1 KVP – sampling plan
1.1. General
The release “KVP-sampling plan” was introduced to reduce the expense of the formal
sampling process of the VW AG, to optimize the handling of sample parts and therefore
shorten the time needed to complete the sampling (sentencing). Please be aware, that the
amount of samples to be delivered can be less than five samples and that the delivery points
for dimensional, laboratory and fit assessment can differ.
1.2. Workflow supplier - summary
- The supplier fills in the tab “Supplier data” (unchanged). - The tab “Part data” will only allow you to enter the part number (all other fields are
locked) - After entering the part number, the system checked, if the sampling will be done at
the selected plant or is carried out at the other VW Group plant (“transfer of competences”).
- Where a transfer of competences has been created by the customer, the new plant will be automatically transferred to the tab “supplier data”
- In the second step a further background check takes place whether it is a “sampling via certificate” and / or if there is a “KVP sampling plan” ( if not, only the correct SQA Engineer to the new plant will be determined and shown, everything else remains the same)
- “Sampling via Certificate” can require samples, which are planned for certain delivery points.
- Should there be a systematic “planned sampling” (KVP sampling plan) the content of the tab “supplier data” will be changed! The field “Delivery Point” will refer to a new menu point “Planning Data”
- The “Planning Data” will display the data the customer (VW AG) has planned. The supplier will be asked to pay attention to this information, when samples are sent.
- The menu point Forms will be extended with „delivery labels”. The labels generated in here must be used for marking the parcels which contain the initial samples.
- The supplier shall send the parts (parcels) to the VW delivery point, defined in the planning data.
- If the part number is authorised for “sampling via certificate”, then the in described functions of the Release letter V 2.1.0 will be activated.
- The “self assessment” of the supplier to “Dimensions” and “Laboratory” are with Version V- 3.1.0 mandatory and are to be filled out by the supplier.
- All other steps are indifferent to the previous release (sending in status “Checking” and response of customer when ISIR is closed).

2 Creation of a new Initial Sample Inspection Reports
2.1. Creation of a new sample reports
Step 1)
The creation of a new Initial Sample inspection Report (ISIR) is at the beginning the same as
previous version:
- Choose Recipient plant
- Choose Delivery point
- Choose Reason for sampling, if needed enter a comment
- Choose local supplier number
…and click “save” to confirm the entries made.
Step 2)
With the change over to the tab “Part Data” the cursor will be in the field of the “Part number”.
The creation of the ISIR starts with this field. After the part number is entered, click “save”.

Step 3)
If your chosen combination “Recipient plant” and “part” shows a responsibility transfer for the
sampling activity (transfer of competences) to a different plant of VW Group, you will be
alerted with the amber notification bar at the top of the page and the responsible recipient
plant will be shown.
At the same time the system is checking if this part number – plant (and part number
supplier) combination has a “sampling via certificate” and/ or sampling plan defined. The
result will be shown in a similar notification.
If neither “transfer of competences” nor a “sampling plan” or “sampling via certificate” apply,
the usual rules for editing an ISIR are applicable.
2.1.1. Effect of the “transfer of competences” and “sampling plan” on the ISIR
2.1.2. Tab “Supplier Data”
The display of the “plant“ in the section “Recipient” will automatically be changed to the plant
which has been defined for the responsibility of sampling. The supplier will not be able to
change this ISIR back to the originally selected plant.
The “new” SQA Engineer will be displayed. The delivery point refers to the newly created tab
“planning data”.

The information for the delivery note number, delivery note date and the amount of samples
will also refer to the tab “planning data”.

2.1.4. Tab „Planning Data“
The tab “Planning Data” contains important information for the planned delivery of initial
samples. We are asking for the strict compliance with this requirement.
Planned amount of samples, addresses of the delivery points and comments of the customer
can be view in the area “B“ of this tab. The area “A“ allows you to enter your own data to
the delivery.
Attention:
Changes to the Planning Data
shall only be made after agreement with the recipient!
If the data which are entered for the first delivery point are in line with all the other delivery
points,

then you could click the button :
to take over the content for all the other delivery points.
By clicking the button
“save” you complete the
editing of the planning
data.
2.1.5. Tab “Self assessment”
The completion of this tab is mandatory.
Entries different to “1” require a comment.

2.1.6. Tab “Forms”
2.1.6.1. Print of “VDA Front Sheets”
A sampling plan could include up to 3 different delivery points at different VW AG plants. By
clicking on the button “VDA- Coversheets” a PDF file is generated, which includes a VDA
Cover Sheet for each delivery point.
2.1.6.2 Printing of “Delivery Labels”
To ease the handling of parts within the VW AG, parcels with Initial
samples have to be clearly uniquely labelled, so that the parcel
can be distinguished from the outside. For that reason a new tab
has been included in the menu point “Forms”.

Click onto this menu point and a new tab will open, in which a selection can be made for
which delivery point a delivery label shall be printed. Next to this choice you can select which
format the label should be printed out. This is especially useful for “label – printers”.
As soon as the status of the ISIR is changing into “Checking” you will be notified in a special
window to print the delivery labels and VDA Cover Sheets. You can print directly from this
alert window. You must confirm that the print has been successful.

2.2. Tab „ISIR processing overview“
The tab ISIR processing overview has been extended with a new filter.
- In the pull down menu “plant” you can restrict the amount of results to only the onles
of the plant of interest for you.
- In the field “type of sampling” following
restrictions can be made:
No restrictions: all results
will be shown,
sampling: displays only ISIRs, which are neither “sampling via
certificate” nor “planned sampling” parts,
sampling via certificate: displays only ISIRs, which are classed as
sampling via certificate,
sampling plan: displays only parts which are classed as planned
sampling parts

- The activation of the box helps to keep the overview in
the status “creation”. In here you will only see your own reports of the “external
creator” in the status “entry”.
- The restriction of the overview for own supplier ISIR numbers is possible
- Restriction of local supplier number of the customer is possible
- For a quick search for the planned sampling parts you can use the field “Barcode”.
With the usage of a hand held scanner (Barcode is available on the delivery labels
and the VDA Cover sheet) a restriction of the ISIR working overview will be reduced
to the actual part. If this is the case any other filter criteria will be ignored.
