1 eLearning User Guide We recommend reading the relevant sections before you attempt to access the eLearning It is our aim to make your experience using our eLearning system both enjoyable and easy to navigate. This User Guide will provide extensive guidance on how to get the most out of every feature the system makes available to you. As a User: Having received your login details in the “Welcome” email - you will now be able to access and start the course/s that you have been assigned. Below we will provide some guidance on the system’s most important User features. Edit User Information Found in the side navigation under Account. Here you can change your personal details and password (but not your email address). Just select the relevant option in the form and click the Submit button then select Dashboard from the side menu to return to the main screen. eLearning User Guide We recommend reading the relevant sections before you attempt to access the eLearning

It is our aim to make your experience using our eLearning system both enjoyable and easy to navigate.

This User Guide will provide extensive guidance on how to get the most out of every feature the system

makes available to you.

As a User: Having received your login details in the “Welcome” email - you will now be able to access and start the

course/s that you have been assigned.

Below we will provide some guidance on the system’s most important User features.

Edit User Information Found in the side navigation under Account. Here you can change your personal details and password

(but not your email address). Just select the relevant option in the form and click the Submit button then

select Dashboard from the side menu to return to the main screen.

To Sign Out of your account click onto your account name in the top right-hand corner of the screen.

Dashboard

This is the homepage of the system. Once logged in you will see the following:

• a full list of the courses that have been assigned to you

• any deadlines you have been set

• the number of attempts for each course

• course status i.e. whether started, failed attempt at course questionnaire, passed course

• awarded certificates

Click on one of the selected courses, on either the course title or course status, to start your training.

Should you be interrupted or timed out of the course (there is a limitation of just over an hour) you will

be returned to the Dashboard where you can either restart that course or select another.

N.B As soon as you start a course, the Course Status button will change as shown below.

Certification Once you have completed the course and if you have achieved 80% or above on the course quiz, we

recommend you take a screenshot of the questionnaire pass page. You will then have a record of the

actual pass rate for that course to keep on your personal training record.

Upon passing each course, you will also be awarded a certificate bearing the relevant accreditation logos.

Online Certificate

NB. Please note, there is no limit on the number of times you can do a course but your certificate will always

show the date when you last passed that course.

All awarded certificates can be viewed on your account. Click on “Current Certificate” to see the latest

pass, and on “Archived Certificates” for all older certificates. All are available for download or printing.

Your Employer will have pre-selected which certificate option you are entitled to (see Certification below).

As an Administrator: Shortly after your Risk Management portal account has been registered you will receive a “Welcome”

email containing activation details. Follow the link to activate your account and head over to the

eLearning section in order to access your Administrator account.

As an Admin account holder you can add staff to the system as Users and can assign relevant courses to each. You can also add additional Admins. Below we will provide some guidance on the system’s most important Admin features.

Dashboard from the side menu to return to the main screen.

Admin Dashboard

Admin Dashboard

Here you can view all the User and Admin accounts that have been set up and add additional ones. The Admin Dashboard has 2 main sections: Registered User Accounts: Here you will see

• a list of Users by name

• edit Details button

• Account Status button where you can deactivate Users* *Please note that should an account be deactivated, the User’s data will not be deleted, but they will no longer be able to access the system

• a list of Admins by name

• Edit Details button

• Deactivate account button

Adding Additional Admin Accounts

Register New Admin page

Click on Registration in the side menu and then Register New Admin then complete the form as above. It is essential to include their email address as any new Add. Admin will need the information included in the Welcome email to access the system. If you don’t want the Additional Admin to see all Users you can restrict their view to only those they have personally signed up, by clicking the option at the bottom of the form.

Click on Registration in the side menu and then Register New User. Then complete the form as shown above.

NB. Please note that the User’s name as entered in the sign-up form (including any capitalisation), is how it will appear on any certificate issued for that User. It is essential to include their email address as any new User will need the information included in the Welcome email to access the system.* Once the form is complete, click the blue Register button at the bottom of the page. *If no email address is available please enter a sample email address e.g. [email protected]. This will enable the system to process the User. They will not however, be able to receive the Welcome email containing their login details so will need to be informed through other means.

Adding Multiple Users If you have a number of Users you wish to register select Bulk Import New Users option. This will take you to an Import Users page where you will find full instructions of how to proceed.

Assigning Courses to Users

Once Users are set up, to assign them to the relevant courses, click on Assign Courses in the side menu and select the course/s required from the drop-down menu. Clicking on each course will show a list of your Users. Tick the Assign Course box against the name of the User you wish to complete that course. If you also wish to select the National Occupational Standards (NOS)* certificate option click the box to the left of this as shown above.

Repeat the process until all the Users you require to take that course have been selected. You can assign all the courses to a User, or just one or two.

Deadlines Deadlines can also be set from the same page as shown above (Assign Courses in the side menu). Again, select the relevant course from the drop-down menu and this time, click the Add/View Deadlines button (also shown in the image above). From here you will be able to select a date for the next deadline. Using the Frequency option you can also choose how often the User must complete each course.

N.B Any upcoming or overdue deadlines will be flagged in your notifications which can be found in the top navigation menu (represented by the bell symbol highlighted below).

Monitoring User progress You can return to the Admin Dashboard by clicking on Dashboard in the side menu where you will now be able to monitor the progress of your staff at any time. By clicking the Check button against an individual in the Registered User Account section you will be able to see the status of all assigned courses. You will also be able to send email reminders to each User by clicking the Send Reminder button (see below).

User Reports Click on Reports in the side menu and then User Usage or User Certificates to check the status of your Users or progress on any of the courses. On the User Usage page you can produce a report using the following filters:

• By Date From - Date To

• By course - all or a specific course

• By Course Status - all, passed or failed

• By Certification type – all, standard (RoSPA & CPD) or NOS selection Then click the Apply button and the User Usage Report will appear beneath. This can be downloaded in CSV format by clicking the Download CSV button at the bottom of the page. Summary of Admin Functions In summary, as an administrator, you can view:

• which staff have been signed up and register new users for eLearning

• the courses assigned and assign new courses to each User

• progress of the User i.e. whether the course has been started / passed • whether the NOS certificate option has been selected • all certificates a User has been awarded

Certification / Accreditation All courses are approved and accredited by RoSPA and CPD respectively. For every course successfully completed (achieving 80% or more in the course questionnaire) a personalised certificate is generated bearing the RoSPA and CPD logos. This can then be downloaded or printed. CPD also issue their own certificate, which is sent direct to the User’s email address, each course being equivalent to 1 hours CPD credit.

Certification Option Importantly for staff engaged in formal training, our eLearning courses are also recognised by Proskills Global Ltd, the body given responsibility for NVQ accreditation for Health and Safety, as part of the National Occupational Standards (NOS) for the UK. So, on the successful completion of each course, your staff can claim Accreditation of Prior Learning (APL) as credits towards any NVQ qualifications (level 2) they are undertaking. Simply download the APL document from the system which can then be given to the candidate’s assessor for verification of the relevant elements in their NVQ. The National Occupational Standards (NOS)* certificate option can be selected by ticking the NOS box next to the User name when assigning the course to them. *A small charge of £5 (+VAT) for each certificate is paid to Proskills Global Ltd, the body responsible for accreditation of the National Occupational Standards for H&S, and for details to be retained on their national register.
