“'Twas the night before the 4th of July and within building 4, a fire sprinkler head was spewing and water was pouring through the floor.”

It's the 4th of July weekend at the Brooksville headquarters of SWFWMD and a fire sprinkler head malfunctions. Within an hour, approximately 15,000 gallons of water (enough to fill an average swimming pool) gushes out of the sprinkler head and rains havoc throughout the four-story struc-ture.

This pictorial journey begins just a few short hours after the disaster occurs, and winds down a path strewn with water-logged records, damaged com-puters, sparking light fixtures, and ceiling tiles as they come crashing to the floor. Guiding you on this step-by-step journey of disaster, and subsequent recovery, is one VERY exhausted Records & Information Manager.

Earl C. Rich, CRM, is the General Service Bureau Chief and Records Custodi-an for the Southwest Florida Water Management District. Earl has more than 20 years of RIM experience in both the private and public sectors man-aging the information assets of organizations across a multitude of diverse industries. In addition to his professional experience, Earl has also served as President of the Florida Gulf Coast chapter of ARMA; Director of the Southeast Region of ARMA; President of the Florida Records Management Association; President of a Toastmasters International Club; and has con-tributed to works published by the Board of Directors of ARMA Internation-al.

Earl graduated Summa Cum Laude with a Business Administration Degree from St. Leo University; he also holds the designation of Certified Records Manager (CRM).

President’s Message

November Presidents Message

Change is in the air… not only is the weather cooler (finally) but managing records and information governance contin-ues to shift to meet the everchanging world! Fortunately,

we can educate, network and utilize the many resources available to stay on top of these continuous changes and provide smart, viable solutions to our customers and organizations. ARMA, Int. is just one of the great ways to do this. Several of the ARMA Jack-sonville Chapter members attended and we all felt it was very educational and beneficial and some fun, of course! Our October speaker, Andrew Ysasi, who spoke on information security and risks had a lot of insight. There is lot of hacking going on that no one hears about since it is easier and less expensive to settle out of court. Andrew cit-ed a record breach cost of $359 per health care record and stated that spear fishing and whale fishing are alive and doing well. The hackers continue to get smarter and steal our stuff! This demonstrates the high risk and costs of information in the cloud. It also shows you there is a lot of opportunity for the public to get educated and be more careful. Andrew’s advice was to get your house in order, address the high risk data through an incident response team and use encryption. Encryption strategy generally helps but is not the only or absolute solution. Save the date! On November 7, Earl Rich, ARMA Southeast Regional Manag-er, will be presenting “A Wet and Wild Fourth of July…” And if you know of Earl, you are in for a treat. Earl knows how to tell a story and share and ap-ply good RIM practical advice and practices. Plan to join us if you can.

The annual ARMA Conference is an event that I look forward to attending every year. I always re-turn energized and ready to use the knowledge I've attained. The theme was change in the RIM field and how to embrace it using tools provided and recommended at the conference. I've attend-ed many conferences (at least 20) and this was the most efficiently run conference I've attended.

All of the sessions I attended were very good and I was glad that there were less than more. Quality is always better than quantity. I appreciated the job aids provided and loved the smart phone polls during each of the sessions. They were used by the speakers to get opinions as well as answers to speaker questions. It was fun to participate and interesting to see the feedback.

One of my favorite sessions was the 10 Minute Rapid Fire Sessions as they gave you a quick over-view of some topics that I had not had an oppor-tunity to attend. The speakers were on point and provided time for questions as well as an oppor-tunity to contact them later for one on one discus-sions.

The Expo Hall with RIM/IG vendors was another key component. It is always an opportunity to learn more about the tools available and do your research on any potential purchase for your organ-ization. The vendors are great to discuss potential solutions with and will usually give you fair, honest answers and recommend suggestions, not always their own. They also provide candy, have draw-ings, some games and provide some fun and use-ful giveaways...!

I was a first-timer attending the ARMA Live! Orlan-do 2017. Admittedly, I was not as hyped up about attending when it came time to road trip it to Or-lando; however, after attending the opening gen-eral session “Agents of Change,” I was motivated and excited to be a part of the “change” in what is surely becoming a re-defined profession. My fa-vorite place to land in between sessions was the Iron Mountain Café, which offered a place to reor-ganize and recharge – literally, recharging sta-tions! Comfy seating, snacks, swag, and even crafts – see photo – were nice amenities at the café. My focus was to learn more about the Gen-eral Data Protection Regulation as it affects day-to-day information governance in the US. What I found interesting was that data privacy regulations and initiatives were the “hot topic” discussed throughout all of the sessions. The most signifi-cant take-away for me is that records profession-als need to re-evaluate their respective records programs and re-define their approach to records management. Records management has evolved into so much more that yesterday’s practices are insufficient in governing today’s information.

-Carole LaRochelle

I attended ARMA Live! Orlando 2017 for the first time and my biggest takeaway was the energy that emanated from the General Session I attended, to the in-formative educational sessions, to the vendors in the Expo hall. Everybody there seemed rearing to become “Agents of Change” and the motivation was conta-gious!

Learning about what type of Metadata standards could be used to enhance searching capabilities was informative to me. I came out of the session with a use-ful brochure that I look forward to using to analyze our practices.

ARMA Live! Orlando 2017 was a very

interesting and informative conference.

As a first-time attendee, from meeting

the CEO Jocelyn Gunter at the First Time

Reception to all of the informative edu-

cation sessions for 3 days, full of invalua-

ble strategies, I was slightly over-

whelmed, but in a good way. The confer-

ence mobile app helped me to pick the

sessions ahead of time that I wanted to

attend. The Opening General Session:

Agents of Change was inspiring and my

takeaway was the saying, “May you live

in times of change”, so we are not stag-

nant and always moving forward, and

that as Information Governance profes-

sionals, we are bringing order to chaos.

The presentations and demonstrations

by vendors enlightened me to the latest

tools and technologies available at our

disposal. With all of the social activities

planned, I was able to network in a com-

fortable, yet fun atmosphere. My lasting

impression of the ARMA conference ex-

perience was that my work in records

management is very important and the

more I learn from others, the better em-

ployee I will be, and the more skills I will

have to offer, including being a mentor if

and when an opportunity arises. I am

also looking forward to the 60 days of

access to the conference recordings, to

listen to any sessions that I missed due to

scheduling conflicts. I walked away from

the conference energized and inspired,

and ready to tackle all of our exciting

projects.

PRESS RELEASE NEW Research Paper Released

Vonore, TN (10-13-17) – The Foundation (ARMA International Educational Foundation-AIEF) is pleased to announce the re-lease of a new research paper on privacy in Canada.

Canadian Requirements for Personal Infor-mation Protection

This report reviews the Canadian personal information statutes in Canada from a records management perspective. While Canada and the United States have a similar constitutional structure, Canada and the United States have different privacy regimes. Canada has a harmonized privacy regime grounded by similar statutes across Canada, and is based on the Organisation for Economic Co-operation and Development and the Euro-pean Union (EU)’s data protection directive. Based on data acquired from legal research of primary personal infor-mation and privacy provisions contained in the statutes enacted by Cana-da’s federal, provincial, and territorial governments (Privacy Statutes), the report focuses on the statutes currently in force because those are the statutes with which organizations must comply. The paper is located at: http://armaedfoundation.org/research-reports/

If you or your organization is interested in sponsoring research or an educational scholarship for

2018 please contact: [email protected] . There are many worthy research pro-

jects and scholarships in need financial support to move information management forward.
