Using Available Forms Tracker• What is Available Forms Tracker?

– The Available Forms Tracker is an excel document put out every month by AIESEC International that has all of the Available forms in the excel document to search easily

• When should I use the Available Forms Tracker?– Definitely use it at the beginning of the month, but as

it gets to the end of the month it will not include the TNs added to the system within the last month, so you should also use the other search tools.

Download Available Forms Tracker1. Login to MyAIESEC.net using your email and

password

2. Find the Search Box on the left bottom

3. Search “Available Forms Tracker” as a “file”– Find “Available Forms Tracker _____” from “AIESEC

International”– Click on the most recent AIESEC International “Available

Forms Tracker”

4. Click on the file and see the screen below

5. Click on the file to download it and click “ok”

Using Available Forms Tracker1. Open the excel document

2. Click on the “Raw TN” tab– This shows absolutely all the TNs available and you can sort each

column by highlighting it and “Sort and Filter”

3. Click on “Pivot TN” tab– If your screen looks like this, skip to slide 13

2. If your screen looks like the following, look at the following slides to fix it

3. Click in the box to make the right side options pop up

4. Drag “Type of Exchange” into the “Row Labels”

5. Drag “TN ID” into “Values” area– You should see the screen below:– The numbers tell you the number of each kind of traineeship

available throughout the world

6. Drag other criteria down into the “Column Label” or “Row Label”– Example 1: I want to see all DT TNs, in Brazil

• I drag “GN”, “Country” into “Row Labels” in that order to get:

6. List of Confusing Criteria and Explanation– TN ID: Identification number of the TN– TN Manager Email: email of the AIESEC person in the foreign country

responsible for matching the TN– GN: Growth Network (World Region)

• Africa: Africa• AP: Asia Pacific• CEE: Central and Eastern Europe• Iberoamerica: Latin America and Spain• MENA: Middle East and North Africa• WENA: Western Europe and North America

– Type of Exchange: Management, Technical, Development, Education– Business Type Description: Type of business of the company or organization

of the TN– Work Field: the work field of the EP desired by the organization/ company– Minimum Duration: Minimum duration of traineeship– Maximum Duration: Maximum duration of traineeship– Min Dur Avg and Max Dur Avg: Minimum Duration Average and Maximum

Duration Average(clumps into groups of 6 weeks, 2-3 months, 3-6 months, 6-12 months, 12-18 months)

7. I scroll down under Development Traineeship until I reach GN “Iberoamerica”, country “Brazil” (This tells me there were 52 DT Traineeships in Brazil at the beginning of this month)

8. I double click on the number next to Brazil

9. A new tab will open up showing all of the 56 traineeships that meet that criteria.

10. I can sort the different traineeships by all the criteria of the columns

11. Select the column that you want to sort such as “Maximum Duration”

12. Click on “Sort and Filter”

13. Click on “smallest to largest”

14. Click on “Expand the Selection”

15. The column sorts itself and you can look at all the traineeships that fit your “Maximum Duration” wishes

16. Once you’ve found a traineeship that you like, copy the TN ID (CTRL + C)

17. Login to MyAIESEC.net

18. Click on “Exchange” on left hand side

19. Click on “TN/ EP Lookup”

20. Click “TN” in “Select Form”

21. Copy TN ID into box “TN/ EP Lookup” (CTRL + V)

22. Click “Search”

23. This shows the “TN Form” all the information about the TN
