Barry County Outdoor Recreation Youth Day2017 Volunteer Packet

September 9, 2017, Historic Charlton Park, Hastings

Event History/ObjectiveThe idea for the event came about in May, 2014 when a few recreation enthusiasts decided to try to create an event to get kids outdoors. The first Youth Day brought in over 450 children and their parents as well as around $6000 in local donations and over 200 raffle prize donations. The 2015 event saw a slight increase in those numbers, with even greater growth expected for 2017.

Our objective is to introduce youth to outdoor recreation and get them excited about the outdoors through activities, demonstrations and exhibits of all sorts including (but not limited to) hunting, fishing, recreational shooting, archery, hiking, biking, wildlife watching, watercraft recreation, wildlife conservation and education, camping, rock climbing, trapping, and other related outdoor activities.

Participation is free for all and even includes a free meal and prizes for youth. Donations of cash as well as raffle prizes were requested to defray the costs of putting on the event, and the generous response from the outdoor-minded people in our area is unbelievable.

Volunteers NeededYouth Day 2017 is seeking 26 total volunteers to fill the following positions:

Morning shift (9am-1pm)

1 volunteer to take tokens and money for lunch 3 volunteers for parking 5 volunteers for the registration booth 5 volunteers to help parents within the event or to help at activities when

needed

Afternoon shift (1pm-4pm)

1 volunteer to take tokens and money for lunch 3 volunteers for parking 5 volunteers for the registration booth 5 volunteers to help parents within the event or to help at activities when

Schedule/Important dates3rd Wednesday of each month- Regular Youth Day planning meetings, 6:30 p.m. at the Barry County 911 Dispatch Center. Attendance is not required.

09/09/2017- Youth Day Event7am-9am- Exhibitor set-up9am- Mandatory meeting for shift one volunteers in the registration barn.10am- 2pm- Volunteer morning shift1:30pm- Mandatory meeting for shift one volunteers in the registration barn2pm-4pm- Volunteer afternoon shift4pm- Exhibitor booth take-down

Volunteer BenefitsYouth Day is first and foremost a great way to give back to the community. It is also an easy way to connect with hundreds of local youth and their parents in a single day. By fostering a love of outdoor recreation in future generation, we are also ensuring future demand for the businesses that support these sports.

Volunteer RegistrationThe final page of this packet is a volunteer registration form. Fill out and return your registration form as soon as possible. One form per group is sufficient. The deadline for volunteer registration is August 31 st, 2017. By September 1st, you will receive confirmation of your participation. If your group has to cancel its involvement in Youth Day, please let us know as soon as possible so we can try to find someone else to cover for you.

Volunteer Check-inMorning volunteers must check in at the barn the day of the event by 9am. Afternoon volunteers must check in at the barn the day of the event by 1:30pm. You will need to fill out your name, cell phone number, and license plate number, in case of any issues during the event. You will also need to attend an informational meeting to go over event logistics and volunteer duties. This is not optional.

Volunteer ParkingVolunteers should park in the main event lot. This is crucial to help event flow and safety. Vehicles parked within the event area may discourage parents from continuing on to other booths.

Event PromotionWe would love to have your organization help us in spreading the word about Youth Day! We would like to keep messaging consistent. If you would like press releases or photos to use, please contact [email protected]. Event PhotosWe encourage you to take photos of the event, if you would like, and share them with the groups. Parents sign waivers for their children so that all photos may be published. Children who may not have their photos taken for safety reasons will be wearing a red wristband, while children whose parents signed a waiver will be wearing a green wristband, so please make sure to check for a green wristband before taking a photo.

Food & BeveragesFree lunch is available to all children. Lunch will be available for purchase at a reasonable cost to all parents, exhibitors, and volunteers. Bring a travel coffee mug along- we will have coffee and some

refreshments available for exhibitors free of charge at the registration barn!
