INTRODUCTION
The last step in research process is the preparation and presentation of the research report.
Preparation and presentation is the important part of the research process. If the report is
confusing or poorly written, all the time and effort spent on gathering and analyzing
would not bring any result.
TYPE OF RESEARCH REPORT
1. Technical report
The technical report is generally for other researcher, or for research manager. The report
should enable another researcher to be a critic of methodology, check calculation and
accuracy and to follow everything which is done on a step-by-step basis.

2. Popular report
The popular report is intended for a more general audience, one that is not conversant with
the details of research methods and terminology.
STEPS IN REPORT WRITING
Step-1 Preparation
Be sure you accurately understand the purpose of your report and its objective as defined
in the project synopsis or term of reference.
Put yourself in the position of evaluator and ask yourself this question like:-

SORTING,SELECTING,ARREANGING AND RECORDING THE MATERIAL
WRITING THE INTRODUCTION
RECORDING INFERENCES
WRITING THE RECOMMENDATION
PREPARING THE RESEARCH REPORT
a) What information would I require to arrive at a logical inference and make right
decision?
b) As an evaluator, how much, do already know about this subject? Decide on the
following issues:-
Method of study
What information do you need?
Who is going to be involved?
Step-2 Gathering the material
At this stage don’t attempt to write the report. Collect all the information i.e. facts,
figures, and ideas, about the subject by whatever means available. Some of the
methods used in gathering the information are briefly given as under:-
By observation
By reading
By interview
By enquires
By discussion
By survey
By secondary sources
At this stage you will have sufficient information in the form of noes, collection from
various published data and so on.
Step-3 Sorting, selecting, arranging and recording material
Having assembled all your material check to ensure that you have all you need to support
your agreement. Arrange it in a logical sequence, start to finish, ensuring a natural flow.
To ensure clarity to the readers adequate notation should be used for visual i.e. diagram,
maps etc. At this stage clear your mind and go through whatever you written.
Step-4 Writing the research report
While writing the introduction take following points into consideration:-
1. Describe the purpose of the study.
2. Describe the method of study.
3. Explain limitation
4. Ensure continuity between all sections
Step-5 Recording the inferences
The conclusion or finding should flow from the outcome of the investigation. These
findings should lead to concrete recommendation. While writing conclusion, the
objective of the study should kept in mind.
Step-6 Writing recommendation
While writing recommendation you must adopt a positive attitude and enlist those
points first, which you really want to be done.
Step-7 Prepare the report
Stitch together all the different threads of information into a coherent a whole. Present
the data in form that you want.
LOGICAL FORMAT OF THE REPORT
a) Title page:- Indicates the topic of the report.
b) Letter of transmittal and authorization:- Indicates the official permission of
authority of the research work.
c) Table of contents:- It is basically for the user to guide the reader what it contains. It
indicates the main part, division or section of the project.
d) Introduction:- It deals with the genesis of the report. it explain why the study was
undertaken, statement and formulation of problem etc.
e) Methodology:- The report should explain the methodology used in studying the
problem.

f) Findings:- It contains the result of your research.
g) Limitation:- This section of the report contain the main limitation that was faced by
the researcher during the time of research.
h) Summary and conclusion:- This section contain the summary and conclusion of the
full report.
i) Recommendation:- it is not necessary this section contain by all report. It deals with
suggestion or measures.
j) Appendices, bibliography and index:- this is the last section of the report. This
gives the supplementary information which supports the body of report.
GUIDELINES FOR REPORT WRITING
1. Always consider the audience
2. Address the information need
3. Be concise, yet complete.
