What is Banner Gradebook?

o Banner Gradebook is University College Dublin's web-based Modular assessment results entry system. It is designed to enable the relevant staff in Schools to enter assessment marks and grades directly to the Banner Student Information System.

o It is complimented by a suite of InfoView reports which enable Coordinators, Assistant Graders, Schools and Programme Examination Boards to review and amend all assessment information.

o Because of the importance of maintaining confidentiality of examination grades, the system has been designed with two significant security features. � Firstly, since the system is accessed through UCD Connect, an account with

a username and password is required to access the system. � Secondly, once within the system, each user only has access to those

modules which have been assigned to them.

There is a Gradebook in Blackboard, is it the same thing?

o No, Banner Gradebook is not part of the Blackboard application.

How do I get set up to enter results in Banner Gradebook?

o Module Co-ordinators get access automatically based on the information submitted at the Module Descriptor stage.

o Assistant Graders get access by filling out the Module Assignment Form stating the module(s) they require access to in Gradebook. Access to modules is rolled over year on year. If you need to add or remove a module contact Business Support.

How do I access Gradebook?

(i) Check your internet settings

• If you are using Internet Explorer please check your Temporary Internet Files

settings first. To do this:

o Open a browser

o In the menu bar click on: Tools ���� Internet Options ����General Tab

o In the General Tab you will see a section called Temporary Internet Files

o Click on the Settings button. You will see a dialogue box that allows you to

choose how often the browser looks for new versions of a webpage

o Click on the option ‘Every visit to the page’

(ii) Log into UCD Connect

• Once you have checked your Internet Explorer settings, log into UCD Connect in

the usual way

• In Connect, click on the Administrative

Services tab to access SISWeb via the

channel provided

• In SISWeb click on the Assessment tab, and select Enter Gradebook from the

menu

If Connect is unavailable you can access Gradebook via the link to SIS on

www.ucd.ie. Use your Personnel Number and your PIN to log in.

If you have disabled your SIS PIN contact Business Support

([email protected]) to have it reset.

How do I see what modules I have access to?

• Your modules for the current academic year will be listed under Current

Modules

• You will see the following information:

o Year/Semester of your modules

o The Module Code and Module Title for each of your modules

� If the module is a Resit it will be identified as such in the Module

Code column)

o The CRN for each module

o How many students are registered to that CRN (Registered column)

o How many students have a final grade calculated for that CRN (Graded

column)

o How many students still require a final grade to be calculated (Grades

Outstanding column)

o How many students have had their grades committed to Academic

History (Grades Committed column)

are any modules that need to be included, please contact us.

Module Coordinators should talk to their Programme/School Liaison person

in Administrative Services.

How do I select a module so I can begin to enter results?

Access the CRN Grades page

• From the list in Current Modules, double -click on the row of the module that

you want to work with

• You will be brought to the CRN Grades page where you can begin to enter

grades/marks for that CRN

o In this page you will see the following information:

� Module details i.e. code and title

� The CRN for the module

� The Gradescale for the module e.g. 40% pass

� Student ID, Name and Module Registration Status of every

student registered to your module

• Registration statuses shown include:

o Registered

o Registered Web

o Registered Elective

o Registered In-Programme Elective

o Registered Repeat

o Registered Resit

� You will see how many components there are for that CRN

� For each component you will see:

• How much that component is worth to the final grade (e.g.

50% Weighting)

• If you need to enter a Grade (A+, B, NG etc.) or a Mark out

of 100 (10, 78, 99 etc.) for that component

� You will see a column for the Final Grade

� A tick beside a student in the Committed History column will

indicate if a final grade for that student has been committed to

I can access my module but there are no components for it, who should I contact?

• Contact your Programme School Liaison person to verify the structures for the

module in question. Provide the relevant module details (CRN, semester etc).

If you want to make any changes to your components contact

[email protected] for advice

How do I enter component grades/marks?

(i) Enter results directly into Gradebook for each component

• Go to the column of the relevant component

o Check if the component is Graded or Marked out of 100.

o Check that you are entering results against the correct student/component

• Use your keyboard to enter grades (e.g. A+, D-) or a mark out of 100 into the

relevant field

Hovering over the column header for a component will show you what the valid

letter grades are.

• The ‘Tab’ key on your keyboard will allow you to move to the right across the fields in

a given row

• The ‘Return’ key will allow you to move down the list in a given column

• Once all the components have a grade or mark added, the final grade will

automatically calculate

• Component marks and grades, and the final grades will be automatically saved as

they are entered

(ii) Use the Upload Grades facility

Create a Gradebook template

• Firstly, create a Gradebook template by clicking on

• You will see an Excel spreadsheet (in .csv format) for the CRN in question.

• Enter grades or marks for each component.

• Final grades can be entered but it is not required. If a final grade is entered which is

different from the calculated grade, both will be displayed in Gradebook.

• Save the spreadsheet in CSV format to an appropriate folder on your PC.

Always use this template to upload grades to Gradebook.

Upload grades from a Gradebook Template

• Select the appropriate CRN from Current Modules

• In the CRN Grades page, click on

• Click on the Browse button to select your file.

• Find the appropriate spreadsheet and upload it into Gradebook

• The component results will populate and the Final Grade will be calculated

• If there are any invalid grades or marks in your file (e.g. a grade of S, or a mark of

350 out of 100), you will receive an error message telling you which student and

which component has the errors. Correct these, and upload again

You may override these results if necessary

How can I enter results for subcomponents?

• In the CRN Grades page, go to the component in question

e.g. Exam

• Click on the button marked Worksheet to open a Grading

Worksheet

• Use the Grading Worksheet to create your subcomponents

• Enter in the relevant details:

Step 1

o Select how many subcomponents you want e.g. if you have a component

that is an Examination with 3 questions then you can make each question

a subcomponent

o Indicate how many questions a student must attempt e.g. 2 out of 3

Step 2

o Select how you want the subcomponents to be graded/marked

There are ‘tool tips’ that give extra information on what each of the options

mean.

Step 3

o Make any adjustments necessary

o If students are required to answer a particular question tick the box in the

Mandatory column

o Users must make sure that the weightings assigned are correct to ensure

that the correct component result is achieved

Step 4

o When you are happy with the subcomponent set-up, click on Create

• You will be brought to the Grading Worksheet screen where you can enter the

results for each subcomponent for each student.

o You may edit the subcomponents at any stage by clicking on

Editing sub-components after there are grades entered will wipe

grades.

• Once you are done, click on and you will

see that the component result has been recorded in the CRN Grades page

• Once back in the CRN Grades page you may get back to the

Grading Worksheet by clicking on Worksheet under the

component in question.

Can I change component grades/marks?

• You may change component result at any stage before the CRN is committed to

Academic History

• Select the CRN in question from the Current Modules page

• In the CRN Grades page you will see the component results that have already been

entered

• You may click into a field and use your keyboard to override the existing grade or

mark

• You may also upload new grades/marks from a spreadsheet

• A new Final Grade will be calculated

• Changes are automatically saved as you enter the grades

Can I update a Final Grade?

• If you are the module coordinator for the module in question then you may change

final grade at any stage before the CRN is committed to Academic History

• Select the CRN in question from the Current Modules page

• In the CRN Grades page you will see the existing final grade for a student in the

Final Grades column

• To update the final grade simply click into the field.

• You will see a list of appropriate grades to choose from

• Select the grade you need e.g. ‘IX’ and hit Save

• The new final grade will appear on the CRN Grades page

o The original final grade calculated by Gradebook will

appear in brackets beside the updated grade

• Changes are automatically saved as you enter the grades

How do I flag that a grade that has been changed due to a board decision?

• Select the CRN in question from the Current Modules page

• In the CRN Grades page make sure

• that has been ticked.

• Make the necessary amendments to the component grades/marks or the final grade

for the student in question

• Changes are automatically saved as you enter the grades

How do I select another module?

• If you are in the CRN Grades page, click on

• This will bring you back to the list of modules in Current Modules

• Click on the module that you want and you will be brought to the CRN Grades page

for that module

What reports are available to me?

(i) Grade Profiles

• Once there are grades entered in the CRN Grades page

for a particular module you may click on Grades Profile to

compare and contrast current year results to previous

years

• You can compare overall grades or individual component results

(ii) InfoView - Grading and assessment reports

• On the front page of Gradebook you will be able to access relevant grading and

assessment reports from the drop down menu provided

• A full suite of Gradebook reports is available in your InfoView account. Expand the

Public Folders and choose the Gradebook Reporting folder.

If you don’t have an InfoView account you can request one by filling out the form

available on the web.

How do I commit grades to Academic History?

• Under Current Modules you will see the CRNs to which you have access.

(i) If a user isn’t module coordinator, a message will appear saying that they

don’t have the privileges required to commit grades.

(ii) If this facility is not currently available, a message will appear to this effect.

• Go to the CRN for which you wish to commit grades

o Check that there are no Grades Outstanding

• In the Select column, tick the box to indicate that you want to

commit grades for that CRN to Academic History

• Click on

The grades are now in Academic History and any further changes will need to be

made by the Assessment Office.
