” windows.

g) Proof Reading: (See Annexure- 15)
Before printing the Parichay Sammelan booklet, it is essential to do proof reading.
The Parichay Sammelan software automatically generates the proof reading format
together with the alloted badge Nos. A print out of the pages is required to be taken
out and every word is checked against the physical form held for correctness,
spelling, capital letters etc. If required changes are made in the “Data Entry Format”
of the software, these get automatically corrected in Proof Reading/ Booklet format.
h) Educational Analysis ( See Annexure – 16)
After the proof reading is done, an Educational Analysis of the Candidates is carried
out separately for boys and girls. The software automatically carries out this task
from the database.
i) Book Printing:
Once the proof reading is done the bookprinting can take place. The followingformat will be observed.

iv. Subsequent pages to contain photographs of girl candidates followedby their bio-data and then photographs of boy candidates followed by their bio-data. It will be ensured that the Serial No. (i.e. Badge No.) of the photograph of the girl/boy matches that of the bio-data and the badge No. given to the candidate on the Parichay Sammelan day. All these numbers to be the same. (See Annexure- 20)

v. After all the photographs, bio-data pages are over, the next page shallgive out the “Education Analysis of Candidates”. On the reverse of it, space will be provided for writing notes by the guardians. (See Annexure-16)
vi. The next page shall have four interaction slips for parents who wish to interact with parents of other guradians. (See Annexure-21)
vii. Back cover inside face have a write up of the history of the local BJS center and various programes that they have conducted.
viii. Back cover outside to have the Activities & Programes of BJS showing the Geographical coverage. (See Annexure-22)
j) PowerPoint Presentation: (See Annexure- 23).
This is the final presentation that will be projected on the Screen while the
candidates are being interviewed. The software automatically extracts the data from
the “Data Entry Form” on the PowerPoint Presentation. The details shown in the
presentation are shown in the Powerpoint Presentation window print below.
k) Participants Kit: The list is given below.

l) Volunteer Badges: (See Annexure- 24)
Besides the badges for the candidates/ guradians, all volunteers involved in the
organisation of the Parichay Sammelan must wear these badges at all times.
m) List of Candidates:
An alphabetical list of all candidates will be made (separately for Boys and Girls). The
list should contain the Badge No. of the candidate, alphabetical order of names and in
remarks column any special information the registration boys must know about the
candidates.

k) Registration Counter: (See Annexure- 25)
A registration desk will be established at the entrance of the main hall. There should
be three separate registration counters.
Registeration counter for Boy Candidates Registration counter for Girl Candidates Registration counter for Spot Registration
The registration executive will have an alphabetical list of all the candidates
registered so far. There will be separate lists for Boy and Girl Candidates at each
counter. This list along with the name of candidate will also have his/ her Badge No.
l) Hall Management: (See Annexure- 26)
The seating arrangements be done in Auditorium style. In the first row, the first six
chairs be kept vacant for Master of Ceremonie(MOC) and his team responsible for
presentation projection, calling of candidates, recording etc.

A stage of size 10’*8’*3’ (Height) be prepared over which 5 chairs be place in a curved
fashion as shown in the diagram. The sixth chair(Hot Seat) be placed in front of the
other five. The candidate being interviewed will sit on this chair. Behind the stage a
Banner of BJS is to be put as shown (See Annexure- 26). On the left side of stage a
projection screen be put. The projector will be placed on the coffee table placed in
front of the sitting arrangements for Master of Ceremony(MOC) team, Stationay
comprising of pencils, a note pad, post it pad be placed. Two bottles of water and
glasses also be placed on the table. Arrangements for video shooting & photography
should be available. PA system with mikes would be required and arranged as shown
in diagram, Laptop in which the PowerPoint Presentation has been loaded should be
connected to the projector. Generator Back up be arranged in case of power failure.
In case the venue is a Mandir/ Sthanak, then arrangements for footwear stand be
made outside the hall for people to remove their shoes before entering the hall.

m) Catering Arrangement:
Catering will be outsourced. Pure Jain Food will be served. Cost to be approved by
the chief organiser. A light breakfast, a lunch and evening tea with light snacks will
be arranged. All arrangements will be buffet style. Arrangements for clean drinking
water and washing of hands should be ensured.
n) General layout of the Venue:
It be ensured that candidates who are participating in Parichay Sammelan easily reach
the venue area. For this proper Sign posting, Parking areas and Security be arranged.
STAGE-II Conduct of Parichay Sammelan
The endeavour should be to create a congenial and friendly evironment so that the
candidates derive maximum benefit from the event.
a) Registration
As the candidates arrive within the Hall Premises they be guided to the
registration counter for Boys or Girls as the case may be.
The executive at the counter will ascertain the name of the candidate, check
it from the alphabetical list he has, see which badge No. it confirms to. He
will then pick up the participants kit containing the badge No. and hand it
over to the candidate.
While handing over the kit he will brief the candidates on the contents of the
kit, inform him/her that the badges be worn at all times, otherwise entry
would be denied. He will inform that the yellow badge is for the candidate
and the blue ones for the guardians. The time for start of the event be also
informed.
The executive will take the signatures of the candidate on the list as a
confirmation of his/her arrival and receipt of kit.

The registration will be done by the candidate himself and not by their
guardians. If the guardians are not accompanied by the candidates, they will

not be permitted entry unless specifically allowed by the State President/
Regional President / Chief Organiser in writing on note.
After Registration the Participants be guided to the Breakfast/ Snacks area for
refreshments before entering the hall for the event.
The executive, simultaneously will write the badge No. of the candidate on
post it pads. As soon as a group of five candidates register, their Nos. be sent
to the MOC. Similarly, the next five badge Nos. will be sent. This activity will
continue for boys, girls and for spot registration also. This is essential, so that
the candidates are called in order of their arrival and not in an ad-hoc
manner.
b) Spot Registration
Candidates who could not register themselves earlier will be registered at this
counter. The candidate will first be asked to fill the application form and pay
the requsite fee to the executive. Two photographs will be taken, the form
will be checked for corectness. A registration No. (Badge No.) will be alloted
in sequence to the last registered No. of boy or girl. The name and Badge No.
of the candidate will be written on the blank list provided for spot
registration. Signature of the candidate taken on the list. Thereafter, the
same procedure will be followed as for registered candidate.
Once the spot registration counter is closed, the executive will, on an excel
format colate all the data of all the spot registered candidates and take print
outs equal to the No. of all the participants, will be distributed to all the
candidates accordingly.
It is essential that a laptop and a printer is kept at this counter and the
executive responsible for this counter is familiar with computers.
c) Entry:

Entry into the Parichay Sammelan Hall will strictly be for only those people who have
been alloted badges and are wearing them. Anyone not wearing the badge will not be
permitted in the Hall.

d) Intial Briefing:
The entire audience of Parents and their wards needs to be briefed about the conduct
of entire proceeding for the successful conduct of the program. The briefing should
include the following points.

e) Conduct of Interview
This is the most important portion of the entire proceedings. Here the candidates gets
an opportunity to express, talk about his/ her choices, preferances, and expectation
etc. The parents and other candidates also get a chance to see and hear the
candidates. Every candidate is called upon the ‘HOT SEAT’ to answer the querries
raised by the interviewer. The interviewer should help the candidates to gain their
normal posture, overcome their nervousness, and drive the conversation in such a
manner to derive maximum information which the other parents may be interested
in. The interviewer should aim at the following points.
Help the candidates to overcome their nervousness and gain normal posture
Develop a rapport with the candidates

Questions and querries should be asked in a friendly manner so that the
candidates are encouraged

General focus should be upon family background, place of residence,
education, job, likely choices, expectation, family details, hobbies,
achievement, horoscope
Candidates privacy and choice of not answering any query should be respected
Interviewer, must keep track of the time, lunch should be observed as
scheduled. Adequate time (at least 2 hours) must be set aside at end of
interviews for Interactive Session.
f) Interactive Session
In the interactive session opportunity is given to parents & candidates to meet and
have a word personally with other candidates & their parents to whom they think are
matching their criteria.
First, the parents of candidates have to fill up the Interaction slip in that they have to
first write their candidature No. and after that No. of Candidate with whom they
want to meet. The volunteers present in hall collect those slips and give to the person
who is taking interview. The MOC announces the Badge Nos. who wish to inter-act,
the volunteers guide the parents of both the candidates to have a word at a place
pre-decide by the organiser of the program.
Bharatiya Jain Sanghatana (BJS)
During the Sammelan a large number of Parents desire to interact with the parents of
other candidates. A summary of the same will be send to all as required to facilitate
further interaction directly with other parents. It will be ensured that BJS shall not
take any initiative to investigate into the candidates background or to get an alliance
fixed. This shall be the responsibility of the parents themselves.

Stage-III Post Conduct Activities
a) Financial Viability:
The complete event should be financially viable and all the expected expenditure
should be planned and should be within the allotted budget or the money collected
from the participants. The expected areas and share of expenditure should be as
follows.
Publicity & Printing Material 25%
Catering to include Breakfast, Tea & Lunch 40%
Reception & Hall arrangements 15%
Miscellaneous Expenses 20%
After end of Parichay Sammelan, a statement of Reciepts and expenditure will be
prepared and put up to National Secretary/ State President/ Regional President/
Chief Organiser etc.
b) Post Action Activites:
After action activities are also equally important and should be given due importance
and should be followed up immediatelly after the culmination of the main program.
Write Thank you letter to all the candidates who were present during the
Sammelan, one letter to all those candidates who were not be able to come
for Parichay Sammelan after doing registration, one letter to those candidates
who came for spot registration. (See Annexure- 27,28 & 29).
With the letter send Parichay booklet to those candidates who were not
present after doing the registration and to whom Parichay Book was not given
when they did on the spot registration.
Prepare a summary report of the entire event
Prepare a D.V.D. of entire Database of candidates and Keep it for the record.
