Codenamed Odyssey, Excel is a software program capable of creating and editing spreadsheets that are saved with a .xls file extension. For example, with a spreadsheet you could create your own payroll, balance your check book, organize a large amount of data in an easy to read format, and much more. This is done by adding, subtracting, multiplying, and dividing the values in the spreadsheet to view overall totals and create graphs based on that data.Unlike a word processor such as Microsoft Word, the Excel documents are created with several hundred columns and rows that break down to several thousand cells. These can be modified by color, number format, size, fonts, layout, and thousands of additional available options. In the picture below, is an example of Microsoft Excel.

Both the Ctrl + V and Shift + Insert will paste the text or object that's in the clipboard.

Use the above text input fields to highlight the "Cut or copy this text" text and press either Ctrl + C to copy or Ctrl + X to Cut the text. Once Cut Move to the next field and press Ctrl + V or Shift + Insert to paste the text.Ctrl + Z and Ctrl + Y

Pressing Ctrl + Z will Undo any change. For example, if you cut text, pressing this will undo it. These shortcuts can also be pressed multiple times to undo or redo multiple changes. Pressing Ctrl + Y would redo the undo.

Use the above text input field to highlight some or all of the text and then press Ctrl + X to cut the text. Pressing Ctrl + Backspace will delete a full word at a time instead of a single character.Holding down the Ctrl key while pressing the left or right arrow will move the cursor one word at a time instead of one character at a time. If you want to highlight one word at a time, hold down Ctrl + Shift and then press the left or right arrow key to move one word at a time in that direction while highlighting each word.

 

Ctrl + S

While working on a document or other file in almost every program, pressing Ctrl + Ssaves that file. Use this shortcut key frequently if you're working on anything important in case an error happens, you lose power, or other problem that causes you to lose any work since the last save.Ctrl + Home or Ctrl + End

Ctrl + Home will move the cursor to the beginning of the document, and Ctrl + End will move the cursor to the end of a document. These shortcuts work with most documents, as well as web pages.Ctrl + P

Open a print preview of the current page or document being viewed. For example, pressCtrl + P now to view a print preview of this page.Page Up, Space bar, and Page Down

Pressing either the page up or page down key will move that page one page at a time in that direction. When browsing the Internet, pressing the space bar also moves the page down one page at a time.

What are the F1 through F12 keys?Commonly known as function keys on a computer keyboard, F1 through F12 may have a variety of different uses or no use at all. The operating system

installed on the computer and the software program currently open can change how each of these keys operate. A program is capable of not only using each of the function keys, but also combining the function keys with the ALT or CTRL key. For example, Microsoft Windows users can press ALT + F4 to close the program currently active.

Note: Some keyboards include additional functions on the function keys, which can be activated by pressing the FN key, usually located near the CTRL key, and the appropriate function key. The additional functions available with the use of the FN key will differ depending on the type and brand of keyboard being used. Please check your computer's documentation or manufacturer's website for specific details on which features are available on your keyboard function keys with the use of the FN key.Tip: Some computers may automatically enable the FN key for accessing the special functions on the F1 through F12 keys. Ctrl + F2 displays the print preview window in Microsoft Word. Quickly rename a selected file or folder. Enter CMOS Setup.

F3 Often opens a search feature for many programs including Microsoft Windows when at

the Windows Desktop. In MS-DOS or Windows command line F3 will repeat the last command. Shift + F3 will change the text in Microsoft Word from upper to lower case or a capital

letter at the beginning of every word. Windows Key  + F3 opens the Advanced find window in Microsoft Outlook. Open Mission Control on an Apple computer running Mac OS X.

F4 Open find window in Windows 95 to XP. Open the address bar in Windows Explorer and Internet Explorer. Repeat the last action performed (Word 2000+). Alt + F4 closes the program window currently active in Microsoft Windows. Ctrl + F4 closes the open window within the current active window in Microsoft Windows.

F5 In all modern Internet browsers, pressing F5 will refresh or reload the page or document

window. Open the find, replace, and go to window in Microsoft Word. Starts a slideshow in PowerPoint.

F6 Move the cursor to the address bar in Internet Explorer ,  Mozilla Firefox, and most other

Internet browsers. Ctrl + Shift + F6 opens to another open Microsoft Word document. Reduce laptop speaker volume (on some laptops).

F7 Commonly used to spell check and grammar check a document in Microsoft programs

such as Microsoft Word, Outlook, etc. Shift + F7 runs a Thesaurus check on the word highlighted. Turns on Caret browsing in Mozilla Firefox. Increase laptop speaker volume (on some laptops).

F8 Function key used to enter the Windows startup menu, commonly used to access

Windows Safe Mode. Used by some computers to access the Windows recovery system, but may require a

Windows installation CD. Displays a thumbnail image for all workspaces in Mac OS.

F9 Refresh  document in Microsoft Word. Send and receive e-mail in Microsoft Outlook. Opens the Measurements toolbar in Quark 5.0.

Ctrl + Shift + F12 prints a document in Microsoft Word. Preview a page in Microsoft Expression Web. Open Firebug or browser debug tool. With an Apple running Mac OS 10.4 or later, F12 shows or hides the Dashboard. Access the list of bootable devices on a computer at startup, allowing you to select a

different device to boot from (hard drive, CD or DVD drive, floppy drive, USB drive, and network).

F13 - F24

Early IBM computers also had keyboards with F13 through F24 keys. However, because these keyboards are no longer used, they are not listed on this page.

Shortcut keys ABCs

Shortcut keys help provide an easier and usually quicker method of navigating and executing commands in computer software programs. Shortcut keys are commonly accessed by using the Alt key (on IBM compatible computers),Command key (on Apple computers), Ctrl key, or Shift key in conjunction with another key. The de facto standard for listing a shortcut is listing the modifier key, a plus symbol, and another key. In other words, "Ctrl+S" is telling you to press and hold the Ctrl key, and then press the S key too.

You can also find the shortcut keys to their most popular program by looking for underlined letters in their menus. For example, the image to the right has an

underline on the "F" in File, which means you can press the Alt key and then the "F" key to access the File menu.Some programs require the user to press and hold Alt to see the underlined characters. In the same image above, you can see that some of the common features, such as Open (Ctrl+O) and Save (Ctrl+S), have shortcut keys assigned to them. As you begin to memorize shortcut keys, you'll notice that many applications share the same shortcut keys. Below is a list of some of the most commonly used basic shortcut keys that work with almost all IBM compatible computers and software programs. It is highly recommended that all users keep a good reference of these shortcut keys or try to memorize them. Activates help for current open application. If you're at the Windows Desktop, this will activate the help for Windows.

F2Renames a highlighted icon, file, or folder in all versions of Windows.

F4In Windows 95 and later, this opens the drive selection or address bar when browsing files in Windows Explorer.

Pressing Alt + F4 closes the current open program window without a prompt in all versions of Windows.

Windows 8Windows 8,  is a version of Microsoft Windows released October 26, 2012. This iteration contains some of the biggest changes Microsoft has made to their operating system since Windows 95. It features new programming and technology allowing it to run faster as well as a more streamlined look and feel to users.
